    Policy on Protecting the Health and Safety of the College of Pharmacy Community Relating to COVID-19

    The College of Pharmacy aims to deliver its mission while seeking to protect the health and safety of our students and minimizing the spread of disease within the community. As students return for the 2020-21 academic year, all students are required to comply with all College of Pharmacy policies, including any public health guidance related to COVID-19. The very nature of an in-person educational experience in the College of Pharmacy means our faculty, staff and students, particularly those participating in clinical work will be exposed to contagious viruses, including the coronavirus. The College of Pharmacy is committed to public health and similarly expects that all students will act in a manner that demonstrates respect and consideration for the health and safety of all community members. Students are prohibited from creating a health or safety hazard at the College of Pharmacy, in connection with any college programs or activities, including any clinical work. Students are required to comply with public health guidance, including any protocols, guidelines or policies adopted by the University or the College of Pharmacy that relate to COVID-19 or other infectious diseases. This guidance will evolve as the public health crisis unfolds and may include the following: health screening protocols, participation in contact tracing, use of face coverings, COVID-19 diagnostic testing, disinfection protocols, limitations on gatherings, and social distancing. Adherence to health and safety requirements applies to all College of Pharmacy students and extends to all aspects of the facilities including classrooms, bathrooms, experiential sites, research labs, clinical labs, and all other spaces within the college or at college sponsored events/programs.

    COVID-19 Syllabus Statement – 8/12/20

    For the safety of all students, faculty, and staff on campus, it is important for each of us to be mindful of safety measures that have been put in place for our protection. By returning to campus, you have acknowledged your responsibility for protecting the collective health of our community. Your participation in courses on an in-person basis is conditional upon your adherence to all safety measures mandated by the State of Michigan and the University, including maintaining physical distancing of six feet from others, and properly wearing a face covering in class. Other applicable safety measures may be described in the Wolverine Culture of Care and the University’s Face Covering Policy for COVID-19. Failure to follow these safety measures is considered a violation of academic integrity and will be referred to Honor Council; your ability to participate in the in-person components of this course and your grade may be impacted. Individuals seeking to request an accommodation related to the face covering requirement under the Americans with Disabilities Act should contact the Office for Institutional Equity. If you are unable or unwilling to adhere to these safety measures while in a face-to-face class setting, you will be required to participate on a remote basis (if available) or to disenroll from the class. I also encourage you to review the Statement of Students Rights and Responsibilities, which includes a COVID-related Statement Addendum.

    University of Michigan College of Pharmacy- Expectations for In-Person Interactions for PharmD Program

    The purpose of this document is to ensure that pharmacy students are following appropriate safety protocols during class activities that occur in close physical proximity to others and during in-person patient care interactions. These rules apply to activities associated with courses, community health events, and life-long learning activities. Site policies should be followed for all introductory pharmacy practice experiences (IPPE) and advanced pharmacy practice experiences (APPE).

    Definition of patient The term “patient” is used throughout this document to refer to community members and

    companions of community members (e.g., spouses, children, friends who are attending events but not receiving patient care services). In addition, “patients” refers to students, graduate student instructors, residents, fellows, simulated patients, staff, and faculty who are playing the role of a patient for educational purposes.

    Mode of interaction Individuals and organizations responsible for overseeing activities should consider the

    mode of interaction. Rotation sites may require students to participate in remote and/or in-person activities that are consistent with the policies of their organization.

    Didactic and life-long learning activities that can be performed remotely, such as via telephone or video conferencing, should generally use this mode of delivery. Examples of activities that may occur remotely include, but are not limited to, patient counseling and medication history taking.

    All virtual interactions must be conducted using HIPAA-compliant technology (e.g., Zoom Health).

    Participation in in-person activities Students may not participate in in-person patient care interactions if they have had a

    positive symptom screen on the day of the event or had a positive COVID-19 test requiring them to following the current guidelines for isolation. Students who test positive should contact Dean Nelson for appropriate next steps.

    Personal Protective Equipment (PPE) for students

    Mask Students are required to wear a mask over their mouth and nose at all times when

    they are in the College of Pharmacy or participating in patient care interactions.

    Students and patients should not lower their face masks at any point in time. Counseling on inhaler technique should not involve removing masks.

