With fundamental rearrangements occurring in the
marketplace and among an increasingly diverse
workforce, HR executives and their teams are feeling
the pressure to develop new initiatives—followed by
measurable actions to strengthen their people management.
Consistent, strategic HR practices help individuals
perform better, and when a workforce is aligning its full
talents and energies to support the organization, a
company is much better positioned to achieve and exceed
the end goal of customer satisfaction.
HR is at the center of an organization’s goals when it
generates continuous innovation and excels at delighting
its customers. With the right technology, HR can become
the cornerstone of the 21st-century workplace—engaging
the workplace; facilitating collaboration among its
multifaceted multigenerational workforce; and
strengthening the business for today and the future.

1 Located just east of San Francisco, Wente Vineyards is
recognized as one of California’s premier wine country
destinations, comprised of diverse business units including
a vineyard and winery, an award-winning restaurant, and a
world-class golf course.
Since leveraging UltiPro in 2010, Wente has experienced a
renewed focus on employees and their impact on the business.
In less than 24 months, the company restructured most
employee-facing business processes with UltiPro—helping
HR save time and money while more effectively engaging
its diverse workforce.
“UltiPro’s functionality for talent management has given us
the ability to transform our people management process
from tactical to strategic. In particular, we have improved
the consistency for performance management and made it
more of a continuous process rather than just an annual,
one-time event,” said Jennifer Cook, senior HR advisor at
Wente Vineyards. “We are using UltiPro to collaborate with
employees and ultimately ensuring that we are all aligned
to achieve company goals.”

With UltiPro Performance Management, Wente’s HR team can more quickly
and easily assess employee performance against measurable goals and job
competencies, create employee development plans, identify high performing
employees for key positions, and build an environment that maximizes talent
and rewards high performers.
“We’ve had exponential growth in the last few years, and we expect even more
expansion in both sales and our number of employees. This only reinforced the
need for us to have a strategic plan in place for performance management,” said
Cook. “UltiPro give us a flexible, cohesive solution that supports our overall goals
for collaboration, ownership, strategic HR, and environmental sustainability.”
“The entire process for performance management with UltiPro is easier for
managers, ensures competencies are consistently applied, and protects our
employees against discriminatory practices,” added Cook. “One of the best
advantages for us has been the increase in employee engagement. We’re
receiving excellent feedback from users. Managers like the ongoing collaboration
with their employees, and employees like being fully involved in the process.”
“We are very proud of our employees and our HR team, and we appreciate that
Ultimate Software has given us the people technology to bring out the best in
both,” said Lisa Bates, senior vice president of human resources at Wente
Vineyards. “Developing, engaging, and retaining our talent is the foundation for
better business performance.”

The SUBWAY® restaurant chain ranks as the world’s largest
submarine sandwich franchise, with more than 34,000
locations in 98 countries. With thousands of employees to
handle worldwide, the company wanted to streamline its
end-to-end HR processes as well as enhance the HR team’s
ability to recruit and retain a high-performance workforce.
Since consolidating its HCM processes with Ultimate
Software’s UltiPro, SUBWAY® transformed its multinational
talent acquisition by delivering global recruitment metrics
as well as improved collaboration and communication
among executives, HR teams, and managers.

“UltiPro’s capabilities for strategic recruitment are
phenomenal. The flow of information is faster and more
accurate, so everyone across our company has the
information they need to hire more quickly than ever,”
said Lisa Shea, assistant director of HR for SUBWAY®
and Franchise World Headquarters. “Plus, we now have
the ability to stay on top of what’s happening with our
talent acquisition in international locations. Our recruitment
team in HR loves UltiPro.”
“We’ve really just scratched the surface of UltiPro’s full
value. We are leveraging even deeper functionality for our
talent management process, and we expect the strategic
gains to expand as more of our workforce uses the solution.
By automating talent management, we are astonished at
the amount of paper and the related costs that we have
been able to reduce.”
“UltiPro is providing new levels of control, saving us
hours and hours of tactical work each week. Plus, there’s
zero footprint as we have eliminated the need to print and
handle tons of paper.”
Because its recruitment processes are tightly aligned with
all of UltiPro’s people-related functionality, SUBWAY®
managers also have more access to employee information
than ever before.
“Our managers are very pleased to have instant
reports available to help them improve their jobs and the
productivity of their employees. Everyone can access
the same information real-time because the different
workforce elements, including the ones in global locations,
are relayed through UltiPro’s single platform,” said Shea.
“Ultimate Software definitely delivered the end-to-end
solution we were looking for, and UltiPro is providing an
accelerated way for us to connect and engage employees
with our overall strategy.”

