By adhering to the standards set forth in the following pages you will be presenting your work in a professional manner, to the credit who contributed to it. The final copies will not be accepted with corrections, insufficient margins, or it they are of such poor quality that reproduced copies cannot be made. The Rocky Mountain University of Health Professions requirements cover the general rules and appearance. Because of changes in requirements, students should not use existing library copies of dissertations as examples of proper format. I. General Information

A. Language a. The Dissertation must be written in English.

B. Paper a. Use only 8 ½ inches x 11 inches white paper. b. Special cotton bond thesis paper is required for the RMUoHP copy (acid-free paper

(minimum 25% rag-bond). Smooth flat-surfaced paper such as photocopy paper is acceptable for the additional copies.

C. Margins a. Margins are white spaces with nothing in them. Due to printer variations, measure your

margins with a ruler to make certain your margins are accurate. b. Regardless of which option the final manuscript is presented, all Dissertations must use

at least a 1.0 inch left margin (minimum margin allowed) to allow appropriate space for hard cover binding. For final manuscripts presented in option B or C format, a 1.5 inch left margin is preferred unless the specifications of the journal that the student intends to submit his manuscript(s) requests a 1.0 left margin.

c. All manuscript options must use 1.0 inch on top, right and bottom margins. d. Page numbers cannot be located in the margins. e. In the main text section, leave the right margin unjustified (ragged). f. Margins must be uniform on all pages, no exceptions!

D. Fonts a. Fonts that will be accepted without question are: Arial, Times Roman, Helvetica, Courier,

and Bookman. For the abstract and text, if a specific peer-review journal requests a font similar to one of these, it will probably be accepted (see General Information for Abstract and Text section). Please consult with the Associate Dean of Research for allowance to use a different font type.

b. The same typeface and size must be used throughout the text. c. Use 12 point for the body of the document unless an alternate size is specified by the

journal. For the Dissertation text, please consult the Associate Dean of Research if a specific peer-review journal uses a different font size.

d. Depending upon the journal, large type font may be used for chapter/section titles. e. Footnote numbers can be smaller font than text, i.e., 10 point. f. If computer font is not available for a symbol, characters can be neatly written by hand

with black ink.

E. Printer a. All laser printer copy will be accepted if using a new printer cartridge. b. Dot-matrix printers cannot be used for Dissertation.

F. Corrections a. Corrections on the submitted copies, i.e., whiteout, correction tape, interlineations, etc.,

will NOT be accepted. If you need to use whiteout or correction tape on a page, remember to make a copy of the page before submitting it to Rocky Mountain University of Health Professions.

b. All submissions must be neatly executed and corrected in spelling, punctuation and format.

c. PROOF CAREFULLY before copying and submitting your Dissertation to Rocky Mountain University of Health Professions!

G. Duplicating the Dissertation a. Only black type on white paper will be accepted. b. Only print on the front side of each page (not double sided) c. In addition to original laser copies, Rocky Mountain University of Health Professions will

accept high quality copies of original laser pages. d. Copies submitted to Rocky Mountain University of Health Professions must be crisp and

clear and the same intensity throughout. Submissions will not be accepted if the print is of poor quality.

e. Quality varies regardless depending on which copy center. Before leaving a copy center with your document, it is highly recommended you check your documents for quality and to ensure there are no missing pages.

H. Presentation to Rocky Mountain University of Health Professions a. One bound copy of your Dissertations and one electronic copy must be submitted to the

Provost (with a copy to the Registrar on the electronic submission). The bound copy will be placed in the RMUoHP library; the electronic copy will be forwarded to the Associate Dean of Research and the librarian for library use.

b. Each Dissertation must have a signature page with original signatures. c. Binding. All Dissertations must be submitted to RMUoHP with a hardbound cover. When

a dissertation has been reviewed and accepted by the Associate Dean of Research, the Instructions for Binding Final Dissertation Manuscript form will be emailed to the student. The form should be completed and mailed with the final manuscript to the Shaffer Bindery, Inc.

II. Arrangement of Pages and Pagination

A. Copyright Page

a. Copyrighted materials cannot be used beyond “fair use” in dissertations without the permission of the author(s). If you have questions, please contact the Associate Dean of Research at RMUoHP.

