1 HOW TO USE THIS GUIDE

1.1 Confidentiality

The information contained in this document is for customers of 1-Stop services only. Copyright remains with 1-Stop. No unauthorized copying or distribution of the document or any part of its contents is permitted. If you have any questions about the use or distribution of this document, call the 1-Stop Helpdesk on 1300 881 055.

1.2 Purpose of this guide

This guide is for customers of the Terminal Appointment Booking System (TABS) service. It is intended as a:

training resource and

reference guide, if you need help to perform specific tasks. Information about solving problems is included at the end of this document. If you need extra help you can:

check the FAQs in the ‘FAQ’ tab on our website at www.1-stop.com.ph

1.3 What’s new and what’s changed

The information contained in this guide is current as at August 2015 and reflects all changes to the user interface up to that date. If you think you may not have the most up to date User Guide, check the downloads available at www.1-stop.com.ph.

1.4 User Guide name and version number

Updates to User Guides are made each time a new version of the service is released. This is: TABS-CUST- User Guide summary version 1

2.1 How to access TABS

Go to www.1-stop.com.ph

2.2 TABS Home Screen

Understanding the Home Screen:

1. Facility – select where you want to book 2. Left Menu – access to each screen 3. Quick Link bar – access to frequently used functions (grey bar) 4. Message board – the termianls means of communicating with the community 5. Zone Status – Show the current timezone the terminal is servicing

The booking process is a simple 3 step process:

3.1 Upload your containers

1. Click on Containers 2. Select the booking type

3. Add containers. You can do this by typing the numbers in directly or copying and pasting

from a different place, such as a spreadsheet or email. 4. Click “Upload”. You will see the success:

3.2 Search for available bookings

Note:

Only “available” containers can be booked

“Pending” containers cannot be booked

1. Go to Advanced Bookings Tab 2. Tick the box next to the containers you want to find bookings for 3. Choose the date that you want to visit the terminal 4. Set the time period you want to visit the terminal. For example, if you want to visit the

terminal on the 30th July, only between 1pm and 11pm, then make your screen look like this:

5. Click “Search” to find any available bookings.

3.3 Confirm bookings with container numbers

Note:

You have 15 mins to confirm the bookings

Available timeslots are shown on the right side and your container on the left

Timezone with available timeslots will be shown as o Green for Pick Up (import) o Blue for Drop Off (export)

TABS will tell you when you all timeslots have been used

1. Drop and drag your containers on the left to available timezones on the right. 2. Click on “Confirm” to save the bookings.

3.4 Other features

3.4.1 Managing your container lists Once you upload your containers, Use the Container List screen to:

1. View containers that can be booked 2. View containers that are waiting for information from the terminal 3. Delete containers from your list 4. Sort your containers

3.4.2 Managing your bookings Use the Booking List screen to:

View your booking in each timezone

Find out where in the terminal yard your containers are

See the show vessel cut off dates for exports and availability dates for imports

Print and/or e-mail individual bookings or entire lists

Edit or cancel bookings

3.4.2.1 Edit Bookings

Note:

Booking details can be viewed by clicking on the “Edit” button under the Actions column Booking details will show:

o Date and Time of the booking o Container details currently booked o Vessel details o Terminal and Customs status o Add truck plate number for the booking

3.4.2.2 Cancel Booking Note:

Bookings can be cancelled by clicking the “List” button

Cancelled booking will be available to other Brokers immediately

3.4.2.3 Changing a container Note:

To change a container from a booking, first click the “Clear” button to remove all the details from that booking

The booking is retained by you, allowing you time to change containers To add a new container:

1. Select a container from the container no drop down list 2. The rest of the information will be automatically filled in, such as Vessel, Commodity,

Full/Empty, ISO, Declared Weight
