Purpose of this Document

The purpose of this document is to setup a SalesOutlook client after the administrator has already installed the SalesOutlook database in multi-user environments. If your SalesOutlook database has not been setup then please reference the SalesOutlook Administration Guide (SO – Administration Guide) before installing. Single user and demo software installations can also use this guide to install SalesOutlook.

Preparing To InstallPlease review the minimum and recommended system requirements at the end of this document. Please ensure that all system requirements are met, including Windows system-level updates, and that the most recent service packs and updates for Windows and Office applications are applied before installing any SalesOutlook program.

IMPORTANT NOTES:

This document covers only the steps used to install and configure Outlook 2003 for use with SalesOutlook. If you are using a different version of Outlook / Office, please refer to the SO4X – Client Installation Guide for Office 200x Users where 200x represents your version of Outlook (and Office).

If you are the system administrator and need to configure a shared SalesOutlook database on your Exchange Server Public Folders, please refer to the SO4X – Administrator Guide for instructions.

The Basic Installation Steps for cache mode outlined in this manual are as follows:1. Setup cache mode for public folders.2. Add the SalesOutlook database to the Favorites folder.3. Install SalesOutlook client.

SalesOutlook Client InstallationThe following procedures will be performed for each client user. SalesOutlook recommends the new Outlook 2003 Cached Exchange Mode for each client.

BEST PRACTICE: Multi-user environments should first have the Administrator set up and configure security permissions for the shared SalesOutlook database in the Public Folders on your Microsoft Exchange Server (See SalesOutlook Installation and Administrator Guide).

Recommended - Adding cache mode to public folder favorites While this feature is not required for LAN users but is strongly recommended because of the junk mail filter and performance increases with a slower Exchange server or network. It also allows a user to continue to work if the Exchange server is down, and when the server is up the new Cached Exchange Mode reduces network “chatter” and improve the performance of your network. Cached Exchange Mode is a hybrid between working connected and working with a local, offline database. The Cached Exchange Mode employs both simultaneously to optimize the performance for the user and to minimize network traffic and load on the Exchange Server. Note: Non-Cached Mode LAN users can skip to the topic Outlook Configuration Settings on page 30.

3. Click on Change existing account.

6. Click on the Advanced tab and make sure Download Public Folder Favorites is checked.

Make sure Use Cached Exchange Mode and Download Public folder favorites are checked.

Make sure database is set to Unicode. If not, then delete the *.ost database and *.oab offline address book files. Outlook 2003 will recreate them in Unicode format when Outlook is restarted.

1. On the General tab check the choose connection (Optional) state.

Define the SalesOutlook folders as public folder favorites

1. Display the Folder List by selecting the “Folder List” icon from the navigation pane as shown in the following image if it’s not already visible. Note that clicking the Mail group button displays a filtered list of folders. The only way to view the entire folder tree is to click the Folder List button at the bottom left-hand corner of your Outlook window.

2. Navigate to the SalesOutlook folder in the Public Folders structure and highlight the SalesOutlook folder.

TIP: Please contact your Exchange administrator to find out where the SalesOutlook folder structure was installed. Normally, SalesOutlook is installed under Public Folders / All Public Folders /SalesOutlook.

3. Right click on the SalesOutlook folder and choose Add to Favorites.

4. Click on the Options>>> button and select the following options: a. Add subfolders of this folder

i. Add all subfoldersb. Automatically add new subfolders

i. Add all subfolders. c. Click Add.

Make sure the Database is replicated before continuing.Check the SalesOutlook folder, the drop downs folder and the system folder to make sure they have items and are not replicating before installing the software. Do not continue to the next step until Outlook displays “All folders are up to date” in the lower right-hand corner of the Outlook status bar.

Set Outlook to work offline before installing the SalesOutlook client.

Install the SalesOutlook Client Software 1. With Outlook closed, run the Setup.msi file provided by SalesOutlook.2. When Outlook 2003 is opened choose your connection (Cached users choose Work

Offline) .

