How to use this guide

This manual has been designed to support users who have received LearnAnywhere training and is thus on hand as a reference guide. If you have not received training you should raise this with your systems administrator before using the system. First, it is important that you know how to log in to the system. This information should have been presented to you on delivery of the learning platform. If you have not received your default administrator login details please contact WebAnywhere’s support team. Admin These chapters are in correspondence with the different areas of the system. Please note that some areas of the system will have several containing areas and thus these chapters will further represent the system in totality. You should read those chapters that are relevant to the user role and permissions that you have been granted. This manual contains various footnotes, which may or may not be of relevance to you. However, some notes may define links to other parts of the system, which may aid your understanding of a particular subject. At the end of this system guide you will find a section covering Frequently Asked Questions (FAQs), and a Glossary of Terms. All words that are highlighted in bold are linked to the Glossary of Terms. Important: This guide contains the standard WebAnywhere UK terminology. The use of some terms may vary, depending on your particular country. For example you may have chosen to use the word pupil instead of student and vice versa and your particular system may or may not be reflected in the terminology used in this manual.

1. Navigation

This is the main navigation in the system. There are a total of eight menu items, but you may only see some of the eight items according to your role and associated permissions.

2. Admin

2.1.1 User Management

The User Management screen lists all the users who are currently in the system. Users of the system can include teachers, students, administrators and any other roles created. You can use this section to add new users to the system, edit the details of existing users and delete users from the system. 1 To access this section select the Users tab from the list of tab along the left hand side of the administrator screen.

If you are a first time administrator, then by default there will only be one user in the system.

2.1.2 Add User

To add a new user, select the ‘add user’ button. This will launch the add user screen, allowing you to enter the details of the new user.

Enter the account and user information such as username2, password, first name and email in the text fields provided. Some fields are optional, such as email, gender and birth date. Make sure you choose the appropriate role,3 such as admin, student or teacher. Select whether the user will be active or inactive by choosing the corresponding from the dropdown provided (Choose Active) and click the add user button or conversely select cancel to return to the user management screen.

2.1.3 Import Users

You may want to add multiple users to the system at one time. You can do this using import users screen. Select the ‘import user’ button, this will launch the import user’s screen.

You can download a guide to learn how to successfully import a set of users and you can download a CSV template. Once you have the template, use the import user guide to enter a user’s data into it. Click the ‘browse’ button and select the template CSV file you have just filled in. Click the ‘Import User’ button to import the users or select cancel to return to the user management screen.

2.1.4 Edit Users

You may need to change the personal details of an existing user. For example, if they change their name, if you wish to change their user roles or if you want to deactivate their user accounts.

From the user management screen, select the edit button in the table next to the user whose details4 you wish to change. This will open the ‘edit user screen. Edit the details that you want and click the ‘update user’ button or conversely click the ‘cancel’ button to return to the user management screen.

4 The Username field is greyed out as this cannot be changed because the username is a unique identifier of the user. If you choose to deactivate the user then this user will no longer be able to access the system.

2.1.5 Delete Users

You may want to delete a user from the system. To delete a user, select the delete icon in the table next to the user you want to delete.

A delete confirmation message with be displayed. Select the ‘delete’ button to delete the user.

2.1.6 Change Password

If a user has forgotten or wants to change their password, then you can select the change password link in the table next to the user whose password you want to change.

Enter the new password in both the new password and retype new password fields, making sure that both passwords entered are the same. If the passwords do not match, a warning will be displayed informing you that they do not match. When you have entered the new password, click the ‘change password’ button. The password should be changed and a confirmation message should be shown.

2.2.1 User Roles

The User Roles Management screen lists all the roles and details all the associated permissions. There are three default roles which are Admin, Teacher and Student. However, new roles can be created and privileges can be changed. You can use this section to add new roles to the system, edit the details of existing roles and delete non-default roles from the system. The table below describes the privileges within the system.

