Welcome to CPAC!

This handbook contains important information regarding the Spring 2016 semester, as well as important

forms which must be returned to the Education Office as soon as possible.

You may receive a future email pertaining to the specific class in which your child is enrolled if your

teacher has any class-specific information to give out.

If you have questions, please take a look through our website and your Online Registration Portal, or you

can feel free to contact the Education Office: [email protected], 817-321-5040.

Communication with you is extremely important to us, and we promise to respond to any questions,

comments, or concerns you may have in as timely a manner as possible.

Once again, welcome to our CPAC family. We are so grateful to have you with us!

Picking Up and Dropping Off

For the safety of our students, please adhere to these pick-up and drop-off procedures:

Students may be picked-up and dropped-off in front of the Casa Rehearsal Studios. Exiting cars should

form 2 Lanes of traffic to turn LEFT or RIGHT onto University Dr. During the first week, staff will be

outside to direct students to the correct classroom, but this may not be possible for every week. If

teachers are not outside, please feel free to send your child inside the Rehearsal Studio to wait in our

Green Room before their class begins.

Please form ONE carpool line, and please do not wait in areas designated as fire lanes.

If you feel uncomfortable having your child walk-in by her or himself, or would prefer not to use our

carpool lane, we completely understand. We ask that you please park in the main parking lot to

accompany your child(ren) to and from the studio rather than leave your vehicle unattended in the

driveway. This prevents us from blocking traffic and slowing down our car pool lane.

FIRST WEEK OF SPRING ‘16 SEMESTER CLASSES – February 1-6 – PLEASE NOTE: Due to FW Stock Show parking rules, the first week of Spring semester classes will be closed to parents. Parents may observe during the SECOND week of classes, Feb 8-13.

FINAL WEEK OF SPRING ‘16 SEMESTER CLASSES – May 9-14 – One semester-length class showcases. Guests are invited to observe the final class. (Please limit your guests to 4 per student).

space is shared with our main stage productions, which have precedence over the space. CPAC POLICIES AND PROCEDURES

Student drop-off/pick-up procedure (see map on pg. 3)

Please enter from W Lancaster Ave and drive through the main parking lot to drop off your student(s) at

the Rehearsal Studio located behind the dome. Exit from Casa Mañana onto University Dr. If you want

to drop your student(s) off and return to the main parking lot, please feel free to do so by exiting onto

University and returning to the lot from Lancaster.

During the first week of class, staff will be outside the studio to direct students to the correct classroom,

but this may not be possible for every week. If teachers or CPAC staff are not outside, please feel free to

send your child inside the Rehearsal Studio to wait in our Rehearsal Studio Green Room until their class

begins. If you would prefer to accompany your child to their class, please park in the main parking lot to

walk your child(ren) in.

Please do not park in any spots which are designated as “Casa Staff”, along the Will Rogers fence, or on

the left side of the street between the dome and rehearsal studio, as these are reserved for staff/cast

parking and/or are fire lanes.

Upon entering the Rehearsal Studio, students should all go straight into the Rehearsal Studio Green

Room where they will wait for their teacher to call them into their classroom when they are ready.

If you choose to wait for your student during class, you may park in the main parking lot and wait in the

Green Room of the Rehearsal Studios.

You may pick up your student in the carpool line or escort your student back to the main parking lot. If you

are using the carpool line, please form one orderly line until you have your student in your vehicle. Exiting

cars may form two lanes of traffic to exit right or left onto University Drive.

Late Pick-Up Policy

We understand that it may not always be possible to pick up your student perfectly on time. If you are late

picking up your student from class, you will be given a 10-minute grace period from the time the class has

ended. Once this grace period has lapsed, you will be charged $1 for each minute you are late.

You may have to enter the studio to look for your student, as his or her teacher may have to bring them

back inside so as to start their next class period on time.

Waiting for Students

We understand that some families are travelling from very far away and cannot go home during class. As

our studios are small and as we want to ensure that students have full focus during class time, classes

will typically be closed to parents. Please feel free to park in the main parking lot and wait inside our

Rehearsal Studio’s Green Room.

Payments

Families may choose to pay in full at the time of registration.

Other options include:

- Pay a 10% deposit on the course and enroll in automatic billing. The balance will be debited in one

lump sum, automatically.

- Pay a 10% deposit on the course and pay in 3 equal payments over 3 months (semester classes) or 7

equal payments over the next 7 months (year-long classes). February 15, March 15, and April 15. If you

register in the same month a class begins, you will then be making two payments during the first month.

For example, if you register on February 3, your next payment is due February 15.

If your payment information changes, please be sure to update your profile in the Registration Portal

https://campsself.active.com/CasaMananaInc. Links to your account

are also available on the Education pages of the Casa Mañana website (www.casamanana.org.) You can

login anytime to make a payment toward your balance. Otherwise, the credit card on file will automatically

be charged on the above payment dates. Email reminders to make payments will be sent out, but it is the

family's responsibility to make sure their account information is up do date. We accept Master Card, Visa,

American Express, Discover, Check, or Cash. There is a $25.00 fee for returned checks.

