Front Desk & Reception Control

• Committee Lead: Hasmukh Vadgama• Reception desk should be manned all time, it is a main hub for
number of things: welcome guests, accept donations, provide forms for database entries, offer prashad and facilitating take away food/prashad.
• Make sure reception decorations are in place if there is any issue or problem report to Prafulaben Vadgama.
• Crowd control, restrict entry to non-community members and daily counting
• Keep any eye on security of hall and coordinate with security team.
• Prakash and Hasmukh will be only point of contact with Lanfranc School caretakers.
• Checking toilets (flooding, lighting, loo rolls etc for caretaker)

Donations/ Treasury

• Committee Lead: Ashvin Amrania • We need knowledgeable people encouraging donations in an
appropriate manner, as in previous years at the main reception. Seeing familiar faces gives encouragement, sense of continuity and a guarantee of money prudently spent.
• We also need ‘old hands’ cajoling people amongst the crowd to sponsor a night, an item etc.
• Being a treasurer is a learnt art. As we pick up this expertise, we need previously experienced people to support our daily tasks
• Aatham gives us an opportunity to do something out of the routine, and also provides a good set income. We will need friendly faces to ‘sell’ the divas in the day. Divia Bakrania’s team will be co-coordinating this
• Daily Aarti collection (Thali) needs to be tallied. The committee may not have the luxury of carrying this out. Again, daily help would be very useful

Garbi & Centre Area

• Committee Lead: Bhavisha Vadgama– need to set up daily from scratch around 6pm
– ensure all bowls are ready for prashad and pass them out to reception after arti
– ensure arti plates are ready and monies are collated and passed to treasure/Savan for counting
– keep a lookout for safety of divas and trips and falls especially with little children and keep first aid box / plasters at least handy
– collate all items and pack up in order to use for the next day
• Volunteers– Sakhee Sangam, Bhanuben, Rakshaben, Deenaben, Ranjanben,
Pushpaben
Decorations- Reception, Stage & Hall

• Committee Lead: Prafulaben Vadgama– need to set up daily from scratch around 6pm
– We will have a new design for reception hall decorations which will be led by Sushilaben & Charmi Bakrania
– Main hall banner and reception banner arrangements
– During weekends we will need hand in putting in place large back drop for the stage. (Minimum 4 people needed )
– Kamal Panchasra, Heena Vadgama, and Jayshree Vadgama will be decorating Radha/Krishna Murti for Sharad Poonam
– Ensure no damage is done to the hall or the halls' equipment
– Volunteers– Sushilaben, Charmi, Kamal, Heena and Jayshree
Catering

• Committee Lead: Ashvin Amrania– SLNC has been serving tea since it started 29 years ago, and the
present committee is promising to keep the tradition going
– We provide not only standard masala tea, but sugarless, English & Coffee on demand and of course, variety of cold drinks
– Over weekends, we provide snacks, usually donated. This requires looking after the Dinner hall, spillages, efficient movement of people
– Making Masala tea for a large group of people, on time, is a learned art. Luckily we have a number of people who can. We have built an enviable reputation
– We need volunteers to serve tea drinks, clean up the utensils and help serving snacks during the weekend

Hall Management

• Committee Lead: Prakash Bakrania– Seating - Set up and put away the chairs as needed.
– Ventilation – open / close the windows as needed.
– Garbi & Music setup – Assist with setting up
– Make sure Garba floor is clean
– Dining hall management
– Safety - Keep a lookout for people playing near the Garbi and any dropped items such as Dandias, Jewellery etc.
– Distribute and recollect all Dandias at the end. Clean the hall and keep an eye on any lost property.
– First Aider and first aid boxes

Music Band & PA System Setup

• Committee Lead: Neel Vadgama & Paarik Bharadia– Help setup the equipment for the band ie microphone stands,
tables, wiring, positioning
– Stage layout so the band can interact with each other via proper spacing in order for eye contact whilst playing music
– Learn how to play instruments, give the youth a chance to play a bit if they know how to already play an instrument.
– The music band have been working hard on perfecting singing and playing for the nine days and have received excellent feedback from other members of the community

The New South London Suthar Team
- The beginning of a new era for Suthar identityDiversity and inclusivity
• The 2014 Election saw the community elect the most diverse set of representatives in our 30 year history
• The Committee is for the first time chaired by a woman – Prafulaben Vadgama
• The Committee has 3 women and half the team are under 30 years of age
• The team comes from an exceptional mix of backgrounds, academic disciplines and professions
Transparency, openness and communication
• The team is using technology to help the committee be as transparent and open as possible
• This enables efficient and effective communication between ALL Suthars

• We want to build a Suthar community that is meaningful, strong and united as it once was when UK Suthar identity was first formed by our Forefathers and Foremothers decades ago but has since become fragmented
• To do this, we will encourage the Community to help actively shape Suthar identity TODAY, in the 21st century.
