Thanks for calling in and listening to our webinar on Data Reporting Requirements for NYSAA Computer Based Testing. The reason for this webinar is to make sure that districts are aware of the data reporting requirements needed to supply the NYSSA testing vendor with student information within a very short 2 week timeline. Much of the information that we have today is primarily for NYSAA, but we are presuming that the procedures that SED is describing now will be very similar to the CBT for grades 38 Field testing through Questar. This webinar is NOT for teachers, or how to administer the test or how to score the test. Thanks for calling in and listening to our webinar on Data Reporting Requirements for NYSAA Computer Based Testing.

So we are here to share the information we have so far, and answer any question you may have on the data reporting requirements that are due by Dec 3.

Lets start off with some basic information.1. The NYSAA Computer Based testing vendor is DLM Dynamic 

Learning Maps. 2. Only NYSAA ELA and Math will be computer based.3. Science and Social Studies will be administered on paper4. The Computer based Testing window begins March 21 and 

ends June 3.

SED will be sending the files you load into the Data Warehouse (Level 0) directly to the computer based NYSAA Testing vendor DLM.

This upload will occur only 1 time, on Dec 3. 

That means that any changes to student and teacher data between Dec 4 and the test administration start date of March 18 must be made directly on the DLM Testing Platform.

Let’s talk about what data SED will be pulling from Level 0 / Level 1.

All students taking a NYSAA will need a demographics, enrollment, program service records, and some will need a SSC file.All students taking a NYSAA anywhere in your district or in BOCES, need to be properly coded as ungraded 13 or ungraded 14 in Level 0 / level 1

All students taking a NYSAA anywhere in your district or in BOCES, need to have a beginning enrollment code of 0011.

Some districts accept NYSAA students from other school districts. Those few districts will code these out of district nysaa students as 0055. This is rare and not many districts have this.

All students taking a NYSAA anywhere in your district or in BOCES need a Program service code of 0220All NYSAA students need a disability

SSC – is NOT for all NYSAA students anywhere. Districts only need to load a SSC file for those students taking a NYSAA physically in your district. You do not need to send s SSC for students attending BOCES. BOCES will submit a SSC for their own teachers and students.

Lets discuss State Course codes for SSC for NYSAA courses. Since this is a ELA and Math

assessment, the vendor, DLM is requesting 2 course codes, one for ELA and one for Math. SED will pull any generic (non assessment) ELA and Math course code for SSC. A course mapped to the state course code of Life Skills will not be pulled. 

We have received a lot of questions on this topic.  We have created a list and sent it to SEDfor answers. As soon as we get it, we will let you know and post it to the wesbite.

SED will be pulling teacher e‐mail addresses from the TAA/ePMF system.

Please remember that some districts recommended that teachers use personal e‐mails for the TAA accounts, so it would be easy to deactiviate accounts when and if they moved out of the district.

In that case, districts may want to use the modification period, to go into the DLM testing platform and change the teacher e‐mails to the district e‐mails.

OK – we have received a lot of calls about the role of the District Test Coordinator. Unfortunately, we have not received any more information than we received in the first memo. As far as we know, the District Test Coordinator will be responsible for making any changes in the Vendor specific Testing platforms. That would be DLM for NYSAA and Questar for 3‐8.Districts may assign 2 different people to that role. We encourage everyone to do that.

If you don’t submit this by Dec 4, SED will automatically assign the Superintendent to that role, and we don’t want that to happen.

Keep in mind that the District Test Coordinator will be the one making all of those changes on the DLM testing platform for students and teachers that occur in between the period Dec 3 and March 18.

It is my understanding that the special ed admins have been doing this type of things for years in the scoring of NYSAA assessments. Please go back and have conversations in your district as to who would be the best person to be responsible for making the changes in the 2 testing systems. Remember, you district can assign 2 different Testing Coordinators, one for the NYSAA Administration, and one for the 3‐8 Questar administration.

There is one more important fact that we’d like to make you aware of.

There is no sharing of information between the DLM software and Level 0. This means there may be many changes between now and March 21. 

These changes will NOT automatically flow to level 0. 

Try to be kept informed of any changes that are occurring , that way you can make similar changes to level 0.

Make sure you submit your selections by Dec 4 – 2 weeks from now.

Please be on the lookout for another computer based testing memo, that should be out shortly. 

The memo should include information on teacher training and more technical specifications for the testing software.

So districts have 3 opportunities to load this data:Today, next Wednesday – we are closed Thursday and Friday for thanksgiving, and, lastly next Thursday Dec 3 will be the final opportunity to load this data to SED.

But keep in mind that Dec 3 is not the end all be all cut off date.

Remember, that there will be a modification period where districts will have to go directly into the DLM testing Platform and manually add new students who may have arrived into the district after Dec 3.

To summarize what is due by dec 3:All students taking a NYSAA, either in house or at BOCES, need a Demographics, enrollment, program services and a disability record

Those students being taught and being assessed in‐district will need a Staff Student Course.

BOCES will provide a SSC for students in their programs taking the NYSAA.

NYSAA courses must be mapped to generic ELA and Math state course codes.  A State Course code mapped to Life Skills will not be pulled from SED.

We have received a lot of questions. We will post the question and answer document on this webpage as soon as we receive the answers from SED.
