    Preparation For The Festival

    What should I do to prepare for the festival? Please read this entire document as it contains comprehensive information you need to know before you arrive. Please visit the Squamish Valley Music Festival website at www.squamishfestival.com and specifically make note of the following: (1) Line-Up Schedule tab; (2) Festival Information tab [this contains a lot of very important information you need to know]; and (3) News for the latest press releases with information about the festival. Please Ensure you take your scheduled bus to ensure that you have plenty of time to check in, get settled in staff camping and become oriented with the area and festival site. It will not serve you well to arrive a couple of hours before your first scheduled shift. Please check the weather forecast for the festival the day you leave to assist you in planning for the festival. Please note the temperatures can be very hot (+30 degrees Celsius) or very cold. Precipitation is unpredictable so plan for sun, rain, hail, etc. Please email [email protected] if you have any questions that are not answered in this document or you are unsure about any of the information contained in this document.

    Travel To The Festival, Checking In, & Parking

    How do I get to the festival? You will have a scheduled bus time that will either be leaving from Science World downtown, the bus will leave at its scheduled departure time and will drop you right off at the festival grounds. Driving to the festival is NOT recommended, we have provided no parking for staff. For your reference here is the festival grounds address, 39641 Loggers Lane, Squamish BC, V8B 0H3

    Where do I check in when I arrive in Squamish to get my wristband? The bus will drop you off at the Main Gate (Gate 3) located at the intersection of Loggers Lane and Raven Drive. Speak with Guardteck Security staff at this gate and they will direct you to the Security trailer nearby. Upon checking in, you will receive additional information.

    How early should I arrive before my first scheduled shift to ensure I have enough time to get checked-in and set up in staff camping?

    It is mandated you arrive at least four (4) hours before your first scheduled shift to give you enough time to find the festival site, check in at the Security trailer, travel

    to staff camping and set up, become oriented to the area and festival site and return in time for the start of your scheduled shift. If I am bringing a personal vehicle, where do I park it?

    Unfortunately there is no parking provided to security staff. Is there parking available for me to bring a camper, travel trailer or fifth wheel to sleep in? If so, is the parking located at staff camping?

    Unfortunately there is no parking provided to security staff. THERE IS NO PERSONAL PARKING ONSITE!

    Shuttle Services Offered

    What staff shuttle services are offered from Vancouver to get me to and from the festival? Is there any charge for these services?

    All bus pick-ups will be at Science World, more details to come. Free staff shuttles to Squamish are scheduled as follows:

    o Wednesday, July 6th 1000 hours and 1800 hours ! These Shuttles are for all staff working Thursday. If you work

    Thursday you need to be on one of these shuttles. o Thursday, July 7th 1000 hours and 1800 hours

    ! These Shuttles are for all staff working Friday. If you work Friday you need to be on one of these shuttles.

    Free staff shuttles to Vancouver are scheduled as follows: o Monday, July 11th 1000 hours and 1900 hours

    If you require a shuttle to or from Vancouver outside of these scheduled times and dates, please let us know as soon as possible.

    Camping

    Where do I camp (Build, Festival Show Days and Strike)? When you arrive on site and check in at the security base, you will be given directions to staff camping. Staff camping will be on the festival site.

    Are any camping supplies provided to me free of charge (i.e., tent, mattress, sleeping bag, pillow, flashlight, lantern, etc.)?

    No. You are responsible for bringing your own camping supplies. Please see section 5 What Items Do I Need To Bring for a comprehensive list of items you should bring.

    Will there be a secure storage facility/coat check system in place for me to store valuables, including personal electronics?

    No. You are encouraged to keep valuables on your person. Larger valuable items should be left at home. You may bring a small bag to the security trailer to secure personal items of value; however, the bag must be secured with a padlock (provided by you you will maintain custody of the combination or key for the lock). Guardteck Security Co. and its staff assume no responsibility for your belongings. Please understand there is limited storage available in the trailer and the administrative staff working in the trailer do not have the time to check in/out bags belonging to over three hundred employees who are working Security at the festival. Will there be power readily available for me to plug into at staff camping?

