Executive Summary

The Texas Alpha Chapter at the University of Texas at Austin initiated 82 new Tau Beta Pi members into our chapter during the 2012-2013 academic year. These members have shown integrity and excellence in engineering through the completion of fourteen requirements before initiation. Some of those requirements include attending five social events and one fireside, and completing ten hours of community service. This chapter report contains a summary of all 100 events sponsored by our chapter that help our candidates satisfy their requirements. Our diligent, semester long initiation process is designed to insure that our candidates are honorable engineers and not just high-GPA students. The social events provide opportunities for our candidates to get to know each other and to meet the TBP actives that have been through the same process. Firesides involve meeting with a professor outside an academic setting to talk about future goals, careers, and the professor’s experiences in a more personal manner. Furthermore, our most committed, stressed, and important requirement is the fulfillment of ten hours of community service. Although ten hours does not seem like a lot, it can become a challenge as our candidates learn to balance TBP and their engineering school load during the eight-week initiation process. The goal of the community service is to motivate our candidates to help the community we all live in, whether it is helping to feed and talk to homeless people, giving books to prisoners, or helping fourth-graders with mathematics. All of our candidates are broken into teams, which are of a different theme each semester. Each team is responsible for creating or finding a service event at least three hours long to be utilized in the ten hour requirement. The teams help create a more unique sense of community where candidates get to know one another, actives, and officers more closely. The goal of these team service events is to showcase the numerous one-time volunteering events in the area. We hope that in this manner we can encourage our members to continue volunteering throughout the rest of their lives. As evidenced from the events put together during the fall and spring semesters, our chapter can already see improvements in our service requirement. In total, Texas Alpha candidates were supposed to complete 820 hours of community service hours, instead they completed more than 1,050 hours towards the improvement of the Austin community. This continues to be a good sign that some of our candidates will continue to volunteer. A huge target for the Texas Alpha chapter is education through the K-12 initiative. Texas Alpha is always trying to increase the number of K-12 service events we undertake, such as tutoring at elementary schools or motivating young children to study engineering and science. Every year, Texas Alpha organizes science and math oriented interactive events with Explore UT, Introduce a Girl to Engineering Day, and Engineering Day at the Museum. These events are designed to increase the enrollment of young students into great universities and engineering programs. During these events, Texas Alpha has built a trebuchet, a machine used in medieval times, to launch water balloons at the kids. Through this, we are able to teach history by explaining the medieval uses of the trebuchet, physics by showing how a lever and a counterweight can fling an object in the air, and how much fun it can be to learn about both! Texas Alpha also likes to keep traditions, just like the University of Texas at Austin does. This year we continued to host the Texas Alpha Alumni Tailgate and participate in E-Week, a week-long competition between all the engineering organizations in various fun events. The Alumni Tailgate, which occurred this year during the Texas vs. Baylor football game, is not just an opportunity to have a fun time before watching the game, but also to bring current Texas Alpha members and alumni together. By playing some field games like ladder golf and cornhole, and eating great barbeque, everyone gets to interact with one another, and share stories and advice. E-Week is the Cockrell School of Engineering’s annual competition between engineering organizations. During this grueling competition, engineers from all fields compete for glory by displaying their prowess in many fun competitive events, ranging from obstacle courses to building LEGO racecars, in hopes of winning the coveted E-Week trophy. This year, for the second time in a row, TBP beat all the competition and claimed first place. E-Week helps students from different engineering majors to get a chance to know each other in a fun, leisurely setting all throughout the week on the Engineering campus. It also increases on-campus awareness about TBP when she show up to events, and helps provide exciting events that make our candidates want to get involved.

As another year passes by, Texas Alpha strives to promote integrity and excellence in engineering by continuing to have a strict and rigorous initiation process. At the same time, we also try to increase active involvement by giving incentives to continue to participate in TBP events even after initiation. This previous academic year we awarded two $500 scholarships to deserving TBP actives. Scholarship applicants submitted their “TBP resumes” outlining their involvement and service within TBP as well as a couple of short essays. During this past year, TBP officers laid the groundwork for establishing a $25,000 endowed scholarship for TBP. Over the next five years, Texas Alpha will raise the money to guarantee scholarship funds are available for future semesters. Initiatives like this one will hopefully increase the number of candidates initiated and increase the number of actives who remain involved. As Texas Alpha moves closer to its 100th year anniversary in 2016, Texas Alpha will continue to improve and initiate great candidates with the goal of presenting an outstanding bid for the 2016 Tau Beta Pi National Convention.

