Accessibility The CCCS Accessibility Plan asks that each CCCS department review any web content created by that department for accessibility (WCAG 2.0 compliant) on a yearly basis. CCCS-IT has completed that review and identified several web applications that need to be updated. The following web applications will be updated by end of 2017 to be accessible.

Active Directory The RRP for the Active Directory consolidation software was failed as the companies that responded to the RFP were not trying to sell us a product as much as they were attempting to sell us consulting services. We will be working on turning the RFP into an IFB (Invitation to Bid) instead and re-posting it for companies to bid on software. On 1/31 CCCS and the college IT directors will be conducting an all-day meeting to discuss the AD consolidation project timeline as well as discuss any and all possible technical challenges.

Admissions Application Re-Design The Admissions Application re-design project has many components to be worked through. The Create Account form and the Application for Admissions have been

reviewed by the Admissions Task force and a project request has been submitted and approved. Now that the Recruit upgrade to 4.9 has been completed, CCCS-IT has begun the process to modify the current forms in Recruit. The final requirements are still being discussed in Student Affairs. The Residency process that determines residency for new students is being reviewed and re-worked to accommodate new requirements. After the modifications have been approved CCCS-IT will modify the SZPRECR job to accommodate these changes. These changes were put on hold waiting for the modifications to the Application for Admission.

Banner Document Management Purge In order to maintain compliance with state regulations on document retention, CCCS-IT is actively involved in a project which will by its completion develop a standard process for the removal of documents which meet state retention guidelines. Final details with a few last remaining Financial Aid retention requirements are being worked out and Student retention requirements are being confirmed so that Student BDM documents can be added to the job which has been built by our Development staff. Documentation requirements for Finance, Human Resources and Payroll will be the next set of documentation requirements which we built into our Banner job.

Banner Document Management Upgrade The VP IT Governance Committee has given approval for a project which will upgrade the AppXtender component of BDM. ApplicationXtender allows users to image and index documents which are stored on the BDM system. The current version of ApplicationXtender (AppXtender) which we use is 7.0, de-support of which is scheduled for December 2018. This timeframe is an extension of the previously reported January 2018 date. Ellucian is expected to release a version of software which will work in our environment on February 16th. After this has been made available, we will begin the process of installing the upgrade in our environment.

Banner Fixed Asset Module – Feed new Assets to TME CCCS-IT received approval to begin work on a new project to feed New Fixed Assets from the BFAM to TME, our inventory tracking software, on January 19th, 2018.

Banner 9 The Banner 9 Student API has been deployed to production to support registration via the Mobile Application and EAB Navigate. In addition, some Student components have been deployed to DEVL, USRE and PROD to support the Course to Program of Study functionality when it is implemented.

CCCS-IT has installed all Administrative and Self-Service Banner 9 modules into DEVL, using a new deployment tool required for Banner 9 called Ellucian Solution Manager (ESM). Work is underway to test all CCCS-IT and Ellucian developed customizations to determine the impact Banner 9 may have on these customizations. The result of this effort will be a list of customizations that will need to be re-developed. A communication plan and materials are being prepared to support the roll-out of Banner 9.

Benefit Solver Banner Feed Work has begun on a data feed between Benefit Solver, the State's benefit enrollment platform for classified employees, and Banner INB. This will allow for enrollment data to feed into Banner while employee termination data flows into Benefit Solver and will reduce the need for manual inputting and reconciliation. Development on the employee census file can begin shortly by CCCS-IT. A kick-off call with the vendor to discuss a more concrete project timeline, as well as requirements related to the import file feed, is scheduled for early February.

Business Intelligence Data Warehouse Operational Data Store (ODS) 8.5 – DegreeWorks reporting. DegreeWorks data is being replicated via Oracle GoldenGate from DegreeWorks to the staging area of ODS. We have completed loading data testing to ensure data integrity between DegreeWorks and ODS is on-going. This project is on hold pending completion of the Inactive Student Job project as corrections to the Inactive Student Job will result in a more accurate Degree Works purge. We have begun data validation of the redesigned Recruiting and Admissions Performance (RAP) product. Confirmation that data is consistent between Recruit and the ODS is complete. The MEP work done for EDW in the redesign of the product is accurate. The change from using Oracle Warehouse Builder (OWB) to using Oracle Data Integrator (ODI) for the processes that are used to load data from staged Banner tables to ODS reporting tables has been completed by the vendor. ODI version of the Operational Data Store (ODS) has been completed in our test environment. We are in the process of upgrading EDW in a development environment. Cognos version 11.7 has been released and installed in both development and test environments. It appears to have resolved the issues we saw with the installation of 11.6 – but we are testing to ensure that other issues weren’t introduced with this version. Additional testing of this new version indicated a couple of minor issues which we have now determined can be overcome. Installation into production has been completed.

Calendar Year End Reporting required by the IRS CCCS-IT is currently working with functional departments and Ellucian to facilitate year-end reporting to recipients and the IRS. Included in this effort are the following forms:

Form 1099, Miscellaneous Income, to payees with reporting to the IRS; Complete – 860 forms.

Form 1098-T, Tuition Statement, to students with reporting to the IRS; Complete – 130,276 forms.

Form W-2, Wage and Tax Statement, to employees with reporting to the IRS; Complete – 15,717 forms.

Form 1095-C, Employer-Provided Health Insurance Offer and Coverage, to employees with reporting to the IRS; Complete – 5,032 forms.

CASHnet Dynamic Billing This project was approved by VP-IT-Governance Committee at their September 15th meeting. The goal of this project is to provide student bills in the CASHnet system which will include Financial Aid information so that students can have a more comprehensive view of what their college attendance would cost them. One hope is that students will be more likely to enroll and attend a school if they understand the net cost of attendance. Currently students are provided the gross cost and aid is not incorporated into the amount they see on their bill. Meetings with CASHnet commenced on January 22nd, 2018. Preliminary findings are that this effort will require an upgrade to the Banner/CASHnet interface as a pre-requisite to implementing the new billing functionality.

