VMS Event & Conference Logistics (VMS) has been operating since 1988 and is a leading conference organiser in Sydney. VMS provides options for conference venues, online event registration and full blown event management or something in between.

The most important aspect of a conference is to ensure that appropriate conference venues are considered and the one meeting the pre-set criteria is chosen. There much to consider in choosing the conference venue; value for money, delegate expectations, size (seating layout), breakout room options, location and overall feel for the conference outcomes you wish to achieve.

However, VMS knowledge of the conference venues is very important as this determines whether the venue can in fact deliver. For more than 20 years VMS has been involved in delivering conferencing across Australia and have longstanding links into these venues, either at an operational or senior management level.

The business is built around providing the resources that are not available at conference facilities and very much operating the backend of an event management. The key tool VMS uses is the online event registration system because attracting and managing delegates is what they do. The system provides a fully dedicated “client” conference website with a full online registration system including payment options; PayPal, Credit Card, Electronic funds Transfer and Cheque.

VMS fully supports the online event registration process by providing a dedicated helpline to our experienced staff who can answer their specific questions and assist them to register.

With VMS responsible for collecting registration monies the emphasis for the conference organisers can then focus clearly on the conference content without the distraction of that aspect. VMS has an enviable record in the collection of registration monies. As a third party we are able to be prominent in collection but have the flexibility to use the conference organisers as referral of last resort thereby providing delegates with a “higher” authority.

Many of our clients require that their delegates can register both for the event and accommodation so that all costs are taken care of before the delegate arrives at the conference. VMS online event registration platform enables this to be done easily using dropdowns and upon submitting the registration a Confirmation / Tax Invoice is automatically generated and sent to the delegates email address supplied.

The dedicated conference website provides the platform for providing information for potential delegates; about the conference, program, speakers bio’s, venue (map), accommodation options, workshop options and social media links. The registration page can be turned on or off which enables a conference website to be live with information added as it becomes available.

This enables our clients to establish an online presence which can be publicised through various avenues to potential delegate markets well before all the aspects of the conference have been finalised. It can be a work in progress.

VMS is often called upon to undertake the registrations process onsite and provide an ongoing help desk for the duration of the conference as a focal point for delegate information. In addition VMS would co-ordinate the venue logistics, be it audio visual (AV) arrangements, food & beverage, room setup, meet & greet speakers to marshalling delegates to breakout options or managing functions. The role is purely up to client and their needs.