    No. Please expect that you will not have the ability to plug in items requiring electricity or to plug in chargers for personal electronic devices while working the festival. It is not possible to take responsibility for expensive personal electronics belonging to over three hundred staff, ensure they get charged in a timely and return them to the rightful owner. An emergency telephone number will be provided to you that you can share with family members in the event that they need to contact you at the festival for an emergency. Otherwise, please expect to be offline during the festival. I have a medical need for the secure cold storage of prescribed medications that are readily accessible to me in the event I need them; how can I meet this need?

    Please email [email protected] to give us a heads up on your requirements; failure to do so may result in our inability to accommodate your request. What Items Do I Need To Bring

    A smile and a great attitude Be prepared to have FUN!!! Valid BC Security License (This will be checked as soon as you check in at the

    Security trailer upon arrival). Black Shoes, Black Shorts Black Pants, Black Belt, and Black hat with no

    marking if required. Flashlight. Please bring plenty of extra batteries. Plenty of clothing for all types of weather. It can be very warm or very cold. Be prepared to layer your clothing under your uniform. Clothing used under your uniform needs to be black. Plenty of undergarments and socks. Please note there is no place to do laundry on site and you will not have time to find a laundry facility between shifts. Black cargo pants (Jeans are not permitted)/black cargo shorts, black socks, black comfortable shoes/boots (waterproof or water resistant multiple pairs are

    recommended as you will need a change if they get wet and they may not dry out quickly) and a black hat (no logos) to go with your uniform shirt. Please also bring a black jacket and black long sleeve shirts (no labels visible on the sleeves or collars) to wear under your uniform shirt. Black belt. Tent Please keep your tent as small as possible. There is limited camping space and it is important that people limit the space they take up. If you are sharing a tent with multiple people, a larger tent is fine. Air mattress, cot or soft mat. It is important to keep your body off the ground as the cold from the ground will permeate the tent. Sleeping bag, pillow and blankets to keep you comfortable and warm in all types of weather. Tarps It is recommended you use a tarp under your tent as a barrier between your tent and the ground. It is also recommended you use a tarp as a cover if your tent is not equipped with a fly. Headlamp, camp light and/or electric/battery powered lamp/lantern to use so you can see at night. Bath towel Showers will be available on site. Sandals/Flip Flops Although these cannot be worn on shift, they are advisable to use in the showers. Toiletries (Soap, deodorant, toothbrush, toothpaste, hygiene products as needed, etc.). Baby wipes/clean wipes that are safe to use on your skin. Moisturizer. Sunscreen Lots of it as you will be in the heat of the sun during the day. Bug spray You may be faced with mosquitoes so come prepared. Sunglasses. Surveillance earpieces (Optional) If you have one and want to use it. Dry non-perishable food for snacks between meals. Re-usable water bottle Potable water will be provided on site free of charge. Pens A notebook

    Meals

    What meals are provided free of charge to me? The festival will provide you with three catered meals per day ONLY on the days you work. On days you are not working, you are responsible for providing your own food. Your meals will be scheduled around your shifts so that you receive your first

    meal just prior to the start of your shift, a meal on posts during your shift and a meal at the end of your shift. Meal schedule will be posted at the security base when you check in, please make sure you review it. Meals provided will be based on the shift you are scheduled to work, you will not be given options on the meal type.

    If I am working build and strike shifts (shifts outside of July 7th-10th), crew catering is only open for lunch and dinner most days. How do I obtain meals when crew catering is not open?

    In the event crew catering is not open/serving meals, a meal will be obtained and provided to you. You will receive your three meals per day for all workdays. Will beverages and snacks be provided to me free of charge?

    Guardteck Security Co. will provide limited snacks free of charge. These will be available at staff camping as well as at the Security Trailer. Please do not rely on these in the event you know you will need additional food, especially if you have special dietary needs. You are encouraged to bring your own snacks. Potable water is available on site at water filling stations. You will be able to fill and re-fill your re-usable water bottle (provided by you) prior to the start of your shift, at the end of your shift or during breaks. With the exception of beverages provided by catering (To Be Determined), no other beverages will be provided.

    Is potable water available on site both at staff camping and the festival site? Yes. Please take advantage of using the water stations to fill up your re-usable water bottle (provided by you).

