ly and make sure to keep the deadlines for assembly and dismantling, for additional orders, etc. in mind.

Dates and timetables

You can find the schedule for the assembly below. (Exceptions to this schedule can be discussed:

Assemblers will have to wear a coloured wrist-let which you will obtain when you enter the exhibition site.

There will be different loading areas. These zones are only for loading and unloading, parking is not allowed.

Guarantee

To avoid traffic problems next to the exhibition hall during the assembly, every exhibitor has to pay a guarantee

at the entrance of the halls. The tariff rates are:

At the entrance of the compound, the guarantee will be collected. A receipt will be given to you. A refund of the

guarantee is made if the tariff rates are respected and you leave the parking area with your receipt.

Remarks regarding the guarantee will only be accepted during the build up period and during the exhibition days.

Handling

If you need a forklift to get heavy materials on your stand, we recommend you to make an appointment with the

handling company in advance.

Machines that can’t pass through the aisles, can be placed on the stand one day

before the build up. This has to be requested ([email protected])

and is only permitted after approval by the organisation.

The dismantling of the fair shall take place on April 19th from 18:00h to 22:00h and on April 20th from 8:00h to

16:00h. Cars and small trucks (<6m) can reach the halls from 18:00h, trucks (>6m) have access from 19:30h.

There will be different loading areas. These zones are only for loading and unloading, parking is not allowed.

Please note that we recommend to remove valuable items from your stand as soon as possible,

for our suppliers start dismantling the immediately when the show closes. Statements regarding

damage or theft will only be accepted during the exhibition days and during the dismantling pe-

riod.

On exhibition days, the entrance of the exhibition hall will be opened for exhibitors 1 hour before the start of

the show.

During the process of assembly and dismantling and during the exhibition days, our Operations Coordinator will

deal with your requests and resolve your doubts. During the assembly, you can come to the exhibition office in

entry 1. At this desk you can also order additional material last minute.

In order to ensure the proper reuse of all the elements that make up the stand (walls, chairs, tables, … etc.),

those must be returned in the same condition in which they were handed over. It is not permitted to stick or

nail anything on to the walls of the stand or furniture that leaves a mark or causes damage.

Measures

Printed walls

You can personalize your stand by having your walls printed. You can do

this by ordering online the number of printed walls you would like (« Plants & de-

coration »). After that you can send your layouts to [email protected]

(before 20/03/2012). The price per panel of 1m is 100.00 euros. (Attention: It is

not possible to have the door of a storage room printed).

Please take the following points into account:

-Supply the files per panel

-Format files in finished format (visible surface) 95.4 x 240 cm no overfill, no crop marks

-Make a letter outline of all texts

-Take into account that the support between the panels is 4.55cm

-Save in PDF Acrobat 5 (pdf 1.4)

It is not possible to take the panels with you. The stickers, howerver, are your property. You will have to take

them off the walls. Stickers that are left behind and haven’t been removed of the walls will be invoiced to the

exhibitor (€25/sticker).

Space Plus module

In order to ensure the proper reuse of all the hired items, those must be returned in the same condition in

which they were handed over. It is not permitted to stick or nail anything on to furniture that leaves a mark or

causes damage.

This module does not include a furniture package nor an electricity supply. Do not forget to order your

electricity supply! Keep in mind that it is not possible to order storage rooms, walls, spots or sockets.

! It is obligatory to hand in your stand design for approval by the organisation ([email protected]).

Draw the perimeter of your stand. Use dashed lines for the open sides.

Try to give as much information as possible (corridors, neighbouring stands,…).

Draw only if you hire (via my easyFairs) sockets, electrical feeder, compressed air supply, water supply,

storage room and shelves. Send the plan by e-mail to [email protected] or by fax to +32 (0)3 280 53 54 before

04/04/2012.

Additional orders

After booking your stand you will receive an e-mail with a link for My easyFairs. With this link you will obtain

access to our website. A change of password is possible. Contact the organisation if you wish to receive the link

again.

With your My easyFairs it is possible to provide information for the online catalogue as well as ordering additio-

nal items (furniture, electricity, audiovisual material,…). You can find more information regarding the use of My

easyFairs in the marketing manual on pages 6 and 7.

The website only shows a limited part of the available furniture. You can find all available furniture on

www.exporent.be. Furniture that is not on My easyFairs can be ordered by sending an e-mail to

[email protected].

Parking tickets will not be sent in advance. You can collect them at our exhibition office during the assembly.

Parking tickets that have not been collected during the assembly days, will be handed over to the guard at the

entrance of the parking lot on the first exhibition day.

Deadline: additional items can be orderd until 04/04/2012.

Items ordered after this deadline will be subject to a price increase of 30%.

The webshop on My easyFairs will be closed on 11/04/2012. After that you can only place additional

orders at our exhibition office during the assembly. easyFairs does not guarantee that all items are still

available during the assembly.

Technical conditions

All visible sides have to be properly finished.

Use of beamers and light effects are only allowed inside the stand and only when they do not cause nui-

sance to other exhibitors.

Commercial activities outside the stand have to be approved in advance by the organisation.

Gas cylinders are only allowed upon written request and approval by the organisation.

Music is only allowed when it does not cause nuisance to the other exhibitors

Cars are not allowed in the hall.

Any roof construction has to be approved by the organisation

It is prohibited to drive nails or screws into the walls or to drill them. Damaged walls will be invoiced to

the exhibitor. (€50/wall)

Demo material has to be put in the stand, not in the aisles.

Exchange or refunding of the standard furniture package or rented material is not possible.

Cancellation of rented items will be invoiced by a cancellation cost:

—> untill 2 weeks before the show: 50% cancellation costs

—> 1 week before the show: 100% cancellation costs

The organisation has the right to remove all items whatsoever and at all times that cause inconvenience to

the organisation or to other exhibitors.

The organisation is not responsible for loss or theft.

Garbage that is left behind after the fair will be invoiced to the exhibitor. (€12.50/m³)

‘‘ Is your stand larger than 72m²?

From now on it will be obligatory to have a fire extinguisher in your stand. Exhibitors who do not have a fire

extinguisher can contact De Roeve (tel. +32 (0)2/474 85 85—e-mail : [email protected]). An

acknowledged organization will verify the presence of a fire extinguisher during a general safety check.