Manage Courses Add, edit and delete courses (apart from default category)

Manage Site Settings Edit site URL, name, Strapline and school postcode

Add/Edit Global Calendar Events Add, edit and delete global events

Add Edit Global Notices Add, edit and delete global notices

Allow Messaging Send and receive message

Allow Personal File Manager Store personal files

Allow Teacher Course Editing Add, edit and delete activities and use course features such as course notice, events, file manager, member and gradebook.

Allow Login Enable user login (cannot login without)

Allow Global Course Editing Add, edit and delete activities and use course features such as course notice, events, file manager, member and Gradebook for all classes.

To access this section, select the user roles tab from the list of tabs along the left hand side of the administrator screen.

The Default roles cannot be deleted from the system, but the permissions can be edited.5

2.2.2 Add User Role

To add a new system role, select the ‘add role’ button. This will launch the ‘add new role’ screen, allowing you to select the privileges of the new role.

Enter the name of the new role6 (e.g. ‘assistant’) in the text field provided. Make sure you choose the correct privileges for the new role and click the ‘add user’ button.

2.2.3 Edit User Role

You may need to change the privileges of an existing role. For example, if you want to deny students access to messaging then you can edit the role to allow this. From the user role management screen, select the edit role button in the table next to the role whose details you wish to change. This will open the ‘edit role screen.

Select and deselect the tick boxes for the role, and click the ‘update role’ button.

2.2.4 Delete User Role

You may want to delete a user role from the system. To delete a user role select the delete icon in the table next to the role you want to delete.

2.3.1 User Groups

The User Groups Management screen shows details of all user groups. Groups can be used to organize a set of users, for example assigning them to a particular class, year group, club or any other group.

2.3.2 Add User Group

To add a new user group, select the ‘add group’ button. This will launch the ‘Add New Group’ screen, allowing you to enter the name of the group you want to create.

Enter the name of the new group8 such as ‘Class 3A’ in the text fields provided. Click the ‘add user group’ button to add the new group or alternatively, click cancel to return to the User Group Management screen.

2.3.3 Edit User Group

You may need to change the name of an existing group. From the user group management screen select the edit group button in the table next to the group whose name you wish to change. This will open the ‘Edit Group’ screen.

2.3.4 Delete User Groups

You may want to delete a user group from the system. To delete a user Group, select the delete icon in the table next to the role you want to delete.

2.3.5 Assign Users to Group

New Groups that are added do not have any users in them. To add users to the groups, select the assign users’ button in the table next to the group you want to add users to. This will launch the ‘Group Members’ screen, allowing you to add users to the group.

To add multiple users at one time use CTR + ALT and select the user you want to add then click the double arrow button. To add all users, click the triple arrow button. Alternatively, select the ‘Cancel’ or ‘User Groups’ button to return to the User Groups Management screen10.

2.4.1 Classes

The Class Management screen lists all the Categories and Classes11 in the system. You can use this section to add new classes to the system, edit the details of existing classes, delete classes and assign users to classes. To access this section select the classes tab from the menu along the left hand side of the Administrator screen.

2.4.2 Add Category

To add a new category, select the ‘Add Category’ button from the ‘Class Management’ screen. This will launch the ‘Add New Category’ screen, allowing you to create a new category.

Enter the name of the new category, such as ‘Year 1’, in the text field provided. You can also use the parent category dropdown to make the new category a sub category of another parent category12. Click the add category button.

12 The parent category is the highest level folder and if you choose to place the new category in a parent category it becomes a subcategory

2.4.3 Add Classes

To add a new class, select the ‘Add Class’ button. This will launch the ‘Add New Class’ screen, allowing you to create a new class.

Enter the name of the new class, such as Maths, and the Class Code in the text fields provided. You can also use the category dropdown to place the class in a category13. Select the Active option yes and click the ‘Add Class’ button.

13 New Classes that are created will be blank as no activity would have been created for the class. These classes can only be seen by users who have been assigned to the classes and the admin.

2.4.4 Edit Category

You may need to change the name of a category or make the category a sub category of a parent category, from the class management screen, select the ‘Edit Category’ button in the table next to the category of the details you wish to change. This will open the ‘Edit Category screen.

