Alidade Capital and your Lincoln Harris management team announce preparations for your

re-occupancy of Millpond Village Office Building. Please take a moment to review these of

our preparations as well as safety protocols to observe upon return. The Lincoln Harris

Building Re-Occupancy Guide and janitorial procedures attached provide further insight into

the ways we are investing in the safety and health of all our valued tenants.

The most important information first; for a suspected or confirmed cases of COVID-19:

• Notify Lincoln Harris property management team via email immediately

common areas and tenant space using special anti-viral cleaning agents. In addition

to our regular scope, the focus is on all high frequency touch points (for example

elevator buttons, door handles, restroom stalls and doors, switch plates) A full scope

of this work along with the cleaning agents used is attached to this memo.

• As needed, our janitorial contractor will perform remedial cleaning service in tenant

suites (upon request and at tenant expense). Please see attached scope of work and

cost for further detail. If you would like to schedule special cleaning of your suite,

please email [email protected] or request “Special Cleaning” in the

VUE system.

• Our janitorial contractor employees will wear PPE at all times while in the building

Management & Building Level Initiatives:

• Any and all maintenance needs should continue to be reported to Lincoln Harris

through VUE system logon, to [email protected] or to 919 840

8040. We ask that you do not communicate work needs to our staff in person as we

observe safe social distance.

• Our staff and any vendors entering the building will use PPE in common areas

• Our staff and vendors have received special training

• There are no changes in our engineering and management team availability. We

remain on duty, whether at the building, in our management office, or home offices.

Following Social Distancing Guidelines: You will notice several changes in the building, as

we attempt to assist our tenants in observing safe social distances in common areas.

• Please observe new entry-only and exit-only doors (signage to be posted

accordingly)

• Please observe and respect new path of travel rules (signage to be posted regarding

up-only travel stairs and down-only travel stairs)

• Please observe maximum of 2 limit on elevators (signage reminders will be posted)

• While in common areas, please observe 6 foot distance between yourself and others

(floor decals to be placed to assist)

• Select restroom stalls and sinks may be closed (on prescribed rotation) to limit

overall occupancy in the restroom and to allow safe distance between occupants.

• Food deliveries will be delivered to central location in lobby (please look for signage)

Tenant return to office occupancy:

At Lincoln Harris, our tenants’ health, safety and comfort is our priority. As such, we have established a National Re-Entry Task Force. This Team is following advice from Federal and State Government health authorities and industry experts to ensure we provide a safe workplace for our tenants during and beyond the COVID-19 pandemic.

A WHOLE BUILDING APPROACH

To help prevent the spread of the disease, we are asking for the participation of all building stakeholders. Our success is dependent on all hands – employees, tenants and service providers alike – getting behind the spirit of this undertaking and making their mark. As tenants return to their workplaces we are committed to maintaining healthy work environments in the buildings we manage.

How We Are Preparing forWorkforce Re-entryAlthough the approach for each property canvary, our general guidelines are as follows:

OCCUPANT EDUCATION/SOCIAL DISTANCING:• Informational flyers have been posted in common

area restrooms regarding the effectiveness of handwashing in preventing the spread of disease.

• Social distancing has been encouraged among building staff and service providers.

• We are considering the installation of appropriate signage to remind tenants and visitors to maintain safe distances in high traffic or confined areas such as lobbies, fitness centers, amenity areas, and elevator cabs.

• Where possible, building inspections and non-urgent repairs will occur at times when offices are least crowded. Please understand that response times for non-urgent requests may be longer as a result. Staff will wear personal protective equipment (PPE), as appropriate, when unable to maintain social distancing guidelines or when moving throughout the building.

JANITORIAL EFFORTS:• Janitorial scopes have been adjusted to focus on

the cleaning and disinfection of high touch surfaces using products that meet the US EPA’s criteria for use against SARS-CoV-2, the virus that causes COVID-19.

• As soon as supplies are available, we will place additional alcohol-based (70%) hand sanitizer stations in common areas which contain high touch surfaces such as elevator buttons and door handles.

REDUCING TOUCH POINTS:• Where not already present, the installation of

automated faucets, soap dispensers, and towel dispensers is being considered.

• Propping open interior doors is under consideration where it is not a security or safety risk.

TRAVEL PATHS:To limit person-to-person contact in common areas, we are taking the following steps:• Limiting the capacity of the elevator cabs, where

possible.• Providing open access to stairwells, where

possible, for those who want to avoid elevators.• Designating exterior doors for ingress and egress.• In accordance with CDC guidance, outside air

introduction was maximized where possible to provide additional dilution ventilation. Outside air introduction will continue to be maximized, when it is not detrimental to the building or to occupant comfort.

Easy Steps You Can Take To Make Your Office SafeCOMMUNICATION WITH EMPLOYEES• Install signage with CDC Guidelines in break rooms, tenant bathrooms, conference

rooms, etc.• Develop social distancing guidelines and travel patterns within your space.• Consider staggering breaks so employees are not in break room areas at the same

time.• Consider 6’ markings on floors to encourage and remind occupants of social

distancing.
