There are no precise rules to publishing acalendar. What works for some, doesn’t workfor others. With over 100 years experience ofprinting and publishing (our first calendar waspublished in 1908), Judges have shared manyan experience when dealing withcalendars – both good and bad!
This brochure is merely a means ofsharing these various experiences and tooffer you advice and answer some of themore commonly asked questions.

Why do calendars sell?Market research has shown the following fourfactors are the reasons why a calendar sells.They are listed in order of importance.

In doing your preparation you shouldconsider who will organise the productionof the calendar, where will it be sold and atwhat price.

In preparation, consider timings.Work back from when you want the calendarsto go on sale. The printer normally needs about8-10 weeks production time.We can work to shorter lead times to meetrequired scheduled dates.

How long will it take to source the images?
How long to prepare the text?
Quite often you will be working 2 years aheadof yourself, e.g. in November 2013 you will beworking on a 2015 calendar.
Consider getting your calendars on sale early fortourists, overseas marketing and summer events.
Where will the calendar be sold?The calendar needs as much exposure aspossible. Although it may be an obvious and usefuloutlet, do not rely on your office reception or ownoutlets - you only get your regular visitors here.

Design is probably the most interesting part ofproducing the calendar, allowing for yourcreative input.
There is nothing more rewarding than seeingall your hard work in print for the first time.
People want to buy a calendar that is both appealingand practical.Consider where the calendar will be used:

Various styles, formats and materials areavailable, ranging from the ever popular‘Tear off Postcard’ calendar, Desktop and CDCase calendars, through to large A3 pictorial wallcalendars.

ThemesThe theme of calendars available today is vast.Whatever your interest: the football team yousupport, or the pet you own, or the celebrity youfollow, there is probably a calendar for you.Obviously, if you are a cat charity, yourcalendar will include cats, but otherorganisations have a wider range of subjects tochoose from.An art society for example can choose aparticular subject matter or theme on which tobase their artwork.A village society could choose a different aspectof the local area on which to focus, and also varythe medium used, e.g. Around...., Historic....,Picturesque....

Local hospices or charities, although wishing tokeep the local theme running, can be fairly creativein their titling and medium used.
They can use as a source of material:
- Local photographers
- Photographic clubs and societies
- Art groups
- Museums
- Local newspaper (run a competitionamongst readers)
- Local Council - (Planning and MarketingDepartment often have images)
- Art Colleges
- Schools - children’s artwork can be a verycommercial option
- Supporters/members of your organisations
- All pictures normally carry a credit to thephotographer/artist on the front or back.Keep the images attractive and appealing.Remember how long they will be on view.
One organisation, who shall remain nameless,were so proud of 12 new shops they hadopened, that they put each of them on a monthof a calendar. Not very appealing and needlessto say, not a success.
If all else fails, remember the intrepid ladies ofRylstone Women’s Institute.If you consider this option don’t forget to inviteus to the photo shoot!

Unfortunately, this is probably the last reason that thecalendar will sell. Your hard core of supporters needto be made aware of the calendar and targeted.
In addition, consider the calendar as a marketing toolin introducing your organisation to a new audience.The purchasing of calendars is very habitual.More often than not a successful calendar will stimulatea repeat purchase the following year.

SponsorshipThis is one of the biggest growth areas for charitiesin the calendar market.
Pages for the entire calendar can be pre-soldto businesses.
Obviously the more calendars you order, thebetter leverage you will have to seek more money,but remember that an advert will have up to 31days exposure in offices, kitchens, studies andreception areas.Price your charges accordingly.
Logos and adverts are normally supplied either ondisk or scanned directly from a letterhead.Please see ‘Further Information/Disk to Print’for exact specification.
These can appear at the top of the calendar,or just below the date grid.
Alternatively an extended advertising page canbe bound to the base of your standard calendar,offering all year exposure to supporters.
The larger format calendars do of course offermore space and alternative positions for adverts.
Once a business has sponsored the calendar,it is likely that you will be able to sell them someto give to their staff or clients as gifts.
If using recipes supplied by local restaurantsor pubs, the calendar can be used as a voucherfor them to redeem at certain times of the year inassociation with certain offers/conditions.
Likewise, if garden centres supply hints,you would expect them to retail some of thecalendars in their shop or give them away toregular loyal suppliers as a thank you.

