MAnAgE yoUr ASSETS, procESS FUncTionS And conTrAcTSThe well organised management of your organisation’s assets forms
the basis of a maintenance organisation that functions effectively. With Ultimo Maintenance Management you can easily create insight into all your assets. The Asset Management module is suitable for recording all the data concerning assets, process functions, departments and branches. in this way, you can
examine organisational and technical information, maintenance history, preventive maintenance models, measurement results and
service contracts from the relevant assets whenever you want.
Besides assets, the module also offers the option of defining process functions. you do not only make a record of the accompanying assets but you can also build in and take out the exchange parts. All sorts of information regarding placement locations and the history of building in and taking out are summarised. Maintenance history can also be consulted at a process function level. do you use process & instrumentation diagrams (p&id’s)? Then Ultimo offers the possibility of accommodating these technical drawings in the process function management. Thanks to the use of ‘contexts’ and the software’s flexibility it is possible for you to accommodate other objects in Ultimo. This may include means of transport, tools and instruments. All your service contracts including contract description, supplier, run time, period of notice, number of supplier visits per year, contract costs and a description of the content can be accommodated within Ultimo.
Work ordEr MAnAgEMEnT And prEvEnTivE MAinTEnAncEThe Work order Management module contains all
the resources for creating and completing activities. The module offers a simple input screen for creating a
‘job’. This can be completed by the employee carrying out the work or by a work planner. The work order flow is divided
into phases. These phases can be altered according to the wishes of the organisation.
When preparing activities, the Ultimo Jobplanner can be used to simply and quickly assign work to people, taking
work services, capacity and availability into account. Furthermore, all ty-pes of relevant detail information regarding the activity can be established. This may include; work instructions, planned hours, materials needed, tools required, standard work plans and service contracts. once activities have been completed, the actual worked hours, materials used and other costs can then be registered. As a result, you gain an excellent insight into the calculations made before and after activities take place.
part of your activities is probably made up of preventive maintenance activities. you can use the preventive Maintenance module to create one or more preventive maintenance models for each object. These models will be generated on the basis of frequency, counter position, week number or condition. By using a graphic summary you can easily see which preventive maintenance tasks must be carried out in a certain period. you can always make adjustments to this.

Ultimo Maintenance Management
After generating the preventive maintenance tasks, the tasks themselves are coupled to the employee who will carry them out. you can also use the Ultimo Jobplanner for this. The preventive Maintenance module can be used to generate inspection plans, lubrication plans and walking routes too.
STock MAnAgEMEnT And pUrcHASingThe module Stock Management and purchasing allows you to easily manage your (warehouse) stocks and spare parts, generate ordering advi-ces, place orders and record the receipt and issue of articles. All the details of relevant articles can be recorded in Ultimo including supplier details, warehouse location, article number, description, article and order specifi-cation, internal price, storage percentage, ordering point and stock status. All stock mutations are, of course, kept up to date. When the stock level has reached the predefined ordering point an order advice can be generated automatically (taking into account the desired maximum stock and the current economical stock). An order can be created in Ultimo based on this order advice or on the basis of a (new) request. receipts are registered and any issue of goods will be processed.
UlTiMo BUSinESS rEporTingin order to manage your maintenance organisation most effectively you must have the necessary operational and management information avai-lable to you. Ultimo Maintenance Management is equipped, as standard, with a great deal of reports. These reports provide you with insight into the progress of work, hours logged, costs incurred, historical data such as a ‘faults top 10’ and rAM (reliability, Availability, Maintainability), service contracts, stock management, delivery time monitoring etc. The Ultimo consultant can also create new reports during implementation and you can do this yourself, using the optional report generator crystal reports. The optional Ultimo dashboard designer also allows you to set up indivi-dual ‘control panels’ so that you are able to direct according to your key
performance indicators (kpi’s). you can see the most important management information in the ‘blink of an eye’.
opTionAlThere is also the opportunity to work with Ultimo on your laptop, pdA (pocket pc) or gSM. The module Self Service Ultimo.net allows Ultimo to be opened up for all the relevant employees via intranet/internet. produc-tion employees can report simple faults themselves. Employees can put through orders, monitor the status of reports and examine online reports and details of assets, for example.if you like, Ultimo Maintenance Management can be expanded on a mo-dular basis to include facility functionality. if you will be working with a central services reporting point (Service desk) the Service desk module is suitable for streamlining and supporting all the accompanying processes. or you may wish to manage the available iT assets according to the iTil methodology? The extensive iT Management module is then the appropriate solution. Would you also like to manage and maintain buildings with Ultimo? you can use the modules Building Management and Multiple year Maintenance planning to pro-vide insight into your buildings’ maintenance and to create efficient long term maintenance forecasts.
UlTiMo BUSinESS inTEgrATionUltimo Maintenance Management has a very open architecture. it is therefore possi-ble to exchange data with almost every relevant application. A few examples of systems with which an interface can be rea-lised are: financial systems, Erp packages, HrM software, building manage-ment systems, equipment testers (nEn 3140), purchase-logistics’ systems, gpS and giS. Ultimo comes with standard integration with MS office and MS project. A cAd viewer is also delivered as standard. cAd integration is an available option.
