Dear YPO Parents and Members, We are so incredibly excited to invite you to join us on the 2018 Tour of Central Europe: Prague, Vienna, and Budapest from June 14-24, 2018. While this will be TRYPO’s first international trip, we have been gearing up for this for three years and plan for international travel to be a fundamental core program offering every three years. The theme of the 2017-18 season is “United Through Music,” and the season will be all about bringing different entities together. The tour is the culmination of this theme: not only will you, our young musicians, be united through sharing this common experience of performing overseas in some incredible historical locations, but the experience of seeing your own music connect you with foreign populations will be unforgettable. Imagine looking out from the stage of the Rudolfinum's Dvořák Hall in Prague, which is the same stage where on January 4, 1896, Antonín Dvořák himself conducted the Czech Philharmonic in the hall in its first ever concert. (And yes, we are going to be working on some Dvořák this season!) To learn as much as I can about international touring with youth orchestras, I was a chaperone for the Chicago Youth Symphony Orchestra on their tour of Central Europe in June 2017. Not only did I come away with a lot of great information on how CYSO implements RULES!, structure, planning, budgeting, etc., but I had the opportunity to see firsthand what this will be like for you. I saw the looks on the faces of CYSO’s young musicians as they received a standing ovation from an enthusiastic crowd in Dvořák Hall. I saw some of the cities we are visiting, and overheard what the CYSO students were saying about the experience. And I can’t wait for you to have that too. TRYPO’s board of directors and staff truly believe that it is incredibly important for our young people to have opportunities to learn how connected the world is, to realize how similar we are to other cultures and other countries, and of course to be shining representatives of not only our country but Pittsburgh itself. Yes, a trip like this is an investment from all parties: families need to commit financial resources, TRYPO’s board members and staff are committing financial resources. Dear YPO Parents and Members,

We are so incredibly excited to invite you to join us on the 2018 Tour of Central Europe: Prague, Vienna, and Budapest from June 14-24, 2018. Not only did I come away with a lot of great information on how CYSO implements RULES!, structure, planning, budgeting, etc., but I had the opportunity to see firsthand what this will be like for you. 2018 CONCERT TOUR OF CENTRAL EUROPE: PRAGUE, VIENNA, & BUDAPEST

What’s Included?

The total cost to TRYPO for our 11-day 2018 Concert Tour of the Czech Republic, Austria, & Hungary is approximately $4,200 per person. However, we want to keep this experience affordable for our students, so we are willing to underwrite a portion of the costs for participating students. Students who complete Early Bird Registration and tour deposit by September 9, 2017 qualify for full underwriting support of $500/student resulting in a total cost to the TRYPO family of $3,700 per student. (Students who register later qualify for less underwriting support.) The cost is essentially all-inclusive and below is a detailed list outlining what is included. This Price includes the following:

• Concerts (3)

o Prague (Czech Republic) - Dvorak Hall of the Rudolfinum

o Vienna (Austria) – TBA

o Budapest (Hungary) – TBA

• Sightseeing Highlights (guided sightseeing and entrances included):

o Prague (Czech Republic) – Prague Castle, St. Vitus Catherdal, the Lesser Town, the Charles Bridge, and the

Old Town.

o Vienna (Austria) – Parliament, the State Museums, the Imperial Palace, the Opera House, Stephansdom,

not to mention lush gardens and wonderful shopping streets.

o Györ (Hungary) – a brief stop between Vienna and Budapest is Györ. Györ is situation at the confluence of 3

rivers: Mosoni-Danube, Rábca, and Rába, a little like 3 points in Pittsburgh!

o Budapest (Hungary)– Fisherman’s Bastion, St. Matthias Church, Heroes Square, and Szechenyi Thermal

• 9 nights of accommodations

o 9 nights in tourist class hotels, sharing twin or triple rooms with private facilities. [Tourist class is defined as

1-3 bedded rooms, all with shower or bath and WC in the room. Clean, safe, and comfortable, but not

luxurious.]

• Continental Breakfast and dinner daily

• Transportation by luxury air-conditioned motor coaches throughout land portion of the tour

• The services of one ACFEA courier per motor coach throughout the land portion of the tour

• 24/7 coverage by TRYPO staff members and experienced chaperones

• On-site large instrument rental and transportation

• Excess baggage fees for instruments that must be checked

CANCELLATION AND REFUND POLICY TRYPO and ACFEA began incurring expenses for the tour in Summer 2017, and those resources started to be allocated to each registered attendee. All cancellations must be made in writing, and fees will be assessed based upon date of receipt as follows:

• If cancellation notice received February 13 and earlier: 10% of total tour package price is non-refundable

• If cancellation notice received between February 14-March 13: 30% of total tour package price is non-refundable

• If cancellation notice received between March 14-April 13: 50% of total tour package price is non-refundable

• If cancellation notice received between April 14-April 27: 75% of total tour package price is non-refundable

• If cancellation notice received April 28 and later: 100% of total tour package price is non-refundable

Additionally, please note that if there are portions of the tour package not utilized by a tour member once the tour begins, such as meals, hotels, sightseeing, or transportation, there will be no refunds.

