1.1 How to use this manualYou can use this manual in various ways. It may be used both as an introduc-tory training manual and as a reference text for special tasks or problems.

1.2 Symbols and conventions

This manual uses icons and fonts for easy orientation. There are special iconsin the margin for text containing warning messages or tips.

You can tell from the styles used whether you should enter something orselect a function. You will find the icons and styles used and their meaningsin table 1-1 .

2 Introduction

This section provides you with an introduction to Transit Satellite PE. You willdiscover Transit's various applications and for whom Transit was designed.In addition, the other programs in the STAR product line are described inbrief.

2.1 Transit

Transit is STAR's Translation memory system, which allows you to translatequickly, with consistency and therefore also cost-effectively.

Transit gives you suggested translations for text which is identical or similarto text you have already translated. Therefore, you never have to translate thesame text more than once. Transit takes care of this for you.

In addition, Transit assists you with special functions during the translationitself. The most important of these functions are:

Statistics

The import statistics tell you the degree of leverage from previous trans-lations, the number and quality of suggestions contained in the FuzzyIndex as well as the amount of text still requiring translation.

Protected formatting

In Transit all formatting information is protected. You can concentrateentirely on the text without worrying about accidentally changing for-matting information. This includes cross-references and anchoredframes.

This means that in Transit there is hardly any additional work needed onthe translated text.

Editor

The editor in which you translate is optimized for translation.

2You can check your translation directly in the editor using the optionalspellcheck dictionary.

Project management

Transit Satellite PE includes TermStar. Transit Satellite PE automaticallysearches the TermStar dictionaries during the translation process. You candirectly incorporate words found into your translation and can add new wordsto the TermStar dictionaries just as easily.

2.2 Product variants

There are different versions of Transit, each having a different range of func-tions:

Transit Professional

This version contains all the functions for project management andtranslation.

The Professional version is suitable for translators who work independ-ently and for project managers.

Transit Smart

This version is a Professional version with restricted project manage-ment functions.

Transit Workstation

In this version there are no project import or export functions.

The Workstation version is suitable for translators who receive their textsfor translation from project managers. The project manager creates theprojects and handles the import and export.

Transit Satellite PE

This is similar to Transit Workstation but has fewer functions. It is aimedat users who receive translation projects from a project manager andsend the translation back to the project manager.

You will find more details on the product variants in the product description.

2.3 Transit users

Transit was developed for translators, project managers and technical edi-

tors. Transit is used primarily by translation companies, translation depart-ments, freelance translators and documentation departments. You will findthe advantages for each of these user groups listed in table 2-1.

Similarly, the translator views text that is easily over-looked, such as cross-reference definitions, varia-bles, automatic paragraph numbering, index mark-ers or text on template pages.

2.4.1 TermStar

TermStar is a program for managing and viewing electronic dictionaries.These tasks are summarized in the concept "Terminology Management.

Electronic dictionaries have the following two main advantages over paperdictionaries:

They can be searched efficiently using database functions

The dictionaries can be edited and expanded

With TermStar you can record all your terminology and manage it in data-

bases. The information you enter is completely up to you. You can simplyenter word pairs or make extensive entries with grammatical information anddetailed definitions.

2.4.2 WebTerm

WebTerm makes the great benefits of TermStar available over an intranet orthe Internet, regardless of where the user is located.

This program provides everyone using it with a company-specific dictionarywhich can be viewed using a browser. Users with authorization always havecomplete access to the company's current terminology, in any languagedesired.

When you start Transit Satellite PE the first time after installation, Transitprompts you to enter your name.

Transit generates a folder with your name. Transit saves all user-specific datasuch as profile settings and project data for the Userscope etc. in this folder.

1 Start Transit after you have installed it.

Transit opens the Create New User window.

2 Enter your full name in the Full name field.

Transit creates a folder with your name and stores all user-specific datain this folder.

Reason for full name

Based on the full name, your project manager can determine what you havetranslated. For this reason, please ensure that the name you enter is correct.

4 Basics

4.1 Projects in Transit

4.1.1 Steps for the project manager

Definitions for a Transit project can be compared to those which the projectmanager defines for a conventional translation project. The project manager

defines everything that he/she would also define for a normal translationproject where a translation memory system is not being used.