Teavana is a specialty retailer offering hundreds of varieties
of premium loose-leaf teas, authentic artisanal teawares,
and other tea-related merchandise through more than 225
locations in North America.
Collecting and reporting real-time data on its dispersed
workforce, which has grown to 3,300 employees, had
become difficult. Teavana’s rapid expansion caused
company leadership to explore better options for its HR/
payroll processes, and since going live on UltiPro in 2008,
Teavana is now benefiting from comprehensive, cohesive
functionality for its human capital management, strengthened
by on-the-spot, customizable HR reporting.

With UltiPro’s hundreds of standard and customizable
reports, HR Manager Meredith Nappi can now create a
range of real-time reports—an activity that was nearly
impossible with the company’s previous system. For example,
she creates weekly intelligence for the company’s CFO
and management team that summarizes actual-vs.
-budgeted labor costs and labor hours vs. sales. Because
she can slice and dice information with UltiPro, Nappi can
break down the figures by week and by store.
With detailed analytics and metrics that can be sliced and
diced as needed, HR is making the most of the information
and achieving a better understanding of its workforce.
With information that is now immediately available, HR is
functioning more strategically—especially with regard to
turnover and performance management.
“With our previous provider, we had to submit a request and
wait days for the report, which was inefficient,” said Nappi.
“Now our entire management team is benefiting from
UltiPro’s easy-to-use reporting because we can gather data
when and how it is needed—whether it is to shed light on
a complex business challenge, monitor the activity on a
particular store, or identify critical details on one of our
3,300 employees.”

“With UltiPro, we’ve deployed a real-time, user-friendly
solution for 3,300 employees, eliminated the need for in-house
IT support, and decreased costs,” said Nappi. “We’re definitely
experiencing a range of efficiencies across our company
with Ultimate Software’s cloud technology.”

A customer with Ultimate Software since 2005, Culligan
International was pleased with the solution and services for
managing human resources and payroll processes for its
1,600 U.S.-based employees.
However, Culligan was using a payroll service bureau that
handled payroll operations for Culligan’s 800 Canadian
employees. The decentralization of its administrative
processes, combined with the service bureau’s inadequate
functionality and reporting tools, created headaches and
extra hours for the payroll staff at Culligan’s world
headquarters in Chicago.

After a successful, on-budget activation of UltiPro that
was completed in less than three months, Culligan is now
enjoying the benefits of having a single provider for its
employee-focused administrative operations in both the
U.S. and Canada. “The deployment went very smoothly, and
we definitely are experiencing significant value in having
one vendor that handles both our Canadian and U.S.-based
payroll processes,” said Mary Odegaard, payroll manager
for Culligan International.
By eliminating a separate payroll for Canadian employees,
Culligan reduced headcount by five full-time equivalents
—significantly cutting costs and simplifying its HR and
payroll processes. With Ultimate Software, Odegaard also
has a single point-of-contact to call with questions, and she
knows she can rely on immediate assistance.
“We’ve never had an issue with UltiPro that wasn’t
addressed by Ultimate’s customer support. The follow-
up is excellent. Ultimate Software believes in establishing
relationships with its customers, which is a big difference
compared to other vendors,” said Odegaard. “And by
centralizing our payroll, we are managing compensation
much more efficiently. UltiPro gives us the control and
tools we need to do our job well, including preparing and
delivering detailed, real-time workforce analytics to executives.”
Companies who use UltiPro can run hundreds of standard
reports, including ROE, headcount, average salary trends,
PIER, general ledger, and performance reviews. Reports are
pulled down in real-time and can be immediately delivered
to executives and managers. “With our previous provider,
reporting was very limited and was not point-in-time,” said
Odegaard. “UltiPro is helping us make an immense impact
with our overall business.”

