1. Introduction
MDP BELGIUM
1. Introduction
• EMDIS: communication system between registries in Europe, and outside Europe
• EMDIS initiated in 1992 : the standard platform for registry communication
• The participants (37 countries) communicate directly with each other through encrypted email messages.
• Each country uses their own software.• Can be seen as 1 virtual system.
1.1. EMDIS
MDP BELGIUM
1. Introduction
• World-wide used information system for stem cell donor registries created by Steiner, Prague, since 1993
• Used by 20 countries.• It covers all key business processes of
the registry’s daily search process.• Member of the EMDIS IT committee.

• Development of decentralized structure.
• Live since 1-4-2013.• Since then: 2 major updates for the
international EMDIS release (in 2013-2014)
• 2015: preparing for new upgrade combined with the EMDIS cord tool
MDP BELGIUM

• Donor import tool.• Cord update + import.• Update tool to BMDW• Connected to 32 EMDIS countries
today• All development following WMDA rules
to be ready for the WMDA accreditation.
MDP BELGIUM
1. Introduction
• Requests from MDPB cooperative centers
• Requests from Prometheus members
• Requests from EMDIS members
1.5. Change requests
MDP BELGIUM
1. Introduction
• Procedure included in the MDPB standards.
• Change request form MDPB FRM014.• The request must be motivated, with
indication of priority.• Impact assessment – change approval.• If it is not a Registry specific function
the RFC must pass the Prometheus user group.
1.5. Change requests MDPB
MDP BELGIUM
1. Introduction
• Cooperation between Steiner Ltd and the registries using Prometheus
• Prometheus Change Advisory Board• Responsibility to receive, review and
agree on the prioritization of requests.• Coordinate the functionality of
Prometheus to achieve a system that meets the needs for the majority of the users
1.5. Change requests Prometheus users
MDP BELGIUM
1. Introduction
• “A formal request for new or changed functionality in the existing IT system and is in response to new or changed business requirements” will have to pass the user group Subcommittee.
• Will be voted on during the bi-annual user group meetings which take place during the WMDA meetings.
1.5. Change requests Prometheus users
MDP BELGIUM
1. Introduction
• The EMDIS development is driven by request for comments (RFCs) by all member registries.
• Yearly EMDIS implementation package during the last quarter.
• Which implicates a yearly Prometheus update.

2. Tips and tricks : patients2.1. Active patients
• International registries check the inactive Belgian searches monthly by sending us spreadsheets and they will cancel themselves if we don’t respond.
• Suspend the search within 6 months if the patient search is inactive but cannot be stopped completely.
• Cancel the file in case of transplantation or other reason.

2. Tips and tricks :2.3. Archiving
• Files will be archived for 30 years.• Guarantee backup and longtime data
storage• In case of migration to another
software system: all Prometheus data -files will be migrated including attached files.
• (excluded: received initial search results)

• At the Registry level all reported discrepancies are centrally logged:
MDP BELGIUM
4. New version 4.5. Discrepant confirmatory typing results
• The registry participates in the WMDA’s survey on HLA discrepancy during CT/verification typing – required for WMDA accreditation
• With this new tool Prometheus offers the option for the Registry to log the discrepancies found and fulfill WMDA requirements.

5. EMDIS CORD 5.1. Project
• EMDIS CORD is a feature for sharing all cord blood records between registries.
• Mirroring of complete cord dataset between HUBS: one to one exchange.
• Necessitates a real time interface between the Belgian cord blood banks and Prometheus to have up-to-date cord data.
• In the software of the international registries the extended dataset of the Belgian cord bloods are immediately available.
MDP BELGIUM
5. EMDIS CORD 5.1. In practice
• In Prometheus 2 pages have been added to the cord record to include the additional data fields.
