1 Process Overview

Application entry is the first step in working an applicant through the admissions process. Once applications are entered, missing items are identified and checklist items are added as necessary. When applications are completed and all required checklist items have been identified, the applications are sent to an admissions evaluator for review.

Applications are entered manually or through an external file load. In the Graduate College, all applications are entered into the external online application system. Only in unusual circumstances would an application be manually entered into PeopleSoft. This Business Process Guide defines the steps required to manually enter a non-degree seeking and degree seeking applicant. Users will be entering biographic/demographic information, application fee information, academic level, intended degree, and school information. Following application entry, users may proceed to other components to further build the application, including:

Search/Match User can perform search/match process. Before you begin entering application data, determine if the person is already in PeopleSoft. It is important to conduct a thorough Search/Match process prior to entering a new person in PeopleSoft.

Admit Term has been created Admit Term is a required field; therefore the term to which the applicant is applying must be built in PeopleSoft.

Person will be created or is created Before you begin entering supporting information for an applicant, you must enter applicants into your database. You may create a person record at the same time as you enter a new application.

KEY DEFINITIONS

TERM/ACRONYM DEFINITION

Academic Career Grouping of all academic work undertaken by a student that the school accumulates into a single student level (e.g. undergraduate, graduate, law, etc.). A student can have multiple careers.

Academic Program The entity in the university in which an academic plan is housed (e.g. department).

Academic Plan The entity in the university to which a student applies, is admitted and graduates (e.g. degree program).

Academic Sub-plan An area of specialization within an academic plan (e.g. concentration, track).

3 Application Entry

To maintain the integrity of our database, it is important to conduct a thorough search prior to entering a new application. Using the Search/Match business process guide, search for an applicant using first name, last name and either date of birth or social security number.

3.1 Search for a person/applicant

Your menu options may vary based upon your security setup.

Step 1 Navigate to the Application Entry Search/Match page.

Step 2 Conduct a thorough Search for the person in PeopleSoft using the Search/Match BPG.

√ When searching for a person in the system, it is best to search with the most uniquely identifying information you have (social security number, first name + last name + date of birth).

Step 3a If you are entering an application on a person who already exists in the system or adding a new application to a person with an expired application, click the Carry ID button and navigate to Applicant Entry.

Under the Add a New Value tab, the Application Nbr (number) should be all zeros and the person’s ID number should populate the ID field. Click add,

Verify and update the person’s biographical information (if needed) and then skip to section 4.3 (Tab #3) to begin entering the application. For instructions on updating bio/demographic information, refer to the Updating Bio/demographic Data BPG.

Step 3b If you are Updating an application for an applicant who has an inactive but current application, click the Carry ID button and navigate to Application Maintenance. Follow the Application Maintenance BPG for instructions related to updating an application.

3.2 Add a new application

Step 1 Navigate to the Application Entry page.

Step 2 Add a New Value (application).

Application Nbr (number) will be all zeros and ID be set to NEW, click Add.

You will jump to the Biographical Details tab where you can begin to enter the applicant’s biographical information.

4 Data Entry for Manual Application Entry

4.1 Tab #1 Biographical Details

The biographical details tab contains the basic biographic and demographic (bio/demo) information for applicants.

Data Entry:

1. Effective Date: Effective date denotes the date on which the record becomes active. The field will default to today’s date, thus the record will become active immediately. It will do so throughout the tabs. You do not change this date or any other effective dates on later tabs.

2. Names: This field stores all names reported on an application. Prefix, legal/primary first name, last name and suffix (if provided) are required. Middle initial should be entered if provided.

3. Date of Birth: This field stores the applicant’s date of birth reported on the application. Enter in the format MM/DD/YYYY.

a. Click the Birth Information link this will jump you to the Birth Information Detail page. Enter the applicant’s birth city in the Birth Location field. Next, click the magnifying

glass icon to the right of the Birth Country field. This will jump you to a list of countries. Select the birth country. This will jump you back to the Birth Information Detail page and populate the Birth Country field. Click OK and return to Tab #1.

4. Biographical History:

a. Marital Status is a required field. Simply select the appropriate status, based on the information reported on the application, from the pull down menu.

b. Gender is a required field. Simply select the appropriate gender, based on the information reported on the application, from the pull down menu.

5. National ID: PeopleSoft stores many different types of National identification numbers. UNLV applicants are only asked to report Social Security Number. If the applicant reports their social security number on the application, enter it in this field. Leave the field blank for applicants who did not provide a social security number – the field will auto-populate with 999999999.