CASHnet Mobile Payments CCCS-IT is working with CCD to implement a pilot of the CASHnet Mobile Payment technology. Once implemented CCD should be able to accept payments using an iPad for special events +/or during registration, etc. Technical setup is now complete and CCD is working with CASHnet on configuration changes and cashier training. As CCCS-IT work on this project is complete it will be removed from the list following this update.

CCCOnline Quality Matters Eleven CCCOnline courses have been formally recognized by Quality Matters: BUS 115, COM115, ECO201, ECO202, HUM115, HPR178, HIS 101, HIS102, MAT121, MAT103, and SOC101.

Colorado Digital BOCES In Fall 2017, PPCC, CCCOnline, and Colorado Digital BOCES have partnered to pilot offering ENG121 and MAT121 online courses to concurrent students from rural high schools in the PPCC service area. In this “Blended Pathway” Pilot, students take time during their normal school week, on-site at the high school, to take online courses through CCCOnline. The courses are taught by PPCC approved and CCCOnline trained CCCOnline instructors. Each high school will provide a CCCOnline-trained

“Success Coach” to help students navigate online learning as well as support CCCOnline resources as the online library, tutoring services, and the 24x7 help desk. If successful, this pilot will include offering ENG122 and MAT 122 in Spring 2018.

Citrix Work on the Citrix upgrade has resumed. We have completed the purchase of Citrix Netscalers, which will act as the secure gateway for the new environment. These virtual devices will make Citrix available over the Internet without the need for a VPN connection. Devices are currently being installed and configured and we anticipate to have them completed and ready in both data centers by mid February.

Classroom Scheduling Software Ad Astra has offered to provide a course schedule evaluation based on historical data. The creation of the evaluation has been completed by Ad Astra based on the information provided by CCCS IT. ACC has recently been added to the list of schools who are using the Scheduling Software offered by Ad Astra. Other CCCS colleges using this software are: CCA, FRCC, PPCC, and RRCC ACC, PPCC and FRCC are also utilizing Ad Astra's Platinum Analytics service. Modifications of the feed from DegreeWorks to Ad Astra using DegreeWorks CPA tables is on hold pending first the completion of the modified Inactive Student job which is in User testing, running of the DegreeWorks purge with the new dataset of Inactive students and subsequent creation of the CPA tables. .

Clearinghouse Upgrade and Process Improvement A report is being developed that will help the colleges validate the data to be sent to the Clearinghouse. In addition, a new process has been developed to allow the colleges to send the files directly to the clearinghouse themselves. Colleges will begin sending their Degree Verify files in June, and their enrollment reports this summer. In addition, CCCS-IT is working with the clearinghouse to enhance the security on the Degree Verify link form Self Service Banner. The Clearinghouse is using a new level of security, and while CCCS-IT is compliant with the latest security measures, this new method requires that a patch be applied to the Oracle database.

Course to Program of Study - CPOS Enrollment calculations for Federal Title IV Funds may only include courses that count toward the student’s degree or certificate. Ellucian initially delivered this functionality as part of Financial Aid Release 8.24.2 and Student Release 8.9. The CPOS module uses the student’s program from DegreeWorks and identifies courses that are part of the student’s enrollment and therefore eligible for Title IV aid.

DegreeWorks is the foundation system on which the CPOS functionality is built. The schools must have their degree programs up-to-date in DegreeWorks or CPOS will not function properly. Since the original installation of the CPOS module in the CCCS DEVL environment on 1/6/17, CCCS-IT has continued to test, provide feedback to Ellucian and monitor patches to resolve issues that have been identified by CCCS as well as other Ellucian clients. Student Release 8.14 and CPOS patches were installed into DEVL on 1/4/18. This release and patches delivered resolutions to various defects from previous releases. Testing is ongoing and the plan is to install into USRE during January in order to continue to test functions but with current (17/18) data. CCCS was invited to participate in the newly formed CPOS Advisory Board formed by Ellucian in late December, 2017. The purpose of the Advisory Board is to share feedback from our testing with Ellucian and other schools and determine what issues need to be resolved in order for schools to feel comfortable using the system in Production. There are still issues with the system design for elective class handling and lack of audit trail reporting when running SFPCPOS job. The first Advisory Board meeting was held on 1/8/18. The participating schools shared their concerns/issues. Ellucian shared their plans for the spring release which will contain enhancements and resolutions that should help resolve some of the current processing issues. Cyber Security Firewall Review Each college has configurations set up to allow access into their network. IT security is conducting a review with the IT Directors to ensure that unused access is removed, current access is as secure as possible, and future configurations are vetted properly. This will ensure traffic going in and out of the CCCS’s network is authorized and as secure as possible. We have purchased next generation firewalls for the Lowry site as well as the disaster recovery location. The goal to have the Lowry firewalls up and running by 04-02-2017 was achieved. These new firewalls will assist our team by providing incident response analytical data and that will increase the remediation timeline immensely. The intrusion prevention system on the firewalls will be enabled on the firewalls at the beginning of June as well. This function will block all of the malicious malware that tries to enter or exit our network. Additionally, a feature request has been submitted to the firewall vendor to allow the configurations to be downloaded via an excel spreadsheet. This format will make managing the configurations possible and will be delivered via an update on the firewall. Once the update takes place the firewall review will begin. As of 11-14-2017: Review has been postponed until the firewall upgrade is complete. -ACC: Review conducted, awaiting follow up from college. -CCA: Review conducted, awaiting follow up from college. -CCCS: Awaiting the completion of the other colleges before this can be completed. -CCD: 2016 Review Complete.

