Thank you for volunteering at the Time to Change Village on 27/28 July 2013!

This is your Briefing Pack where you will find full details of your event and your role, links to training films and lots of helpful advice for the day.

Please make sure you read through this pack and watch the training films before your event so you feel prepared and happy with what you will be doing at the Village.

We are also providing free training sessions to help further prepare you. The training sessions will take place on Monday 22 July at 2pm - 5pm or 5pm - 8pm.

Background

Time to Change is England's most ambitious programme to end discrimination faced by those who experience mental health problems.

Vision:

To make lives better for everyone by ending mental health stigma and discrimination

Mission:

To inspire people to work together to end the stigma and discrimination surrounding mental health

Objectives:

To generate opportunities for meaningful social contact between people with mental health problems and as many of our public target audience as possible.

To create situations where disclosure of mental health problems becomes unremarkable, and discriminatory words and behaviour become socially unacceptable.

To provide opportunities for people with mental health problems to apply and develop leadership skills, enabling them to contribute their full potential to the lives of their communities.

To build community cohesion by creating new relationships and partnerships between groups with and without mental health problems, across ages and ethnicities.

Social Contact:

Social contact is what we call it when people with and without experience of mental health problems meet and talk about their experiences of mental health problems. Extensive research has identified five factors that increase the effectiveness of this coming together in changing discriminatory attitudes and behaviour:

The Time to Change Village is designed to ensure that these conditions are fulfilled.

Time to Change Village The Time to Change Village is taking the campaign to end mental health discrimination to the people. It is a space where social contact can happen, a place where people connect.

When people visit the Time to Change Village they will meet people with experience of mental health problems. Just by chatting and getting to know each other they will challenge prejudice, stigma and discrimination together.

Bristol Harbour Festival

The Time to Change Village is ‘popping up’ on the 27 and 28 July at the Bristol Harbour Festival which is one of the UK's largest public festivals and a chance for the city to showcase its rich musical and performance roots. Over 250,000 festival fans head down to the 2 mile stretch along Bristol's waterfront to party, dance and relax.

Organised by Bristol City Council working with Richmond Event Management, 2013 will be the festival's 42nd year.

The Time to Change Village will pop up at the Amphitheatre and will be adjacent to wellbeing activities from Happy City. Find out more at www.happycity.org.uk

Villagers

You are the Time to Change Villagers! You are an amazing team of volunteers with experience of mental health problems who will be engaging with the public.

Some of you will be new to volunteering at a Time to Change event and others amongst you may be seasoned Champions. All of you will have received this training pack and hopefully most of you will attend (or will have attended) one of our face-to-face training sessions as well. All of the volunteers (and many of the staff) at the Village have experience of mental health problems.

You are giving up your time to help Time to Change achieve our aims of ending mental health discrimination and you are truly amazing for doing that, we appreciate it so much. 

Villager’s role

You will chat with members of the public about mental health using our campaign materials and the Village activities. Each conversation you have is very important and takes us a step closer to ending stigma and discrimination. Therefore, we will ask you to make a note of the number of conversations you have on the tally charts that will be all around the Village. We’ll show you how to do this in your briefing session.

You will be under no pressure to disclose about your own experiences of mental health problems. However, you may decide that you do want to disclose (and members of the public may want to as well).

The training (in this pack, in the films and in the face to face training sessions) prepares you for this, but your Volunteer Coordinators will also ensure that you have all the right support and information you need on hand to make the space as safe as possible for people to interact openly about mental health.

Volunteer Coordinators

The Volunteer Coordinators are a team of experienced, confident and friendly Time to Change campaigners who will support you throughout the day. You will be introduced to the Volunteer Coordinators during your briefing sessions before your shift.

What’s in the Village

What marquees there are

The Village consists of colourful pop-up marquees, which represent different amenities within the Village. Each marquee houses engaging activities, which for this event are listed below:

The cinema will show short films that have been made to challenge mental health discrimination and have a focus on issues faced by young people. The cinema is a darkened marquee with a screen and projector and seating for up to 16 people. The films will be on a looped show-reel and will be repeated throughout the day.

You should encourage visitors to enter the cinema and watch the films. You should then speak to them as they come out of the cinema about what they’ve just watched.

Professionals from local mental health services will be stationed in this marquee to let local people know what is available to them in the area.

Anyone you talk to who wants more information about local services can find it here and it’s nice for you to take them along and make a friendly introduction!

This will be where the public can find all the latest news about the campaign. They can also send a post card featuring Time to Change messages to a friend or family member, free of charge, ensuring the important information goes all over the country!

There will also be an opportunity for people to make photo ‘Ship in a Bottle’ pledges, which will be added to a ‘live’ gallery throughout the day.

When you’ve spoken to anyone, anywhere in the village, maybe you could encourage them to make our Ship in a Bottle pledge to help end discrimination.

