AccommodationThe Scout Holiday Homes Trust has a range ofmodern caravans designed especially for familieswith special needs. All units have access ramps,wider doors, wheelchair accessible wc/showerroom and easy access to the dining area. Whileall caravans are wheelchair accessible, mosthave catering and kitchen equipment atstandard height. Three caravans have wheel-inshowers and sleep up to 7 people. The otherunits accommodate five or six people in comfort,and with access for one standard designwheelchair. Accommodation layouts differ, sobefore booking please look carefully at thedetails included with this brochure to make sureyour choice is suitable for you. We would adviseyou to ring the Trust office before making anybooking.

When holidays are a problem...Everyone needs a break from the daily routine especially a family in need. This could be a family witha frail relative to care for, someone with special needs or perhaps a single parent managing on theirown. The Trust provides accommodation for a valuable break for any family or group in which thequality of life is diminished by disability, infirmity or misfortune. Families can often have difficulty infinding a holiday destination with the right facilities at an affordable price.

...we could be the solution!The Scout Holiday Homes Trust was founded by former Scouts to provide accessible holiday homes forall families with special needs. The Trust maintains a luxury chalet and caravans at a variety of familyholiday centres across the country. No scouting connection is required for any of the Trust’s holidays.Self-catering is made easy with a well-stocked shopping area at each holiday park and an excellentpub or restaurant for eating out. All parks have laundering facilities and most have hire shops. OurLocal Management Teams will do their best to make you feel comfortable and welcome. Volunteeringtheir time, they are on hand in an emergency and may also be able to greet you on arrival.

BookingsCaravans and chalets are let by theweek – Saturday to Saturday. VAT atthe current rate is included in thecharge. Sites are normally open fromEaster to the end of October, althoughgenerally full facilities and entertainmentprogrammes do not start until May andclose in September. The holiday parkdetails are the Trust’s interpretation andif any facilities are important to you forthe enjoyment of your holiday pleasecheck direct with the park beforebooking.

The Trust’s caravans and chalets aresuitable for a person with special needssupported by family or carers. It isadvisable that the units have at leastone able-bodied person, and if this isnot possible for any reason, the TrustOffice must be informed of thecircumstances prior to the holiday. Thechoice of holiday park is yours but wesuggest you contact the TrustAdministrator for advice on the park’ssuitability for specific disabilities, beforemaking a definite commitment. This isessential if there is a fully wheelchair-bound person in your party as there areso many differences in our units andparks, and we do not want todisappoint you.

The units are not recommended forpeople who are totally dependent on awheelchair for mobility. Pleasecontact the Trust Office before bookingif there is more than one wheelchairuser in your party. All the units areramped and the internal arrangementsare suitable for standard manualwheelchair access, except wherementioned in the additional detailsleaflet. The units do not have liftinggear, although there are some ceilinghooks or ceiling grab handles in some ofthe bedrooms, as indicated on theadditional details leaflet. Kitchen unitsare at the normal standard height withthe exception of 22 Avalon Way atBurnham-on-Sea Holiday Village, wherethey are at wheelchair height. Kitchenand cooking equipment has not beenadapted.

BookingCompleted application forms togetherwith a non-refundable deposit of £60per week must be received within 10days if a provisional booking has beenmade, plus a £20 per weekcancellation insurance fee if required.This cancellation insurance means thatin the event of a cancellation, thebalance is waived when the deposit onlyhas been paid; or if the holiday hasbeen paid for in full, the balance will bereturned to you (ie full cost of holidayminus deposit and cancellationinsurance fee). Please note that thecancellation insurance does not coverthe deposit. Notification of cancellationmust be made to the Trust Office atleast 36 hours before thecommencement of the holiday (ie forholidays commencing on Saturday,notification must be made beforemidday on Thursday). Any holidaycancellation notified after this will notbe subject to a refund.

If you decide not to pay for the Trust’scancellation insurance, cancellation atany time after booking will mean thatthere will be no refund; and if youcancel within a calendar month of thestart date of your holiday, then you willbe liable to pay the full cost of theholiday. There is no refund for specialprice holidays.

Only people named on yourapplication form are permitted to stayovernight in the Trust’s units. Namesand addresses (and ages of anyoneunder 21) must be logged with the TrustOffice before the commencement of theholiday. If this legal requirement is notmet, the booking will be terminatedimmediately and you will be asked toleave with no refund.

