These high quality garments need care to keep them looking smart and professional, and so we’ve produced this Wearer’s Guide with all the instructions you need.

1.1 How to Order A Uniform Order Form will be issued to you by your line manager or designated Uniform Coordinator. This lists the garments available for you depending on your role - see page 9 for details. Complete and return the form to your manager who will place the order.

Orders received at JSD before 12:00hrs every Wednesday, will be dispatched to arrive on Friday - as long as the items are in stock. Orders received after this cut-off time will be delivered the following Friday.

Once you’ve received your pack, check your garments carefully against the dispatch note to make sure that the items are correct. Try them on to ensure they are the right size for you.

1. Ordering your new uniform is easy.

1.2 Returns Process If any of your garments don’t fit or you wish to return or exchange them for any other reason, please complete the returns form (see sample on page 15 – you can get this from your line manager). Hand it back to your line manager with the original dispatch note and the garment(s) in their original packaging. Returned garments have to be unworn (other than trying on for size) and in a good condition (i.e. clean, folded neatly, and not excessively creased).

JSD reserves the right to reject any returned items if they do not meet these conditions.

1.3 Replacements If you require any replacement items, please place a new order as detailed earlier.

2.1 Tips for measuring

• Don’t try and measure yourself – ask someone else to measure you

• When taking your measurements, stand relaxed on a flat surface

• To ensure a comfortable fit, the measuring tape should be held with two fingers between the tape and the body

• Use the body diagram opposite to ensure that the correct area is being measured

• Ensure the tape is held flat while measuring

• Remember that the length of the garment is important to a good fit. The required length should always be measured and checked before ordering.

2. Getting the right size for you.

2.2 Tips for sizing

• If your body measurements fall between two sizes order the larger size

• If two or more of your measurements correspond to different sizes order the larger size – For example if your waist measures to a size 14 but your hips measure to a size 16, you should order a size 16.

When ordering maternity garments, order your usual non-maternity size.

Please record your measurements and then use the size chart opposite to determine which size you should order.

If you don’t fit the sizes available by JSD speak to your line manager. They’ll be able to provide a Made to Order form.

If you’re unable to wear the GWR uniform because of an allergy, ask your line manager for the ‘Allergies and Medical Requirements Uniform Order Form’. Our uniform supplier should be able to provide your uniform in a different material.

If you’re unable to wear the GWR uniform for any other health reason, contact our occupational health team. They’ll be able

to make recommendations and alternative uniform can be ordered from our uniform suppliers.

Before submitting your order, be aware of your sizes by trying on standard garments for confirmation, as any bespoke garments made based on the information submitted will not be exchangeable.

6. Caring for your new uniform.

Maintaining your garments:

• Keep your clothes on appropriate hangers - wooden or padded if possible. Basic wire hangers can leave your garments misshapen over time

• If you don’t have time to iron your garments, try hanging them in the bathroom while you have a bath or shower - the steam will help the creases to drop out.

• Iron your suit trousers by following the garment care instructions - this will help to flatten down any fibres and reducing pilling

• Keep your knitwear folded in a drawer, not on a hanger to help it keep its shape

• Try not to use fabric conditioners as these will degrade the fibres of your garments

• Check your detergent to make sure it doesn’t contain lightening agents that will quickly fade your garments

• Make sure you circulate all of the garments - don’t hold some back and wash and wear others over and over, as this will reduce the lifespan of your garments

• To stop your suit(s) from becoming shiny, protect it during ironing with a damp cloth, or iron inside out. Try ironing your shirts when slightly damp for a better finish.

Due to the high quality of your new uniform the following garments are dry clean only:

• Waistcoat

• Tie

• Scarf

• Jacket

We want to make it as easy as possible for you to get your uniform dry cleaned and are aware that the traditional system of using paper cleaning tokens has sometimes had a few issues.

So we’ve decided to implement a much more modern, simple and easily accessible solution. This is through an app called PEAS (Pay Easy and Safely).

This has everything you need to get your items dry cleaned:

• You can find the nearest dry cleaning outlet to your home/workplace/anywhere else and when it’s open

• It stores all your vouchers for dry cleaning on the app (no paperwork and they replenish every month). Unused vouchers don’t get carried over.

This can be accessed through your work phone (if you have one), your personal phone, or a desktop computer. The process to get started using PEAS can be found on the following pages.

1 You have two ways to download the Peas app

1. Download Peas on your work device

From your home screen, press Apps and select BES12. Press Assigned work apps. In the list search for Optional and press Peas. Once the app information has loaded, press Install and wait for the app to install.