Frequently Asked Questions

• What are the registration deadlines? The two important dates you need to know for registration are: September 9, 2017 (the deadline to complete Early Bird Registration in order to qualify for the full underwriting amount of $500) and December 5, 2017 (the deadline to complete Regular Registration in order to qualify for the partial underwriting amount of $200). Please review carefully the page in this packet with the Student Payment Schedule, Deadlines and Important Dates, and Cancellation and Refund Policy for more specifics.

• Are students who are members of YPO in 2017-18 season required to attend the tour? All YPO students are expected and encouraged to travel with the orchestra during a travel season and we will do everything we can to make that possible for every student who wants to go. However, with proper notice, permission to miss the tour may be granted without jeopardizing the student’s membership in the orchestra. The deadline to apply for permission to be excused from the tour will be Dec. 5, 2017, however we encourage you to turn in one of the two attached forms as soon as you have made a decision.

• Who may attend the tour? Any current member of YPO may attend the tour. Some TRYPO alumni may be invited to join the tour if a current student declines his or her seat. TRYPO alumni will be invited on a section-by-section basis as YPO members declare their intentions to participate or not.

• Who is planning the tour? TRYPO has hired the well-known and experienced tour company ACFEA. ACFEA works with hundreds of organizations and youth orchestras such as PYSO, as well as very prestigious youth orchestras like the Chicago Youth Symphony Orchestra.

• How much is the tour? As you can imagine, the cost to bring a group of 80-100 people overseas for 10 days is expensive by itself even before you factor in instruments and renting concert halls! TRYPO always wants its opportunities to be affordable for our students. While the total cost of the tour to TRYPO is approximately $4,200 per person, we have committed to underwrite up to $500 for each student who registers by the Early Bird Registration Deadline of September 9, 2017, which brings the fee for 2017-18 YPO tour participants down to $3,700. Students who register later may still attend but will qualify for less underwriting support.

• Why should I opt in for trip cancellation and interruption insurance? Please, please, please get trip insurance. It is not that much more, and makes sure that your investment in this experience is protected. ACFEA will tell you story after story of families who wish they had purchased the insurance. More information about trip insurance options will be distributed soon.

• What happens if I register for tour and have to cancel? We understand that situations and circumstances arise and sometimes that means that you have to make a hard

choice. This is one of the reasons we recommend trip cancellation and interruption insurance which can cover those

expenses for you should one of those reasons occur 30 days or less from your trip. If you don’t have trip cancellation

and interruption insurance, then we will refund what we can for you, but that is dependent on how far out it is from

the trip as a lot of our fees to provide this experience for you are paid up front. Please see the detailed terms of the

cancellation policy earlier in this packet.

• How do we get all our instruments overseas? Some instruments will be rented overseas (most percussion, double basses, harp, some cellos) and a truck will follow us from city to city. Some instruments will be checked in flight cases (trombone, tuba, some cellos). And most instruments will be carried on the plane in overhead compartments. All instruments traveling with us will be listed in detail on a custom carnet (basically a list of everything valuable we travel with) to make sure that we can travel across borders with those valuable instruments. TRYPO will cover the cost of most of these fees unless you are requesting special accommodations.

• I am an awesome YPO parent! Can I chaperone? We will need a dynamite team of chaperones to work with TRYPO staff on this tour. As experienced chaperones know, it is not a vacation. Chaperoning can be demanding physically with sometimes limited rest, and a lot of walking. Being able to keep a good attitude and being quick to laugh is very important! However, it is not only inspirational, but is also a lot of fun and you’ll make some terrific friends with some terrific people. While TRYPO is charged the same per person regardless of whether you are a chaperone or a student, we will underwrite up to $1,400 per chaperone to bring the cost for chaperones down to $2,800 per person (based on double occupancy – up charge if you are requesting a single room). These spots are limited, and will likely require an in-person interview, and clearances.

• I am an awesome YPO parent! I don’t want to or can’t chaperone, but I also want to go on the Tour. What are my options? The official chaperone spots available are limited, but we are assessing interest in creating Companion Tour options. Please see the attached Adult Guest Travel Interest Form (also available online). Parents who wish to travel with the group can either join the tour as a regular participant (no underwriting support available for guests, same hotels, same itinerary as students), or if there is enough interest we can ask ACFEA to create a Companion Tour. A Companion Tour participant would travel to the same cities as the students, and would contain some similar itinerary items (some of the dinners, concerts, travel days, etc.) but could stay at slightly nicer hotels, and a greater focus on sightseeing.

• We love that TRYPO works to underwrite some of the fees for tour participants, but we don’t need the assistance. Can we pay the full $4,200 cost per person? Duh. Of course and that would be amazing and ensure we can help the students who need the assistance the most! Please make sure that you indicate this on your Tour Registration Form so that we can factor your generosity into our budgeting. Thank you!!!