An overview of the project settings which the project manager can specify isprovided in section 13.3 Project settingson page 139.

The project manager will need to carry out the following additional steps oncethe project settings have been defined:

Import the original files into Transit. Please refer to section 4.1.2 Howdoes Transit import files?on page 20for more detailed information onhow documents are imported in Transit.

Send you the project if you are to translate the project in TransitSatellite PE, for example. Please refer to section 5.2 Receiving aproject on page 27 for more detailed information on how to receiveprojects.

Once you have received the project you can start translating, (see sec-tion 6 Translating a Language Pairon page 33). When you have com-pleted the translation, you send the translation back to the project man-ager, (see section 5.4.2 Sending a translationon page 31).

The project manager receives the translation you have sent.

Then the project manager exports the project so that the translationgoes back to its original format. Please refer to section 4.1.4 How doesTransit export projects?on page 22for more detailed information onhow documents are exported in Transit.

4.1.2 How does Transit import files?

Before you translate a file in Transit, the project manager imports the file. Dur-ing the import, Transit carries out the following steps, (see also Fig. 4-1 onpage 21):

Filtering

During the filtering process, Transit opens the source file and separatesthe formatting information from the textual information. Formatting infor-mation refers to specifications for paragraph or character formatting,changes in paragraph or character format and specifications for format-ting templates, graphics etc. Transit inserts "Tagsto mark the positionof the formatting information.

Please refer to section 6.9 Tags in the Transit editoron page 64formore detailed information on working with tags.

Segmentation

During import, Transit breaks down the text into individual, easily-man-aged sections known as "segments. These are the sections that youtranslate. These are also the sections of text which Transit searchesthrough and replaces when comparing the text against existing transla-tions.

The project manager can specify whether the segments should be com-prised of paragraphs or sentences.

Please refer to section 6.8 Segments in the Transit editoron page 62for more detailed information on working with segments.

Pretranslation

Transit carries out a pretranslation process in all languages selected.

The project manager can use the Sendfunction in Transit to save all the filesrequired to translate a project into a single compressed file. The project man-ager then sends this file to you.

4.1.3 Translating a language pair

You can start translating as soon as you receive a project from your project

manager. Transit helps you in this process with the aid of a number of func-tions which make life easier for you. These include:

Separate windows for source and target text

The source text appears in its own window and is write-protected. Youalways have it right in front of you as a check. You enter the translationin the target language window. Transit will already have inserted the pre-translated segments into this window during the import.

Translation suggestions from the Fuzzy Index

As you translate, Transit searches through the reference material and

the text you have already translated to establish whether segments withthe same or similar source text already exist. Transit supplies you withtheir translations. The search function is called the "Fuzzy Index.

The Fuzzy Index also supplies you with suggestions for segments whichare not completely identical to segments in the reference material. Thesesuggestions are called "fuzzy matches".

Terminology management in TermStar

Transit contains the terminology management system TermStar.TermStar automatically displays the translation for all terms which havebeen entered in the database. This saves you searching and helps youkeep terminology consistent throughout the translation.

In addition, you can easily enter your terminology into TermStar whileyou translate and thereby build up the dictionary.

Customizing Transit

You can customize Transit to your individual requirements and workingmethods, thus allowing you to work more efficiently.

Quality assurance

As you translate, you can assign a status to your text, such asimported, "translated" etc. In this way, you maintain a check on whatstill has to be done.

Of course, standard functions such as spellcheckers and formattinginformation checks are also provided.

Status report and statistics

Transit can provide you with comprehensive status reports on yourproject so that you are always up-to-date with the status of the work andcan manage your project more easily. Please refer to section 11.2 Sta-tus reportson page 104 for more information on this topic.

Please refer to section 6 Translating a Language Pairon page 33for moredetailed information on translating language files.

4.1.4 How does Transit export projects?

When you have translated the text in Transit, you can save the translated lan-guage files in a compressed file by means of the Send Translation functionand send this file back to the project manager, (see section 5.4.2 Sending a

translationon page 31).

The project manager can export the translated text out of Transit using thetranslation he/she received from you.

During the export process, Transit puts the segments back into their originalparagraphs and reapplies the formatting information to the translated text.This process produces a complete file in its original format.