Site to Site VPN: A site to site virtual private network (VPN) has been conducted, and the information is being reviewed now. Once the review is complete, CCCS will know exactly what external vendors are connected to what internal resources. From that point collaboration with the vendors will need to occur so that communications are coming to both the disaster recovery site and the Lowry location. Configuring this redundancy into our network will ensure that if one location goes down, the other can take over and keep the business operating as usual. Stan has received instructions on how to configure the VPN tunnels and is currently reaching out to the distant end vendors to coordinate the migration. Client Based VPN: CCCS currently utilizes client-based remote encryption through our vendor Junos Pulse. Our equipment will no longer be serviceable next year, so it is time to upgrade the hardware and software that is in place. The new strategy will have one VPN appliance residing at the Lowry location and the other at the DR site. Access to our network from two separate locations strengthens our disaster recovery and business continuity strategies as well. The first vpn node is currently installed at the DR site and is being configured for testing.

Vulnerability Review Each college is scanned on a weekly or biweekly basis to identify any vulnerability’s that may be found on the end hosts or network devices. The scan results are then sent out to directors to be addressed. Once vulnerability is identified the owner of the asset is contacted to verify if a fix action can be implemented or if it is an acceptable risk documentation is created and maintained. Acceptable risks are reviewed regularly for permanent resolution. This ensures that all assets on our network are as hardened as possible to thwart off any malicious threats. An updated schedule has been created to run four scans a week over the span of four weeks. This schedule allows the scanning server to run more efficiently and also gives the administrators at each college time to locate a change management window. Additional training videos are being created to assist the administrators with best practices concerning vulnerability management.

Security Awareness Training Security Awareness Training for all CCCS staff, faculty and adjuncts is in progress. HR

departments at the system office and colleges are monitoring to ensure everyone takes the training. Blacklisting and Phishing Attempts During November we experienced a significant number of phishing attempts where individuals received an email purporting to be from their IT department or the CCCS IT department requesting their email credentials. Unfortunately a number of staff entered their credentials resulting a significant level of SPAM being generated from their college and cccs .edu email addresses. The end result of this is that the cccs.edu domain has been blacklisted numerous times by internet providers. This results in difficulties sending external emails from any of our .edu email addresses. Although we work with the providers, many have lowered our reputation due to the resulting SPAM this is generated from these email address. It is hoped that Security Awareness Training will improve people’s awareness of phishing attempts. In addition, both the system office and the college presidents have reminded staff that no legitimate entity will request they enter their credentials. In addition, as noted below, we are piloting a product called Cisco Umbrella (formerly OpenDNS) which helps block suspected dangerous websites. We have recently entered into a subscription agreement with Cisco Systems for their Umbrella product after a lengthy pilot with them. The product has proved to be helpful in stopping Malware and Phishing scams from within the CCCS network for CCCS and the colleges. Now that we officially have a subscription for one year we will be rolling this out to the colleges public wireless networks as well to prevent access to malware and phishing scams for students and guests that frequent our college campuses. Password Management (IT Staff): The IT staff is currently in need of a solution that will securely save log in credentials to various IT equipment, applications, etc. This will assist management with access control and also provide a safeguard if an employee moves on to another organization. The credentials of the removed employee will be applied to the new member who will arrive on site at a later time. Keeper Security has been vetted and meets all of the secure criteria needed to press forward. The product has been purchased and Stan is creating a plan of action to deploy this solution to the IT individuals at the system level only. Stan has created a change management ticket (4564) and is currently collaborating with other departments to prepare for implementation. Single Sign On capabilities have been configured and testing is under way with the network technologies group. Once the testing is complete the secure baseline policy will be used as a template for the other IT groups as well.

Security Report Due to legislation C.R.S 24-37.5-404.5, CCCS is required to send in a security report to the state every three years. The first report is due by July 2017 and it will encompass CCCS at the system level as well as all of the 13 colleges we support. Each location’s report will be composed of the following items: Section 1: Institutional Overview, Section 2: Risk Assessment, Section 3: Institutional Policies and Security Plan, Section 4: Description of Training and Awareness Programs, Section 5: Description of Testing and Evaluation Programs, Section 6: Incident Response and Reporting. The report was

completed and turned in on time; so CCCS is validated for two years with the state. Computer Anti-Virus & Firewalls: Stan Riley (Senior Network Security Administrator) is working with Ken Campion (Client Services Manager) to evaluate our current computer based anti-virus / firewall solution (Sophos). Since the contract for this solution is coming up in the next year an evaluation is be conducted between Sophos and Cisco’s AMP product. Each solution will be evaluated on their host based anti-virus detection and firewall protection. The Sophos and AMP testing have already begun for March. FERPA Compliance: The Family Educational Rights and Privacy Act of 1974 (FERPA) is a federal law that protects the privacy of student education records. The law applies to all schools that receive funds under an applicable program of the U.S. Department of Education. Stan is currently looking into what regulations come with this Act and from their will create a gap analysis tracker. This tracker will be used to assess our current environment and see where it may need improvement. The assessment will document the processes and technology in place to ensure that best practices are being utilized on both fronts. Cisco Umbrella Rollout: Due to recent e-mail phishing attacks, CCCS is testing Cisco’s Umbrella solution. This product only allows our end users the ability to access known good websites. If the user clicks on a link found in their e-mail the solution will block the attempt and notify the individual to contact the help desk if they feel this is a false positive. This will reduce the risk of breached login credentials or malware downloaded from nefarious websites. DegreeWorks The BI group is currently working on the DegreeWorks ODS Integration, in order to allow for reporting from DegreeWorks. The student Team is testing specific scenarios with BI to ensure the data is moved into the ODS accurately. CCCS-IT also has a plan on how to build the Curriculum Planning Assistant (CPA) tables in DegreeWorks, which are required for reporting as well as for Ad Astra Platinum Analytics. The table integration has been staged, and CCCS-IT is now testing building the CPA tables on a larger scale. This requires updating the DegreeWorks maintenance scripts, as well as developing custom maintenance scripts. Attritional storage is also being added as the CPA tables contain a large amount of data. Once this is stabilized, and the new inactive student job is tested and run, it will be moved into the USRE environment for integration and user testing.

