APPLICATION CHECKLIST

This application checklist helps to ensure that you have included all of the documentation that is needed by the Pretoria Office to process your visa application.

- Via a Credit card (either the student’s or a contacts who has given permission in writing for their account to be debited). The department will introduce a surcharge on all credit card payment. More information will be available on DIBP website.

- Via payment directly to DIBP in Australia (eg by a sponsor, friend, business colleague).

- Via cash or bank draft in Rand issued by a South Africa bank (either in person at the Australian High Commission in Pretoria, or through a business contact, friend or relative in South Africa).

Please contact the SDP for their acceptable payment types and current immigration visa application charge amounts. SDP may charge a service fee above the visa application charge. Electronic lodgement of Student Visa Applications on the internet - Assessment Level 1 (AL1) student visa applicants are eligible to apply online for streamlined student visa processing. All persons applying online must still meet Australian visa health requirements.

Please visit http://www.immi.gov.au/Services/Pages/student-visa-online-applications.aspx if you are subject to AL1 and choose to lodge your application online. Secondary School Exchange Student Programs - This refers to formal programs only. These are programs, which have been approved by the Australian State/Territory education departments and the Minister of Education. Applicants applying for a student visa under informal exchange arrangements (that is, not approved by Australian State/Territory education departments and the Minister of Education) must satisfy the criteria set down for all applicants (including payment of the VAC) and provide all required documentation before a decision can be made on their application.

Health requirements

Student visa applicants must meet certain health requirements and may need to undergo a health examination. The requirements vary based on:

your length of stay in Australia other health risks in your home country or countries you have visited for more than three months within the last five

years.

Medical Examinations –. All clients need to have an identifier (HAP ID) in order to undertake medical examination with a panel doctor. The visa processing office will provide the HAP ID for clients who have already lodged their visa applications.

Health examinations can be completed before you lodge your visa application, but no more than six months before your course starts. Clients who wish to undertake their health examination prior to lodging an application MUST first complete the My Health Declaration (MHD) form on DIBP website: http://www.immi.gov.au/allforms/health-requirements/my-health-declarations.htm

Please note that the pre visa application lodgement health examinations can only be processed electronically if the student attends an eMedical clinic.

Additional HIV test, Hepatitis B & C blood test is required for applicants who will be in a hospital environment as part of their studies. A list of approved panel doctors can be found at http://www.immi.gov.au/contacts/panel-doctors/ Medical referrals - If further medical reports are required or you are required to undergo further medical tests/treatment, it is in your interests to provide or undertake these as quickly as possible. Until such time as HOC medically clears you, this office cannot finalise your visa application (that is. either grant you a visa or refuse the application). The processing of your medicals may take up to three weeks in average. Travel arrangements - We recommend that you do not make non-refundable or unalterable travel arrangements until you have been granted a visa. There is no guarantee that you will be granted a visa. In fairness to other applicants, we cannot fast-track your application simply because you have confirmed your travel arrangements. Delivery and courier charges You are responsible for all of the costs of delivering information to the Pretoria by mail or courier, including any additional information that may be requested by the Pretoria. If you submit additional documents without a request from Pretoria at the Australian Visa Application Centre, you are responsible for all delivery and courier charges. Average processing time - The average processing time for Assessment Levels 3 of a COMPLETE student visa application is between SIX and EIGHT WEEKS from date of lodgement of your application - some applications may be able to be processed in less than eight weeks, others may take longer. It is therefore in your interests to lodge your application at least two months before you intend to commence your course, so that an assessment can be made on your application as quickly as possible. Complete Assessment Level 2 applications will be processed within 21 days from the lodgement date.

Complete Assessment Level 1 and ALX (streamlined) applications will be processed within 14 days from the lodgement date. Applications can only be processed efficiently if ALL mandatory supporting documentation is provided at the time of lodgement. Please be aware that the decision on your visa application may be decided on the information and documentation that you include at the time of lodgement without requesting further information. It is in your interest therefore, to submit a complete application. Note: All supporting documentation must be in English or accompanied by a certified translation. Please do not send original personal documents (e.g. birth, marriage, education certificates) unless requested by the Australian High Commission. Copies of the documents must be certified. Bank statements submitted as evidence of funds must be original documents and will not be returned to the applicant. Attached is an application checklist to assist you in lodging your application. Please complete and submit this checklist along with a completed and signed application form. Please remember to include ALL mandatory supporting documentation. ASSESSMENT LEVEL 1 - Tick the documents you are submitting

Payment of the Australian Government Visa Application Charge. If the Visa Application Charge has been paid to an office of the Department of Immigration and Border Protection in Australia, a copy of the receipt must be submitted.

