About the Position

The Program Administration Assistant is a critical member of the programs team that supports the delivery of programs under Jobs Victoria.

The role is responsible for drafting guidance material for Jobs Victoria Partners and the general public, providing administrative support to a multi-disciplinary team and for adding value to the outcomes for which the employment programs deliver to Government.

This role requires well developed written and communication skills, the ability to effectively plan and organise work as well as excellent interpersonal skills to be able to provide a good customer service and administrative support to a range of internal and external stakeholders.

The successful applicant will work effectively as a member of a team, enjoy flexible working arrangements and undertake a wide variety of work across the division.

Details of the projects:

Assist in the drafting of guidance material to support Jobs Victoria employment programs,

Assist in the updating of the department’s Global Engagement Management System (training will be provided).

Assist with fielding enquiries about Jobs Victoria programs from the general public and Jobs Victoria Partners.

Under direction prepare basic documents including letters, reports, power point documents and meeting minutes.

Assist in the delivery of information sessions to Jobs Victoria Partners.

Provide general administrative support to the Employment branch such as answering phone calls, responding to emails, updating spreadsheets, maintain office files and utilise electronic records managements systems and other systems effectively.

Desired skills:

Strong written communication skills including the ability to prepare basic reports, and well-developed organisational skills.

Experience in developing and implementing systems and procedures to guide work and track progress to achieve goals.

Proficient computer skills including Microsoft Word, Microsoft Excel, Microsoft PowerPoint and Outlook.

Ability to communicate and work effectively in a team environment.

Demonstrated ability to work as part of a team and to build and manage relationships with a range of internal and external stakeholders.

Employment Branch

The Employment branch is comprised of three teams (Programs, Policy and Employer Engagement) and is responsible for delivering programs under Jobs Victoria and providing support

to the Minister for Jobs, Innovation and Trade for the discharge of his parliamentary and ministerial duties. It does this by working collaboratively within DJPR as well as with other Victorian Government agencies, the Commonwealth Government and a range of stakeholders in the community and is responsible for a range of deliverables and targets relating to employment.

Key Accountabilities

1. Prepare high quality guidance material and correspondence on a range of program matters to relevant organisations and the general public.

2. Contribute to the development and delivery of strategic programs and initiatives by providing administration support as well as identifying emerging issues to achieve desired business outcomes.

3. Establish, manage and maintain stakeholder relationships to support a client focussed program delivery and actively contribute to continous improvement.

4. Coordinate and/or undertake a varity of administration tasks that support the Employment team

5. Establish and maintain effective working and information exchange relationships with other areas of the Department.

Key Selection Criteria

1. Well-developed administration skills including the ability to prioritise and deliver multiple tasks to a high standard and contribute to continuous improvement.

2. Well developed conceptual and analytical skills, including the ability to interpret departmental policy and procedure, identify issues and develop innovative solutions.

3. Well developed communication skills (written and verbal) including the ability to prepare and present quality and timely guidance material and correspondence.

4. Strong interpersonal skills including the ability to establish and maintain effective relationships with a wide range of internal and external stakeholders.

5. Demonstrated ability to collaborate and work as part of a team to effectively plan, coordinate and manage work activities with minimal supervision and direction.