    Face Shield Students who are providing in-person patient care (actual or simulated) at the

    College of Pharmacy must wear a face shield. This applies to all College of Pharmacy-sponsored events. Examples include checking blood pressure during a health promotion event and motivational interviewing with a peer.

    Wrap-around plastic eyewear is an acceptable alternative to a face shield. Personal eyeglasses are not sufficient.

    When required, face shields must be used in addition to masks. Face shields alone are not an acceptable alternative to face coverings.

    Students must wear a face shield if they anticipate being continuously within 6 feet of another person for 15 minutes or more.

    Students completing IPPE/APPE rotations should follow policies at the site related to face shields.

    Cleaning Hands Students must clean their hands with either soap/water or an alcohol-based hand

    sanitizer between each patient.

    Students must wear gloves if there is a potential for blood-borne pathogen exposure (e.g., blood glucose or cholesterol testing, vaccine administration). A new pair of gloves must be worn between each patient interaction,

    Supplies Required supplies will be provided by the College of Pharmacy and/or site. Students may choose to wear additional personal protection equipment (PPE) above

    and beyond this policy (e.g., gloves during blood pressure screening), but they may need to be supplied by the student.

    Safety protocols required for patients during in-person activities All patients 12-years and older are required to wear a mask over their mouth and nose

    throughout the event. Participants who do not abide by this requirement will be asked to leave.

    Alcohol-based hand sanitizer or a location to wash hands will be provided at health promotion events.

    Management of in-person health promotion events Patients who present to a College of Pharmacy-sponsored health promotion event and

    report either a positive symptom screen on the day of the event or positive COVID-19 test within the time period covered by the Centers for Disease Control and Prevention (CDC) guidance should be immediately asked to leave.

    Additional information Activities must follow current regulations per state law or the Governor’s executive orders

    for face coverings/masks.

    College of Pharmacy Building and Classroom Procedures

    PharmD and BSPS Student Procedures The main Pharmacy lobby and NUB building entrance hours will be available for entry from 6am- 6pm Monday-Friday for PharmD and BSPS students. Prior to entering the building for the first time all students must complete COVID specific training, which will be released by the University shortly. When this training becomes available we will notify you. Here are important safety precaution procedures to follow for the building and classroom:

    1. You must complete the Health Screening Tool each day before coming into the building. If you experience symptoms or fail the health screening tool questions (red screen), don’t come to the College and contact University Health Services (UHS).

    2. Students may enter at the main Pharmacy entrance lobby (corner of N. University and Church) and any entrance in North University Building (NUB) with a card reader. Only authorized students will be allowed entrance to the building by using your MCard. IMPORTANT: To ensure all safety precautions for our community are upheld, do not hold the door for other individuals entering the building.

    3. Masks must be worn when entering the building and at all times while in any area of the building (i.e. classrooms, restrooms, hallways, etc.).

    4. Proceed directly to your classroom being sure to maintain social distancing of 6 ft at all times while in the hallways.

    5. Signage will be posted outside of all classroom doors to indicate the entrance and exit path for all rooms. There will also be signage posted in the lobby, restrooms, corridors, stairwells, elevators, conference rooms, kitchen, break areas, shared copy rooms, laboratories, and closed areas. Please be aware of these signs and follow the instructions.

    6. Upon entering the classroom, choose a seat that is open. Do not sit in a seat that has been marked off, as this is intentional to maintain the 36 sq ft per occupant requirements. Students are required to wipe down their desks or workstations at the start of each class with the supplies that will be provided in each classroom. Instructors will do the same at the lectern and their teaching equipment.

    7. Remain in your seat during the class.

    8. Before leaving the classroom, students will be required to wipe down their desks or workstations and disinfect any shared equipment at the end of their class session. Students will be instructed to wash their hands or use sanitizer after using the equipment.

    9. Proceed from classroom to the nearest building exit while maintaining social distancing of 6 ft at all times while in the hallways. Once your class or exam is completed students are required to leave the building.

    10. Space is being designated for students who are commuting to campus and cannot travel home between classes or exams. These spaces will be limited, and will be based on need rather than convenience. Students should plan arrival accordingly. More information will be announced prior to the start of the semester about how to access these spaces.

    College of Pharmacy Room Reservations/Use of Space

    Use of College of Pharmacy rooms outside of scheduled class and exam time will be limited. This is due to social distancing requirements and use of space for curriculum related purposes. In order to maximize safety precautions, minimize the risk of COVID transmission, and allow for university cleaning schedules, we will not be allowing students to reserve rooms in the College of Pharmacy at this time. We will continue to monitor conditions to determine if changes are warranted.