5 Flow International Corporation provides technologically
advanced, environmentally sound solutions to the manufacturing
and industrial cleaning markets in more than 45 countries.
Previously, Flow handled its global HCM with more than a
dozen systems, including stand-alone systems for payroll,
benefits, and performance management.
Theresa Treat, vice president of global human resources
at Flow International, concluded that the company needed
one solution, delivered via cloud technology, to help make
the transformation into a high-performance organization.

management, and payroll for North American-based employees
and then rolled out the solution’s HR and talent management
functionality to its international workforce.
“With UltiPro, we have the tools to support our managers, who
are now functioning as business leaders, and we are all taking
constructive steps to change the way we do business,” said Treat.
“Our international HR managers are very excited about how
UltiPro’s analytics are improving their ability to efficiently and
strategically manage their teams,” said Debbie Straus, HR
business analyst at Flow International. “We’ve been pleasantly
surprised at how quickly our HR associates and employees have
adopted and embraced the use of Ultimate’s technology.”
“Previously, when we had a need for global data, we had to send
emails to our global managers or facilities to request the information.
The data would be stored in password-protected spreadsheets
and then we would have to sort through the information,” said
Treat. “Now we have one secure, centralized solution with one
single sign-on. UltiPro is raising the performance of the HR
team and positively impacting our global workforce.”
Because a significant portion of Flow’s workforce is overseas,
Treat sees UltiPro’s cloud technology as a catalyst for enhanced
collaboration across the overall business.
“Exchanging information and communicating with our global
teams in Asia and Europe used to be so difficult. UltiPro now
makes this easy. Employees are happy to have instant visibility
into individual details, managers are in sync, and the execution of
our strategies has been strengthened,” said Treat

5,400 employees, was tasked with finding new ways to accomplish its
mission with a leaner staff. One fundamental objective was that all new
employees become productive quickly and develop rapidly into engaged
contributors that are connected with corporate values and priorities.
Already using Ultimate Software’s UltiPro to effectively manage talent
acquisition and compensation as well as core HR and payroll
functions, First Horizon’s HR team chose to leverage UltiPro’s
onboarding capabilities in order to address these strategic initiatives.
14
“With UltiPro, we can begin onboarding even before the new
hire begins employment,” said Karen Sones, senior vice
president of operations and systems at First Horizon. “We
really love how UltiPro automates and simplifies the process
of assimilating new employees into our business and our
corporate culture.”
When an employee is hired, UltiPro
helps manage all of the
processes, workflow, and
notifications that need to
be completed in order to
onboard the new hire.
New employees follow a
step-by-step guide through
the orientation process,
including digitally completing required
government and procedural forms to reduce paperwork.
Automated task notifications with built-in reminders ensure
a seamless, documented process—eliminating the need for
HR to ‘chase down’ colleagues or vendors to confirm that
new hires will receive the proper provisioning.
“UltiPro’s onboarding tools help us expedite the process
from hiring new employees to having them contribute to
our business on day one. Every employee coming in the
door is hearing consistent messaging and receiving the
same materials to reference,” said Sones.
The business impact to First Horizon has been significant.
Onboarding is now paperless and all HCM data is centralized
and available in UltiPro. First Horizon has eliminated
redundant, manual data entry, and the HR team has cut the
need for three full-time positions within its department.
Most importantly, First Horizon’s employee retention rates
have improved dramatically—with the overall voluntary
turnover rates decreasing by almost 10% in a 12-month
period.
It’s me, Karen Sones, senior vice president of Operations and Systems at
First Horizon. Every employee coming in the door is hearing consistent messaging and receiving the same materials to reference.
UltiPro’s streamlined onboarding experience tightens our alignment between workforce
actions and company objectives and, as a result, our HR team can now provide a
deeper level of service and support to our employees.
