SpeakWrite Group Pages Training

When Group account holders log into the SpeakWrite website, they will now have access to all accounts associated with their group billing.

Log In

Enter your Account Number and PIN Please Note that you can save this information by checking the ‘Remember Me’ box.

If you are managing accounts and information for multiple office locations, you will gain access to all account information contained within the billing of that office. If you have questions about which account you should log into, please contact SpeakWrite Account Management at [email protected] or via phone at (800) 828-3889 and ask for your Account Manager.

User Search

This tool allows you to search for SpeakWrite User accounts to upload jobs and manage all information associated with those accounts; including:

Update Account Number, PIN, name, email or other information on the account Upload jobs for the account Review the job status Manage all features – Templates, Word List and Address Book Choose the word processing preferences Review the billing history for the account Resend a User’s Welcome Email Review complete jobs on file Resend completed jobs Listen and download job audio files Send comments regarding jobs

To create a new SpeakWrite User account:

Find the Office location that the new User account should be setup on the left hand navigation bar

Click and open that folder You will now see each existing User account within the billing group On the upper right hand side of this screen, click the ‘Create User’ button Provide the required information for the new User account within the Create New User

window and then click the ‘Create User’ Button. The new User account will be setup and the Welcome email with Account Number, PIN

and instructions will be sent to the email address(s) associated with the account.

To update information on an account, click the ‘Manage Account’ button

Manage Accounts Section You will then have access to all of the Account Information for the account. At the top of this screen, you will see a tab for each section of information that you can gain access to and review/edit. Edit Tab Under the ‘Edit’ tab, you can make the required updates and click ‘Update Account’.

Send File Tab You can upload jobs on User accounts from this interface.

Browse to the file you would like to submit Give the file a custom filename if you would like record of a particular name for tracking

purposes of your billing records Then submit the file.

A detailed list of this process is displayed on the screen.

Job Status Tab Job Status will provide you a list of all jobs on file for the User Account. To gain access to the details of a particular job, click ‘View Details’ for that job. Your options are:

Resend completed jobs Download the completed job List to the audio in Real format or download a MP3 file for your records Send a comment regarding the job

Templates Tab You can upload Personal Templates for the account you are logged into. Please note that these templates will be accessible to this account only. If you would like to upload a template for your overall office or group account, you can do so by accessing the ‘Templates’ folder on the main left hand navigation. Group Templates Please note that the sample above shows that there are no Personal Templates uploaded for this account, however there are three Group Templates.

Word List Tab You can add and delete words on a User’s Personal Word List. Group Wordlist If you would like to manage the Word List for your Group User Accounts, you can do so by accessing the ‘Templates – Word List - Contacts’ folder on the main left hand navigation.

Address Book Tab You can add contacts to the Personal Address Book at the User Account level. You can also import your Outlook contacts on the ‘Import Outlook Address Book’ tab. Group Address Book If you would like to upload addresses for your Group User Accounts, you can do so by accessing the ‘Templates – Word List - Contacts’ folder on the main left hand navigation.

Billing Tab You may review detail billing information at the User level by accessing the Billing tab.

Group Billing To gain access to the Group Billing details of a particular office account, browse to the office location you would like to review on the left hand folder navigation bar. You may then review a summary of charges by User or a detailed list of all charges associated with the Group Account.

Preferences Tab You can revise preferences for Users accounts within this section; including: General Information - PIN and email address(s) for job delivery Job Information – Word Processing formatting, Job Delivery Options and Dictation Options Billing Codes – Add billing codes for your jobs. Please note that billing codes must be established prior to the submittal of a job in order for the system to recognize a Billing Code. As an alternative, you can give any file a Custom Filename, which we will name your file and reflect on your billing details.