Refunds: All refunds will be charged a $25.00 processing fee. A full refund, minus the processing fee, will be given

until the first day of classes. Refunds through the second week of the class will be pro-rated, minus the

processing fee. Once the third week of the class has commenced, no refunds will be granted. If you

chose to enroll in a payment plan and cancel after the third week of class, any balance remaining must

still be paid according to the payment plan except in extenuating circumstances and at the discretion of

the Director of Education. Qualifying refunds will be credited to the credit card on file or can be credited

to your account for future registrations. Account credits expire at the end of the each Casa season

and cannot be refunded once they have been processed.

Inclement Weather Policy

Casa Mañana’s CPAC classes follow the Fort Worth ISD in cases of inclement weather. These

announcements will be made via email, the CPAC webpage, and the CPAC and Casa Mañana Facebook

pages.

Semester schedules are built with at least two extra day pre-planned into the

semester to compensate for such events, therefore makeup classes may not be

scheduled and refunds will not be offered. A teacher may request a makeup day if

their class schedule deems it necessary and space is permitting; you will be notified on

a class-by-class basis if this is the case.

Attendance Students are encouraged to attend all classes during the semester or year. Teachers take time to plan

their lessons according to the number of students who will be present in the class. If you know your

student will not be able to attend a class, we ask that you please notify the teacher and education office

as soon as possible via phone or email.

Absences: If a student misses more than three classes in a semester, the student’s eligibility to

participate in the final performance is at the instructor’s discretion. In extreme cases, the instructor and

the Education Director may choose to drop the student from the class. Students who are dropped from

class due to excessive absences may be offered a partial refund in extenuating circumstances at the

discretion of the Director of Education.

Disciplinary Action: In the rare case that a student’s behavior becomes disruptive enough that it

impedes the progress of the class as a whole, the teacher may elect to limit the student’s participation or,

in consultation with the Education Director, even remove him/her from the class. If a student is removed

after the third week of the semester, no refund will be granted.

Class Rules

1. Student will treat the instructors and other students with respect at all times.

2. Student will not use any cell phones, iPods, electronic games, or any other electronic distractions during class. Students will have access to a phone in special circumstances and emergencies.

3. Student will participate in a positive manner during class.

4. Student will refrain from using inappropriate language and gestures during class.

5. Student will not eat or chew gum during class.

6. Student will be responsible for any and all personal items that they bring with them to class. Items must be stowed in a book bag or purse.

7. The only drink that you may carry with you to class is water. It must be in a bottle or a cup with a lid. No open containers are allowed in the classrooms.

8. Food is not permitted in the Rehearsal Studios

Class Materials

Please plan to bring to class: comfortable clothing and shoes, water bottle, all scripts and scores given by

teachers (a 3-ring binder or folder is suggested to hold these items), pencil and highlighter. Additional

materials may be requested by the instructor(s) of your class.

Dance classes: You must have jazz shoes for dance classes or classes with a dance component that

meet in Studio A. Classes that require Jazz shoes include: Triple Threat (I, II & III), Broadway Studio

Grades 2-4, Broadway Studio Grades 5-7, Broadway Studio Grades 8+, and all Broadway Dance classes.

Comfortable clothing that moves will suffice. Leotards and tights are not required. SKIRTS WITHOUT

LEGGINGS WILL NOT BE PERMITTED. Students who are not appropriately dressed for class may be

asked to sit out and observe at the instructor’s discretion.

TheatreFest

As part of our TheatreFest weekend, you are invited to attend our CPAC Broadway Bash on Saturday,

May 14 at 12PM. There will be free food, games, music, dancing, and fun for the whole family! Stick

around for some of the end-of-year performances from our advanced musical theater and yearlong

classes.

Volunteer Information Sheet

Your involvement is crucial in making CPAC a thriving community of young artists and their

families. Please check which area(s) you are most interested in lending your time and

energy, and thank you so much for your help!

Theatre Fest – Our annual end-of-year festival, May 13-14, featuring final

performances from most our year-long classes. There will be food and drinks, as well

as fun games and activities all included in the price of admission. We need

volunteers to help organize and run this event. We can’t do it without you!

Pick-up/Drop Off – Help us ensure that our students are making it safely to and from

their rides by assisting in the pick-up/drop-off before and after your student’s class.

Usher at Casa performances – volunteer as an usher for a performance at Casa and

see the show for free!

Cast/Crew Dinners – Our parent volunteers provide meals to our actors between

matinee and evening performances. If you’re interested in donating a dish and

getting your chance to schmooze with the stars of Casa’s Broadway shows, check

here!

Education and Outreach Committee – If you have an interest in helping make CPAC

the best possible experience for all of our students, we would love for you to join our

Education and Outreach Committee, which currently meets once every month

around lunchtime.
