User Units Administration Procedures
Operation of the Scheme
To advise, guide and assist students in participating in the Scheme.
To provide students with Record Books and other Award literature, to arrange insurance coverage, and to obtain parental consent for students’ entry to the Scheme.
Responsibilities of User Unit Leaders
To organise Award activities, trainings and assessments for participants and Award Leaders.
To check Record Books, to apply for Awards and to present Bronze Awards to participants.
To keep close contact with S.O.A. To keep and update on records of
participants and Award Leaders, and to inform S.O.A. for staff movement in the User Unit.
Responsibilities of User Unit Leaders
To give clear instructions on school leavers to continue taking part in the Scheme.
To ensure that the operation of the Scheme in User Units meets the requirements stated in the Award Handbook and that the standards of Awards are upheld all the times.

Notification letter from HQs to Awardees about the details of Silver Award Presentation (2 Presentations per year) will be sent in a later stage.
Awardees will be presented with Certificates and Pins at the ceremony.
Application for Gold Award
Participants who completed their Gold-level activities should hand in their Record Books and log books / certificates to S.O.A. for endorsement.
S.O.A. will verify the applications and then submitted to AYP HQs for final approval.

Notification letters from HQs to Awardees about the details of Gold Award Presentation (Annually) will be sent in a later stage.
Awardees will be presented with Certificates, Pins and Record Books at the ceremony.
What should I do if a participant wants to
withdraw from AYP/SOA ?
Withdraw from the AYP/SOA
Fill in Form AYP008 and state the reasons 。 (This form should be forwarded together with participants’ Record Books)
Those who are going to study or stay abroad should indicate clearly the overseas address in the Form.
If the UU Leaders agree to continue to take care of the school leavers, there is no need for them to withdraw from SOA.
A participant goes to another school, what should I do ?

Candidate should bring along his/her Record Book, an explanation letter and re-issue fee (crossed cheque) to S.O.A. . All paid fee is not refundable and HKAYP would not guarantee the success of replacement of pins / certificates.

Insurance Plan
Group Personal Accident Participants are insured against bodily injury caused solely and
directly by violent accidental external and visible means, or in case of death or disablement, the cause of which whilst engaging in any Award activities, including Service, Expeditions, Skills, Physical Recreation and Residential Project.
Insurance
Aged : 12-26 (participants) Region : within Hong Kong (1) Death HK$40,000.00 (2) Permanent total disablement HK$40,000.00 (3) Permanent partial disablement depends on the degree of disablement. (4) Medical expenses HK$2,000.00
N.B. * The Insurance Company is NOT liable for the first HK$100.00 of medical expenses. * Items (2) & (3) are NOT applicable to the handicapped participants.