6. Phone: This section stores all phone numbers for a given person in PeopleSoft. Enter all phone numbers, based on type, as listed on the application. Indicate the preferred phone number by checking the appropriate box. PeopleSoft will format the number to: 111/222-3333, however you may enter the number without slashes (/) or dashes (-). If the phone number is an international format, enter the number in the format listed on the application. PeopleSoft will accept international phone numbers.

7. Email: This section stores all email addresses for a given person in PeopleSoft. The email collected on the application is considered the Home email. Select Home as the email type.

8. Addresses: This section stores all addresses associated with the applicant; mailing, permanent, etc. There is the option to enter several different addresses in this table. However, the addresses gathered from the application will be the mailing address and permanent address. Addresses will be entered in the Addresses Tab (Tab #2). Go to Tab #2 Addresses to add addresses for the applicant.

a. Address Type: Select Mailing from the address type pull-down menu.

b. Click the Edit Address link. This will jump you to the address entry table. It is here you will enter the applicant’s mailing address. If the applicant reports a unit or apartment number and it fits on address 1, enter the entire address (street address + unit/apartment number) on address 1. If the street address and unit/apartment number do not fit on one line, enter the apartment number in the address 1 field and street address in address 2 field. Do not use punctuation except for prefixes. Once all fields are complete, click OK. You will jump back to Tab #1 and see the address you entered appear under Address.

i. If the applicant has an international address, click on Change Country and the

appropriate configuration of address fields will appear.

To complete international applicant data bio/demographical entry, refer to the International Applicant BPG.

c. To add the applicant’s permanent address, click on the plus icon in the right hand side of the field. Follow steps a - b to add Permanent address.

You have now completed the page. Do Not Click Save. You have not entered all the required information to save an application. Continue on to Tab #2 by clicking on the “Regional” tab at the top of your page, you will not lose your work.

4.2 Tab #2 Regional

The regional data tab stores region-specific information for applicants. This information is based on regulatory region (for UNLV that will always be United States) and is required for reporting purposes.

9. Regulatory Region: This field indicates the country to which demographic information must be reported. UNLV reports demographic information based on US rules and regulations, therefore the Regulatory Region is USA

10. Ethnic Group: This field stores the applicant’s reported ethnicity. Click the magnifying glass

icon to the right of the field. This will jump you to the list of pre-populated ethnic groups. Click on the ethnic group to which the applicant belongs. This will jump you back to the Regional Tab and populate the field with the appropriate code and description.

a. If an applicant selects more than one ethnicity, click on the plus icon on the right hand side of the table. This will add another row. Once the row is added you can enter the additional ethnicity data.

When you add a new ethnic group row, your original row will disappear. Do not worry, it is not erased, it is just hidden.

To view all rows click the View All link in the blue Ethnicity bar. To move from one row to another click the forward and back arrows in the blue

Military Status: Military status is not collected at the applicant stage. The effective date defaults to today’s date, do not change this date. Do not select any data for the military status field.

You have now completed the page. Do Not Click Save. You have not entered all the required information to save an application. Continue on to Tab #3 by clicking on the “Regional” tab at the top of your page, you will not lose your work.

4.3 Tab #3 Application Program Data

The application program data tab stores program and plan (department and degree) data for an application. Applications must be tied to a program and plan. From this page, program and plan information is added, edited and updated. Enrollment deposits can be generated and applicants can be matriculated from this page. This is the first tab that is tied to a specific application and not the individual. Changes to this tab and the following two tables (Application Data and Application School/Recruiting) apply only to this specific application.

Data entry will vary based on application type. Be sure to take note of the appropriate data entry from non-degree applicants.

Data Entry:

11. Admit Term: This field indicates the term to which applicant is applying. Click on the

magnifying glass icon to the right of the field. This will jump you to the list of pre-populated admit terms. Click on the appropriate term. This will jump you back to the Application Program Data tab and populate the field with the appropriate code and description.

a. Term codes are four digit codes that represent a combination of the century, year and term. The first number represents the century (1 = 20

th century, 2 = 21

st century, etc.),

the second and third numbers represent the year in which the term falls (last two digits of the year) and the final number represents the actual term (Spring = 2 [February], Summer = 5 [May], Fall = 8 [August]). Example term codes are as follows:

i. 1995 = Summer of 1999

ii. 2082 = Spring of 2008

iii. 2108 = Fall 2010

12. Academic Program: Academic program is the department/program to which the applicant

applies. Click on the magnifying glass icon to the right of the field. This will jump you to the list of UNLV departments/programs. The list is arranged alphabetically by academic program

code. To narrow the result list, select contains in the pull down menu to the left of the

Description field and type in a word(s) from the name of the academic plan. Click . This will bring up a shorter list of academic plans containing that word. Click on the department/program to which the student applied. This will jump you back to the Application Program Data tab and populate the field with the appropriate code and description. If an applicant is non-degree seeking, select Graduate Non-Degree Seeking.