Enter the new name for the category, click the ‘Update Category’ button or conversely click the cancel button to return to the ‘Classes Management’ screen

2.4.5 Edit Class

You may need to change the name of a class or change the category of the class. From the class management screen, select the ‘Edit Class’ button in the table next to the category with the details you wish to change. This will open the edit class screen.

Enter the new name for the class, change the category using the dropdown or change the page layout to either categorize by section or categorize by activity14. You can also make the class inactive or active using the active dropdown, and select an icon that will be shown in the My Classes Screen. Click the ‘Update Class’ button or alternatively, click the cancel button to return to the ‘Class Management’ screen.

14 These page layout views will change the way the activities are displayed on the my classes screen. See the my classes part of the user guide for more information.

2.4.6 Delete Classes

You may want to delete a class from the system. To delete a class, select the delete icon in the table next to the class you want to delete.

2.4.7 Assign Users

To assign users to a class, select the ‘Assign Users’ button in the table next to the class you want to add users to. This will launch the ‘Class Members’ screen, allowing you to assign users to the class.

To add a user to the class, select a user from the available users table, click the double arrows to move the user to the assigned user table and click update. 2.5 Site Description

The Site Details screen is where you can update the website URL, Site Name, Strap line and Postcode.

To edit the sites information, insert the new details in the text fields provided and click the ‘Update Site’ button.

2.6 Site Settings

The Site Settings screen is where you can select a new theme, choose a language, select a time zone and choose a date format to use in the system.

To edit the site information, select a option from the dropdowns and click the ‘Update Settings’ button.

3. Dashboard

The dashboard is a personal area of the system with numerous widgets that the user can display on their screen. To add a widget to the dashboard, tick the checkboxes on the left hand pane next to the widget you want to show and click the ‘Save’ button. To access this section select the dashboard icon in the main menu.

3.1 My Classes - This widget shows a list of your courses for quick access.

How to Use - Click on a class and you will be directed into the class page.

3.2 Clock - This widget is a personal clock with many clock themes to pick from.

How to Use - Click the Edit button to open the ‘Edit Dashboard Clock’ screen. Select a clock theme from the dropdown and click the ‘Update’ button to use that theme. Alternatively, click cancel to stick with the current clock theme.

3.3 Calendar - This widget allows you to see the current date, and also select any day and see what events are on that day.

How to Use - Click on a day in the calendar. You will be directed to the event page for that day. The calendar also indicates which days have events by displaying a dot on that day

3.4 Search Engine - This widget is a quick search engine for web browsing. You can choose from a number of different search engines.

How to Use - To change search engines click the ‘Edit’ button on the widget and select a search engine type from the list or alternatively, click the ‘Cancel’ button to stick with your current search engine. Type your search query and click the ‘Search’ button. A new page will load with the search result.

3.5 Wikipedia - This widget is a Wikipedia search engine for quick Wikipedia searches.

How to Use - Type your search query in the text field and Click the ‘Search’ button. A new page will load with the search results.

3.6 Events - This widget shows a list of your events for quick reference and access.

How to Use - You can add events from your event screen and they will appear here. The event widget shows only the latest three events. Events are color coded to distinguish easily between a global, personal and class event.

3.7 Weather - This widget shows the local weather, and you can choose to receive the weather from numerous locations.

How to Use - To change the location of the weather click the ‘Edit’ button on the widget and select a search engine type from the list. Alternatively, click the ‘Cancel’ button to stick with your current weather location.

3.8 Notices - This widget shows a list of notices for quick reference

How to Use - You can add notices from your notices screen and they will appear here. The notices widget shows only the latest three notices. Notices are color coded to distinguish easily between a global, personal and class notices.

3.9 CBBC News - This widget is a new feed from the CBBC News centre.

How to Use - You can view the news stories in more detail by clicking the blue links. A new page will be loaded show the news story in detail. This news feed shows the latest top stories.

