ANNOUNCEMENTS & 9-12MILESTONES

As I near the end of my tenure at the University of Miami, I wanted to take a moment to thank you for some of the best years of my professional career. The endless dedication, passion, and talents that you bring to the University, and especially UMIT, has positioned our team as leaders in the field of information technology in higher education. I admire your dedication to continuous innovation, teamwork, and accountability. I am certain that each of you will continue to make a positive difference in the lives of the University’s faculty, staff, students, and community members.

Together, we have made some remarkable things happen over the years. Because of your efforts, we are able to provide our customers with innovative, secure, and reliable technological solutions, which enable us to support the University’s core mission of enhancing teaching and learning, enabling cutting-edge research, advancing the clinical enterprise, and enriching the core business infrastructure.

As a reminder, I hope you’ll join me at the farewell celebration Dr. Travisano is hosting on Thursday, August 30 starting at 3 p.m. in the Watsco Center Fieldhouse. To RSVP, please visit: https://eventbrite.com/e/steve-cawley-farewell-tickets-47556566972. I’d like to think of this as an event where we will be celebrating all of you and our combined accomplishments, and not just a farewell. This event will replace our all-staff meeting for the fall, so I encourage everyone to attend.

Once again, I would like to extend a sincere thank you to the entire UMIT team. The Executive Cabinet and I recognize and greatly appreciate the hard work you do to provide the best IT solutions toour UM community.

I look forward to seeing you all on August 30!

August 1: Lammas - Celebrated by Christians, Pagans, and many others from areas of England, Ireland, and Scotland, this day marks the start of the annual wheat harvest, and is the first harvest festival of the year. On this day, it was customary to bring to church a loaf made from the new crop.

August 6: Transfiguration - Recognized by Orthodox Christians to celebrate when Jesus communed with Moses and Elijah on Mount Tabor. To celebrate, adherents have a feast.

August 9: International Day of the World’s Indigenous Peoples - Observed each year to promote and protect the rights of the world’s indigenous population.

August 12: International Youth Day (IYD) - An awareness day designated by the United Nations with the purpose of drawing attention to a given set of cultural and legal issues surrounding youth. The first IYD was observed on August 12, 2000.

August 17: Marcus Garvey Day - Celebrates the birthday of the Jamaican politician and activist who is revered by Rastafarians. Garvey is credited with starting the ‘Back to Africa’ movement, which encouraged those of African descent to return to the land of their ancestors during and after slavery in North America.

August 19: World Humanitarian Day - A day dedicated to recognizing humanitarian personnel and those who have lost their lives working for humanitarian causes.

August 21-25: Eid Al-Adha - An Islamic festival to commemorate the willingness of Ibrahim (also known as Abraham) to follow Allah (God)’s command to sacrifice his son Ishmael. Muslims around the world observe this event.

August 25: Hungry Ghost Festival - A Chinese holiday where street, market, and temple ceremonies take place to honor dead ancestors and appease other spirits.

August 25: Raksha Bandhan - A Hindu holiday commemorating the loving kinship between a brother and a sister. Raksha means protection in Hindi, and symbolizes the longing a sister has to be protected by her brother. During the celebration, a sister ties a string around her brother (or brother-figure)’s wrist, and asks him to protect her. The brother usually gives the sister a gift and agrees to protect her for life.

August 26: Women’s Equality Day - Commemorates the August 26, 1920 certification of the 19th Amendment to the United States Constitution that gave women the right to vote. Congresswoman Bella Abzug first introduced a proclamation for Women’s Equality Day in 1971. Since that time, every president has published a proclamation recognizing August 26 as Women’s Equality Day.

566 New Requests for Service (RFS) in FY18! The UMIT Governance has received 566 new requests for service (RFS) in fiscal year (FY) 2018:

The governance process enables UMIT to continue to align, integrate, and optimize technology, meanwhile mitigating security risk, and streamlining and reducing costs at the University. Requests for technology are submitted via UService. Then, specialized teams analyze each request and ask in-depth questions, which are beyond the expertise of most users.