D2L Daylight Daylight is a new look and feel for D2L BrightSpace. Once Daylight is turned on, students and instructors will see a new layout, new fonts and new icons. In addition, Daylight was built for Responsive Design which is an improved mobile experience. Responsive Design will enable D2L to adapt the display of the content to fit the device (desktop computer, tablet, or smartphone) on which the user is viewing the content.

As part of switching to Daylight, the colleges will assess their content for mobile readiness. D2L’s Consulting Services performed a Daylight audit on our content. During the audit, D2L assessed the colleges’ most important content for how ready it’s for Daylight. The kickoff meeting for the audit was September 14th. D2L used 80 hours to audit the colleges’ content that they have submitted for review. The results of the audit have been documented by D2L and provided to the community colleges and CCCOnline. D2L met with the colleges to go over results and discuss. Most colleges and CCCOnline have decided to use the same language used for some tools. Dropbox will be renamed to Assignments, and News to Announcements. Communication will be important to a successful rollout of Daylight. Communication to users group has started. A demonstration of Daylight was given to the VP Council and VP IT Governance Committee. During the demonstration, an overview of the system-wide project plan was given. Overall, no major concerns were expressed during either demonstration. Some community colleges have written a project plan or started a draft. The community colleges plan to switch to Daylight by end of May 2018, a week in between Spring 2018 and Summer 2018 semesters Disaster Recovery/Business Continuity (DR/BC) CCCS-IT has successfully migrated all of the connections for the wide area network onto the new fiber ring. The traffic for all of the college connections to CCCS-Lowry and the OneNeck datacenter are now running across a high speed network with redundancy across the state. Staff have been busy building systems at the new DR/BC facility and currently have active systems for Active Directory, VoIP, Banner and ODS database servers, DNS and Exchange mailbox servers running in parallel to CCCS-Lowry. Staff have successfully installed the Internet connection at the DR/BC facility. We are currently passing traffic destined only to the DR/BC facility over this link. CCCS-IT, working with Cisco and OneNeck have completed the changes to the network that are necessary to allow for full Internet connection failover in the event that the link at Lowry or the DR/BC facility was to get cut. In early November staff were able to successfully fail our Internet service over to the DR Site with minimal outage( < 1min). CCCS has successfully been able to get the E-Mail OWA servers configured and running at the DR/BC facility and internal CCCS network traffic is using these servers. Staff completed the configuration of the E-Mail Anti-SPAM/Virus devices and they are currently running out of both datacenters. Internal and External email is running fully redundant in the test and production environments at both datacenters. We continue to test Banner application servers at Lowry with automated failover to the redundant database servers at the DR/BC facility. Test so far have been successful and we are now starting to build redundant servers at the DR/BC facility to perform the same testing. If all goes well with the second phase of testing CCCS-IT believes that we have a plan to deploy services in both datacenters and should have the ability to failover applications in minutes rather than hours. Further testing will be required on all of the remaining applications but so far two have been tested.

Banner application testing is well underway and we are currently doing extensive regression testing of the Banner 9 servers and Portal web servers that have been deployed in both data centers in the development environment. At the moment it appears that we will be able to run the majority of the Banner environment in a true active/active configuration allowing for the failover of most applications within minutes with very little downtime. Other applications that are unable to be run in this same method are being evaluated and tested using other failover methods to reduce the failover downtime for them.

eCampus Bookstore Banner Integration Completed project was promoted to Production status on 6/20/207. It was then realized that requirements for classes to be included were slightly different from what was initially developed. Work is now completed to change the Course file to include records that were being excluded under the original logic. Changes have been completed to update the Schedule file logic. The goal of this effort was to capture and send more accurate information to eCampus when a student drops a course. Work is still underway to implement Financial Aid API Updates. OJC has decided not to participate in the API related changes and LCC is currently determining whether the lack of functionality for manual updates will be acceptable or not before deciding whether or not to implement the API. This discussion is ongoing. Electronic Transcripts An upgrade provided by Parchment has been tested and feedback was provided to Parchment for follow-up. This upgrade will require less manual intervention after a hold is removed. CCCS-IT met with Parchment the week of April 24th to discuss the status of this upgrade. CCCS-IT met with Parchment and made progress with the upgrade and it is now working in the TEST environment. We have sent out a test plan to the users at the school for final testing. This was sent back to development for some additional work. Testing of the process by the colleges is underway. The Job Sub is not working so we are redeploying the code to further out testing.

End Advisor Assignment SGAADVR This project is approved and just starting. This project has been requested to create a process to remove Advisor assignments from inactive students. CCCS-IT is scheduling meetings with the project requestor to gather requirements. Examity CCCOnline piloted Examity in Spring 2017. Instructor training was performed, support documentation for instructors and students were developed, agents at the 24x7 Support Desk have been provided with instructions on how to assist students and D2L BrightSpace pilot courses have been integrated with Examity. Examity offers live online

proctoring using a webcam for students taking exams online to prevent cheating. Examity was piloted with MAT 201, MAT 202 and 203 courses in Spring 2017. Students in the pilot courses used Examity while taking their exams. A couple issues have been reported but a majority of students have been able to use Examity without any issue. No major issues were discovered with the HTML 5 version in Fall 2017. CCCOnline will continue to use Examity in Spring 2018 for MAT 201, 202 and 203.