4.2 Transit workstation


4


Transit is integrated into the STAR translation environment, (see Figure 4-2).

You can launch various modules from the STAR translation environment,such as Transit or TermStar.

All of these modules run as standalone applications in the STAR translationenvironment window. You can easily switch between these modules.

Window

As with many other Windows programs, you can open several windows inTransit at the same time. You can arrange these windows as you like withinthe main Transit window.

Please refer to section 6.3.1 Transit editor windowon page 36for furtherinformation on this topic.

4Menus

There are two types of menus in Transit:

Menu bar menusClick on the menu title in the menu bar to open these menus.

Context menus containing the most important commands

Right-click to open the context menus.

Toolbars

The toolbars along the top of the window contain buttons for frequently-used

commands. Transit has several toolbars which you can move and display orhide.

Move the mouse cursor over an icon without clicking on it to obtain a briefdescription of the icon's function.

Please refer to section 10.4 Arranging, displaying and hiding toolbarsonpage 100 for information on how to customize the toolbars.

Status bar

The status bar displays information on the segments and tags.

4.2.1 Calling up functions

As with many Windows programs, you can call functions using either themouse or the keyboard. Many functions can also be called using menus, toolbuttons or shortcuts.

The following instructions show you the various ways of calling up a function,taking the Copy textfunction as our example.

How to copy text using the menu:

1 Highlight the text that you wish to copy.

42 Click Editin the menu bar along the top.

The Edit menu drops down.

3 Click Copy.

Transit copies the highlighted text to the clipboard.

How to copy text using the context menu:


2 Right-clickin the window containing the highlighted text.

Transit opens the context menu.

How to copy text using a shortcut:


2 Press and hold the CTRL key.

5 Editing a Project in Transit

Satellite PE5.1 Overview

Scope

With Transit, you can make a project accessible to one particular user group

only. You may also assign a project with all its settings to a particular cus-tomer. This ensures that projects are accessible to particular users only andallows you to find projects quickly and easily.

5.2 Receiving a project

The project manager prepares a file with the extension pxfwhich you can

receive by e-mail or FTP or on a diskette/CD. This file contains all the neces-sary data you require for the translation.

You also receive the project settings which specify the files, languages, ref-erence material and dictionaries associated with the project.

Then all you have to do is open the project and the language files and you canstart translating the text.

Database for dictionaries received

If you receive a project with dictionaries, the dictionaries received are savedin the TermStar Receiveddatabase. This database is created automati-cally during installation. Ensure that this database still exists and that it hasbeen linked.

5How to receive a project:

1 Select Project | Receive.

Transit displays the Receive Transit datawindow. You can select atranslation or a project from the Files of typelist.

2 To receive a project, select Receive project (*.pxf) from theFiles of typelist.

3 Select the pxf file you want to receive and confirm your selection byclicking Open.

Transit displays the Project Namewindow with the project name andscope of the project received.

4 To change the name and scope of the project, enter the new name in the

File namefield and/or select the scope from the Scopelist.

If you have entered a new name, Transit displays the New WorkingFolderwindow with a suggested working folder.

To specify a different folder, click Change, select a different file hier-archy and press OKto confirm your selection.

Press OK to confirm the working directory displayed in the NewWorking Directorywindow.

Click Saveto confirm the name and scope.

5 It may be the case that a project with the same name as the project tobe received already exists on the computer receiving the project.

If so, Transit displays the following message:The object already exists. Overwrite?

CancelThe existing project is not overwritten. Transit displays theProject Namewindow again so you can specify a different name,(see step 4).

OKTransit overwrites the existing project.

If you want to overwrite the project, Transit displays the Confirmoverwritewindow with a warning message and the following ques-tion:Are you sure you want to overwrite the existing

project?

This confirmation is a safety measure to prevent the existing projectfrom being overwritten inadvertently.

5 CancelThe existing project is not overwritten. Transit displays the

Project Namewindow again so you can specify a different name,(see step 4).

OKTransit overwrites the existing project.

6 If a dictionary was sent with the project, it may be the case that a dic-tionary with the same name already exists on the computer receiving theproject.

If so, Transit displays the following message:The dictionary "" has already been received ear-

lier. Do you want to overwrite the dictionary

""?