4. My Classes

The My Classes screen lists all the classes that you are enrolled on. Depending on your privileges, you can use this section to access course materials or create class content using a range of activities. To access this section select the ‘My Classes’ icon in the main menu

If you don’t have the ‘Global Class Editing’17 privilege or Teacher Class Editing privilege, then you will only be able to view and use class material.

There are two types of course views: ‘activity view’ and ‘section view’. To view the course material, click the class icon. Depending on the admin class settings, you will either see an activity or section view. To access the course material, click on the activity in the list. This will load the activity selected.

4.2 Adding Activities

4.2.1 Add Section

To add a section, select the ‘Add Section’ button. This will launch the ‘Add Section’ screen, allowing you to add a section.

Enter the name of the new section, such as ‘Week 1’, in the text fields provided. Click the ‘Add Section’ button to add the section or alternatively, click cancel to return to the ‘My Classes Activities’ screen.

4.2.2 Add Activity

New classes that are created have no activities. To provide the classes, content activities can be added. There are numerous activities with which to build up a class.

These activities can only be added and edited by those users with the correct privileges. All other user can only access class activities to view and participate in. To add an activity, click on the activity you wish to add.

4.2.3 Add Page

If you selected the page activity, the add page screen will be launched. A page is simply a page of text, such as a webpage. You can use this activity to display class instructions and content.

4.2.4 Add Web Link

If you selected the web link activity, the add web link screen will be launched. A web link is simply a link to a webpage. You can use this activity to display class instruction and content.

4.2.5 Add File Attachment

If you selected the file attachment activity, the add file attachment screen will be launched. A file attachment is simply a document or image that can be downloaded, saved and viewed. You can use this activity to distribute a document or coursework.

4.2.6 Add Embedded Document

If you selected the embedded document activity, the add embedded document screen will be launched. An embedded document is simply a document that can be displayed on the site. You can use this activity to distribute and display a document.

4.2.7 Add Quiz

If you selected the quiz activity, the add quiz screen will be launched. A quiz is simply an interactive multiple choice test that can be displayed and used. You can use this activity to test participant knowledge about a particular subject.

Enter the name of the activity and select the section you want to place the activity in. Optionally enter a start and end date. Select yes in the active field to make the activity active. Enter the question in the text field provided, and enter the answers in the boxes. Tick the tick boxes next to the answers that you want to be correct answers. Click the ‘Add Question’ button to add the question. To add more questions repeat the previous step. Click the ‘Create Quiz’ button to add the quiz.

4.2.8 Advanced Options

You can use the advanced options to set quiz attempts. This limits the amount of times a user can take the quiz. Also you can change how the grading is done. This can be either:

Type Description

Highest Score This option grades the user according to his highest score on all attempts.

Average Score This option grades the user according to the average (mean) score adding all attempts and dividing them by the number of attempts.

First Attempt This option grades the user on the first attempt and disregards all scores after the first.

Second Attempt This option grades the user on the last attempt

4.2.9 Using Quiz

To take a quiz, click on the quiz title and the quiz is launched. To answer a question select the tick box next to the answer you want to submit. Click the next button or use the skip question functionality at the bottom by clicking on the question number to move forward. You can go back to a question by clicking the previous question button or clicking a question number. All answered questions will highlight green.

After answering all questions you can finish the quiz by clicking the ‘Finish Quiz’ button. This launches the review questions page. You can click the go to question button to change your answer. Click the ‘Submit Quiz and Get My Score’ button to finish or to exit the quiz without submitting click the ‘Exit Quiz’ button.

If you selected the forum activity, the add forum screen will be launched. A forum is simply an interactive message board where users can post comments that can be displayed for others to read. You can use this activity to create a discussion board on topics and classes.

4.2.11 Using Forum

Add Post

To use this forum, click on the forum title and the forum is launched. To make a post, enter some text in the ‘post your reply’ text field and click the ‘Post Reply’ button to add post.

Edit Post

You can edit a post by clicking the ‘Edit Post’ button, editing the details and saving changes.18

Delete Post

You can delete your post by clicking the ‘Delete Post’ button. You cannot edit or delete the post of another user unless you have ‘Global Course Editing’ permissions.