If the applicant has applied to a Joint Program, check the Joint Program box. This will make an additional field appear where you may enter the second program to which the applicant is applying.

13. Campus: MAIN. The campus field indicates the campus at which the applicant’s program is offered. For all applicants, the campus will be MAIN. This field is tied to academic program. Therefore, you should only enter MAIN in Campus after step 13 (selecting program).

14. Academic Load: This field defaults to Full-Time. Do not change this field.

The Program Status field contains a record of the progress from applicant to matriculate (the point in which a record is passed to Student Records/Registrar). The Status field will show the person is an Applicant because we are adding an application on the person’s record.

15. Program Action: The default value in this field is APPL (application). This indicates we are entering an applicant in the system.

a. If you are entering a degree seeking application, do not change this field

b. If you are entering a non-degree seeking application, click on the magnifying glass icon

to the right of the field. This will jump you to the Program Status Lookup Page. Click on MATR. This will jump you back to the Application Program Data page. You will see a Create Program button appear under the Program Action field. Continue through application entry steps 16 – 23. Once all the data has been entered, you will return to click this button.

16. Action Reason: Action reason indicates the person who has entered the application. Select your evaluator code from the action reason look up table. Click on the magnifying glass icon

to the right of the field. This will jump you to the list of pre-populated action reasons. Select the appropriate evaluator code. This will jump you back to the Application Program Data tab and populate the field with the appropriate code and description.

17. Academic Plan: Academic plan is the applicant’s chosen degree program. Click on the

magnifying glass icon to the right of the field. This will jump you to the list of UNLV graduate degrees with the academic program (department/program) selected in step 13. Click on the degree to which the student applied. After locating the appropriate academic plan, click on the plan to which the student applied. This will jump you back to the Application Program Data tab and populate the field with the appropriate code and description.

18. Sub-plan: A sub-plan in PeopleSoft is a concentration or track within a degree program. Click

on the magnifying glass icon to the right of the field. This will jump you to the list of UNLV sub-plans with the academic plan selected in step 17. Click on the sub-plan to which the student applied. The list is arranged alphabetically by academic sub-plan code.

Select contains in the pull down menu to the left of the Description field and type in a word(s)

from the name of the academic plan. Click . This will bring up a shorter list of academic plans containing that word.

Evaluation Link

The evaluation link will take you to a page that tracks the evaluation status of the application. Typically this field will be populated automatically; however, it is important to know that evaluation status is tracked in PeopleSoft and how to manually set evaluation status. To set an evaluation status, select the appropriate status from the pull-down menu. The effective date will default to today’s date. Do not change the date. Click OK. This will jump you back to the Application Program Data tab.

Evaluation Status Definition

Received Application has been received and checklist items are being added

In Progress Checklist items have been added to application and applicant is submitting required documents to complete checklist

Pre-evaluation Checklist items are complete and evaluation codes are being identified and built

Ready to Evaluate The Graduate College is evaluating the application

Committee Graduate College evaluation complete and forwarded to the department for review.

Decision Admission decision has been made and verified (may be conditional) admit checklist is put on applications that have been admitted

Final Review Admit checklist is completed and application is ready for final review

Final Full decision has been made, this is the endpoint for application evaluation

Review Department recommendation received and being reviewed by Graduate College.

Appeal Committee Application decision is being appealed by the applicant.

You have now completed the page. Do Not Click Save. You have not entered all the required information to save an application. Continue on to Tab #4 by clicking on the “Regional” tab at the top of your page, you will not lose your work.

4.4 Tab #4 Application Details

The application data page is used to store, add and update information related directly to the application.

Data Entry:

19. Application Center: An application center is the office/unit that processes the application. Graduate degree-seeking applicants will have graduate admissions (GRAD) as the application center.

20. Application Date: This field indicates the date on which the application was received. Application date will default to today’s date.

21. Created On: This date indicates the date on which the electronic application was created. Created on will default to today’s date. Do not change this field.

22. Admit Type: Admit type contains information pertaining to the type of applicant. This field in combination with information on the education pages will be used to determine what evaluation criteria will used to make an admission decision on this specific application. Click on the

magnifying glass icon to the right of the field. This will jump you to the list of admit types. Admit type is tied to academic career, therefore the list will only contain admit types pertaining to the applicant’s academic career. Admit type should be determined by looking at an applicant’s educational history listed on the application. Use the following definitions to determine the admit type:

Code Description Definition

GRD Graduate Applicant is applying for admission and HAS NOT attended a post-secondary institution AFTER college graduation or obtaining a post secondary degree (Bachelor’s or beyond).