    Pharmacy Community Connect Day and Health Promotion Events

    This event has historically provided a great opportunity for our students to engage with the public and to get to know each other in our pharmacy phamily structure. After much deliberation and careful consideration and consultation with our student leaders and community sites, we have decided to cancel our Pharmacy Community Connect Day for Fall 2020 due to our commitment to keeping our students and patients safe by minimizing close contact and considering occupancy limits within pharmacies. There will be no required replacement or make-up activity for this event. Pharmacy Community Connect Day is one example of a health promotion activity that we have made the decision to cancel in the year ahead. To align with this decision, we will not be holding required health promotion/community-based events in the upcoming academic year, as previously required within the Lifelong Learning course. All students with outstanding health promotion (IPPE) hours from last year must complete these, and we will work with you directly to safely do so. We are taking this step to remove this requirement to minimize large group gatherings involving patients and students. Services being conducted at medical clinics, including the Hope Clinic, Student Run Free Clinic, and HUDA, for example, may still continue in these more controlled settings with specific appointment times. Please be assured that by canceling these events we are ensuring students will have the required number of IPPE hours to start rotations and for graduation.

    Co-Curricular Program, COVID-19 Updates for the 2020-2021 Academic Year

    Description The Co-Curricular Program is designed to promote students’ development of their professional knowledge, skills, abilities, behaviors and attitudes. This program supplements the PharmD curriculum and facilitates practice-readiness as students explore the field of pharmacy and advance their professional development through self-directed activities. The Co-Curricular Program is comprised of several components, including class orientation programs, the Lifelong Learning course, and other co-curricular activities and events, all of which are recorded by students using their individual Co-Curricular Activity Logs. Orientation Programs Each year, orientation is held for each class cohort, P1 through P4. Some examples of activities include professional certifications (immunization and CPR), “clinical boot camp”, review of College policies and procedures, IPPE orientations, intercultural communication, electronic

    medical record training, and college support services for students. Lifelong Learning Course The Lifelong Learning course is a 2 credit hour course that is conducted over the entire P1 to P4 PharmD curriculum, divided into 0.5 credit hour per year. This course employs self-directed learning with assignments, experiences and reflections throughout the year, assisted by Pharmacy Phamily faculty mentors. Each year of the course has specific requirements that add enrichment to the didactic education. The learning objectives (and accompanying CAPE outcomes/Ability-Based Outcomes) for this course are for the students to:

    1. Utilize goal-setting strategies, through SMART goals, to develop personal and professional goal setting skills and accomplishments. (4.1 Self Awareness)

    2. Engage in continuing professional development to help students bridge the gap between student and pharmacist. (4.1 Self Awareness, 4.4 Professionalism)

    3. Explore the field of pharmacy through attendance at events of interest and participation in co-curricular activities to add significant accomplishments to the students’ learning experiences, Curriculum Vitae, personal and professional growth, and continuing professional development. (4.1 Self-Awareness, 4.4 Professionalism)

    4. Develop rapport with faculty mentors and utilize networking opportunities to explore professional interests. (4.4 Professionalism)

    Objectives #2 and #3 are met through self-chosen experiences and reflections in the five domains of:

    Service

    Advocacy (3.3 Patient Advocacy)

    Professional/Career Development (4.4 Professionalism)

    Leadership (4.2 Leadership)

    Pharmacy Practice Shadow Experiences (4.4 Professionalism) The required activities for the Lifelong Learning (LLL) course are to:

    Develop two SMART goals – one to be accomplished by the end of this year (short-term) and the other to be accomplished later (long-term)

    Complete five approved LLL activities, one each from the five domains*

    Complete the end-of-year SMART goal worksheets to report progress on goals

    Complete a fall term group reflection document with peer comments from Pharmacy Phamily

    Complete an end-of-year reflection

    Complete an end-of-year SMART goal progress report

    Complete the Co-Curricular Activity Log

    Meet with the Pharmacy Phamily or Advisor

    • Fall (full phamily meeting)