2. Download PEAS on a personal device

The App Store (Apple devices):

type Peas in the search bar.

2 Register in the app

Enter all details, including a username and password (this should be something memorable and different from your voucher username and password).

Click REGISTER to create your Peas account. You are now registered with Peas and will be taken to the HOME screen.

Select Profile from the menu. Click on Merge account.

Enter the username and password exactly as per the email (you can copy and paste for ease and accuracy). Click on Confirm.

Enter your work email address or the one that you have already used to register in Peas.

Click on Merge and Continue.

Click on OK and then the back arrow and then CLOSE.

You are now registered to receive your dry cleaning vouchers via Peas and will be taken to the HOME screen where you will see the purple pea.

The Google Play Store (android devices): type Peas easy pay in the search bar.

3 Enable the purple pea for your dry cleaning vouchers

VSL will send you an email, to the address you entered when you registered with Peas, containing a link to your vouchers.

The email will contain a separate username and password to enable you to receive and redeem your vouchers in Peas.

Open Peas and click on the three lines on the top right to open the main menu.

You are now able to use Peas to redeem your dry cleaning vouchers via the purple pea and for cashless purchases via the green pea.

4 Activate your dry cleaning vouchers

Open the email from Peas containing your login details. Click on the link to activate your vouchers. You will be notified that your account has been updated successfully. Open Peas and your vouchers will be available.

5 Redeeming your vouchers

You can redeem vouchers either whilst in a dry cleaners or from another location.

Redemption whilst in a dry cleaners.From the HOME screen, click on the purple pea.

Select the number of garments you wish to dry clean.

Press TAP TO PAY when you have selected all the garments.

The dry cleaner will be notified immediately that you have placed an order.

Redemption from another location.From the HOME screen, enter the postcode of the location of a dry cleaners you want to use or click on the find retailer icon to find a dry cleaner near you.

Enter the postcode if known and then press the arrow to continue.

Click here to use the GPS map to find a retailer nearby.

The map will display dry cleaners nearby. Click on a pin to view a dry cleaner and press the green arrow to select and continue.

Information about the dry cleaner is displayed. Press TAP TO START to continue.

Enter the retailer code exactly as it appears in the dry cleaners and press PAY.

Success! Your receipt is displayed, showing how many vouchers have been redeemed and in what shop.

Click on the purple pea to redeem your vouchers.

Press TAP TO PAY when you have selected all the garments. Press PAY to confirm the dry cleaner.

6 Retrieving an order

From the HOME page, click on the clipboard icon on the bottom right of the screen.

What should you do if you can’t find a dry cleaner nearby or the one you usually use isn’t on the map?

Call VSL on 0333 939 0171 to request activation of the dry cleaners.

Your History is displayed, showing previous redemptions.

7 How to find a dry cleaner nearest to you

From the HOME page, click on the find retailer icon to use the GPS map to find a dry cleaner near you.

8 Alteration vouchers

Peas can also be used to redeem alteration vouchers. The alteration vouchers can be found on the list of GWR garments.

To use alteration vouchers, simply select the alteration vouchers you require from the list of garments and follow the rest of the steps above in “Redeeming your vouchers”.

9 How to change my password

From the HOME page, click on the three lines on the top right to open the main menu.

Click on Profile.Click on Change Password.

Enter your current password and press Continue.

Enter your new password and then type it again and press Confirm.

Click OK. Success, you have changed your password.

Enter the email address that you have already used to register in Peas.

You will receive a confirmation message.

10 What can I do if I can’t remember my password?

If you have logged out of Peas and can’t remember your password when you want to log back in, either call VSL on 0333 939 0171 from 09:00 – 17:00 and they will send you a link or click on the Forgot password link on the login page.

The email will contain a new password that you can use to login to Peas.

Click on START.

11 Redeeming vouchers without peas

If you do not have access to the peas app via a mobile phone or other mobile device, you can redeem vouchers online.

Log on to the peas website: http://www.payeasyandsafely.com/

Click on REDEEM ONLINE on the top right of the screen.

Complete the details in the form that pops up. Make sure you enter your Peas username exactly as per the code you received when you collected your uniform.

When you have completed all the details the following confirmation will be displayed. Click on confirm to return to the website.

You will receive an email confirming your redemption request has been received. As soon as the order has been processed you will receive a phone call or email from VSL with the unique order ID. Once you have received this order ID please take it, together with the garments to be cleaned, to your designated dry cleaners.

The dry cleaners will receive the same order ID and will be expecting you.