3. When the message pops up to select the database choose Yes.

Setting the email requirements for SalesOutlook1. Select tools | Options 2. Select the Mail Format tab.3. Select Rich text for compose in this message format.4. Uncheck Use Microsoft Office Word 2003 to edit email messages. (Optional)5. Uncheck Use Microsoft Office Word 2003 to read Rich Text email messages.

SalesOutlook setup is now complete and the user can work with SalesOutlook. The following text are additional recommended settings.

7. Select Send/Receive | Send/Receive Settings | Define Send/Receive Groups

8. Select the New button within the Send/Receive Groups screen, or click Edit to modify the existing “All Accounts” Send/Receive Group.

9. OPTIONAL -- Create a Group Name for your SalesOutlook folders and click OK. You may also elect to Edit the already existing “All Accounts” group instead of creating a new Send / Receive Group.

10. Select the checkbox “Include account in this send/receive group”.

11. The checkbox “Synchronize forms” on the right hand side of the dialog box should be checked. Check the box if it’s not already checked.

Be sure to put a check in these checkboxes!

Although not shown, put a check in the “Synchronize Forms” checkbox too! Otherwise updates to SalesOutlook forms will not be synchronized to the offline and Cached Exchange Mode users!

12. The checkbox “Download offline address book” on the right hand side of the dialog box should also be checked.

13. If an offline folder has not been created, a message will appear “You must configure an offline folder file before you can use this folder offline. Would you like to configure an offline folder file now?” Click Yes. If you do not get prompted with this message, you already have an offline folder file. Please proceed to step #16.

Be sure to put a check in this checkbox. Then, click the Address Book Settings button and configure the Address Book to provide Full Details.

14. Accept the default for the offline folders settings by clicking OK or use the browser to place the OST file into another location. Microsoft will then create offline folder for you.

15. Navigate to Public folder favorites and check the SalesOutlook Folder. Right click on the SalesOutlook folder and choose check all subfolders.

Be sure to put a check in these folders in the user’s mailbox folders:Calendar, Contacts, Deleted Items, Drafts, Inbox, Outbox, Sent Items, Sync Issues, Server Failures, Local Failures, and Tasks. Additional mailbox folders may also be checked.

16. Within the Send/Receive settings dialog box, navigate to the SalesOutlook folder located under Public folder/Favorites. Expand all SalesOutlook folders by selecting the plus sign. Make sure the checkbox next to each SalesOutlook folder to is checked synchronize offline. Then confirm that all of your “default” mailbox folders are also checked to be available offline (including your Drafts, Deleted Items, and Synchronization Failures folders). Then, click OK to save the changes and close the Send/Receive Settings window.

Installing the SalesOutlook Client software - Troubleshooting.

If the Automatic configuration of the database did not work or if you have problems you can manually select the SalesOutlook database1. Select Tools | Options from the Outlook menu bar and select the SalesOutlook Folder

Settings tab. Click on the button to the right of the Account Profiles field.

2. Navigate to Public Folders\Favorites\SalesOutlook\Account Profiles. Click OK.

TIP: To navigate down to this folder you’ll need to click on the plus sign to expand these folders. Repeat this for all folders that you want your users to see on the shortcut bar.

3. Click on the Button next to User Name.

4. Navigate to your name and click to highlight. Copy your name to the right column by clicking the User button and then click OK.

5. Click Apply. Select Yes to map your data now. SalesOutlook will not function properly if the database settings are not mapped correctly.

6. If using the alignment feature, type in the User Alignment. Your administrator should have setup each SalesOutlook user with an alignment number.

Note: User alignment is only used for organizations that have a hierarchal sales structure (Region, Division, and Territory). This field can be left blank if you do have this type of organizational hierarchy or if you have decided not to use Alignment number.

7. Mobile clients need to synchronize their offline folders before exiting. To synchronize, go to Tools | Send and Receive and synchronize your SalesOutlook folders. Mobile clients should then exit Outlook and reconnect to work Offline.