• Are there other ways that we can support TRYPO’s fund-raising efforts? Yes! Of course, you can always support us by making a donation, but we need all hands on deck with dedicated parents to assist with several committees:

o Assisting with student fund-raising opportunities for students to be able to fund-raise for their own tour fees.

o Assisting with TRYPO events to help TRYPO fund-raise the extra funds it needs to underwrite part of each student fee. These events could be things like host a dinner party at your home, spread the word about a restaurant night where a portion of proceeds benefit the TRYPO tour fund, writing letters, etc.

• Is scholarship assistance available? Yes of course! TRYPO plans to offer a few different options of scholarship assistance for students, but all students and families are going to need to contribute in some way. Scholarship funds will only stretch so far and let’s make sure that the families who need the most help receive the most assistance. Limited need-based financial assistance is available for students who apply for and receive TRYPO tuition assistance for the 2017-18 season. Additionally, we will be looking for parent volunteers to assist us with coordinating student fund-raising efforts to cover the cost of touring.

o Underwriting: TRYPO has committed to underwrite up to $500 per student to bring the per person cost of tour from $4,200 down to $3,700 for those students who apply on time and continue to meet the Early Bird Registration Deadlines. There is no special application to be eligible for this full underwriting support.

o Need-based assistance: Families who demonstrate need through the Scholarship Application Form will be eligible for two additional types of financial assistance.

▪ Touring Scholarship Awards: Scholarship funds based on proven need from the family’s most recent tax return. Touring awards range from $100 - $2,000. There are no full touring awards due to limited funds.

▪ Matching awards: TRYPO will offer students who have demonstrated need small matching awards to assist those students with their own fund-raising efforts.

▪ Scholarship Application due in August 18, 2017. Awards will be made via e-mail at the end of August 2017.

o Fund-raising websites: TRYPO students will be able to have their own fund-raising sites (similar to Go Fund Me) that will link directly to their TRYPO account where they can run their own mini-campaign to fund-raise for their touring funds. More information about this will be sent in August 2017.

o Mini-Camp Fee Allocation: Returning students know that TRYPO always starts off its season with a mandatory retreat to not only get a head start on the season’s repertoire, but also make sure that students have an opportunity to get to know each other. In order to reduce the financial impact on family funds, we will still hold a mandatory season-start retreat (still Saturday-Sunday, September 2-3, 2017), but it will be held locally at a greatly-reduced cost of $75 instead of $295 so that families will have the option of directing the $295 Mini-Camp fee towards the travel expense.

• Help! I really want to go on the tour, but I will need to deviate from the planned itinerary. The key is advance notice and communication! We should be able to accommodate just about anything you need to do with advance notice, and parental permission. Talk to us and we’ll work it out.

2018 CONCERT TOUR OF CENTRAL EUROPE: PRAGUE, VIENNA, & BUDAPEST

Helpful Hints for Fund-Raising

1. Create a list: The main reason people don’t give money is that no one asks them! So be thorough and think

of as many people as you can to solicit. Remember: the more people you ask, the better your chances for

success!

2. Be creative: Talk about it - a lot! Bring it up! Spread the message about your fundraising efforts through any

means possible – Facebook, Twitter, YouTube, a blog, a fundraising web site or a good old-fashioned letter!

Include a personal message describing the tour and your need to raise funds for it.

3. Make it easy: With each letter or email, include contribution forms that include a deadline of April 1, 2018 (a

few days before your final balance is due). And include a stamped envelope or a link to your fundraising website.

4. Be specific: Donors tend to give more when asked to give a specific amount.

5. Be confident: Keep in mind, always, that you are not “begging for money”—you are seeking support for a

major educational and cultural opportunity under the auspices of one of the nation’s finest youth orchestras.

Ask with confidence!

6. Follow-up: If you haven’t received a response from someone you’ve asked for a donation, be sure to follow

up. Make a phone call or send a quick email to make sure that they haven’t forgotten.

7. Be organized: For any forms you receive, collect the contribution forms and staple them together. IF CHECKS

ARE MADE OUT TO TRYPO, MAKE SURE THAT YOUR FULL NAME AND “TOUR” ARE IN THE MEMO LINE OF EACH

CHECK, AND MAKE SURE YOUR NAME IS ON EACH CONTRIBUTION FORM YOU SEND IN. Turn in the forms with

payment at a rehearsal or mail them to TRYPO.

8. Say thanks!: Once you have received a contribution from someone, let the individual know that the

contribution—whatever the amount—is important to you. You can also invite your donors to TRYPO concerts so

that they can hear the results of your hard work in person. It is a good idea to send a personal thank you to show

how very much you appreciate the support!

9. Don’t get discouraged: If someone says no, keep going! There are many different things competing for

your friends and families to support and sometimes they have to make choices. Keep going and keep asking!

10. Be in touch: If at any point you need help, advice, encouragement, or more contribution forms, call or e-mail