This marquee also acts as the Village Shop, where people can get free campaign goodies in exchange for their email address, which lets us follow up with a survey to see how effective they think the day has been in reducing stigma and discrimination. Goodies include:

The Village Green is the live performance space, where the public will be entertained by live music.

We have 11 musical acts lined up to perform at the Village Green of the Time to Change Village at Bristol Harbour Festival.

Maddi Cassell is our stage manager. Volunteers are encouraged to watch the performance amongst the public and then to engage with them at the end of each set. “What did you think of that last song’ is a great conversation starter!

Volunteer registration point and ‘quiet’ area

There is a volunteer registration point which is in a large marquee that backs onto the Village Green performance area. Here you can sign in, collect materials, take refreshments and be briefed and debriefed.

There is also a ‘quiet’ area where you can take time out to rest, or reflect on your volunteering experience. The public will not have access to this are which will be staffed all day.

How to get there

*Please remember that we can pay up to £15 travel expenses but this includes any parking charges. Please include all tickets and receipts for travel with your claim. We will remind you to claim expenses at the beginning and end of your shift.

By Train Bristol Temple Meads is best, from here the Bristol city Centre is no more than a 5 - 10 minute walk. When leaving the station via the main front entrance, proceed directly 2 minutes to bottom of incline to main Rd. Turn right at the bottom, sharp 1st left on to Redcliffe Way, passed Redcliffe Church on the left. straight across at the round about, ( 2nd exit ) over the bridge, next round about, ( 2nd exit ) walk through Queen Square. This will bring you directly onto Centre Bristol.

On the day

Arriving at the event

Sign in

When you arrive at the Time to Change Village please ask for one of the volunteer coordinators listed in the ‘Key Information’ section of this pack. We will sign you in and provide you with a Time to Change T-shirt or a Sash (if you prefer) and name badge should you need them.

Pre-shift Briefing

Please arrive for your pre-shift briefing as shown at the start of this pack. It is vital that you attend this briefing to ensure that you receive all the information you will need to help your day go well, and to ask any questions you might have. We will use this time to take you around the Village site and make sure you feel happy with what you will be doing.

During your shift

We would like you to spend around 4 hours having conversations with the visiting public about mental health. This is an amazing opportunity for people with and without experience of mental health problems to interact on an equal footing and this is your chance to help make mental health stigma and discrimination a thing of the past. Each person you speak to is privileged to have the opportunity to meet you.

This is not easy work, you will be tired but you will also feel uplifted and inspired. If at any point you feel overwhelmed you need to take a break, please just let us know. You may feel like you need to leave the event – again please just speak to us if that’s the case and we will help you.

Remember the Volunteer Coordinators are there just to help you. Because there may be some very personal and emotional conversations happening, please also look out for each other and ensure that each of you takes a break during your shift. If you want to go to the toilet you do not need to ask, just let your Volunteer Coordinator know that you are nipping off.

Engagement Materials

You can use Time to Change campaign materials as engagement tools. These materials will be stored in the Post Office but you can use them to engage the public in conversations anywhere in the Village.

These will include items such as postcards, leaflets, pens, fluffy bugs, key-rings, wristbands, sweets, and plastic bags to give to people you’ve had really good conversations with!

Where possible it would be helpful if you could ask people for their email address so that we can follow up with a short evaluation questionnaire survey. n.b. this information will not be shared with third parties. See Evaluation below.

Recording your conversations

The number of conversations you have must be recorded. Don’t worry about this now, all we will ask is after each good conversation you have you mark it off on a communal tally chart. We’re not scoring anyone; this is just so that afterwards we can tell you and our funders how many people we engaged with overall. In the training and on the day, your volunteer coordinator will explain how to do this.

Evaluation

The Time to Change campaign is being evaluated and it is vital we monitor the success of the Time to Change Village and any changes in people’s attitude and behaviour towards people with experience of mental health problems. To do this, we would like to email everyone who we really engage with a short survey. So we will ask you to try to ask everyone who you feel you’ve had a good conversation with for their email address. Alternatively a short evaluation survey will be available for you to hand to members of the public after they have had a good conversation with you if they prefer this method.

As an incentive, everyone who completes a survey, either on the day or by email after, will be entered into a monthly draw to win a £100 Amazon voucher. Please do use this and our engagement materials to get people to give you their information!

Again, this is nothing to worry about. In the training and on the day, your volunteer coordinator will explain it.

Travel Expenses

Please keep your receipts for travel costs you have incurred getting to and from the Time to Change Village up to a maximum of £15. You will be provided with a travel expenses form at the Time to Change Village, which will explain how you claim this back.