Advertising PagesThe calendar sells because of its appeal andfunctionality. But don’t forget that it can be usedas a platform on which to spread the messageof your organisation.
General information and the history and aimsof the charity or organisation can appear on thereverse of the cover and/or monthly pages,together with contact addresses and telephonenumbers. An additional page can be boundwithin the calendar to include response cards fordonations, gift aid, request for further informationetc. by means of detachable pre-addressedreply forms.
Some organisations even have an order formwithin the calendar for the following year’s calendar.
Special dates relating to your organisationsuch as open days/weeks, coffee mornings,Christmas events, can be highlighted within thedate section, together with explanatory text onthe front or back of the corresponding month.
Monthly reminders as to what is happeningcould also appear.
Mincemeat Cake
100g Margarine125g Soft brown sugar2 Large eggs1 411g Jar mincemeat190g Self-raising flour
Oven 160°C/Gas Mark 3.
Line and grease an 18 cm/7 inch round cake tin. Cream fat and sugar and beat ineggs. Stir in the mincemeat and fold in the flour. The mixture should be moist; if dryadd a little milk. Place in the prepared cake tin and place in the pre-heated oven.After 10 minutes reduce the heat to 150°C/Gas Mark 3 and bake for about 11⁄4 hoursuntil the top is firm and the cake is shrinking slightly from the sides of the tin. Thiscake keeps well.

Reverse of PagesDon’t forget this space when considering whatto put in the calendar.
Many choose recipes to go on the reverse.These can be supplied by yourselves oralternatively can be supplied by us from ourextensive library or the Internet.
Local pubs and restaurants can be invited tosupply a chef’s special recipe, and this shouldenable you to also seek sponsorship in theform of an advert.
Obtaining ‘hints’, ‘tips’ or recipes from local‘celebrities’ has also proven a differentapproach to take.
Judges can provide a selection of tried andtested recipes free of charge.
If your calendar is heavily focused on local scenes,and especially if you have taken an historicalapproach, local history could appear on thereverse that relates to the picture shown.
If your calendar has a horticultural theme,why not include garden or plant care hints?The reverse of each page is printed in black onwhite as standard; colour is available at anadditional cost.

2 large potatoes60 g / 2 oz cream cheese
4 rashers bacon, chopped 1 leek, chopped30 g / 1 oz Cheddar cheese, grated Salt and pepper
Bake the potatoes in the oven for as long as necessary to be soft inside. Remove,cool a little and cut in half. Sweat the leek in a saucepan with the bacon for a fewminutes; the bacon fat should be sufficient. Carefully scoop out the centres of thepotatoes from the skins into a bowl, mash and add the cream cheese and the leekand bacon together with the salt and pepper to taste. Pile back into the skins, topwith grated cheese and grill until golden brown and bubbly.

ImagesAs previously mentioned, calendar images can besupplied as photographs (digital, transparencies orprints) or as artwork or needlework. Ensure the pictureformat suits the calendar style chosen.If any retouching or cropping is needed in the artworkprocess, an area known as bleed around the imagemay be lost due to masking. This may affect anysignature near the base of an artwork.
Photography – handling originals:TransparenciesThese should be treated like crystal! They are easilyscratched and should be kept free from dust intransparency wallets. If they have a glass holder theymust still be handled with care - although these holderskeep the transparency scratch-free and dust-free,if the glass is broken it may cut the transparency.
When posting transparencies, they should bepackaged either in a special transparency box, awallet with several transparency pocketssurrounded by stiff card, or in individualtransparency holders - again surrounded by stiffcard and some padding such as bubble-wrap ortissue. Use a heavy envelope and mark the outside:“WITH CARE - TRANSPARENCIES ENCLOSED”.
PhotographsNever write in ink on the back of a photograph -when shuffled together it is amazing how much inkis STILL WET and will come off on thephotograph behind it! Always use sticky labels asthese will absorb the ink. Always write the labelBEFORE sticking it onto the back of thephotograph otherwise the indentations ofhandwriting will show through on the picture.It is preferable to write in pencil.
Clearly show your name, address and title of thepicture on the reverse as there are oftenthousands of submissions from which to chose.
Never put paperclips or staples on photographs -indentations will show through and are hard toremove.
Never cut a photograph or mark it to the exactsize required - always write down any area to bemasked off - we will mask it accordingly.
When posting photographs, pack them inside stiffcard in a heavy envelope - ensure it is marked:“DO NOT BEND - PHOTOGRAPHS ENCLOSED”for the postman’s benefit.
Taking PicturesAlways take horizontal (landscape) pictures if youare having a postcard calendar.
However, vertical (portrait) pictures can be usedon the front covers, and sometimes a full out (i.e.bled to the edge of the page) picture can look veryattractive if the title of the calendar is dropped into it.
If you have the option between using atransparency or print film, it is often found in theprinting/publishing industry that transparenciesreproduce more clearly than photographic prints.The advantage, however, of photographs is thatthey can be more easily viewed and you get abetter impression of what the finished result is goingto look like.
Remember when taking photographs, to considerseasons. When selecting calendars we are oftenvery short of spring and autumn shots. A camera isnot just a summer tool and often spring and autumncolours can look extremely attractive. The air isoften clearer in these months as the mid-summersun can cause heat haze which may mask out therichness of colours and hues.
Likewise, consider the time of day for taking yourpictures; it is true that “the early bird catches theworm” and in the late evening, shots can be veryattractive with the setting sun casting its shadows.Midday sun often bleaches out colours and, althoughthe picture may seem bright, it lacks contrast.When composing a picture, think about where youare going to position the main subject matter in theframe. Often a tree or building smack bang in themiddle of the picture can look uninteresting.Think about the car manufacturers when they areadvertising a car: very rarely do they take a pictureof the vehicle head-on, they often take it from aninteresting side angle to give the picture moreperspective.