Exchange

Internal users sending spam emails to the Internet, which resulted in our mail gateways being blacklisted for extended periods at the end of last year, has been brought under control. Changes on the email gateways helped address the issue. Also, the product from Cisco that was mentioned last month has been approved for purchase, so that will be a permanent tool that we will use to try to protect users from accessing malicious websites that are supplied via email. As a review, the solution does the following: When a user who is on our internal network clicks on a link in an email, that link information is sent to Cisco for examination to see if it is malicious. If it is, then the site is blocked and the user is notified that it has been deemed to be malicious.

Financial Aid Release 8.31 – 18/19 Aid Year Phase 2 Financial Aid Release 8.31 was released on 10/17. This release will enable the colleges to package aid for students for the 18/19 aid year. Ellucian completed a MEP review for this release on 11/6/17. Testing was successful in DEVL. College-wide testing in USRE is scheduled for the week of 11/30 and the target date for installation into PROD is early to mid-December. The 18/19 Pell tables are not due to be released until mid-December. Testing was successful in USRE and the release was installed into PROD on Sunday, 12/3/17. The release of the 18/19 Pell tables has been moved back by DOE until sometime during 1st quarter, 2018.

Financial Aid Release 8.31.1 – 17/18 Year-round Pell – Phase 1 Financial Aid Release 8.31.1 delivers the Year-round Pell functions for 17/18 aid year. This release has a target date for general availability in mid-November. This upgrade was installed into DEVL on 11/27/17 and testing/set up is in progress. This release was installed into USRE on 12/17/17 and testing was successful. This release was installed into PROD on Sunday, 1/28/18.

Financial Aid Release 8.31.2 – 17/18 Year-round Pell – Phase 2 Financial Aid Release 8.31.2 delivers the Year-round Pell functions for 17/18 aid year for institutions using period based budgeting. This release is scheduled for general

availability in mid-December. Received MEP review on 1/11/18 and installed into DEVL on 1/12/18. Testing is in progress.

FLAC Anticipated Pay Schedule Change A project request to allow instructors the ability to see accurate dates and comments related to their non-instructional assignments on the anticipated pay schedule was approved by the VP-IT Governance on 10/20/17. Project mapping, requirements gathering and process workflow creation has begun in anticipation of development work starting in February 2018.

Follett Discover & ConnectOnce CCCS-IT worked with CCA and ACC to update their Follett interfaces and install virtual

appliances for data exchanges with Banner. This project is now complete and will be

removed from the list following this update.

Gainful Employment Reporting A meeting was held on 9/14 with CCCS Financial Aid Director and GE Task Force Chair. It was decided to move forward with incorporating the VE-135 Salary Information Report into the COGNOS Report. This was discussed with the GE Task Force in October. Development work will began after the specs were finalized by the GE Task Force Chair and CCCS Financial Aid Director. The sequence of the fields in the existing COGNOS report have been revised to match the input order of the DOE template the colleges follow. The fields from the VE-135 salary report for inclusion into the COGNOS report are in the final stages of approval from the colleges. Finalized specs for the VE-135 salary report fields are expected at the January FAMS meeting.

Google Analytics Added to Admission Application A project was approved to add Google Analytics to the Application for Admission pages. This will help all Colleges and SBCCOE to fully understand digital media efforts and make informed data-driven marketing and financial decisions, determine areas of improvement, efforts, ROI, and strategically develop campaigns to reach enrollment objectives. CCCS-IT has put in the Google Analytic code into the Application for Admission to track these items. This is currently being tested with the Marketing office at CCCS. The code for Google Analytics was placed in the New CRM Recruit environment and this is being tested by the schools. We had to make one modification and will send this back out for testing.

GradLeaders SSO Implementation The VP IT Governance Committee has given approval for a project to develop a single sign on solution between our Luminis portal and GradLeaders, providers of an electronic job board.

This project is in the process of initiation. Work on this solution will begin Spring of 2018 with a target implementation date of June 2018

iGrad Single Sign On The VP IT Governance Committee has given approval for a project to develop a single sign on solution between our Luminis portal and financial literacy services provided by iGrad. The Department of Education has partnered with CCD in an initiative called "Project Success" to collaborate and strengthen student outcomes and institutional performance. iGrad is offering a series of free services to improve financial literacy. Real time reporting measures on student engagement will also be provided by iGrad. The work once completed on this Single Sign On solution can also be leveraged for additional CCCS Community Colleges to become involved in this service provided by the Department of Education. The development of this functionality has been completed and has been deployed to our production Portal environment.

Inactive Student Job Modification CCCS-IT received a project request to modify the current Student Inactivation process (SZPINST). This process currently makes a student inactive if they have 3 consecutive semesters with no registration and the new request is to make the student inactive after 3 consecutive semesters of no grades. CCCS-IT made the modification and sent a message out to users for testing. Testing and feedback occurred in September, October, November and January. As part of each testing, the feedback resulted in adjustments to the requirements. The latest testing in January included ACC reporting some inconsistent results. CCCS-IT reworked the code and has this back out for testing, which should be completed by 1-31-2018.

ITSM-Information Technology Service Management Cherwell is the ITSM solution that has been selected as a replacement for Footprints. Footprints is the software used by CCCS to manage IT Helpdesk tickets, IT change management, and facilities work orders. Footprints is also used by CCCS Facilities and some colleges. BEYOND20 is the vendor assisting with the implementation of Cherwell. CCCS-IT approved the Design Package in mid-December, 2016. System design and software installation was rescheduled from late January to March, 2017. Following system design and software installation, CCCS-IT will review the system design and BEYOND20 will make necessary changes. Go-live is September 25th.