Dress Code

Smart casual clothing is recommended. You will need to look smart but approachable; jeans are fine and please ensure you wear comfortable shoes. A Time to Change T-shirt will be provided on the day. You can put the T-shirt on over the top of your own clothes. If you prefer not to wear a T Shirt we will provide you with a Time to Change Sash. If you can, please check the weather before the Time to Change Village and dress accordingly.

Personal belongings

Please note that there is limited storage space at the Time to Change Village, therefore we recommend you ‘travel light’ and only bring a small bag that can be worn throughout the day. Please note we are not insured for the loss of any personal items from the Time to Change Village.

Access

Please be aware of any litter and help us try to maintain a professional and clean appearance at all times while at the Village. Ensure the Village area has open access at all times and that there aren’t any obstructions to people visiting the stand by foot, with pushchairs, in wheelchairs or on crutches.

“TOP TIPS”

Whether it’s fear or awkwardness about talking to someone we know about their mental health problem – or talking about our own mental health problem, reluctance to talk about mental health doesn’t help anyone.

We want to get people talking about mental health. So use the tips here to start your conversation and help end mental health prejudice.

Be prepared Think about the different reactions, positive and negative, that the person might have so you’re prepared. The person will be thinking about their perception of mental illness, you as a person and how the two fit together.

An initial reaction might not last The person might initially react in a way that’s not helpful – maybe changing the subject, using clichés rather than listening. But give them time.

Keep it light We know that sometimes people are afraid to talk about mental health because they feel they don’t know what to say or how to help. So keeping the conversation light will help make you both feel relaxed.

Be ready for lots of questions...or none The person you are talking to may have lots of questions or need further formation to help them understand. Or they may feel uncomfortable and try to move the conversation on – if this happens it’s still helpful that the first step has been taken.

Courage is contagious Often once mental health is out in the open, people want to talk. Don’t be surprised if your honesty encourages other people to talk about their own experiences.

Avoid clichés Phrases like ‘Cheer up’, ‘I’m sure it’ll pass’ and ‘Pull yourself together’ definitely won’t help the conversation! Being open minded, non-judgemental and listening will. 

Body language Try to be relaxed and open - a gaping mouth, regular clock watching or looking uncomfortable won’t go unnoticed.

Be part of the audience and participateGet into the spirit of the day by watching one of the performers e.g. Likely Story. This theatre troupe performs short plays. Hang around and watch the sketch. As it finishes why not turn to the person next to you and ask them “What did you think of that?” and see what response you get.

Example Conversation Starters

Ask a simple question; most people reply and most people actually like to feel they are helping people… “How are you feeling today?”“What kind of morning/afternoon are you having?”“Where did you get that hat /bag/those shoes?”“What are you looking forward to seeing today at the Festival?”

One in four of us will be affected at some point in our lives. So being able to talk about mental health is something that is

important for us all.

Often the fact that it's difficult to talk about mental health problems can be one of the hardest parts of having a mental

illness.

Time to Change Village A - Z of Event Information

BaggageThere are no dedicated baggage areas for members of the public. There is limited secure baggage facility for volunteers and we ask that you do not bring valuables with you.

ClothingAll staff and volunteers will be given a white Time to Change T-shirt to wear on the day and please wear comfortable clothing. Please remember to bring your T-shirt with you if you’re given it at your training session. If there is adverse weather, ensure you have brought the necessary clothing. You will be asked to wear your T-shirt on the outside of your clothing should it rain. Flip Flops and open toed shoes are not appropriate footwear so please do not wear them.

ComplaintsIf you receives a complaint you should inform your Volunteer Coordinator who will advise if further action need to be taken. All complaints should be logged in a complaints book – ask a volunteer coordinator where to find the complaints book. If the matter is not resolved at the event itself, anyone wishing to make a formal complaint afterwards should put it in writing to Time to Change, Mind, 15 – 19 Broadway, London, E15 4BQ

DonationsOn the day there may well be people who would like to donate to Time to Change or one of the partner organisations. Time to Change is an awareness raising campaign and therefore cannot accept donations however if people would like to donate to Mind or Rethink Mental Illness please direct them to a Volunteer Coordinator.

First AidFirst Aid Cover will be provided and details will be included in your pre-shift briefing. Please familiarise yourself with the Village area. In the event of anybody requiring physical medical attention in the Village, you should inform a Volunteer Coordinator immediately. Make sure you are clear on the exact location of the individual and their condition.

InformationMake it your responsibility to familiarise yourself with the event area when you arrive and purpose of the event so you are able to answer questions. If visitors have a question that you are unable to answer, please direct them to a Volunteer Coordinator.

Lost childrenThis is a public event and there will be families with children attending. Please follow the procedures below if you come across a lost child/parent who has lost a child:

Finding a lost child1. Immediately report the lost child to your Volunteer Coordinator. 2. The Volunteer Coordinator should take the lost child to the designated area.3. A nominated Volunteer Coordinator (CRB checked) will be responsible for looking after the child until the parents are found and so they will be called for at the first opportunity. 4. When making any announcements please give the child’s sex, age and description of what they are wearing but not the child’s name.