Yes Transit overwrites the existing dictionary in the TermStar

Receiveddatabase with the new dictionary received. NoTransit creates a new dictionary in the TermStar Received

database.

5.4.2 Sending a translation

With Transit Satellite PE, you can translate a language file and send all thetranslated language files back to the project manager as a compressed file.

When you send a translation, Transit copies the following files into a newcompressed file which has the extension txf. These are:

All source language files and target language files that you have trans-lated and therefore changed

Any project dictionaries you received with the project.

You can choose whether all the project dictionaries or just the changeddata records should be sent.

You can send the txf file created with the Send translation function by e-mail, FTP or on a diskette/CD.

How to send a translation:

1 Select Project | Send.

2 Transit displays the following message if you received dictionaries withthe project:Do you want to send only modified records?

YesTransit only sends the data records you have changed.

NoTransit sends the entire dictionaries.

6 Translating a Language Pair

6.1 Overview

The translation process in Transit consists of a number of steps. Transit doesnot leave you alone in this process. Instead, it helps you with a number offunctions.

Once you have received the project, carry out the following steps in Transit:

Open the language pair, (see section 6.2.1 on page 34)

Transit displays the text in the editor. Please refer to the following sec-tions for information on how Transit displays text and on which addi-tional elements Transit uses:

Transit editor (section 6.3 on page 36)

Update markings in the Transit editor (section 6.7 on page 60)

Segments in the Transit editor (section 6.8 on page 62)

Tags in the Transit editor (section 6.9 on page 64)

Translating the text (section 6.4 on page 41).

Transit helps you with many functions, (see section 6.5 Functions whichmake translation easieron page 43).

As you translate, Transit automatically provides you with matchingtranslation suggestions (fuzzy matches) from previous translations in thereference material, (see section 6.6 Using the Fuzzy Indexon page 56).

In the background, Transit automatically searches in the project diction-aries for entries relevant to the text that you are translating, (see section8.2 Accepting translation from dictionaryon page 78).

If you have comments relating to a specific text element, you can writethem immediately into the scratchpad and forward them to a third partyor recheck them later, (see section 9 Making Notes and Searching forNoteson page 87).

Transit also shows you all of the important formatting in the Transit editor sothat you can work more efficiently in the text while you are translating.

Transit converts the following formatting to "WYSIWYG view, (WYSIWYGstands for "What You See Is What You Get) :

Transit automatically uses a character set with the correct characterencoding.

Transit displays tables as tables.

Transit recognizes the document structure and displays headers, num-bered and unnumbered lists appropriately.

Transit uses standard formatting for the display. It is therefore possible

that the numbering in the Transit editor may differ from the numbering inthe source document. Your document is formatted with the original for-matting during export and thus also with the correct numbering.

Transit displays character formatting such as bold, italics, underline,superscript, subscript and font size.

If necessary, you can apply this character formatting manually as youtranslate.

Transit imports text from objects which were embedded in the docu-ment. You can translate this text.

Transit cannot import text from embedded objects which it cannotimport or from files which were imported into the source file as links.

Transit imports conditional text, text in paragraph numbering, text ontemplate pages and reference pages, as well as indexes and fields. Thisallows you to translate this text.

Even if Transit does not display all of the formatting of your source file, thisinformation is always still available in the layout file.

6.3.3 Characters and symbols in the Transit editor

When a document is imported into Transit, Transit will copy the text into lan-guage files for the source and target languages. In addition to the text to be

The toolbars along the top of the Transit workstation window contain buttons

for frequently-used functions. You can display and hide these toolbars andarrange them on the screen.

10.4.1 Arranging toolbars

Transit has several toolbars which you can arrange separately. A toolbar willbe one of the following types depending on where you move it to:

Docked toolbar Toolbar which is docked to an edge of the program

windowA toolbar can be docked along the top of the program window below thetitle bar, along the bottom of the program window or on the left or right-hand side of the program window. If you drag a toolbar to the edge ofthe program window, the toolbar will be docked to the edge of thescreen.

Floating toolbar Toolbar that is not docked at the edge of the programwindow.

Floating toolbars have their own title bar. If you move a docked toolbar

away from the edge of the program window, it will turn into a floatingtoolbar.