If you selected the embedded code activity, the embedded code details screen will be launched. Embedded Code is simply code that allows you to plug in application into your site. You can use this activity to have games and other application on your site.

Enter the name of the activity and select the section you want to place the activity in. Optionally enter a start and end date. Select yes in the active field to make the activity active. Enter the embedded code in the text field provided. Click the ‘Save Details’ button or conversely click the ‘Cancel’ button to return to the previous screen.

4.3 Editing Activities

4.3.1 Edit Section

You may need to change the name of a section. From the ‘Classes’ screen select the ‘Edit Section’ button in the table next to the group whose name you wish to change. This will open the ‘Edit Section’ screen.

4.4.1 Delete Section

You may want to delete a section. To delete a section, select the delete icon in the table next to the section you want to delete.

4.4.4 Move Activities

You may want to move an activity from one section to another. To do this, edit the activity by clicking the ‘edit’ button next to the activity.

4.5 Preview Course

If you are a class creator, you may want to preview the class in the view of a participant. To view the class in a participant view, select the ‘preview’ button.

4.6 Course Features

If you have Global Class Editing privileges, you will see the classes in edit view. In this view you have a number of personal features that are linked directly with the class you are editing. These features are:

Class Calendar This calendar allows you to create events that are directly related to the class. In the calendar the event will be shown as a class event.

Class Notice Board This notice board allows you to create notices that are directly related to the class. On the notices board the notices will be shown as a class notices.

Class File Manager This file manager stores files that are solely for the class.

You also have access to some course management tools such as:

Class Gradebook - The Gradebook gives the score on the quizzes that have been completed by users. The Gradebook display the score according to quiz settings19.

Class Members – This table shows all students that are enrolled on the course.

4.7 Awards System

You may want to reward your student by awarding them points, these points are then converted into stars, certificates, medals and trophies. Depending on the number of points you award the student, they will get either one of the awards or a combination.

These awards can be located on every screen in the system just below the main navigation. You can award points from the class member’s screen.

5. My Files

The My Files screen is your personal file manager. You can use the file manager to upload and store your files and images in a number of formats. You can use this section to upload and manage your files and folder. To access this section select the My Files icon on the main menu.

To add a directory, select the ‘Add Directory’ button. This will launch the ‘Add Directory’ screen, allowing you to create a Directory.

You may want to change the name of a Directory. To rename a directory, hover over the file and you will see two links appear. Click the ‘rename’ link.

5.5 Download File

You may want to download a file. To download a file, hover over the file and two links will appear. Click the ‘download’ link.

5.6 View File Details

You may want to view the file details. To view the details of a file, select the actual file. When the file is selected a box will appear containing information about the file.

6. Messages

The Messages screen allows you to send, receive and manage messages. There are two main areas of messages: inbox and outbox. The inbox provides a list of all the messages that you have received and the outbox lists all the messages that you have sent. You can use this section to compose new messages and manage all your message activities.

6.1 Compose Message

You may want to send a message to a contact. To send a message, click the ‘Compose Message’ button. This will launch the ‘compose message’ screen.

Enter the recipient selecting the contact from the address books and click the ‘Add’ button. To add more than one recipient, use CTL and select multiple. You can add all contacts by clicking the ‘Add All button’ and you can remove contacts using the ‘Remove’ button. Enter the subject and message in the text fields provided. Click the ‘Send Message’ button.

6.2 Delete Messages

You can view and manage all the messages that you have sent and received. To delete these messages select the tick boxes of the messages you want to delete and click the ‘delete’ button. Confirm the delete action by clicking yes to the confirmation message.

6.3 Read Messages

The total amount of messages is shown in the outbox table. Any messages that have been sent in the last 24 hours will display today in the date field. To read the message click the link in the relevant field.

6.4 Reply and Forward Messages

You may want to reply to or forward a message that you have received. To do this, select the ‘Reply’ button and proceed with creating your message. Click the ‘Send Message’ button to reply to the message

7. Notices

The Notices screen displays notices that apply to you. There are different types of notices and they are useful in defining the notices relevance. You can use the notice board to add, view and manage your notices. To access this section select the Notices icon in the main menu.