    • End-of-Year Reflection Meeting (individual meeting with faculty advisor) *LLL is intentionally designed to build expectations from the P1 to P3 years. P1 students are not required to complete LLL activities in the domains of Advocacy or Leadership, as they are novices to the profession and may not have opportunities to engage in these more advanced activities. Instead, they are required to complete two Shadow Experiences and two Professional/Career Development Activities, as well as one activity in each of the other domains. P2 and P3 students are required to complete an activity in each domain as stated above. P4 student activities are reduced to two LLL activities from any domain, as students are in their APPE year and are beginning their steps toward transition into their careers. They also mentor two Shadow Experiences for P1 students. Mentorship and faculty advising are accomplished through the connection of the Lifelong Learning course with the Pharmacy Phamily program. Pharmacy Phamilies are comprised of at least one student from each of the P1, P2, P3, and P4 years, with a faculty advisor. Faculty advisors serve as a bridge between students, other faculty, and other health professionals, to assist the students in career and professional development and personal growth. There are three required Pharmacy Phamily meetings per year, one of which is an individual meeting of each student with his/her advisor. The other two meetings (one per semester) are gatherings of the entire Phamily together. Pharmacy Phamily advisors are also expected to review and comment on student reflections and the Co-Curricular Activity Logs submitted for the Lifelong Learning course. The purposes of Pharmacy Phamilies are to:

    Foster a familial environment within the College of Pharmacy

    Create a bond between students of all classes

    Enhance the student mentoring experience through academic and non-academic activities

    Cultivate the personal and professional development of students

    Provide resources and advice to students to help guide them in finding opportunities to further themselves and become self-directed learners

    Additional Co-Curricular Activities and Events In addition to the LLL course requirements, students engage in a multitude of other co-curricular activities that are either offered by the College of Pharmacy, provided through student organizations or other professional groups. Most students also engage in individual internship experiences outside the College. Student organization event proposals are submitted to the Office of Student Affairs for approval as LLL activities, categorized in the LLL domains, publicized in the Career Connections Newsletter, and placed on the electronic Exam and Event Calendar. Events and activities (both those required for LLL and additional activities) are recorded by students on their individual Co-Curricular Activity Logs.

    Co-Curricular Activity Log The Co-Curricular Activity Log is designed to be a personal record of each student’s co- curricular activities completed while at the College of Pharmacy. All activities are to be recorded, including those completed through the LLL course and additional activities. As activities are entered, this Google Sheets document prompts students to choose a category for each activity using the LLL domains as a drop-down menu. This list then feeds into a categorized summary report for each student for each year of the program. These reports are useful for student CV’s and to help students recall experiences for interview discussions as well as to generate a master summary report for accreditation purposes. The Co-Curricular Activity Logs are reviewed by faculty advisors and discussed with students during Pharmacy Phamily meetings as part of the Lifelong Learning course.     Course Grading for Academic Year 2020-2021

    On August 20, Provost Collins announced that all undergraduate courses will use a modified version of traditional grading in which the regular A-C grading system is maintained but students who earn D or E grades will receive a "No Record Covid (NRC)." Students receiving a NRC will be able to request that it be converted to a letter grade. In addition, a more flexible withdrawal policy will be implemented for fall 2020, allowing undergraduate students to withdraw from a course at any time up until the end of classes and not have the course appear on their transcript. Graduate programs are currently discussing if a similar protocol for D or E grades, and flexible withdrawal, will be implemented in each school/college. Updates pertaining to graduate/graduate professional students will be provided at a later date.

    In-Person Exams

    Students consistently reported low personal motivation in winter 2020. One of the contributing factors to the lack of motivation was open-book exams with many students reporting they were not motivated to study for exams when they would be allowed to look things up. It was recommended by students that in-person exams be given in 2020-2021, if possible.

    Remote Learning Requirements for Small-Group Sessions (PharmD)

    In professional meetings within the college and at the hospital, turning on cameras is expected as it increases engagement and improves connection between meeting participants. Students reported in winter term that having cameras off negatively impacted team dynamics in classes. Therefore, we will be asking students to have their cameras on during small-group discussions in class. Turning on video helps with learning, building connections, increasing collaboration and accountability, and improving focus during classes and meetings.

    Recordings of Class Activities

    Course lectures may be audio/video recorded and made available to other students in this course. As part of your participation in College of Pharmacy courses, you may be recorded. If you do not wish to be recorded, please contact the course coordinator the first week of class (or as soon as you enroll in the course, whichever is latest) to discuss alternative arrangements. Students are prohibited from recording/distributing any class activity without written permission from the instructor, except as necessary as part of approved accommodations for students with disabilities. Any approved recordings may only be used for the student’s own private use.