Please note that once the holidaybooking is confirmed any change to thedetails on the application form will incuran administration charge of £60.00.This includes any additional peopleadded to your original booking orchange of people going on your holidayor change of holiday date.

Holiday ContractA contract between you and the Trust ismade when the Trust accepts yourbooking and deposit payment by issuingwritten confirmation. The contract bindsyou and all the members of your party.It is your responsibility to ensure that allmembers of your party accept theseterms and conditions of booking.Failure to disclose all relevantinformation or comply with these termsmay lead to termination of the contract,and loss of the booking.

Paying the balanceThe balance of the full amount must bepaid at least one month before theholiday date. If full payment has notbeen received by this date, the holiday issubject to automatic cancellation.

Arrivals and departureOnce your booking form is received andyour booking confirmed, the LocalManagement Secretary at your chosenvenue will send details of the sitearrangements and other helpfulinformation. Depending on the park,you will be able to pick up the keys toyour holiday home between 2pm and3pm on the Saturday you arrive and findeverything ready. You must makespecial arrangements if you wish toarrive after 6pm.

On the Saturday of your departure, inorder to prepare for the incomingvisitors for the next letting, you areasked to depart between 10 and 11am.The exact time will be advised whenyour holiday is booked.

Trust & Park RulesThe Trust retains the right to refuseadmission, and the right to eject anyoccupants who cause a nuisance,disturbance or damage in respect of theTrust’s property, the surrounding area orholiday park; or do not adhere to theTrust’s conditions of letting or theHoliday Park rules. The Trust reserves theright to terminate a holiday withoutcompensation if the behaviour ofanyone using the Trust’s units or theirguests impair the enjoyment, comfort orhealth of the Holiday Park’s guests. Thecurrent conditions and rules can beobtained either from the holiday park orthe Trust Office.

PetsWe are sorry that no animals can bepermitted in our units, and this includesany that visitors may bring. However,we will accept guide dogs subject toagreement with the Trust Office and theholiday park.

AccommodationPlease take your holiday bookingreceipt with you on holiday as you canuse this to prove your identity on yourarrival at the Holiday Park. Each unit isfully furnished but sleepingarrangements may differ because of theunit layout. Details will be provided forthe location of your choice.

All units have hot and cold water, a gasor electric cooker, microwave oven,refrigerator, colour TV/video or TV/dvd,heating appliances, essential cutlery,crockery and utensils. There is abathroom with a toilet, shower andhandbasin. We supply pillows, blanketsand duvets – you must supply your ownpillowcases, sheets, duvet covers, teatowels and towels. Although there maybe duvet covers on our duvets, these areto protect the duvets only, and you must

use your own covers or sheets with theduvets.

It must be understood that we offer afamily service. Bookings made by aperson under 21 will not be accepted.Site operators may not allow units to belet out to a single-sex group. No morethan six people or seven in the largercaravans, including babies, may stay in aunit – a party of more than that numbermay be refused access.

As Local Management Team membersare all volunteers, it would beappreciated if you leave theaccommodation in the condition youwish to find it and let them know if youintend leaving earlier than stated. If theunit is left in a dirty state, then you willbe charged for the cleaning. Anybreakages and damage (however minor)must be paid for, and the TrustAdministrator must be notifiedimmediately.

The Trust Office will provide you withemergency contacts for use during yourstay. If you are unhappy about the unitplease contact The Trust Administrator orthe Local Management Team Secretaryimmediately on arrival in order that theTrust has the opportunity to rectify theproblem. Please note that for anycomplaints or claims arising during yourholiday the Trust cannot accept anyliability if you fail to notify the TrustOffice immediately the problem arises.Also, full details in writing are requiredto be sent to the Trust Office within 7days of the end of your holiday.

The Trust will endeavour not to changethe date or cancel your booking, but inexceptional circumstances this may benecessary.

The Trust will inform you of the changeof date or cancellation as soon aspossible and give you the followingoptions:

a) accept the replacement holidaycomparable or superior to the onebooked, or

b) choose an alternative lower pricedreplacement Trust’s holiday with thedifference in price between thereplacement holiday and the holidaybooked being refunded, or

c) accept a full refund.