DESCRIPTION: I. General Description: We met for our first actives meeting of the semester to discuss opportunities to get involved with TBP, upcoming activities for the semester, and to network with other members of the society. We had a speaker from Applied Research Labs come and speak about the research opportunities available in the Austin-based research lab. There was also free dinner given to each attendee from P Terry’s, a local burger joint. II. Purpose & Relationship to Objectives of TBP: The primary purpose of this meeting was to keep initiated members of TBP active in the organization. In meeting a few times a semester, members are fully aware of all activities that TBP is organizing. This also allows members to network with representatives from the industry and advanced research facilities. III. Organization & Administration: This event was not organized with any other student organizations. The president of Tau Beta Pi spoke for about half of the meeting, and a representative from Applied Research Laboratories spoke for the other half. IV. Cost & Personnel Requirements: Applied Research Laboratories could not pay for our food, so Tau Beta Pi spent about $300 on food for our members. All 15 officers helped organize and run the meeting. V. Special Problems: There were no special problems with this event. VI. Over-all Evaluation/Results: This meeting ran relatively smoothly, and we had no trouble administering food or fitting everyone in the room. Our speaker from Applied Research Laboratories came about 30 minutes after the meeting started, but the president had so much material to cover that it was not a problem. Candidates: None Actives:

Average number of hours per person Organizing: 2 Participating: 1 DESCRIPTION: I. General Description: We held our third general actives meeting on November 1st in a large meeting room to give our actives an update about upcoming events held by Tau Beta Pi, promote networking among actives, and to listen to a guest speaker. We had the president of a local start-up company, FlowBelow, come speak to us about the challenges and benefits of starting a business. We also served a barbeque dinner to all attendees. II. Purpose & Relationship to Objectives of TBP: The main purpose of this event was to keep our already-initiated members involved in Tau Beta Pi. The presentation from our guest speaker was aimed to help our members improve themselves professionally and also network with useful contacts. The food we provided, as well as the general atmosphere of the meeting, helped provide the sense of fellowship in engineering that TBP aims to uphold. III. Organization & Administration: This meeting was not organized with any other organizations. The meeting was administered by our chapter president and by our guest speaker from FlowBelow. IV. Cost & Personnel Requirements: We spent $350 on buying barbeque for our meeting. There were no extraneous personnel requirements. V. Special Problems: There were no big special problems with this event. Our guest speaker came 5 minutes before the meeting started because traffic caused him to be delayed, and we also had our food come in relatively late (about 3 minutes before the meeting started). VI. Over-all Evaluation/Results: This meeting went really well and I think all of the actives were really interested in our guest speaker’s tips about entrepreneurship. We spent a little more than we usually do on food and I think it paid off in the amount of people that came to the meeting. Everything on the agenda ran well and we finished the meeting on time. II. Purpose & Relationship to Objectives of TBP: The event gave candidates and officers an opportunity to get to know each other better in a fun setting. III. Organization & Administration: Not organized in conjunction with another group – we just showed up at Blazertag and used their pre-established student saver deal. IV. Special Problems: RSVPs were required to make sure that there were enough drivers, only to find that almost everyone who signed up to go bailed at the last minute. This resulted in some scrambling to make sure there was at least one driver, and to double check who was still going. This being right before spring break, it was a toss-up between people having a lot of time to do stuff and people being swamped with last minute pre-spring break work, and while most people ended up falling into the latter category, there were still a few people in the first category who came out and had fun. Average number of hours per person Organizing: 3 Participating: 1 DESCRIPTION: I. General Description: Due to the successful camping trip last year, the chapter chose to do another trip this year. We went to Pace Bend State Park, about 45 minutes south-east of Austin. Our camp-site was close to the water and we had a great view of the lake. Groups of campers went rafting, hiking, swimming, and fishing. We also brought a croquet set and various balls to throw around. For dinner, campers made hot dogs and had smores for dessert. II. Purpose & Relationship to Objectives of TBP: This social event allowed our members to break out of their comfort zone and spend a night with fellow Tau Beta Pi members. In doing so, this helped promote the feeling of fellowship between members and helped initiates get more familiar with the organization. III. Organization & Administration: This event was not organized in conjunction with any other organization. IV. Cost & Personnel Requirements: Every camper was asked to pay $5, which covered the fee to get into the park, as well as the food expenses. V. Special Problems: There were no special problems with this event. VI. Over-all Evaluation/Results: The campout went very well, over-all. Austin pets Alive is a non-profit organization that runs on volunteer help, so our hours to help walk their 200 dogs saved their employees a lot of time and gave the animals a better quality of life. Average number of hours per person Organizing: 1 Participating: 3 DESCRIPTION: I. General Description: We all met up at the ETC and drove to Austin Pets Alive! together. Once we got there, we had some short instructions from one of the employees, and then we got to walking dogs! We were only allowed to walk the dogs that were old or mild tempered, and they were marked as such. Each of us would walk a dog for 15-20 minutes or play with it in one of the many fenced off areas they had, then put it back in its pen and find another. It was also a bonding experience for some of the candidates because they would talk while walking dogs or when there were no more dogs to walk. II. Purpose & Relationship to Objectives of TBP: APA constantly needs volunteers to help them with the large volume of abused pets or other pets in need, and TBP helped provide that service to the Austin community. The event also helped the Guns ‘n Roses team as well as the other candidates who volunteered bond and get to know each other, which is important for the chapter as a whole. III. Organization & Administration: Not organized in conjunction with another group. IV. Cost & Personnel Requirements: No cost. Car-pooled in 2 cars. V. Special Problems: It is a rule at APA not to let the dogs get within 10 feet of each other while walking them, and we apparently violated that rule a couples times. One of the employees there was sort of mad about that in general. Then an incident occurred where some other woman’s dog was not on a leash and had a scuffle with one of our volunteer’s dogs, and we were told that our assistance was not needed any longer that day. VI. Over-all Evaluation/Results:

Overall, the event was really fun. Most of the dogs were very lovable and the candidates really enjoyed playing with them and walking them. It was a relaxing event and very rewarding to help these dogs and show them some love, especially the old or abused ones. It was also good to experience the rules firsthand so that next time any of our volunteers goes there, we do not get scolded. I. General Description: To raise funds for our chapter operations, we decided to hold a “burger burn” on several Mondays throughout the semester. Each burger burn involved commitment from 9am in the morning (when we started set-up), until the tear-down at 2pm. We grilled and sold hamburgers, veggie burgers, and hot dogs for a small profit. Drinks and chips were also available for sale. We split up the work into 1-hour shifts, and volunteers from TBP helped with grilling, serving, and operating our cash box.

II. Purpose & Relationship to Objectives of TBP: The burger burns help promote socialization and networking among our TBP members, while also promoting our image on campus and giving us extra funds we can use. Working side-by-side with other TBP members promotes the sense of brotherhood we strive to achieve in Tau Beta Pi.

III. Organization & Administration: This event was not organized in conjunction with any other groups. We had at least 2 officers at the tent overseeing our activities at all times.

IV. Cost & Personnel Requirements: We had an average of about 8 helpers at the burger burn at any given time. All help was volunteer-based, so there were no costs involved with finding people to help us. We spent about $300 buying food and drinks for the event, but gained a net profit much higher than our initial investment.

V. Special Problems: There were no special problems with the burger burns. We had some trouble the first time we had this event with starting the grills and finding enough propane for each grill, but after gaining some experience the burger burns ran much smoother.

VI. Over-all Evaluation/Results: The burger burns were extremely successful in both earning money for Tau Beta Pi and also improving our image on campus. We made a profit of about $400 at every burger burn, which we in turn used at the end of the semester for our after-initiation banquet. Volunteers felt like the work was very relaxing and rewarding, and although the burger burns were a lot of work to organize and coordinate, the large amount of work on one day payed off very well in the long run. 4 3 DESCRIPTION: I. General Description: Tau Beta Pi hosted a booth at Longhorn Halloween, a university event for K-12 students. With the booth, TBP volunteers helped show young students how to create a small catapult using rubber bands and wooden rods. II. Purpose & Relationship to Objectives of TBP: The purpose of this event is to give back to the community, inspire young students to take an interest in engineering, and gain campus awareness as an organization. III. Organization & Administration: Longhorn Halloween was organized by the University of Texas’ Office of the President, with which we registered our TBP booth. IV. Cost & Personnel Requirements: This event requires pre-planning and pre-registration. Longhorn Halloween administrators gave us candy to distribute, but we had to purchase our own materials for making the catapults. V. Special Problems: The children are of varying age so it would be a good idea to have some catapults pre-built or at different stages of completeness so everyone can participate. VI. Over-all Evaluation/Results: This is a really fun event, and the children loved making their catapults. It is a great way for TBP to connect with younger students and make a positive impact on K-12 individuals. Make sure to sign up for the booth early as there are a limited number of spots. Page 97: Tau Beta Pi Chapter Project ReportChapter Project Report . Texas Alpha Chapter . Fall 2012 to Spring 2013 . Executive Summary. ... Through this, we are able to teach history by explaining

Explore UT is known as the largest open house in Texas. It is an event in which hundreds of younger students are shipped into UT and they get a taste for what life at college is like. Organizations set up booths at which students can learn about different activities associated with different majors. This is an extremely family friendly event at which TBP can get a lot of publicity II. Purpose & Relationship to Objectives of TBP: The TBP booth was called Medieval Engineering and we had a working trebuchet on exhibit. The trebuchet has been a part of TBP for a long time and is used to hurl water balloons at crowds of anxious children. Before we launched any balloons though, we made sure to explain the engineering principles behind the workings of a catapult system with a counter weight. III. Organization & Administration: This event was organized through the Cockrell School of Engineering Explore UT team lead Tricia Berry IV. Cost & Personnel Requirements: The only cost needed for this project was water balloons which were under $5 for the entirety V. Special Problems: After a couple of initial runs, the arm of the catapult (made of wood) snapped in half. No one was injured due to our safety perimeter around the device. This required the service coordinator to devise a new plan. A new arm was constructed out of PVC pipe and a wiffle ball launcher. The new arm worked better than the old and the crowds were able to witness some make-shift real engineering at work. VI. Over-all Evaluation/Results: The first part of the day was unsuccessful because we didn't have our exhibit up and running until about 2:00 PM. After the new arm was constructed everyone was having a blast. Parents and children alike were in awe of the balloon throwing contraption. TBP made a name for itself by solving a real world problem in a few hours.