The ITSM solution (Cherwell) enjoyed a very soft go-live on September 27, 2017. We have started with basic Support Desk tickets. We will be adding CCCS-IT departments slowly into the Incident/Request module, so that we can ensure that the tickets are being properly assigned, distributed and monitored by the appropriate groups. We are also building customized dashboards so that the teams/individuals can see pending

tickets quicker. An email was distributed on 10/13/2017 to the CCCS-IT, General Outage Notification and CCCS, Banner System Status groups, which included details regarding the incremental roll-out of Cherwell Help Desk ticketing. We have totally transitioned all CCCS-IT helpdesk tickets to Cherwell, and have entered approx. 1,000 tickets at this time. We are beginning to delve into the Change Management and Project portions, but do not have a set date for transition at this time. All CCCS-IT departments have been inducted into the Incident/Request module and have been entering/working tickets for approximately 2 months. We have asked Cherwell to upgrade the software to version 9.3 at the end of January 2018. With this upgrade, we will start opening up the customer portal so that employees can enter tickets instead of emailing/calling the CCCS-IT helpdesk.

Learning Object Repository A Learning Object Repository (LOR) Taskforce was established in 2016 to research and make recommendations to deploy a Learning Object Repository (LOR) that will establish a central repository for system college faculty, staff, and employees to store, search, and reuse learning objects, best practices, and training materials that advance student learning, academic excellence, and organizational effectiveness. The taskforce is comprised of representatives from a number of CCCS colleges and CCCS. A project plan has been developed to support the goal of implementation learning objects into the LOR by three statewide discipline by August 2018. The LOR RFP bid process has been failed due to lack of competition in vendor responses. The members of the LOR Taskforce are now looking at the MERLOT/Skills Commons learning object repositories as a potential alternative solution. Since these repositories are run by the California State University System, engaging with them in our LOR initiative will not require us to repeat the RFP process. We have scheduled reference checks with systems which uses the MERLOT/Skills Commons LORs. If we decide to move forward with MERLOT and Skills Commons, creating a CCCS-branded instance of the LOR, we would need to be ready to begin implementation sometime in April and thus be ready for system testing at the beginning of July 2018. This will permit us to achieve our intended go-live date of August 1, 2018.

Leave Request Workflow Model Changes Work is underway to update the leave request workflow models at the request of Human Resources. There is currently one error still occurring that development is partnering with Ellucian in order to troubleshoot, but all of the changes specified in the project have been built out and tested in DEVL. Once this issue has been resolved, this project will be moving into USRE for functional testing.

Lowry Data Center CCCS-IT staff successfully replaced the core switches for the Lowry DataCenter on July 9th. The switch infrastructure for Lowry now matches the DR/BC DataCenter switch infrastructure.

Luminis / Banner Role Evaluation The VP IT Governance Committee has given approval for a project to evaluate and modify the relationship of Banner and Luminis Roles. Luminis Roles are used to target content to users within our portal. This can both be used as a way to provide meaningful information to users and for security by ensuring that individuals do not have access to applications which they are not permitted to access. Our Pilot Group of colleges has been identified as CCA and CCD. The project team is focusing its evaluation of a select set of Luminis roles at a time, we will investigate means by which to automate the assignment roles.

Mass Drop Students for Failed Prerequisite Student Affairs requested CCCS-IT create a process in Banner that, when run, will automatically drop students who failed their prerequisites. CCCS-IT analyzed the current failed prerequisite report and worked with Student Affairs to confirm the criteria for the process. After beginning development work, CCCS-IT followed-up with Student Affairs to confirm additional criteria for the process. CCCS-IT completed development work in early June. The file upload directories are set-up appropriately and a request for testing by the colleges was sent to the Registrars on 9/18/2017, along with a test plan. A defect was discovered in this and the developers have identified it and it will be redeployed to USRE and ready to re test shortly. While the process worked, there is some information missing in the output file. CCCS-IT added the missing information, however the process is no longer running as expected. CCCS-IT developers are looking into the issue.

Name Display CCCS is actively engaged in addressing the need to display names of students, faculty and staff in a manner that meets their individual needs, while at the same time, appropriately supporting business processes as well as local, state and federal reporting requirements. Short-term solutions specific to students that are already in place include the following: the student preferred first name currently displays in the Banner SSB class roster; in the Cognos class roster; in DegreeWorks; and the student preferred name can appear in D2L (the preferred name must be entered manually each semester on each course for an individual student). EAB is looking to see if they can bring the preferred name into the EAB Navigate Advising application.

Ellucian has developed a solution for Banner that addresses a global approach to name display, including concerns such as: transgender students; faculty or staff use of a professional name as opposed to their legal name; international students who wish to use a local name; and students, faculty and staff who wish to go by a nickname or a middle name. The rules tables to support this solution were included in Banner General 8.8.5, which was part of the Fall 2016 upgrades. However, the actual display of the names, based on the rules set up in Banner General 8.8.5, will begin to appear as Banner 9 modules are brought online. In the meantime, there are considerable discussions that will need to occur in order to develop overall policies and business processes. This will be a collaborative effort and will include representatives from all impacted areas. This effort will be coordinated by CCCS Student Affairs and CCCS Legal Counsel.

Non-Resident Alien Student Tracking (GLACIER) CCCS-IT is working with Fiscal Services to load data from Banner into GLACIER, a Non-Resident Alien (NRA) Tax Compliance software. CCCS Fiscal Services has identified a couple of pilot schools and work is underway to have the data for those schools loaded into GLACIER. The hope is then to load the data for the remaining schools by June of 2018. CCCS-IT is providing the data extracts based on the fields and logic determined by Fiscal Services. At this point the script to extract the data is complete and data was delivered to Fiscal Services for testing purposes in November 2017. The script to extract data for the pilot schools has been completed.