8. The SalesOutlook Client configuration for Outlook 2003 is now complete.

Optional - Adding Shortcuts to the Outlook shortcut bar

BEST PRACTICE: SalesOutlook recommends using the Add/Action Drop Down on the SalesOutlook toolbar to navigate the system rather than relying on the Outlook shortcut bar because its shortcuts can break. The SalesOutlook Add/Action Drop Down’s “Switch to <Folder Name>” feature navigates Outlook based on the SalesOutlook database you are configured to use. This gives users 2-click access to key SalesOutlook folders while viewing any folder inside Outlook, and it also helps to improve the stability of Outlook and SalesOutlook since the path of navigation is always consistent. Train users to use the Add/Action Drop Down on the SalesOutlook Toolbar for their basic SalesOutlook operations, including folder navigation.

4. Click on the shortcuts icon to go to the shortcuts menu.

5. Right click on “My Shortcuts”, Choose Add New Shortcut.

6. Navigate to the Account Profiles folder under Public Folder / Favorites / SalesOutlook and right click on the folder name (Account Profiles).

TIP: To navigate down to this folder you’ll need to click on the plus sign to expand these folders. Right mouse click on the Account Profiles folder and select “Add to Outlook Bar”. Repeat this for all folders that you want your users to see on the shortcut bar.

Optional - Filtering Offline Data (offline / cached mode users)

1. To filter users, right click on the Public Folder Favorites and choose Properties.

5. Select Field | User Defined Fields in folder | and select Account Manager, Team or Alignment depending on how you want to filter your records.

NOTE: Account Manager is the most common filter.

6. Enter the user’s name if using the Account Manager field to filter the data or if using alignment number, select alignment number as the field and fill in the user’s designated alignment number. Click on “Add to List”. Click OK. Repeat for all folders that need filtering.

NOTE: SalesOutlook, Dropdowns, Products, System Folder and the Reports folders should not be filtered. Synchronization Filters should only be created or modified while working Connected to the Exchange Server.

System RequirementsPlease see the SO4X – System Requirements document for detailed minimum and recommended system requirements.

Required Updates / PatchesSalesOutlook requires the following Microsoft patches and updates. If you are unsure if you have these updates then please download the updates from the following links.

REQUIRED UPDATE: Office 2003 SP1 or greater must be installed before installing SalesOutlook. Windows XP SP2 or greater.

CONFIGURATION NOTICE: The user must have local machine admin rights in order to perform the installation. The setup program will write information to the registry and create a SalesOutlook directory under Program Files and {username}\Application Data\SalesOutlook. The later directory needs to be read/write for the user after installation.

Windows 2000 and XP SP1 users may need the following:

REQUIRED UPDATE: SalesOutlook requires MDAC 2.6 or greater. This link is for MDAC 2.8.

1. All Windows system-level updates and the latest service packs for Windows and Office are properly installed on the computer.

2. The User consistently logs into the same Windows Profile whether connected to the network or not.

3. The User’s Windows Login is granted Administrator rights to their local machine domain and that their login is a member of the Administrators Group on their Local Computer. For Windows XP, these permissions are granted only to the Computer Administrator or Owner login types. SalesOutlook cannot be installed within Restricted User Accounts.

4. The Setup.msi or Setup.msi is extracted from its zip file container and resides on the local hard drive of the computer when executed.

5. The SalesOutlook Setup.msi is executed while logged into Windows as the user who will be using the SalesOutlook software. Additionally, the Outlook Profile must already exist for this user since SalesOutlook must open the Outlook Profile to register specialized forms and components.

6. The user will use Outlook with one Outlook Profile only (it may contain multiple email accounts) so that SalesOutlook can be installed and configured for use with that Outlook Profile. Multiple Outlook Profiles may be used provided that the user takes the proper steps to reconfigure SalesOutlook each time the user switches between them.