    Uniform

    Will a uniform be provided to me? Guardteck Security Co. will provide you with a uniform t-shirt. You must have your shirt tucked into your pants at all times. You cannot tie your shirt to the side, alter it in any way or roll the sleeves up. We are committed to providing a professional image to our client. A limited supply of uniform jackets and baseball hats will be provided but please do not rely on these.

    What clothing do I need to supply to wear with my uniform? Black cargo pants (Jeans are not permitted) It is recommended you bring

    multiple pairs. Black cargo shorts It is recommended you bring multiple pairs. Black

    athletic shorts will not be allowed.

    Black belt. Black socks - It is recommended you bring multiple pairs. Black shoes - It is recommended you bring multiple pairs. Shoes with coloured

    soles or markings on them that are not black will not be permitted. Black long sleeve shirt with no labels on the sleeves or collar. Black long sleeve jacket with no labels on the sleeves or collar. Black baseball hat with no labels or markings on it (Security is acceptable). Please do not bring other types of hats with the expectation of wearing them, as they will not be permitted. Pierce Resistant Search gloves (Optional but highly recommended) Latex gloves will be provided at access control but these gloves will not protect you against sharps.

    Equipment Provided & Equipment You Need To Bring

    What equipment will be provided to me and what are my responsibilities in terms of using and handling this equipment?

    If your position requires it, you will be provided with a radio and remote speaker microphone or headset. o All radios must be signed out at the beginning of your shift and returned at the end of your shifts. You are responsible for your radio from when it is signed out to you until you sign it back in. You cannot keep your radio with you at the end of your shift. Failure to return your radio and equipment in working order may result in you being billed for the cost of repair or replacement.

    You must sign out this equipment at the start of your shift when you sign in (unless your position does not require you to have a radio). You must also sign this equipment back in at the end of your shift. No staff member will keep radio equipment in their possession when off shift. You are responsible for all equipment assigned to you until you return it at the end of your shift.

    What equipment do I need to bring with me? Please see section 5 What Items Do I Need To Bring. Duty belts may be worn (Optional) in order to carry radios securely and comfortably. No government issued equipment (if you are an employee of the government) should be worn. Flashlights and safety equipment is also acceptable. If you are AST certified, the carrying of restraint equipment is allowed; however, it must be carried discretely in a closed pouch and not be visible to patrons. Search gloves are permitted but must only be worn when searching at access control or at a barricade.

    Reporting for Duty

    How do I get to the show site from staff camping for my shift? Staff camping is onsite, and is a 2-minute walk from the security base.

    Where do I go to sign in at the start of my shift? All staff is required to sign in at the Security tent located near Gate 3 (Main Gate) at the intersection of Loggers Lane and Raven Drive prior to the start of their shift.

    What time should I arrive to sign in for the start of my shift? All staff need to be at the Security trailer no later than 1 hour prior to the start

    of their scheduled shift to allow enough time to get all staff signed in, assigned equipment, eat a hot meal and get on post for the scheduled start time. You need to understand that we are signing in over 300 staff at peak times and you have to be early to ensure you have time to get signed in and eat.

    What is the expectation in terms of my deportment when I am on shift? You must look and act professional at all times. Uniform shirts must be clean and tucked in at all times. Sleeves must be rolled down. Pants, shoes, etc. must be clean, pressed and free of wrinkles and damage. Jeans are not acceptable pants. Clothing must fit properly and be loose enough to enable you to move freely in the event a use of force is required. This is for your safety. Facial hair must be neatly trimmed. Long hair should be tied back for your safety. Piercings must be removed for your safety.

    What is the expectation in terms of my conduct when on and off shift? All staff are expected to adhere to the Guardteck Security Co. Code of Conduct policy (formerly named Live Host International Code of Conduct Policy). All staff must ensure their conduct on and off duty reflect positively on Guardteck Security Co. There will be zero tolerance for being late for your shift, not showing up for your shift, leaving your post without being relieved (this includes going outside of your assigned area), being disrespectful or abusive towards another person, reporting to work under the influence of an intoxicant, endangering anyones safety, undermining a supervisor or manager, refusing to follow the reasonable direction of a supervisor or manager, losing or damaging equipment through reckless or negligent behaviour, using excessive force, failing to complete a report following an incident, failing to assist someone in need,

    Am I required to sign out at the end of my shift? If so, where do I do this? Yes. At the security tent. Failure to sign in and sign out will result in non-

    payment of wages. No exceptions.