For additional information about this required process, please view the Acquisition of Computer Hardware and Software policy here. To learn more about the UMIT governance process, please visit the UMIT Governance SharePoint site. If you have questions, please email the team at: [email protected].

For any questions regarding UService, or to set up a UService training session, please contact Betty Spencer at: (305) 284-6767 or [email protected] or Kevin Sands at (305) 243-3481 or [email protected].

* Note: If you do not see this template bar or the “Toggle Template Bar” button, you most likely do not have template editor permissions. If this is the case and you would like to make templates, first talk to your supervisor and ask them for approval. Then, create an incident asking for

Template Editor access. Assign this incident to the “UService - Development” assignment group.

Ticket templates are very helpful when completing repeatable incidents multiple times a day or per week. If you know a subset of fields will always hold the same values, then a ticket template is an easy way to apply those fields in a few short clicks. To complete this, first go to the Create New Incident module. The template bar will then appear at the bottom of the screen. If it is not there, click the three dotted icon and then click the Toggle Template Bar button. Again, you only need to click this if you can not already see the template bar at the bottom of your window.*

To create a new template, click on the “+” sign on the template bar. This will cause a pop-up window to appear; from this window, we will create our template. First, enter a name for this template. It will appear on the Template Bar once you are done, so please name it something memorable.

Notice in Fig. 1 that several fields are auto-filled. These fields correspond to whatever information was previously filled out in your “Create New Incident” page. If you do not see what you are looking for auto-populated, then you can change any of the options via the dropdown menus – similar to the way the main incident page works.

For example, if the template should always have the Contact Type set as “Internal,” then simply click on the drop-down menu to the right of the one that says “Contact Type” (which, in Fig. 1, reads “Phone”) and change it to “Internal.”

To add a new field, use the “--choose field--” drop-down menu and choose the field and value you want. If you need to delete a field, click on the “X” button to the right of that field.

Once you are satisfied with the template setup, click Submit to create the template (see Fig. 2). To access the template at any time, make sure your template bar is on and click on the name of the template you created. You will now see an incident with your pre-populated fields.

IT SECURITY TIPSDon’t Get Phished - Quick Tips to Stay Safe Online

For more information on how to stay safe online over the summer, please contact theInformation Security Office (ISO) at: [email protected] or visit: security.it.miami.edu.

• Often a phishing website will look identical to the original - look at the address bar to make sure you are accessing the correct website. Criminals have access to tools that replicate legitimate company sites. For example, the UM Single Sign-On webpage was replicated in a phishing scam. Take a look at the phishing attack URL in the address bar below (the real UM Single Sign-On page will display as https://caneid.miami.edu/ or https://caneidhelp.miami.edu/caneid/):

• Be wary of emails, phone calls, and/or text messages asking for confidential information - especially information of a financial nature. The University of Miami will never request sensitive information via email, and most banks in the US will tell you that they won’t ask for your information unless you’re the one contacting them.

• Don’t get pressured into providing sensitive information. Phishers like to use scare tactics, and may threaten to disable an account or delay services until you update certain information. Be sure to contact the merchant directly to confirm the authenticity of their request.

• Watch out for generic-looking requests for information. Fraudulent emails are often not personalized, while authentic emails from your bank often reference an account you have with them. Many phishing emails begin with “Dear Sir/Madam,” and some come from a bank with which you don’t even have an account.

• Never open email attachments or submit confidential information via forms embedded within suspicious email messages. Senders are often able to track all information entered.

Phishing (pronounced “fishing”) is a form of fraud, in which an attacker tries to learn private information (such as login credentials) by masquerading as a reputable entity or person (usually via email). Learn how to stay safe online by reviewing the following quick tips:

• Never use links in an email to connect to a website unless you are absolutely sure they are authentic. Instead, open a new browser window and type the URL directly into the address bar. Pictured below, you’ll an example of an actual phishing email UM employees have received. In the screenshot, it appears that “Sebastian the Ibis” sent the email from an authentic UM email address ([email protected]), but when you hover the mouse over the embedded link, it is clear that the link is fraudulent.