B. Title Page a. The Title Page is not counted and has no page number. b. Formulas, symbols, superscripts, subscripts, Greek letters, and chemical names must be

expressed in words. c. Type the exact title of the Doctorate of Science degree or Doctor of Philosophy. d. Your first and last name must conform exactly to RMUoHP records. e. No professional or other titles or initials such as “M.D.” may accompany your name. f. The Specialty Program Authorized to Offer Degree is the specialty program through

which the degree is officially offered, not the title of the degree itself. g. Do not put illustrations on the title page.

C. Signature Page a. The Signature Page is not counted and has no page number. b. Remember: You will need one copy with original signatures. c. The number of signature lines can be adjusted according to the size of your Doctoral

Committee. d. Do not include professional titles on the Signature Page. e. Should include signatures of the Doctoral Committee Chairperson and ALL other

Doctoral Committee members.

D. Quote Slip a. The Quote Slip is not counted and has no page number b. Original signed Quote Slips must be included in both copies.

III. General information for Preliminary Pages

Each page in the preliminary page section is numbered using lower case Roman numerals centered at the bottom of the page.

Each page must have a page number, including the first page of the Table of Contents.

A. Preliminary Pages Preliminary pages include in this order: a. Table of Contents

The first page of the Table of Contents is counted as page one, i.e., i.

The numbering and wording of titles and headings must be consistent with the text.

All preliminary pages must be included in the Table of Contents except Acknowledgments and Dedication.

b. List of Figures

If your Dissertation includes figures, you must identify them in a List of Figures page which is in your preliminary pages.

The List of Figures page must be formatted to the example provided in the sample pages.

Captions may be abbreviated if necessary.

The List of Figures should be included in your Table of Contents. c. List of Tables

If your Dissertation includes tables, you must identify them in a List of Tables which is in your preliminary pages.

The List of Tables page must be formatted to the example provided in the sample pages.

Captions may be abbreviated if necessary.

The List of Tables should be included in your Table of Contents. d. Acknowledgements (optional)

i. Acknowledgements do not appear in the Table of Contents. e. Dedication (optional)

ii. Dedication does not appear in the Table of Contents.

IV. General information for Abstract & Text It is expected that each student will submit his/her final Dissertation manuscript(s) for publication upon successful defense and completion of requested revisions. With the exception of margin formatting (margin format will depend upon option A vs options B or C) for binding purposes, the abstract(s) and manuscript(s) will be submitted in the format(s) as specified per intended journal(s) for peer review.

A. Abstract a. The title of the Dissertation must appear exactly as it does on the Title Page. b. Format Style: Please refer to the abstract style format specified by the journal that the

manuscript is intended to be submitted. i. Key words: Most journals will require 3-5 Key words that best represent the

manuscript contents and should be placed below the abstract. Key words should not repeat words used in the title.

c. Text Length: Please refer to the specification requirements for the length of allowable text (i.e., number of allowable words or pages, if specified) that the journal requests

d. Spacing: Please refer to the specification requirements for spacing of the abstract. In general, most journals will require double-spacing.

e. Margins i. For dissertations using option A (standard thesis format), allow at least 1.5

inches on the left (binding side) margin as this will allow appropriate space for hard cover binding. For final dissertations using option B or C formats, a 1.0 inch left margin is allowed for soft-cover binding.

ii. Leave the right margin unjustified (ragged).

B. Text B.1 General Text Guidelines

a. Spacing must be double-spaced (or per journal specifications). b. Margins

i. All Doctor Dissertations must use at least a 1.0 inch left margin (minimum margin allowed) to allow appropriate space for hard cover binding. For final manuscripts presented in option B or C format, a 1.5 inch left margin is preferred unless the specifications of the journal that the student intends to submit his manuscript(s) requests a 1.0 left margin.

ii. Leave the right margin unjustified (ragged). c. Font: Use the specified Font style as specified by the journal you intend to submit the

manuscript(s). In general, most journals will use Arial, Times Roman, Helvetica, Courier, and Bookman. Please consult with the Associate Dean of Research for allowance to use a different font type.

d. The first page of the text is counted as page 1. e. The Bibliography/List of References should follow the main body of text f. Each page must have a page number, including the first page of each chapter or

main section. g. Pagination

i. Each page is numbered using Arabic numerals in the upper right-hand corner (depending upon the journal specifications.)

ii. Page numbers must be 1 inch from the top and right edge of the manuscript (one option is to set Header to 1 inch). Page numbers must be 2 points smaller than the text font size (ex.Text is 12 point then use 10 point for page numbers.)

iii. Unless specified by the journal’s specifications, use only whole numbers. Manuscripts using numbers such as 1a, 1b, etc., will not be accepted.

iv. Page numbers cannot be embellished with dashes, parentheses, etc. v. Documents with running heads will not be accepted. vi. Manuscripts submitted with hand-written page numbers will not be accepted.