Reported lost childIf a parent/guardian enquires about a lost child: 1. Ask for the child’s, name, sex, age and description of what they are wearing. 2. Contact a Volunteer Coordinator immediately. 3. A call will be put out to see if a child matching their description has been reported found.

Lost propertyAny items found should be handed in to a Volunteer Coordinator. If anyone reports an item lost, please tell a Volunteer Coordinator.

Media enquiriesAny enquiries from media should be directed to a Volunteer Coordinator. In the event of an emergency or incident, please do not make any comment or statement to any media.

Smoking policy All staff and volunteers are asked not to smoke during the event and pre or post event dispose of cigarette butts like they would other litter.

ToiletsThere will be toilets available and the nearest ones will be pointed out in your pre-shift briefing.

WaterWe will provide water for all volunteers throughout the day.

Emergency procedures

Reporting a problemYour first point of contact should be a Volunteer Coordinator. Here are a few examples of the possible emergency scenarios that could happen during the event:

Medical situations including collapsed or injured participants Fire Violence to participants or yourself Suspect packages Witnessing or experiencing a robbery/mugging Finding/reporting a missing person Lost/found property

Medical emergency

Minor Incident 1. Take the participant to the side. 2. Find out the details of their injury to relay to a Volunteer Coordinator.

Major Incident 1. Contact your Volunteer Coordinator to inform them of the situation; make sure you provide information on the following: location, nature of incident, condition of participant. 2. The Volunteer Coordinator will contact a First Aider who will provide medical assistance at your location.

FireIn the event of a fire, this must be reported to a Volunteer Coordinator. If this is not possible please call 999. All messages must include the precise location and the scale of the fire identified.

Bomb or terrorist threatIt is unlikely that any bomb or terrorist threat would be advised to a volunteer. Such a message would be more likely received directly, or indirectly, by the Emergency Services. If, in the unlikely event that you take a call, you should treat it as serious, take as much detail as possible including: background noise, accent and any specific details of where the bomb may be planted, time of detonation or any code word given.

In the event that such a message is received a Volunteer Coordinator should be informed immediately. Volunteers identifying suspect packages should ensure that, where possible the package remains under surveillance and is not disturbed, whilst a message is relayed to security control. Persons notifying suspect packages to Volunteer Coordinator should not use their radios or mobile phones to make the notification within 100m of the package.

Event health and safety All volunteers need to read and understand Time to Change’s health and safety arrangements for this event (below). This information has been prepared to ensure that you can play your part in making the Time to Change Village a safe event. It is our policy to take all reasonable steps to ensure the health and safety of all persons working for Time to Change, the Volunteers and members of the public. We will ensure that there are adequate health and safety facilities available, and that the relevant safety requirements and codes of practice are known and adhered to at all times.

Your co-operation is essential to make sure we have a safe and successful event.

a. First Aid All volunteers must report any accidents, incidents to your Volunteer Coordinator. If accidents are reported they can be investigated. Action can then be taken to prevent a similar accident happening again in the future. Remember it’s your responsibility to tell us.

b. Emergencies All Emergencies need to be reported to your Volunteer Coordinator. In the event of an emergency please follow the instructions of your Volunteer Coordinator who will tell you what action is required.

c. Manual Handling We have staff paid to do heavy lifting on site so please contact your Volunteer Coordinator if you need support. However if you are going to lift anything at your own risk, always make sure that you know what you are going to do with an object before you pick it up. Make sure that your path is clear.

Before you lift:

Make sure that the object has no sharp edges or splinters. Make sure that it is not plugged in. Make sure that you are able to lift the object - if you are not sure get help. If possible use a trolley, or other aid, to help you.

To lift an object safely: Keep feet slightly apart and your forearms as close to your body as possible. Use your body and leg muscles. Tuck your chin in. Keep your back as straight as possible. Slowly lift by straightening your knees - let your legs do the lifting. When putting a load down, reverse these instructions. When moving heavy items split them into smaller loads wherever possible. If necessary ask colleagues for assistance.

d. Risk Assessment A risk assessment has been undertaken for this event. Contact your Volunteer Coordinator who will notify our health and safety office immediately if anything does occur.

e. Slips, Trips and Falls Slips, trips and falls are the most common cause of injuries. To prevent these occurring all floors and performance areas should be regularly checked and cleared of debris and moisture (towels provided). If the weather is wet performers should be reminded to take extra care.

f. Alcohol and drugsPeople at our events who are under the influence of alcohol or drugs may be a hazard to themselves and the people they work with. If an accident is caused when a person is under the influence of alcohol or drugs, they will probably be held responsible.
