Real-time reporting capabilitiesThe UDS-PRO® software includes a real-time reporting system. Our Presumptive Eligibility Estimation Report (PEER) shows facilities their estimated compliance with CMS’s 75% Rule. Facilities that have received their results on the Presumptive Eligibility Test from their FIs have stated that our report has given them an estimate within 1% of the actual percentage of qualifying cases. Reports can be run with a variety of filters and options such as payer, RIC, date ranges, and more. Other reports include LOS-to-date for patients in care, program management reports, and more.

Enhanced Profile Report capabilitiesOur enhanced Profile Report includes case-based CMG goals along with 50th, 75th, and 90th percentile goals for the patient. These goals are based on outcomes from hundreds of thousands of IRF-PAI cases.

Cost fields, referral information, and resource utilizationThe UDS-PRO® software contains fields that you can use to track costs, referral information, and resource utilization. Not only can you track cost information for each patient, but you can set up facility cost averages by CMG, RIC, or IGC. ReportsThe UDS-PROi® software provides a comprehensive set of real-time reports that help you monitor indicators such as LOS-to-date for patients in care, goal attainment, and CMI. What are on-demand reports?

UDSmr provides interactive, online reports to all UDS-PRO® System subscribers. Housed within the UDSPRO Central™ website, these unique reporting tools are available 24 hours a day, 7 days a week, providing you access to on-demand reports that you can use to analyze your facility’s performance any time, anywhere.

Why use on-demand reports?

By using UDSmr’s on-demand reports to analyze past and present performance, your facility can identify its program’s strengths and areas for improvement. These reports can also help your facility determine whether changes to admission policies, staff training efforts, and other practices have resulted in improved performance. Additionally, your facility can use the reports to analyze data at the RIC, CMG, and patient levels to examine whether specific populations or individual patients are impacting your facility’s performance.

What kinds of reports are available?

UDSmr offers five main on-demand reports, but limitless ways to view the data. Outcome reports benchmark your facility’s against comparison groups, while demographic reports allow you to examine demographic influences on your outcomes. Trending reports provide monthly, quarterly, and yearly trending data and graphs for your choice of two outcome measures at once. The Cases with Special Characteristics Report provides benchmarks on the percentages of early transfers, short stays, expired cases, and interrupted stays. Finally, coding and clinical reports allow your facility to identify rating issues with function modifiers, FIM™ items, and impairment/etiologic diagnosis combinations.

Each major report can be customized to your facility’s needs. You can select variables such as total discharge FIM™ rating, FIM™ change, LOS, and case mix index. You can also select specific time periods (including rolling 12-month fiscal years), impairments, and demographic information to further refine your report. You can even drill down through the report at the RIC, CMG, or patient level and compare your facility’s data to the state, the region, the nation, or other facilities within your corporation.

Other features

In addition to the limitless reporting options, UDSmr’s on-demand reports offer a variety of export formats, including PDF, CSV, and XLS. Our “saved reports” option allows users at your facility to save frequently run reports and their parameters to a single location for quick access during future sessions. Finally, our on-demand database is updated every week with new data, ensuring the highest quality and standards in benchmark reporting.

Hardware and Software Maximum security and availabilityThe UDS-PROi™ server architecture ensures that no one point of failure can compromise our system. Our servers are located in a highly secure computer room managed by the University at Buffalo, The State University of New York. This room and the building that houses it operate under government-level security. The Internet connection provided by the University at Buffalo features high redundancy and very high-speed connections (2-T3 or 6-T1). The university also provides us with a redundant power source to protect against outages and blackouts.

Web serversOur two high-power, multi-processor web servers operate at the same time and share the load as needed. If one server becomes busy, the other will begin processing requests in order to speed up the response time that you see on your end.

Security controllersThese two servers maintain our security. These servers also function as backups for our Crystal Reports server, so your reports are available even if the report server goes down.

Database serversOur two high-power, multi-processor database servers provide redundancy insurance and the potential for future load sharing.

Crystal Reports serverOur Crystal Reports server is responsible for creating your reports. This powerful server is backed up by our security controllers.

FirewallsWe employ two firewalls to safeguard your data. One of the firewalls is administered directly by us, and the other is controlled by Computing and Information Technology (CIT) at the University at Buffalo. The extra protection of our second firewall helps insulate your data from external source corruption. The following diagram illustrates our server setup:

Hardware and Software Backup ProceduresServer backupsWe follow standard server backup procedures. Full backups are run nightly on all servers. We also have images of all the servers so that we can restore them quickly if needed.

Database backupsOur MS-SQL database is fully backed up each night. We also perform differential backups every few hours during the day. These procedures back up data that has been added or changed since the last nightly backup. In a worst-case scenario, we will lose data only since the last backup. The verification process restores the database and data to another set of database servers.

Conversion FeesDatabase conversionConversion from version 3.5, 3.5a, or 4.0 of the UDS-PRO® software to the UDS-PROiTM software is available free of charge after an evaluation period. If your facility later decides not to use the Internet-based software, we will charge a fee of $300.00 to convert your data back to desktop use. We will convert data only to version 4.0 of the desktop software.

Report conversionWe can convert custom Crystal Reports that facilities have created and imported into version 3.5, 3.5a, or 4.0 of the software. A small fee will be charged for each report. Note that we cannot convert reports that access databases other than the UDS-PRO® database.

Integrating hospital information systems is a challenge that faces all information system professionals. Assuring data accuracy, integrating diverse departmental systems, reducing data entry and other human errors, and protecting patient information—these factors all complicate the process. UDSmr’s UDS-PRO® HL7 software interface provides a platform on which all of these factors can be addressed in a user-friendly, user-defined way for those who use version 4.0 of the UDS-PRO® desktop software as well as those who use the UDS-PROi® Internet-based software.

BenefitsThe UDS-PRO® HL7 interface offers a variety of benefits to rehabilitation facilities, including the following:

Reduced data entry: Saves on people time.Improved data integrity: Data entered at admission does not have to be entered a second time, thus reducing data entry errors.Reduction in coding and billing errors: Key billing data stays consistent with clinical evaluations and documentation.Real-time data processing: Cases are automatically created in the UDS-PRO® software once the admission process is complete, and related information is updated as soon as it becomes available.

FeaturesThe UDS-PRO® HL7 interface software uses HL7 v2.3+ with backwards compatibility. It can receive and transmit ADT A01, A03, A05, and A08 transactions and can transmit DFT P03 transactions. It can send or receive acknowledgment messages if required. In addition, it includes a custom Z segment called ZIR, which is capable of holding nonstandard data in an HL7 message. (You must customize your HL7 interface to accept this segment.)

The UDS-PRO® HL7 interface also features message transaction logging capabilities, logging to Windows® Event Viewer, Last Sent Time and Last Received Time displays, and message filtering, which allows you to send and receive cases based on your requirements.

A cost-effective solutionThe UDS-PRO® HL7 interface is available for a one-time charge of $2995—well below comparable offerings from other HIS vendors. Implementation costs between $1100 to $6600, depending on the complexity of the installation. Ongoing support is available for a monthly rate that is based on complexity. (This support is required for users of both the UDS-PRO® desktop software and the UDS-PROi® Internet-based software.) Installation, customization, and training are available from our HL7 implementation partner, Computer Solutions and Software, Inc. (CSSI).