Completed latest version of Form 157A. (Signed by applicant and all persons over the age of 18 included in the application. A certified copy of the biodata page of your current valid passport. Your passport needs to be valid for at least six months at time of lodgement of your visa application.

Clients applying for an Australian Visa are no longer required to have a physical label in their passport when travelling to Australia. The Australian Government does not require a visa label to be placed in your passport to confirm your immigration status and entitlements for Australia. All visa status information is stored electronically on DIBP's systems and is accessed by airlines flying to Australia when passenger's passports are swiped at check-in.The client's visa status is immediately known to airline check-in staff.

A Visa Evidence Charge (VEC) of AUD 70 applies if a visa holder requires a visa label to be evidenced into their passport,

You can only request and pay the VEC for a visa label after you have been granted an Australian visa.

Regardless of when your visa application was lodged, or your visa granted, anyone who requests a visa label may be charged.

Recent passport photo (no older than 6 months) for all persons included in the application

The Confirmation of Enrolment (CoE) certificate(s) and/or letter from the institution offering a place in an approved course

If you are intending to undertake an ELICOS, foundation or other pathway course (for example, bridging course or vocational educational course) as a prerequisite or to enable you to commence your bachelor or masters by coursework degree, you must also provide evidence of a CoE for each eligible prerequisite course(s). The approved enabling or prerequisite course(s) must be provided by an educational business partner nominated by your university and approved by the Minister for Immigration and Border Protection.

Overseas Student Health Cover (OSHC) for the proposed duration of your student visa.

Students must provide evidence of OSHC for themselves and any accompanying dependants for the proposed duration of their student visa in order to be granted a visa.

Please note that the CoE must show the expiry date of the OSHC. The processing of your application may be delayed if the expiry date of the OSHC is not

included in the Confirmation of Enrolment. A student visa can be granted up to the maximum duration outlined below. Duration of Course: 10 months or less – your visa will usually be granted up to one month longer than the duration of your course Longer than 10 months – (Finishing January to October) your visa will usually be granted up to two months longer than the duration of your course Longer than 10 months and finishing at the end of the Australian academic year (November – December) – your visa will usually be granted up to March 15 of the following year. If OSHC has been paid directly by the applicant, confirmation of Membership letter from Medibank Private (or other registered health benefit organisation) must be provided. Information about OSHC is available on the department’s website: http://www.health.gov.au/internet/main/publishing.nsf/Content/Overseas+Student+Health+Cover+FAQ-1

You must declare on your student visa application that you have sufficient funds to cover yourself and your family members for the duration of your stay in Australia for:

- living costs

- tuition cost

- school costs for any school-age children

- travel costs

If you are sponsored fully or partially by the government of your country, please provide an official letter of support. Information on financial requirements is available on http://www.immi.gov.au/Study/Pages/Study.aspx

Homestay arrangements - Prepaid fees for formal boarding arrangements with education providers for student visa applicants are taken into account when assessing whether an applicant meets the financial requirements for a student visa. Formal boarding and Homestay arrangements do not include private boarding or Homestay arrangements or rent on accommodation. Payment of rent on private accommodation arrangements is therefore not deducted from the living costs component of the financial requirements. This is because these arrangements are not formally administered by education providers.

If you have been charged with or convicted of a criminal offence, original police certificate from relevant country (no older than 12 months).

If you have served in the armed forces of any country, you may be required to provide certified copies of military service records or discharge papers.

Adult applicants – certified copy of Birth Certificate

Evidence of the relationship between the applicant and all members of their family unit (including those who are not joining the applicant in Australia):

- Children: certified copy of full Birth Certificate stating both parents’ names.