TRN Transfer Applicant is applying for admission and HAS attended a post-secondary institution AFTER college graduation or earning a post secondary degree (Bachelor’s or beyond).

CNT Continuing Applicant is returning to complete (an) additional course(s) and/or degree and HAS previously earned a degree from this institution at this same career level.

NON Non-Degree Applicant does not intend to get a degree at this career level from this institution or does not meet current admission standards for the university.

Select the appropriate admit type. This will jump you back to the Application Data tab and populate the field with the appropriate code and description.

23. Notification Plan/Application Method: These fields will default to Regular (notification plan) and Electronic (application method) will be triggered when an electronic application in loaded into PeopleSoft. Do not change the fields.

24. Application Fee Information: This is the field where the application fee is calculated and recorded. Domestic graduate applicants pay the Standard fee type. International graduate applicants pay the Internatnl fee type.

To complete international applicant data bio/demographical entry, refer to the International Applicant BPG.

To enter an application fee received, click on the Calculate Application Fees link. This will jump you to the Application Fees page.

Application Fee Entry:

a. Select Received in the Fee Status field.

b. Date will automatically populate with today’s date. Do not change the date.

c. Select the type of application fee (i.e. check, cash, money order, credit card) in the Tender Category field.

d. Enter the fee amount paid in the Tender Amount, do not use a dollar sign (00.00). If an applicant pays only a portion of the application fee, enter the amount paid in the Tender Amount field. The difference will be reflected in the Fee Amount versus Fee Paid fields.

e. Click OK, this will jump you back to the Application Data page and the Application Fee Status will reflect Calculated showing the fee has been entered in the system.

Application Fee Waiver:

f. Select Waived in the Fee Status field.

g. Date will automatically populate with today’s date. Do not change the date.

h. The rest of the fields will be unavailable for data entry. Simply, click OK, this will jump you back to the Application Data page and the Application Fee Status will reflect Calculated showing the fee has been entered in the system.

Additional Information/File Information Fields

UNLV will not be collecting housing interest and financial aid interest information at the applicant level. In addition, no data will be entered in the file information field. Leave all fields in the Additional Information and File Information fields blank.

This is the first spot to save the application. All required field should be complete. You can

click the button or you may continue to Tab #5 without saving, your work will not be lost.

If you are entering a non-degree seeking application, jump back to the Application Program

Data tab and click the Create Program button. Click and stop here.

4.5 Tab #5 Application School/Recruiting

Upon initial entry of an applicant, information will be entered in the School Information field. This will be used to make decisions regarding checklist items added to the file. Do not fill out this tab for non-degree seeking applicants.

jump you back to the Application/School Recruiting tab and populate the field with the appropriate code and description. There are several ways to perform a search for the school.

a. Select contains from the pull-down menu to the right of Description and type in the name of the school.

b. Type in the city and/or state in the City and/or State field.

If you do not find the External Organization on the first try, search for all schools in that city as the name field may have some limitations and cause problems with your search. If you still do not find the External Organization, verify that it is the location that they want and not a branch in another city or state. If you still do not find the reported school in the search results, click

. This will jump you back to the External Page. Next, you will enter a filler External Org ID in the field and complete the External Organization Request Documentation to initiate adding the institution to the PeopleSoft database.

Enter 99999999999 for a not found college or university

Enter 99999999997 for a not found international institution

Do not click Look Up button unless you have entered values in the Look Up table. The search can take a very long time if it is not narrowed down by search values. It is recommended the search be performed using Description. This will result in the quickest search.

26. Graduation Date: Graduation date will be an important field to determine the checklist items that must be placed on certain applicants. Therefore this is a required field for UNLV application entry. Enter the applicant’s date of graduation in this field.

You are finished with the initial application entry. Click . To ensure your record has been saved, look at the top of the Application School/Recruiting page. There will be the applicant’s name (a), ID number (b), institution (c), career (d) and an application number (e). This means the application has been successfully saved.

If an applicant submits additional application materials (i.e. test scores, transcripts) transfer to the appropriate tab from the bottom of any of the application pages and enter the information following the associated BPG.

Education tab is used for transcripts. The only information that needs to be entered is the transcript is received. (refer to Transcript Entry BPG)

Test results tab is used for test scores (refer to Test Results BPG) Residency tab is used to record residency information (refer to Residency BPG)
