BACKGROUND INFORMATION

The Tiny Lives Trust helps to care for over 700 premature and sick newborn babies and their families each year. 

The fund supports the Newcastle Neonatal Service at Newcastle Royal Victoria Infirmary which cares for babies from across the North East and Cumbria. A staff of 120 nurses and 30 doctors look after 34 babies at any one time and Tiny Lives aims to support the neonatal service in providing the highest quality of care by funding a range of facilities, staff posts, training, research and equipment. The Tiny Lives Trust launched as an independent charity in April 2013, although it has a history which stretches over 30 years as a charitable fund.  Tiny Lives supports the highly specialist care provided by the Neonatal unit, and helps the work of the unit in a number of ways:

funding for developmental care aids for premature and newborn babies. These include ‘Claire’s Nests’; soft, cosy nests that promote proper positioning and physiological stability. Each family also receives two ‘Mini boos’ when admitted to the unit to promote bonding between mum and baby.

the salary of a Paediatric Physiotherapist to aid early development, support families, and train nursing staff

memory boxes, a journal, and stickers for parents to chart their baby’s progress in the early critical days, weeks, and sometimes months

the salary of a Paediatric Social Worker to provide practical help and emotional support to families who may spend weeks or months on the unit

providing financial support, including travel and parking for many families who may have to travel for many months from across the region

specialist training equipment, training courses and conferences for staff on the unit so they can provide the best possible care across all areas

research into neonatal care

Fundraising and Administration Assistant

This post is a fundraising and administrative support role to assist across community based and corporate fundraising, and general administration. The role involves supporting both external and in-house fundraising events including the Great North Run, the annual Tiny Lives Christmas Reunion, and the Tiny Lives Charity Ball. The post-holder will work closely with the wider Tiny Lives team and will report directly to the Head of Tiny Lives.

JOB PURPOSE

To provide professional and efficient fundraising and administrative support to Tiny Lives and its donors through: Providing excellent customer service, dealing with enquiries as first point of

contact through email, telephone, face to face and social media. Carry out day to day donor administration through database entry, thank you

letters and general correspondence. Assist with management and delivery of fundraising events. Supporting maintenance of the Tiny Lives website, Facebook page, and Twitter

feed. Design and development of fundraising and promotional materials.

JOB DESCRIPTION

GENERAL ADMINISTRATION

Ensure an efficient and professional system for acknowledging and thanking donors for gifts within agreed timescales, in a personal and professional manner.

Accurately maintaining the Tiny Lives Donor database. Assist with the updating and maintenance of social media platforms including

Facebook, Twitter, LinkedIn and Instagram and maintenance of the Tiny Lives website, in support of the Community and Events Fundraiser and the Corporate Fundraiser.

Design and production of promotional materials and external communication to support fundraising or awareness raising of grants awarded.

Meeting related administration, including but not limited to, room bookings, invites, minutes, workshops and events.

FUNDRAISING SUPPORT

Assist with the preparation, management and delivery of key annual events including the GNR, annual Charity Ball, and Annual Christmas Reunion, in support of the Community and Events Fundraiser.

Manage administration and reporting requirements for online giving sites such as JustGiving and Virgin Money Giving

Work closely with the Community and Events Fundraiser to manage and deliver fundraising assistance to all supporters, building long term relationships and ensuring that all donors and fundraisers feel valued.

Work in partnership with members of the team to plan, implement, and grow fundraising events.

Support Tiny Lives wider team to ensure that fundraising events and initiatives are marketed and publicised effectively.

Provide support to the Community and Events Fundraiser to assist in the management of volunteers and volunteer teams.

Liaise with the Head of Tiny Lives to ensure compliance with all legal and contractual requirements associated with fundraising, including risk assessment and volunteer management.

CUSTOMER SERVICE & EXTERNAL RELATIONSHIPS

Provide a prompt, friendly and professional response to all donors and enquirers to Tiny Lives.

Build positive relationships with parents, carers, and staff at the Neonatal Unit at the RVI.

Assist with supporter visits to the unit and donation collections. Support volunteers in the office and at events. Act as an ambassador for Tiny Lives to increase awareness of the charity's work.

FINANCIAL PROCESSING

Assist wider team with safely handling and counting cash, in accordance with agreed procedure.

Assist wider team with collecting cheques, donations, and collection tubs from supporters and at fundraising activities and events.

MISCELLANEOUS

The role may be required to work outside normal office hours to support fundraising events.

TERMS & CONDITIONS

1. Salary: The post is offered in the range of £17,000 - £19,000 per annum dependent upon skills and experience

2. Contract: A permanent contract, subject to a 6-month probationary period.

3. Hours: 35 hours per week excluding lunch breaks (full-time).

A flexi-system of work is available subject to maintaining contracted hours, in agreement with the Head of Tiny Lives. Core hours are typically Monday to Friday 9am to 5pm.

The post-holder may be required to work occasional evenings or weekends to support fundraising events.

4. Leave: 25 days per year (for full time positions) plus public holidays.

5. Pension: The Tiny Lives Trust will contribute up to 6% of your annual salary to the company stakeholder pension, providing you make matching contributions of at least 5%, and subject to a qualifying period.

6. Location: The Tiny Lives Trust is based on Mosley Street in central Newcastle. Working at other locations to attend meetings and events will be required occasionally.

7. Travel: The Tiny Lives Trust will pay staff travel expenses and subsistence if an employee is required to travel as part of their role (outside of commuting to work).

Post holders will require business travel insurance if they use their own vehicle on company business.