- Spouse or partner – certified copy of Marriage Certificate or evidence of de facto relationship (i.e. evidence that applicant and spouse have been residing in a marital relationship for at least 12 months prior to the date of application).

- If applicant has been divorced or widowed, certified copy of the divorce decree absolute or the death certificate of the deceased spouse.

If you or anyone included in the application has been divorced or widowed, a certified copy of the divorce decree or the death certificate of the deceased spouse (as appropriate)

If any dependent children included in the application are adopted, certified copies of the adoption papers

Certified copies of documents to verify custody and access arrangements for children under 18 years of age. This is not required if both parents or legal custodians are included in the application.

Proof of ties with home country/incentive to return to home country: All applicants are required to provide evidence of ties with the home country and incentive to return to home country (financial, cultural, family ties)

If the applicant is not a national of the country of residence, the applicant is required to provide evidence of status in that country.

IF YOU ARE A STUDENT UNDER 18 YEARS OF AGE

Please contact the school for further advice (this does not apply to Secondary School Exchange Program students, Australia Awards students, students being accompanied by a parent or guardian or staying with relative who is at least 18 years of age who is nominated by parents/guardian, or students placed full-time with a Rotary International approved guardian)

IF THERE ARE MINOR CHILDREN INCLUDED IN YOUR APPLICATION

Evidence of enrolment in a school in Australia for each child included in the application 5 to 18 years of age (Original Confirmation of Enrolment for Overseas Students (COEOS) form)

ASSESSMENT LEVEL AL X - Higher Education Sector: Temporary Visa (Subclass 573, 574, 575) - Streamlined Visa Processing.

• SVP arrangements were extended to 19 non-university higher education providers from 22 March 2014.

• SVP is only available for bachelor, masters, doctoral degree or eligible exchange programmes provided by participating education providers.

• Packaged courses (prerequisite or enabling courses - ELICOS, foundation or other pathway courses) must be provided by nominated educational business partner of the SVP participating provider.

Duration of Course: 10 months or less – your visa will usually be granted up to one month longer than the duration of your course Longer than 10 months – (Finishing January to October) your visa will usually be granted up to two months longer than the duration of your course Longer than 10 months and finishing at the end of the Australian academic year (November – December) – your visa will usually be granted up to March 15 of the following year. - tuition cost

- school costs for any children aged 5-17 - AUD 8,000 per child, per year

- If you are sponsored fully or partially by the government of your country, please provide an official letter of support. Declaration of financial support from the individual(s) providing funds is required.

Acceptable sources of income

The money to support you and your family members must come from one or more acceptable sources.

Examples:

Money deposits held in a bank account by you or a person supporting you. A loan from an approved financial institution. A loan from your government. Financial support from your education provider or another organisation.

Note: Non-cash assets such as property and shares are not acceptable evidence of income. However, non-cash assets may be liquidated or used as collateral on a loan.

Business account is an acceptable source of funding only if there is evidence of the business ownership and a declaration from all business owners/directors that they do not object to the funds being used for student visa purposes.

Homestay arrangements - Prepaid fees for formal boarding arrangements with education providers for student visa applicants are taken into account when assessing whether an applicant meets the financial requirements for a student visa. Formal boarding and Homestay arrangements do not include private boarding or Homestay arrangements or rent on accommodation. Payment of rent on private accommodation arrangements is therefore not deducted from the living costs component of the financial requirements. This is because these arrangements are not formally administered by education providers.

If you have been charged with or convicted of a criminal offence, original police certificate from relevant country (no older than 12 months). If you have served in the armed forces of any country, you may be required to provide certified copies of military service records or discharge papers.

Adult applicants – certified copy of Birth Certificate.

Evidence of the relationship between the applicant and all members of their family unit (including those who are not joining the applicant in Australia):

- Children: certified copy of full Birth Certificate stating both parents’ names.

- Spouse or partner – certified copy of Marriage Certificate or evidence of de facto relationship (i.e. evidence that applicant and spouse have been residing in a marital relationship for at least 12 months prior to the date of application).

- If applicant has been divorced or widowed, certified copy of the divorce decree absolute or the death certificate of the deceased spouse.