7.1 Add Notice

To add a notice, select the ‘Add Notice’ button, this will launch the ‘Add Notice’ screen, allowing you to add a notice.

Enter the name of the new notice such as ‘Remember Money for Math’s Trip’ in the text fields provided. Optionally you can enter an end date of the notice. Click the ‘Add Notice’ button to add the notice or conversely click cancel to return to the ‘Notices’ screen.

7.2 Edit Notice

You may need to change the details of an existing notice, for example if you want to change the end date to make the notice display for longer. From the notices screen select the edit notice button in the table next to the notice you wish to change. This will open the ‘Edit Notice’ screen.

Click the ‘Update Notice’ button to make the changes or conversely click the ‘Cancel’ button to return to the ‘notices’ screen without any changes being made.

7.3 Delete Notice

You may want to delete20 a notice from the system. To delete a notice select the delete button in the table next to the notice you want to delete.

7.4 Notice Types

There are two notice types one is a class notice and the other is a global notice. The class notice can only be added from the Class section with the appropriate privileges. If you don’t have add/edit global notices privileges then you can only use the notices screen to view global notices and not add, edit or delete notices. You cannot edit or delete class notices that have been created by another teacher unless you are a teacher on the same course.

8. Calendar

The Calendar screen is a personal events calendar. The calendar can be used to manage events. There are different types of events and they are useful in defining the events relevance. You can use this section to add events, edit event and delete event. You can also manage and view all events using a personal calendar to navigate to events. Each event is marked on the calendar with a pin. To access this section select the Calendar icon in the main menu.

8.1 Add Event

To add an event, select the ‘Add Event’ button, this will launch the ‘Add Event’ screen, allowing you to add a event.

Enter the name of the new event such as ‘Talk about Shakespeare’ and event description in the text fields provided. Enter an event date and optionally enter the start and end time of the event. Depending on the privileges you have you can either set the event to be a personal event or a school event. Click the ‘Add Event’ button to add the event or conversely click the ‘Cancel’ button to return to the ‘Events’ screen.

8.2 Edit Event

8.4 Event Types

There are three event types which are class events, personal event and global events. The class event can only be added from the Class page with the appropriate privileges. If you don’t have add/edit global events privileges then you can only use the events screen to view global event and not add, edit or delete global event. You cannot edit or delete class event that have been created by another teacher unless you are a teacher on the same class.

9. Profile

The Profile screen allows you to update information about yourself to others. You can display your interests and likes, and describe yourself.

9.1 Add Information

You can add information to your profile by clicking the edit likes and interests button. This launches the edit likes and interests page.

Enter text into the text fields provided and click the ‘update’ button. Your profile page will now display the information added.

9.2 Change Theme Colors

You can change the theme colors of LearnAnywhere by clicking the colors presented.

This will change the entire background color throughout the system to that color selected. In this instance the color selected was yellow.

9.3 Create Avatar

Avatars are a fun and vibrant way though which young people can express themselves. Hence the create avatar feature has been adopted by LearnAnywhere. This is expressed by Hee, S “Visualization is a good way to show oneself, especially for the young people looking for some charming, thrilling, and unique things to express themselves. One example of visualized identification is an avatar.”22 You can modify your own avatar by using the create avatar option within your profile. To do this click the create avatar link and the avatar maker is displayed. There are two characters to choose from. You can select the characters by clicking on the options, Cato or Candi. The characters by default are un-clothed. To add clothes and accessories to the character you can select the tabs for hair, glasses etc. Initially, the clothes will be locked as they are only unlocked from student gaining awards.

9.3. 1 Add Clothes and Accessories

If the students have the correct amount of awards then they can dress and accessorise the character by clicking on a range of clothes, footwear, etc. The selected item will then be added to the character. The character is then displayed on all pages wearing the new clothes and accessories.

9.3.2 Remove Clothes and Accessories

To remove the clothes, click the remove item option in each of the categories. The item will be removed.