    What are my expected hours of work? You are expected to work the hours and shifts that have been assigned to you and you have agreed to. If you have any questions regarding your assigned shifts, please email [email protected]. Prepare for shifts that can run up to 13 hours in duration.

    Radio Protocol What is the radio protocol I need to know? 1. Only use the radio when necessary and keep your communications short and to the point. Identify the situation, your location, and specifically what you need. For example: Rover 10 to dispatch. Two people fighting, no weapons visible, at the Stage Right side of the Mixer in front of Tantalus Stage, back-up needed. 2. When an incident or emergency occurs, stay off the radio unless you are directly involved or have another incident or emergency. 3. Exercise professionalism on the radio at all times. Coarse language will not be tolerated. 4. Always listen closely to your radio so that people can contact you. 5. Remain calm even in high stress situations. 6. Speak clearly and slowly so that people will understand what you are communicating the first time. 7. Dont say anything on the radio that is not suitable for public consumption, as radio channels are open and monitored. 8. Dont say the last name of any staff member or volunteer on the radio. 9. For any non-emergency situation, contact your supervisor to meet up with you and do not discuss minor issues (i.e., break relief) over the radio. 10. Prior to using your radio, listen for a couple of seconds to make sure someone else is not communicating something on the radio at the time. Then, key your microphone and wait one second before speaking. 11. Once an incident is cleared, make sure you notify dispatch. 12. Do not use the radio to request break relief or relief to use the washroom unless it is an absolute necessary. Identify when you are getting close to needing a break and let your supervisor know when they come around.

    Expected Response To Incidents & Emergencies

    What is expected of me when I observe an incident or emergency or an incident or emergency is reported to me?

    All staff is required to report an incident and/or emergency to Security Dispatch using their radio as well as their assigned Supervisor. It is important that radio communication is clear and concise, identifying your location, the type/nature of the incident and assistance you need (if any). Your assigned supervisor will communicate protocols for specific incidents to you. Where do I direct customer complaints?

    Customers requesting to file a complaint regarding their experience at the festival should be referred to your security supervisor to deal with if it is in relation to security staff. If it is not related to security staff, please direct them to the nearest Information booth. How do I deal with lost and found items or queries?

    Found items should be immediately reported to your supervisor. Any person looking for a lost item should be directed to the Information booth. In the event you find an item or are given a found item by someone, you are required to complete an Incident Report detailing where the item was found, a description of the item, who found the item, where it was taken (Information booth) and who took custody of the item at the Information booth.

    What should I do if I am asked questions that seem obvious or I dont know the answer? You will be asked some questions, which seem foolish and obvious, but it is important that you remain patient and helpful. A customer service approach to these questions is essential. If you are unable to answer a question, direct the person to the nearest Guest Experience staff member or the Information booth. If necessary, contact your supervisor for additional assistance. Breaks

    How will breaks be provided? Breaks will be provided in accordance with employment standards. Your supervisor will be responsible for coordinating all break relief in your section. Queries regarding breaks need to be directed to your supervisor.

    Can I request specific times for breaks each day? No. It is not possible for your supervisor to ensure everyone on shift gets their breaks when they want them. Expect that breaks will be facilitated at times when it is not as busy, which may be near the start of your shift. If you have a medical need that needs to be met during your breaks, it is important to communicate this to your supervisor.

    Getting Paid

    When can I expect to get paid for the shifts I work? All shifts worked in Squamish will be provided on a separate check from regular payroll. This check will be issued on August 22nd, 2015.

    Will my cheque be mailed to me or do I have to pick it up somewhere? Your check will be made available for pick-up at the GuardTeck Security Co. office located in Vancouver at #202 4664 Lougheed Hwy, Burnaby, BC. In the event you choose not to pick it up, it will be mailed to the address you have provided.

    What is my pay? All pay is based on a day rate, if you are unclear on your day rate please contact Steve Verozinis at [email protected]

    What are my hours? o Most shifts are scheduled at 12 hours. Shifts that are scheduled less than 12 hours will be prorated according to hours worked.