    Internet/Connectivity Issues

    Remote instruction requires flexibility and understanding of the varying resources available to individuals at home. Connectivity issues are a daily occurrence and can be stressful in the moment. The University provides helpful resources for internet connectivity issues and options to students for discounts with internet providers. We are updating our website so that students can find this information easily in MyCOP Student Business. In addition, if students are unable to afford adequate internet services, they can contact the Office of Financial Aid to apply for special assistance with internet or equipment costs related to COVID. If you experience connectivity issues, it is important to communicate the issue as soon as possible and be patient and flexible when challenges occur. Contact Student Services so we can help you find the appropriate fix for your connectivity issue. To proactively prevent frustration by this limitation, please ensure that you have adequate internet bandwidth.

    IPPE Hours (PharmD)

    IPPE hours for the semester need to be completed by November 20, which is the date that the University is going to entirely remote teaching. You will work with your preceptor to find the way to complete your hours in a way that works for you and your preceptor’s schedule. In general, there will only be 1-2 IPPE experiences that have to be moved up.

    Access to library buildings (Hatcher, Shapiro, Taubman, Music, Fine Arts, Buhr, Research Museums Center and the Art, Architecture, & Engineering libraries). https://www.lib.umich.edu/about-us/access-during-covid-19 Library reopening plans Access to study space in Shapiro will be restricted to U-M community members, and

    because of density restrictions will be by appointment only. That includes access to student study space (which will be limited to approximately 100 seats at any given time). For all Shapiro-based services, we will ask patrons to make appointments via an online scheduling tool. Similarly, the hours that we will be open by appointment will be fewer than our typical 24x7 schedule. Our current plans call for Shapiro to be open 9 a.m. - 5 p.m., M-F.

    With some exceptions tied to specific collections (maps, papyrology, special collections), access to Hatcher will be restricted to library staff. Individual scholars who need access to “library use only” materials can make appointments and we will provide limited access to the extent we can in compliance with EHS guidance.

    All of the stacks will be closed to visitors, library staff will retrieve materials requested by users. There is simply no way to safely manage public traffic within the stacks.

    While the Duderstadt Center is no longer part of the library (AAEL, which is in the building, remains part of the library), we are working with them on a plan to reopen to the campus community which will be similar to our plans for Shapiro.

    Bert’s Cafe in Shapiro, and Mujo in the Duderstadt Center, will both be open for online ordering and take away service, but consumption of food and drink will not be allowed in either of those buildings, at least initially.

    U-M Bus System

    University of Michigan’s Logistics, Transportation & Parking (LTP) is making major changes to maintain safety for those who ride U-M buses. The plan, developed in collaboration with College of Engineering (COE) and public health experts, includes a significant overhaul of the campus bus network and will take effect Monday, Aug. 24.     Embedded Psychologist Update

    Dr. Jamie Yang will continue on leave through the Fall semester. However, we have plenty of activities focused on well-being in store as well as other resources on campus available to meet students’ needs. Two such resources include virtual appointments through our Counseling and Psychological Services on central campus and Wolverine Wellness. Our Student Services team is always available as well to support you and/or point you to other available resources.

    CARES Act Funding

    The University of Michigan-Ann Arbor created an application for students to complete and submit if they would like to receive emergency grant support for COVID related expenses such as (but not limited to), food, housing, course materials, technology, health care, and child care. You can apply directly through Wolverine Access or contact the Financial Aid Office for more information.

    Child Care Subsidy

    The University of Michigan offers a Child Care Subsidy to students to assist with the cost of licensed child care of their young, dependent children. Students are temporarily eligible for reimbursement under the subsidy, regardless of the state, country, or agency of licensure. Previously, eligibility was limited to the State of Michigan.

    Domestic Student Health Insurance Plan (DSHIP) Eligibility

    For 2020-21 Plan only - Due to the COVID-19 crisis BCN has agreed to make the 2020-21 plan available to:

    U-M students who graduated during the 2019-20 academic year (December 2019, April 2020 and August 2020)

    Students who were enrolled in U-M classes during 2019-20 but are taking a leave of absence during the 2020-21 academic year for reasons due to the COVID-19 crisis