Open Educational Resources (OER) Council To address the high cost of college textbooks, Senate Bill 17-258, Using Open Educational Resources (OER) In Higher Education, established the OER Council to evaluate the use of academic materials by Colorado’s public institutions of higher education. CCCOnline’s Executive Director and Librarian and a faculty from CCD are participating in the OER Council. The statewide council is comprised of 14 members— including faculty, librarians and administrators—and represents two-year and four-year institutions of higher education as well as the Colorado Departments of Education and Higher Education. Members of the OER Council were nominated by their respective campus leaders and provide expert insight and act as advocates for the future of these resources in Colorado. The Council reported its findings and recommended initiatives to the Joint Budget Committee and the education committees of the General Assembly on November 20, 2017. CCCOnline’s 2017-2020 Strategic Plan contain the goal to develop five courses per year using Open Educational Resources (OER). In 2017, 7 OER courses were developed in SU17, 8 OER courses were developed in FA17, and 8 courses in development for SP18, and 8 courses are being developed for SU18.

Office 365 Account Management CCCS-IT developed a plan to purge Student Office 365 accounts and is exploring the best way to purge accounts in Office 365. There are currently over 1 Million accounts which makes managing changes difficult as accounts must be managed one at a time. CCCS-IT needs to purge inactive student accounts in order to gain management efficiencies. In addition, inactive students are purged from the Portal and can no longer access their accounts, so CCCS-IT is maintaining inaccessible accounts. Finally, O365 licensing only allows Office Suite licenses to be issued to current students, making many of our Office Suite licenses non-compliant. CCCS-IT worked with SADA, an Office 365 consulting company, to complete this project. SADA engineers developed a script (the final product to be delivered) to be used to disable student office 365 accounts. The script has been tested on a large set of test data to ensure scalability and efficiency. SADA engineers reviewed our current account purge configurations and made some recommendations, which was taken into considerations when testing account purging process. The final product was delivered and now CCCS-IT is working on the second stage of this project. CCCS-IT is working on a communication plan to inform all colleges and stakeholders of the changes to take place. CCCS-IT will also develop a web application and number of processes that help Support Desk staff to resolve any issues related to disabling and purging student accounts. CCCS-IT brought a revised project charter and documents to facilitate further discussion to the VP-IT-Governance Committee on January 19th. The VP-IT-Governance committee members have been asked to vet the new proposal among the various other groups the committee members are a part of and to bring back any necessary changes to the current proposal by February 16th, 2018.

Pathways in Banner System Student Affairs submitted a project request to identify a field in Banner to store student Pathways. This project, which was approved by VP IT Governance, will primarily be facilitated by Student Affairs. The proposed plan is to use the “Employment Expectations” field on the “Miscellaneous” tab in SGASTDN. Colleges reviewed the random data in this field, and determined it is not needed. CCCS-IT has purged the data and Mepped the validation table in USRE.

Portal Upgrade The VP IT Governance Committee has given approval for a project to implement an upgrade to the Luminis portal. This upgrade to Luminis 5.3 will introduce the functionality of responsive design to our college portals. This means that our portals will be accessible through mobile devices (both smartphones and tablets). Our Pilot Group of colleges has been identified as RRCC and MCC.

Work has begun on this project with the installation of the Luminis upgrade to a development Instance. We are in the process of evaluating the impact of this upgrade on our CCCS environment before making the decision to proceed with installation into our Test environment.

Quality Matters CCCOnline has 12 Quality Matters™ recognized courses: BUS 115, COM115, COM125, ECO201 ECO202, HUM115, HPR178, HIS 101, HIS102, MAT121, MAT103, and SOC101.

Recruit Recruitment Directors have set up meeting times to meet once a month on the 2nd Thursday of the month. These meetings will occur in the CCCS-IT building and after each meeting we will have a CRM Recruit Work Session. This will help support the efforts to continue learning and progressing with using the functionality of the CRM Recruit. The next work session scheduled for February 15th. We have two weeks of Recruit training to be facilitated by an Ellucian Consultant scheduled in February. We will utilize the training on Feb 6, 7 and 8 for beginning training. Feb 27, 28 and March 1st we will have advanced training and new functionality training.

Recruit Upgrades The CRM Recruit upgrades to 4.8.1 were completed along with the upgrades to 4.9. CCCS is on the latest version of Recruit. We will upgrade quarterly now that we are in the Ellucian cloud environment.

SASID Bulk Upload This project was approved and just starting. This request is to have a process to bulk upload SASIDs (State Assigned Student Identification Numbers) into Banner for different students that have this as a requirement for COF and SURDS. CCCS-IT is reaching out the project requestor to begin gathering additional information.

Student Success – Navigate Platform The initial project kick-off meeting with Education Advisory Board (EAB) for the implementation of the Navigate Platform was held on April 14, 2016 at PPCC. All three pilot schools (ACC, PPCC and PCC) had numerous functional area staff in attendance at each of the breakout sessions. Several communication committees were formed and EAB began conducting status meetings with project sponsors, program owners and CCCS technology team in May, 2016. Onboarding: The Navigate application was piloted with students in September, 2016 and promoted to Production the week of November 14th. Schools are now reaching out to new students and encouraging them to use the EAB Navigate program after being admitted. Planning:

CCCS-IT and EAB worked closely together on a way to pull data from DegreeWorks SEP Templates into Navigate as part of the guided pathways approach. This will help students take the right classes in the right order, which will improve their chance of successfully completing their degree. EAB is now importing the course sequences into Navigate for the pilot colleges. This requires some manual work on EAB’s side, EAB hopes to have the process fully automated the next time we update course sequences. Registration: CCCS-IT implemented the Banner 9 Student API, and developed a custom API’s and a custom application to assist with EAB Navigate Registration. The custom application allows Students to sign the Account Agreement via EAB Navigate, and tracks the course of the payment agreement in Banner. EAB Navigate does not currently allow students to drop linked sections, however a message will be displayed advising students to drop via SSB. Fixing the functionality is on EAB’s roadmap for the short term future, with an anticipated date of Spring 2018 Registration. In addition, EAB Navigate will not be able to wait list students, as this functionality is not available in the Ellucian Student API at this time. Ellucian has indicated that they are adding Wait Listing via the API to their road map as a high priority item, no release date has been set. As of November 15, 2017, EAB Navigate now supports registering for linked sections in Banner Advising: CCCS-IT and Student Affairs and EAB are actively working with the schools to configure EAB Campus, the advising tool. CCCS-IT is heavily involved with the Banner integration and has been through two rounds of integration development and testing and the data integration has been completed and validated by the colleges. The pilot colleges have completed the initial configuration, wording, and functionality they plan to use in EAB Campus. EAB conducted on-site trainings for advisors the week of July 10, and the pilot colleges went live with using the advising tool with a pilot group of advisors on Monday July 17. Early Alerts: ACC are piloting Early Alerts for select groups of students and or gateway classes in EAB Campus. Usage: As of January 10, 2018, there have been 18,636 unique student users, and 1,892 unique students have registered. Wave 2 Colleges: Initial project kickoffs were held for MCC, CNCC, CCD, CCA, LCC, and TSJC. Wave 2 colleges are now creating their build teams, while EAB is reviewing the data collected at the kick-off and reviewing the secret shopping reports. The information was presented back to the Wave 2 colleges at their on-site Opportunity Assessments in September and October. The Wave 2 colleges are also cleaning up their program and determining their areas of interest and program descriptions. Student testing will begin in December and January.

2017 Telligen Community Initiative Grant CCCOnline is partnering with CCCS program Director Health Science and Public Safety as part of the Telligen grant recently awarded. This grant seeks to address Colorado’s rural health provider shortages and increase statewide demand for healthcare professionals. The intent is to develop an online Health Science Career and Technical Education (CTE) pathway which will be offered to rural high school students. This pathway will engage high school students and provide them with foundational knowledge and exposure to a range of health occupations. CCCOnline’s leadership and staff attended the advisory committee and curriculum committee meetings held respectively on 07/14/17 and 07/21/17. Beside Basic Anatomy and Physiology (BIO106) and Medical Terminology (HPR178) courses, curricula for two new healthcare courses will be developed. CCCOnline will provide the online instructional design and courses development and assistance throughout the entire project. To serve a larger number of students and due to limited classroom resources in rural high schools, the deployment of these courses will be via CCCOnline and will occur in Fall 2018 and Spring 2019.

Third Party Employment Verifications CCCS-IT has received a project request that will establish a data feed between The Work Number, an entity of existing vendor Equifax, and Banner INB. This data feed will allow for the almost complete automation of employment verifications. Functional testing and verification of the generated employee verifications has been ongoing. Vendor end-user training is currently anticipated for February 22nd with a soft go-live for the feed expected early to mid-February.

solutions for FY 2017. CCCS initiated a five-year Master Contract with Kaltura, from which colleges may execute a Task Order. An Amendment was executed to cancel the current Kaltura Master Contract and all associated task orders. Kaltura has informed CCCS that they will be offering the same pricing from the contract to any college that chooses to contract directly with them. Kaltura has contacted those colleges who executed task orders to extend that offer. CCCS will continue to look for a system-wide solution and will integrate that solution into D2L and support it. We have received proposals and the Video RFP committee is currently review the proposals. They will meet on 2/2/2018 to down-select vendors for product demos during the week of 2/19/2018. Final selection will take place on 2/23/2018.

Voice Over Internet Telephony (VOIP) CCCS-IT collaboration group recently completed the upgrades of the Cisco IP phone firmware. Talks and design considerations continue with Cisco on the WebEx upgrade. There are still a few minor areas that will need additional design work before a project plan is developed and timelines for the upgrade scheduled. The group recently met with Cisco and ANM to determine a migration strategy to Cisco Spark. A test Spark domain will be setup allowing us to test functionality and plan for our migration to that platform in 2018. As of 1/31/18 Cisco will be eliminating the 1-800 number dial-in capabilities for our WebEx environment. Users will have to start taking advantage of the “Call Me” function within the WebEx conference or physically dial into the conference for audio. The VoIP Server OS upgrade project that will take us from Microsoft Server 2008 to Microsoft Server 2016 has been completed. WebWork - CCCOnline The Innovation Challenge Grant for piloting WeBWork has been approved. WeBWork is an online homework platform for math and science. WeBWork allows institutions to deploy high-quality assessment environment that is free to students. The pilot will allow members of the math departments at CCD, RRCC and CCCOnline to create and implement OER learning objects for MAT 121 and 122 courses. If the pilot is successful it could be expanded to other courses at each college through the proposed system Learning Object Repository. CCCOnline’s Academic Technology (AT) has completed the installation of WebWork. The Single-Sign-On integration has been setup between D2L and WebWork for CCD, RRCC and CCCOnline. Each college will have their own WebWork instance which allow each college to have their own branding. Academic Technology has created How-To documentation for CCD and RRCC’s WebWork admins. CCD and RRCC started using WeBWork in Fall 2017. CCCOnline’s Academic Technology has been monitoring WeBWork for performance and stability. CCCOnline will be piloting WeBWork with MAT121C00 in Spring 2018. Course development has completed for the section. RRCC and CCD have been piloting WeBWork, so for CCCOnlines’s MAT121C00, RRCC and CCD students will be enrolled into the section.

Wide Area Network Router Upgrades CCCS-IT Network will be replacing/upgrading the Edge Routers at all college campus locations. Routers have purchased and received. Staff are working on the configurations for the new routers and will be scheduling the remote deployments into the first quarter of 2018. CCA-Centre Tech, CCD-Auraria, RRCC-Lakewood, RRCC-Arvada, PCC-Fremont and all ACC campuses have been upgraded with others pending scheduling windows. Windows 10 Upgrade Computers are continually being upgraded to Windows 10. This continues to be an active project for both the colleges, and the system office, and will not be nearing completion until the end of 2018. To date, more than 8,000 computers have been upgraded to Windows 10 as part of this project.