Another technique is to frame the picture with anarch of trees and foliage. This can be very effective;but beware if your camera is taking the picture onautomatic exposure it does not over-compensatefor the darkness of that area.
One of the biggest criticisms of amateur photographersis that they have a tendency to lean back whentaking a picture of a very tall item. We are all guilty oftilting backwards, for instance when we aretrying to get the top of a church spire in the frame.Professionals can overcome this problem with astep-ladder or chair in order to raise their height.
The technique of using a chair or steps can alsobe applied to street scenes. It can be very boring if aphotograph is taken where all that can be seen in theforeground is pavement or road. Standinghigher than ground level can allow the photographerto look down on the scene and therefore,give the picture a more interesting viewpoint.
If your camera has the facility to put the date onyour photographs, please remember to turn this offas it will show on the final printed picture.
Tips when using paintingsPaintings should be the correct format for thecalendar style required; i.e. for Postcard Calendarsthey would obviously need to be landscape.If, therefore, the picture is too square this maynecessitate using wide borders around the paintings which can affect both the continuity andthe look of the calendar.
A4 size paper is ideal for a Postcard Calendar or,alternatively, double the size of the picture box witha border of approximately 1⁄2” (5mm) around theimage area. If the artist wishes their signature toappear on the painting, it needs to be within thisborder.
If the paintings are on flexible paper, this mustnot be larger than 24” x 18” (600mm x 450mm) inorder to fit the scanning drum. If the painting is onrigid backing or painted in oils or acrylics, it will needto be scanned on a flat-bed scanner and cannot bebigger than 15” x 12” (375mm x 300mm).
If the artwork is in pastel, or charcoal these needto be ‘fixed’ so that the colours do not rub off.
It is often found that more vibrant colours proveto be the most effective in reproduction but this is,of course, very much a personal opinion.
Tips when using digital photography
When taking digital photographs that are beingset up for print, make sure that the settings for thephotographs are set at 300dpi. Alternatively, use thesettings on your camera to select the largest sizephotograph to be taken. This can then be set up to300dpi and the size of the image made smaller:the information held in the file determining the sizeof the image is replaced by the amount of dots perinch (dpi). This process can be done on a photoediting application on your home PC.
Ideally the photograph should also be saved as aCMYK (cyan, magenta, yellow, black) file tocoincide with the 4 colour printing process.
CD’s are acceptable.
You can provide a good quality print-out of theimage. This should be on photo quality paper andbe at least half the size larger than the requiredfinished result. If you can see the pixels (dots) thatmake the image, these may well show in thefinished picture.See separate technical specification sheet forfull details.

Who will organise its publication?
When do we need it?
How many will be printed?
What will happen if it doesn’t sell?
Conversely it can be a profitable advertising toolgiving year round exposure to your organisationand raising funds at the same time.
Once you have taken the plunge, you will find theprocess fulfilling and relatively painless.Hopefully this brochure has given both new andseasoned calendar publishers inspiration.
