Bombardier is our only customer, we are contracted to provide a service which meets their production schedule. I provide Bombardier a professional and high level of customer service to ensure their demands are met.

My main responsibilities are;

Ensuring all expedited and routine shipments are arranged, monitored and delivered in a timely manner.

Liaising with Bombardier buyers and vendors in the USA to ensure the correct part is collected from the vendor on the requested date.

Liaising with UPS Service centres in the USA to ensure pick up are scheduled with their local drivers.

Liaising with UPS Export gateways and Commercial/Cargo only Airlines to ensure our freight is handled and labelled correctly as well as being booked

on to flights which will meet our deadline for Bombardiers production.

Being in constant contact with Campbell McLeave, who are the brokers for UPS-SCS in Northern Ireland, as they have to arrange a time and DBN (Delivery Booking Number) with us to deliver into Bombardier.

Arrange with specific Vendors in the states about the collection of hazardous shipments which will contain Dry Ice. These shipments are top priority as the Dry Ice has a 72 hour shelf life. If these shipments re not delivered to Bombardier from the states within that 72 hour time frame then the goods will have perished. Ensuring these shipments are picked up, moved on a flight and delivered on time is a vital part of my job role.

Working out the prices for Bombardier for Dry Ice and Expedite shipments.

Releasing charges on our system for Bombardiers routine shipments so that UPS can invoice Bombardier for our service.

Providing all Bombardier Buyers and Managers with a Daily Shipment List excel document. This document provides the buyers with all the information they need regarding all shipments for Bombardier that were picked up by UPS on the previous day (due to the time difference between us and the USA)

Providing the goods inwards bay in Bombardier with an accurate list of everything that will be delivered to them that day with an accurate ETA for delivery.

Keeping a spreadsheet of all of the Dry Ice shipments and their charges.

Deciding on what shipments are to be delivered in the morning and afternoon by their level or urgency.

Our UPS team is a very small team containing only 4 people – a manager and 3 others. As I am the only person within the team who is available to start at 7am, I am the only person able and trained to cover for my manager when she is off on leave.

Customer Service Agent/Admin Clerk

To provide all customers with the highest level of customer service with a professional attitude towards each individual I come in contact with, whether that be via telephone or email.

My main responsibilities are:

Ensuring all emails sent to the customer service group email address were dealt with in a professional and efficient manner.

Ensuring every phone call that comes my way is answered and dealt with effectively and in a polite/mannerly fashion.

Working out and providing customers with general price quotes for getting consignments from A to B. This could mean liaising with sales executives to provide a more accurate quote if these consignments are coming from or going to somewhere outside of the United Kingdom.

Regularly liaising with different courier providers if a consignment has to be somewhere more urgently than planned or more urgently that we can logistically cover.

Regularly liaising with different Palletways depots all over the UK to gain more information or provide more information regarding consignments.

Update an online portal for one of our biggest customers (Caterpillar, FG Wilson’s) with accurate times of when their consignments were collected and delivered. This system has to be updated twice daily.

Contacting certain customers via telephone to take card payment for collections/deliveries we would be doing on behalf of them.

Regularly processing ADRs on the Palletways portal. This means charging any Palletways depot for money that we are entitled to be refunded or paid. This could be for them failing a delivery on our behalf or if said depot didn’t pay us enough money for a service we provided for the originally.

Scanning and uploading PODs (Proof of Delivery) to our main system and also our online system. These PODs need categorized and assigned to each individual unique job reference number.

Managing our online system and setting up individual customers with usernames and passwords to access our online system which allows customers to book their own jobs onto our system instead of calling through to the office or emailing.

February 2012UTV1 week work placement

During my weeks placement at UTV I got to experience every sector of building. I was given experience in the TV studios and got to watch the news being aired live from behind the cameras. I was also on the radio with Frank Mitchell on one of my mornings at UTV. I was given experience in the web and graphic design sector and the library and archive sector.
