Steps to Accessing and Running the Student Employment Budget Report 1. Logging into Cognos through INSIDE F&M:

3. The first time you log in, you may come to the “Welcome Screen” seen below if you haven’t already unselected the check box in the lower left corner.

a. If you want to continue to come to this screen, keep the box checked and just select “My Home” or unselect the box and then select “My Home”, the next time you login, you will go directly to your home page.

4. Depending what your home view is set as, you may land on different pages/views a. Select the Public Folders tab at the top b. Select Human Resources Reports

i. Please note that everyone’s view and folder options may be different depending on their access

5. Next, select the “Student Employment Reports” folder

6. You should now see the link to the report as seen here:

7. To run the report, select the blue hyperlinked text “Student Employment Budget vs. Actual Report” and the prompt page below will be displayed;

• Notes/comments about prompt fields: o Fiscal Year - the College’s fiscal year runs July 1st through June 30th each year. For example, fiscal

year 2014 covers July 1st, 2013 through June 30th, 2014. o Timesheet Organization – here you will see a list of organizations that are available to you based on

your access (i.e. which organizations you have budget oversight for). By using the check boxes, you can select one organization or multiples. If you want to report on all of your organizations, you can select the “select all” hyperlinked text below the box.

§ If your access appears incorrect (i.e. you don’t have organizations that you feel that you should or have some that you don’t feel you should), please contact Varo Duffins in the Financial Aid Office at [email protected].

8. On the following page is the completed prompt page as well as the Cognos report output for the Business Office operating budget;

Select “Finish” to run the report

Other important notes/comments:

• Cognos data is refreshed every evening from Banner. A report run on Tuesday will include transactions through the Monday before. If transactions occur on that Tuesday, they would not be reflected in a report until Wednesday.

• If at any time you want to change your “home page” when you are on the page/view that you want to be your home, go up to the icon at the top that looks like a house and select the pull down arrow next to it and select “Set View as Home”.

• The report will initially be displayed in html format, however you have the option to export to other formats, including: pdf, xml, and Excel.

o To convert to another format, after you have run the report, go up to the icon in the upper right that looks like a piece of paper with a globe on it and select the pull down arrow, move down to the format you want and select it:

§ Notes about output options: • PDF is the best formatted and most printer friendly • Excel “format” option includes headers, etc. however it is not formatted or paginated

like a PDF, however you can “manipulate” the data in Excel