B.2 Text Organization

a. Only major divisions, whether called chapters or not, must start on a new page. b. Divisions within chapters must be continuous with the previous text. c. Special Instructions for Dissertations

i. Separate studies or manuscripts submitted as one dissertation are to be treated as “Chapters”.

ii. Each “Chapter” may be composed of “subchapters,” i.e.: a. Abstract b. Introduction/Literature Review c. Methodology (includes procedures & analyses) d. Results e. Discussion and conclusion f. References (see Section I) g. Figures (see Section J.) h. Tables (see Section K) i. Page numbers must run consecutively throughout the Text, References,

Figures and Tables.

The following sections should appear after the main body of the text in this order:

C. Bibliography (or the term References) a. A Bibliography (or the term References) should follow each respective chapter or

subchapter text. b. Paginate consecutively with the rest of the document. c. RMUoHP will accept any recognized format per respective journal specifications. d. Do not confuse the Bibliography or References with End Notes.

D. Figures a. Figures include photographs (originals or photocopies), charts, graphs, maps, diagrams,

and drawings. You can call them “examples,” “exhibits” or “illustrations,” but they are classified as figures.

b. Figures must be listed in the preliminary pages in a List of Figures. c. Figures should follow the format specifications as indicated by the respective journal that

the manuscript is to be submitted. d. Placement: A Figure or Figures is placed at the end of the Chapter or respective

subchapter in which it is discussed. e. You should number figures consecutively at the end of the Chapter, i.e., Figure 1 [Title] or

at the end of each respective subchapter, e.g., Chapter 1. Figure 1.1 [Title]…Chapter 2. Figure 2,1 [Title]. You can number them using Arabic or Roman Numerals depending upon the manuscript requirements of the intended journal.

f. Color: The color of the Figure(s) should follow the format of the requirements set by the journal that the manuscript is expected to be submitted

g. Figure Captions should contain the illustration number, i.e., Figure 1, and its title. In general, most journals will ask that Figure Captions appear below the Figure.

h. Font: The font style and size of the Figure(s) should follow the format of the requirements set by the journal that the manuscript is expected to be submitted. Type within the figure will depend upon each journal’s manuscript specifications. In general, most journal requirements will not require the type within the Figure to be the same size or font as the caption.

i. Captions must not appear on mounted materials. j. Orientation: Figures should be oriented per the requirements of the intended journal.

f. Type within the Table will depend upon each journal’s manuscript specifications. g. Orientation: Tables should be oriented per the requirements of the intended journal.

The following sections should appear after the main body of the text in this order:

F. Appendices a. Appendices should be paginated consecutively with the rest of the document. b. Appendices typically include any data collection instrument form used in the Dissertation c. Illustrations in previously published material, which you are presenting as appendices,

may retain the original identification and should not be listed in the preliminary pages. d. Oversized documents. If documents that will be include in the appendices are larger than

81/2 x 11 inches, you have two options: 1. Reduction of document

i. Copies must be clearly legible ii. Page numbers and captions must remain full-size

2. Folding the document and binding it i. An oversized page can be bound into the document provided it is folded

properly for binding purposes ii. Correct Margins and position of page number must be maintained on the

oversize page

G. Vita a. A Vita (commonly known as Curriculum Vitae) or biographical note must contain the

name of the candidate and the date and the date and granting institution of each advanced (post secondary school) degree.

b. The Vitae may also include other publications by the author. c. The Vitae should be paginated consecutively with the rest of the document.

H. Exhibits a. Items such as videocassettes, a group of slides, or a model can be submitted with a

Dissertation. b. The exhibit must be clearly and neatly labeled. c. Extra copies (2) of the Title Page are required to attach to the exhibit for identification

purposes.

Sample Table of Contents Hints:

You do not have to use the term “Chapter” to designate your main sections. For the purpose of the Dissertation, the main sections of your document act the same as Chapters. The first page of each main section should start on a new page.

Headings should match verbatim between Table of Contents and what is listed in the body of the dissertation

You can use Arabic numbers to number your chapters even though for our example we chose to

use Roman numerals.

Be certain to begin numbering your preliminary pages on the first page of the Table of Contents using LOWER CASE Roman numerals centered at the bottom of the page.

If you are using Microsoft Word, you can line up you page numbers by setting your tabs to be

right justified with the appropriate leader.
