The constitution of the Students’ Union UCL Folk and World Music Society 1 Name 1.1 The name of the society shall be the Students’ Union UCL Folk and World Music Society 1.2 The society shall be affiliated to Students’ Union UCL. 2 Statement of Intent 2.1 The constitution, regulations, management and conduct of the society shall abide by all Students’ Union UCL Policy and shall be bound by the Students’ Union UCL Memorandum and Articles of Association and Byelaws, the Club and Society Regulations and the Club and Society Procedures and Guidance, laid out in “how to guides”. 2.2 The club/society stresses that it abides by Students’ Union UCL Equal Opportunities Policies, and that club/society regulations pertaining to membership of the club/society or election to management of the club/society shall not contravene this policy. 2.3 The Club and Society Regulations can be found at the following website: www.studentsunionucl.org 3 The Society Committee 3.1 With the exception of the roles of President and Treasurer, committee roles may be held by more than one person. The constitution of the Students’ Union UCL Folk and World Music Society

1 Name1.1 The name of the society shall be the Students’ Union UCL Folk and World Music

Society1.2 The society shall be affiliated to Students’ Union UCL.

2 Statement of Intent2.1 The constitution, regulations, management and conduct of the society shall abide

by all Students’ Union UCL Policy and shall be bound by the Students’ Union UCL Memorandum and Articles of Association and Byelaws, the Club and Society Regulations and the Club and Society Procedures and Guidance, laid out in “how to guides”.

3 The Society Committee

3.1 With the exception of the roles of President and Treasurer, committee roles may be held by more than one person. Members who wish to share a role must run for the role collectively.

3.2 Unless in extraordinary circumstances, any one member may only assume one role within the committee.

3.3 Role descriptions are defined as follows:

3.3.2 Treasurer 3.3.2.1 The Treasurer’s primary role is laid out in section 5.8 of the Club and Society

Regulations.

3.3.3 Ceilidh Band Manager 3.3.3.1 Responsible for the running of UCL Ceilidh Band3.3.3.2 Responsibilities include: booking clients; managing the ceilidh band calendar;

rehearsing the ceilidh band, weekly; ensuring that each booked ceilidh is successfully executed in the most professional way possible.

3.3.3.3 The Ceilidh Band Manager is also partially responsible for the upkeep and use of the society’s audiovisual equipment.

3.3.3.4 UCL Ceilidh Band also has social media platforms, and the manager is partially responsible for maintaining these.

3.3.4 Social Secretary 3.3.4.1 Responsible for organising social events for the society3.3.4.2 Partially responsible for organising the Welcome Week activities for the

following academic year.3.3.4.3 Partially responsible for the well-being of the society’s members. It is not their

responsibility to retain confidential information, or to provide advice or assistance, but rather to provide a link, if needed, between members and the committee and/or Students’ Union UCL.

3.3.5 Audiovisual Officer 3.3.5.1 Responsible for the upkeep, and use of any owned, or hired audiovisual

equipment.3.3.5.2 The officer will see that societal events are supplied with necessary sound and

lighting equipment, within the financial abilities of the society.3.3.5.3 The technical aspects of the society’s radio show will also be arranged by the

officer.

3.3.6 Equality and Welfare Officer 3.3.6.1 Responsible for the enforcement of the society’s, and Union’s, equal

opportunity policy.3.3.6.2 The officer is responsible for identifying and attempting to rectify any

discrimination within the society.3.3.6.3 Organise welfare awareness events.3.3.6.4 Organise events that are targeted at marginalised, or minority groups with the

Union or University.3.3.6.5  Advertise themselves as a point of contact for all students in the society and

sign-post to possible professional contacts in the university where necessary.3.3.6.6 Partially responsible for the well-being of the society’s members. It is not their

responsibility to retain confidential information, or to provide advice or assistance, but rather to provide a link, if needed, between members and the committee and/or Students’ Union UCL.

3.3.6.7 The welfare officer will not be expected to provide professional advice themselves nor will they be permitted to; their role is primarily to sign-post.

3.3.7 Media Officer 3.3.7.1 Responsible for the maintaining and use of the society’s many media

platforms.3.3.7.2 Responsible for the design and publication of promotional material for societal

events.

3.3.8 Bands and Gigs Manager 3.3.8.1 Responsible for forming, encouraging and supporting bands within the society.3.3.8.2 Responsible for arranging performance opportunities as part of the society

events calendar, and outside of UCL.3.3.8.3 Responsible for organising the weekly Folk and World Mondays gigs.3.3.8.4 Has an integral role in planning any shows and productions that the society

puts on throughout the year.

3.3.9 Workshops Manager

3.3.9.1 Responsible for organising the wide range of open, and exclusive workshops that the society puts on.

3.3.9.2 Responsibilities include: contacting potential tutors, guests and speakers; arranging, publicising and facilitating workshops.

3.3.10Freshers’ Representative 3.3.10.1 Responsible for ensuring that new society members, particularly new

students to UCL, are integrated into, and provided with equal opportunities within the society.

3.3.10.2 Though not essential, this role should ideally be held by a new member or new student (‘fresher’).

3.3.10.3 Shall present new members’ views to the committee.3.3.10.4 Partially responsible for organising the Welcome Week activities for the

following academic year.

3.4 Management of the society shall be vested in the society committee which shall endeavour to meet regularly during term time (excluding college reading weeks) to organise and evaluate the society activities.

3.5 The committee members will perform the roles as described in section 5 of the Students’ Union UCL Club and Society Regulations.

3.6 Committee members are elected to represent the interests and well-being of society members and are able to be held to account. If society members are not satisfied by the performance of their representative officers, they may call for a motion of no-confidence in line with the Students’ Union UCL Club and Society Regulations.

4 Terms, Aims and Objectives4.1 The society shall hold the following as its aims and objectives.4.1.1 To provide an inclusive environment for the learning, practicing and performing

of folk, world, and traditional music and dance.4.1.2 To provide a platform for performers at UCL.4.1.3 To provide a welcoming space for socialising.4.2 The society shall strive to fulfil these aims and objectives in the course of the

academic year as its commitment to its membership.4.3 The core activities of the society shall be: 4.3.1 Performance opportunities, including weekly gigs.4.3.2 Ceilidhs, within and outside of UCL.4.3.3 Workshops.4.3.4 Weekly jamming sessions.4.4 In addition, the society shall also strive to organise other activities for its

members where possible: 4.4.1 Dance lessons4.4.2 Radio show

4.5 This constitution shall be binding on the society officers and shall only be altered by consent of two-thirds majority of the full members present at a society general meeting. Activities Network Executive shall approve any such alterations.

4.6 This constitution has been approved and accepted as the Constitution for the Students’ Union UCL Folk and World Music Society. By signing this document, the President and Treasurer have declared that they have read and abide by the Students’ Union UCL Clubs and Societies Regulations.
