Information SecurityMaintaining the security of our clients’ data is our highest priority. Following a rigorous certification and audit process, Carlton Fields earned ISO/IEC 27001:2013 Certification, the most widely adopted information security standard in the world, and the highest level of security-related accreditation a business can achieve. ISO 27001 certification is an important part of our firm’s overall security strategy, and demonstrates our commitment to investing in the technology and training necessary to protect our clients’ confidential business matters.

Litigation SupportAt every stage of the litigation process, we use technology to ensure efficiency. Our attorneys and staff are trained on a wide range of user-friendly solutions that aid with tasks from early case assessment to the presentation and management of evidence at trials, arbitrations, and mediations. For example, our in-house resources include document review platform Relativity, the leader in eDiscovery software. Our suite of state-of-the-art solutions rely on advances such as artificial intelligence (AI) to increase reliability, save time, and reduce client costs.

Transactional SupportThe ability to collaborate in a secure environment is critical to legal and client teams engaged in transactions, and to those conducting due diligence related to financings. To assist with these and other transaction-related tasks, we use a range of solutions including the latest AI-based advanced document technology, virtual data rooms, extranets, client portals and dashboards, and file sharing tools. As a result, our attorneys can maximize their efficiency to provide savings for our clients.

Reducing Time and Cost for Data Collection and PreservationIn a large trademark infringement case that required the preservation and collection of one terabyte (TB) of data, or about 7 million documents before de-duplication and 3.7 million after de-duplication, our practice technology team worked directly with our client’s IT department to effectively and efficiently collect all electronically stored information (ESI) including emails stored on the

Maximizing Cost Savings with Secure Data Storage We defended several former directors and officers of a bankrupt non-profit organization against threatened claims by the bankruptcy trustee. Other law firms represented additional targets. In preparation for a mediation, the defense firms needed to review significant amounts of ESI. Our practice technology group processed and hosted several hundred gigabytes (GB) of data for this review, and provided access to our firm, two other defense firms, and the insurance company. Each of these parties had its own secure workspace. We did this without increasing storage requirements, which meant neither hosting nor processing costs were increased. Current savings as a result of this approach are around $40,000. But this project is ongoing and the total savings continue to increase by about $3,500 per month.

Meeting Tight Deadlines and Budgets with Technology Assisted Review Our practice technology group processed and hosted approximately 12 TBs of ESI data in connection with the defense of threatened claims against directors and officers of a bankrupt public company. The defense involved multiple law firms, each of which was given access to individual secure workspaces to review, analyze, and code the ESI for their respective clients. We culled the data aggressively, which allowed us to reduce it to 2 TB, which still represented millions of documents. Faced with a tight deadline, we used technology assisted review to get through the data quickly. The savings to the client were in the six to seven figure range when compared to costs associated with a more traditional review process. Each of the multiple defense firms involved was able to keep its work product private, while still sharing the data they selected with the other firms. This was a complex task, and several vendors told us they could not do it without creating multiple databases, which would have multiplied the cost by the number of firms involved. By working with our preferred vendor we were able to determine a solution that provided the security requested, without increasing the cost.

And the materials’ clean chain of custody gave the client safeguards against inadvertent spoliation of documents that might be discoverable. After the information was collected, our practice technology team worked to upload it into the database and helped our attorneys formulate search terms for both our client’s documents and those of the opposing party. Our practice technology team included an attorney with private practice experience, who provided considerable added value.
