These instructions pertain to ANY AND ALL AREAS used by attendees of the event as outlined in this contract. of Lexington, Kentucky RULES AND REGULATIONS

The Unitarian Universalist Church of Lexington (UUCL), 3564 Clays Mill Road, Lexington, Kentucky, rents out parts of its building for meetings and social functions. Rental is arranged and rental fees are collected by a UUCL Representative in advance of rental. The Board of Directors determines fees and has full discretion to deny rentals, as well as determine whether or not particular circumstances justify discounting, waiving, or increasing any portion of fees or deposits. In cases of financial hardship, rite of passage events can be donated to members in good standing at the minister’s discretion.

These policies are set forth in the spirit of friendship and in the hope of avoiding any misunderstandings. While we must protect UUCL property, we want to serve all of our members and the community in the best manner possible.

PHILOSOPHY: Consideration will be given as to whether the prospective renter’s planned activities conflict with the values of Unitarian Universalism. For more information on Unitarian Universalism, visit www.uua.org.

FEE PAYMENT: Rental fees must be paid IN FULL two weeks prior to the event. Fees may be mailed to the Church Office, or delivered in person BY APPOINTMENT ONLY. You may contact the Church Office at 859-223-1448 to schedule an appointment.

SCHOOL ON UUCL GROUNDS: An accredited school, the Fayette Cooperating Preschool and Kindergarten, is located on the premises of the Unitarian Universalist Church of Lexington at 3564 Clays Mill Road, Lexington, Kentucky. According to Kentucky State Law, anyone who is listed on the Kentucky Sex Offender Registry must get written permission from the director of a school before being on school grounds for any reason. By signing this agreement, the renter acknowledges that NO ONE who is listed on the Kentucky Sex Offender Registry will knowingly be allowed to attend the event on UUCL grounds as outlined in this contract, without first having received written permission from the Director of the Fayette Cooperating Preschool and Kindergarten. It is the renter’s responsibility to contact the school’s director to obtain this permission, and to provide a copy to the Rental Coordinator or delegate prior to the date of the event.

RULES AND REGULATIONS:

ALL RENTAL EVENTS MUST BE CONCLUDED BY 12:00 AM.

NO FIREARMS, ILLEGAL DRUGS, FIRES, EXPLOSIVES, OR LOUD NOISES ARE PERMITTED.

SMOKING: Church buildings are NO SMOKING areas. There are two outdoor designated smoking areas - one near the parking lot, and one behind the Allen House. Those who smoke must responsibly dispose of cigarette butts, matches, etc. The renter is responsible for cleaning up all areas of the property used by the attendees of the event, both inside and outside of the buildings.

NOISE: The renter must assure that planned functions will not impose either noise or improprieties on the church’s neighbors and community. City noise ordinances MUST be observed at all times. Noise levels must be subdued by 10:00 PM Sunday through Thursday, and by 11:00 PM Friday and Saturday. Outdoor amplified music is prohibited at all times.

ANIMALS: No animals are allowed in the building, except service animals.

MATERIALS/SUPPLIES: Decorations, supplies, etc. MUST be both delivered and removed during the hours of rental as stipulated in this contract. UUCL cannot store items before or after rental events. A $100 fee will be deducted from the security deposit for each day (or any part thereof) that UUCL is required to store items.

ALCOHOL: The use of alcohol is not permitted on church grounds unless specifically approved by the Board of Directors.

Permission to serve alcohol must be requested in writing to the UUCL Representative prior to the date of the event.

Certificate of insurance, including renter’s liquor liability and naming UUCL as an additional insured party (i.e. through a certified bartender or caterer) must be provided to the UUCL Representative prior to the date of the event.

Any written notices and invitations issued in advance of the rental event must indicate that alcohol will be served.

Non-alcoholic beverages must be available whenever alcoholic beverages are being served.

No alcoholic beverages may be left unattended or allowed to be self-served.

Donations may be solicited to cover event expenses, but money may not be collected at the bar (i.e. in conjunction with the serving of alcohol).

UNDER NO CIRCUMSTANCES MAY ALCOHOL BE SERVED TO ANYONE UNDER 21 YEARS OF AGE.

OFF LIMITS AREAS: Renter agrees to use ONLY the areas and equipment specified in this contract, with the following consideration:

The downstairs area of the church and the upstairs area of the Allen House are completely off limits.

The grand piano and/or AV equipment in the Sanctuary may be rented only with special permission. Pianos are not to be moved under any circumstances. AV equipment must be operated by UUCL Representatives.

The acoustic wall panels in the Fellowship Hall are not to be included in decorating schemes; nothing should be attached to them, and they should not be handled in any manner.

SECURITY DEPOSIT: Payment of $300.00 must be included with this signed contract, and, once received by the UUCL Representative, the facilities will be reserved for usage as outlined in this contract. After additional charges are deducted from the deposit, if applicable, the remaining amount of the deposit will be mailed to the renter within two weeks of the date of the event.

THE SECURITY DEPOSIT WILL BE FORFEITED IN PART OR IN FULL, ACCORDING TO THE FOLLOWING STIPULATIONS:

DAMAGES: Accidental or other damage occurring during building rental must be FULLY compensated by the renter, and must comprise the cost of material, labor, and incidental charges to repair or replace damaged property including but not limited to furnishings, equipment, appliances, etc. The cost of repairs or replacement will be deducted from the deposit.

UNSATISFACTORY CLEANING: ALL items on the included clean-up checklist must be satisfactorily completed and the list signed and returned to the UUCL Representative. Failure to do so will result in cleaning costs being deducted from the deposit.

ADDITIONAL CHARGES: Additional charges incurred on the date of the rental will be deducted from the deposit. These charges may include any items not previously paid for at time of contract signing (including, but not limited to: additional areas used, additional equipment usage, storage fees, cleaning fees, repairs or replacement of damaged property, etc.).

FAILURE TO GIVE AT LEAST 30 DAYS NOTICE OF CANCELLATION WILL RESULT IN COMPLETE FORFEITURE OF DEPOSIT.

FAILURE TO COMPLY WITH THE RULES AND REGULATIONS AS OUTLINED IN THIS CONTRACT WILL RESULT IN COMPLETE FORFEITURE OF DEPOSIT.

IF THE COST OF ADDITIONAL CHARGES EXCEEDS THE AMOUNT OF THE DEPOSIT, THE RENTER WILL BE BILLED FOR THE BALANCE.

THIS AGREEMENT MAY BE RENEGOTIATED OR TERMINATED BY EITHER PARTY WITHOUT LIABILITY DUE TO CIRCUMSTANCES WHICH WILL MAKE EVENT RENTAL IMPRACTICAL, ILLEGAL, OR IMPOSSIBLE,

SUCH AS PROPERTY RENOVATION, DISASTER, WAR, “ACTS OF GOD,” OR SIMILAR OCCURRENCES. In addition, the renter acknowledges that UUCL cannot be held responsible for any crimes, alleged crimes, loss or theft of personal property, or accident or injury to persons or property at a non-church-affiliated rental event.