Any settings you make to the toolbars will automatically be saved with theuser profile currently in use.

How to move a toolbar:

1 You need to click on different parts of the toolbars, depending on theirtype:

Docked toolbar Click on the move handle to move it. This is the dou-ble bar at the left of the toolbar.

Floating toolbar Click on the title bar.

11.2.1 Overview

Transit provides you with various status reports which serve different objec-tives:

Status report on the progress of a project (see section 11.2.3 on page105)

Status report on the method of translation (see section 11.2.4 on page105)

Statistics under File | Properties (see section 11.2.5 on page 106)

Different objectives mean different results

The various status reports will always return different results because of theirdiffering objectives and methods of counting. For this reason it is importantyou use the status report suited to your individual purpose.

You can save the report in text format. The individual values are separated bytabs so that you can also import the analysis report into a spreadsheet andedit it there.

Please refer to section 11.2.6 Creating a status report or getting statisticson page 106for more information on how to create a status report or get sta-tistics on a project. Section 11.2.2 How does Transit count?on page 104explains how Transit calculates the results given in the reports.

A common feature of all statistics is that they first determine the status ofeach segment on a segment-by-segment basis. Transit then calculates theword and character counts by counting the number of words/characters in asegment and then assigning this number to the status category of that partic-ular segment.

11Characters are defined as any character including spaces, punctuation marksand special characters. Characters in tags are not counted, except if theymake up text which has to be translated.

11.2.3 Status report on the progress of a project

Menu Project | Status

As the name suggests, this status report shows the progress being made ona project. The current statusof each segment is determined and calculatedagainst the corresponding number of words/characters.

The status report provides an instantaneous snapshot of the current statusbut does not explainhowthat status has been arrived at. For example, the

translatedstatus can indicate the following:

The segment was translated automatically and marked as translated bythe translator.

The segment was partially pretranslated, amended by the translator andmarked as translated.

The entire segment was manually translated by the translator.

The report thus indicates the amount of work left to do, but not how much hasalready been done. This means that it can only be used for project monitoring

andnotfor project billing.

11.2.4 Status report on the method of translation

Menu Project | Status

Unlike the Progress status report, the Translation report displays by whatmeansthe status of a segment has been arrived at. This allows you to form apicture of how the text has been translated: automatically, partially automat-ically, manually, etc.

The report tells the history of the project - albeit indirectly - and so providesinformation on the amount of work involved in the translation. This means itis the only meaningful basis for project billing.

11.3.5 Checking for blanks

Transit can check whether the number of blanks at the start and end of thesegment is the same in the source and target languages.

Blanks at the start or end of segments can easily be deleted or entered acci-

dentally during translation. This could mean that consecutive sentences areno longer separated by a blank or there may be too many blanks betweensentences.

Transit offers the following check options, which you can specify as explainedin section 11.3.2 Settings for checking formatting codeson page 109:

Leading blanks:

Transit compares the number of spaces at the beginning of a segmentin the source and in the target languages.

Trailing blanks:

Transit compares the number of spaces at the end of a segment in thesource and in the target languages.

AutoCorrection

If the number of blanks at the start and/or end of a segment is differentbetween the source and target language, Transit corrects the target lan-guage automatically.

In doing so, Transit applies the number of blanks in the source languagesegment to the target language segment.

The fact whether blanks at the start and/or end of the segment are auto-matically corrected depends on whether you have selected Leadingblanksand/or Trailing blanks.

11.3.6 Checking numbers and number-writing conventions

Transit can check whether numbers in the source language match those inthe target language. In addition, you can also check whether decimal delim-iters and 1.000s delimiters used in the translation correspond to your individ-ual specifications.

Checking does not mean changing

The check ran on numbers, decimal delimiters and 1.000s delimiters doesnotchange numbers automatically, but rather checkswhether they have beencorrectly changed.

You can change the numbers manually during the translation, (see section

6.5.2 Findon page 44).

Transit offers the following check options, which you can specify as explainedin section 11.3.2 Settings for checking formatting codeson page 109:

Numbers

If there is a number in the source language segment, Transit looks for

the same number in the target language segment.

Changing decimal delimiters

If you have activated Numbers, you can also check whether the decimaldelimiters have been changed correctly.
