Mailroom Best Practices

We would like to remind everyone of best practices for Mailroom services.

Mail Interoffice mail: when using large, manila interoffice envelopes, mark out previous names, and/or departments on the envelope, to be sure that only the department you wish to be the recipient is visible. You may use a name, but a department is required. Inadequate information results in delay of proper delivery. Smaller, letter sized, envelopes must be placed inside a large, manila, interoffice envelope to prevent it from getting mixed up with outgoing mail. Outgoing mail: the department and/or division name(s) must appear in the return address section of the envelope, and, as above, if inadequate information is supplied, staff will need to open the mail to determine the correct department, which may result in a delay in the mailing of the item. Sealed envelopes should be separated from unsealed envelopes to prevent jamming in the postage machine. When placing multiple letters in the large mailbox in Building A’s mailroom, the envelopes should be rubber banded together. Before placing large mailings in Building A’s mailbox, please notify Mailroom staff so a cart can be brought over to transport mail to Building B. International mail must be separated from domestic mail to ensure that it reaches its destination and is not returned due to inadequate postage. To prevent jamming the postage machine and envelopes getting damaged, sealed and unsealed envelopes should be

separated from each other. To avoid mail being returned for too little postage, be sure to separate letters by thickness. An updated MAILROOM SERVICE REQUEST form has been included for your convenience. Completely fill out the form when submitting with your job. Most required information is self-explanatory, however, please note: The space for “Number of Originals” must be filled out for a proper count for the Budget Office. The space for “Account/Project #” -Use your three-digit department number for the account number or list the project number if you have one.

Reserving the Conference Bridge When reserving the conference bridge, dial the Mailroom at either extension 1414 or 1420. Staff will reserve the bridge if there is availability at the desired time. You will be asked the name of the conference call and how many callers that you expect. Inform your callers to dial 772-567-8000 and ask to be put in to the conference call. On the day and time of the reservation, call the switchboard a few minutes prior to the reservation to be on the bridge and greet the participants as they call in.

Recycling Toner Cartridges You may bring used toner cartridges to the Mailroom in Bldg. B for recycling in the Purchasing Warehouse, however, do not leave any in the Mailroom in Bldg. A.

CONFERENCE CALLS: To conference three telephone lines together, see 3-Way Conversation. To conference four to 12 telephone lines together, contact the Telecommunications Office (226-1318) to schedule use of the conference equipment and receive instructions. SWITCHHOOK OPERATION: Switchhook - buttons where handset rests when not in use. “Depress Switchhook” - <S> - means press down firmly as far as it will go and then release immediately. Flash - some telephone sets have a flash button to accomplish the “depress switchhook” function. Use the flash button where available. <S>or FL - means “depress switchhook” or flash. TONES: The NEC SV-9500 PBX telephone system generates a variety of tones as indicators of certain conditions. Listed below are the most common tones that will be encountered with the current set of options enabled in the equipment. In trouble-shooting a problem situation, knowing the kind of tone you get can help in resolution of the problem. Dial Tone (DT) - a continuous, steady tone Special Dial Tone (SPDT) - same frequency as dial tone but intermittently pulsating 240 times per minute Busy Tone (BT) - tone intermittently pulsating 60 times per minute Reorder Tone (RT) - tone intermittently pulsating at 120 times per minute Service Set Tone (SST) - a continuous 440 Hz tone FREE CELLULAR CALLS TO THE ADMINISTRATION BUILDING AND NETWORKED LOCATIONS:AT&T provides a means for making free cellular calls on their systems to the County Administration Building. If you are an AT&T wireless customer with a local calling area that includes Indian River County, you are in your prescribed local calling area, and you are in a location where your cell phone is not indicating a roaming condition, you should be able to dial *IRC and be connected to the County Administration Building with no airtime charge. You can then enter the desired extension number at the County Administration Building or networked location (see below) NETWORKED LOCATIONS Several of the telephone systems throughout the County are now networked and extensions in networked switches can call each other using only the 4-digit extension number.

COURTHOUSE, LIBRARIES, 43 AVE ANNEX, ADMINISTRATIVE ANNEX The voice mail at these locations is provided by a NEC UM 4730 VMS Voicemail/Auto Attendant system located at the Courthouse. To access the voice mail from your extension, call 4800 and follow the prompts. To access the voice mail system externally, call 770-5185 and at the greeting enter 9 plus your mailbox number (generally your extension number) and follow the prompts. Dial Access codes for things such as call pickup and call forwarding may vary between locations. If you encounter problems with these functions, please call the Telecommunications Office at 226-1318. GENERAL INFORMATION PBX stands for Private Branch Exchange. A PBX is the equipment that switches and routes calls internally and externally and provides dial tone for the internal users. The internal users share trunk lines to the local AT&T Central Office. Private Branch Exchange is the generic name for this type of equipment. You might also see other names used by various vendors such as Private Automated Branch Exchange (PABX), Computerized Branch Exchange (CBX), Digital Branch Exchange (DBX), Integrated Branch Exchange (IBX), or Nippon Electric Automated Exchange (NEAX). NEC-VM 8700 VMS: Voice Mail/Auto Attendant system at County Admin. Please refer to the NEC-VM 8700 VMS User Guide for information and instructions regarding Applied Voice Technology. This material should already be available in each department that has access to this system. Quick reference information is included in this directory. LOCAL CALLS: Dial “9" to obtain an outside line for all local calls. Also Dial “9" when placing 1-800 (or 888, 877, etc.), collect, or credit card calls. Directory Assistance: The use of Directory Assistance is costly. Employees are encouraged to use alternate ways of finding telephone numbers. The costs incurred for Directory Assistance are monitored. Abuse may be result in charge backs to the Department or individual.
