District Recognition Awards Information

Objectives

To recognize the Rotary Clubs, as well as individual Rotarians, for their dedication and hard work, their commitments of creativity, talent, time, money and other resources, and for their support of the goals of Rotary International and District 5280.

To recognize the Rotary Clubs that have programs in the Five Avenues of Service, including New Generations Service, and participate in club and district coordinated projects and events.

To recognize the Rotary Clubs and individual Rotarians who make Rotary membership matter, help build good character and a commitment to ethics in business, and look beyond our borders to do the work of Rotary.

Important Information

The District Recognition Awards packets will be given to club Presidents on Tuesday, July 31, 2012 at the District Breakfast.

The District Recognition Awards packets will be available on the District Website, by Friday, August 3, 2012 (forms will be interactive), www.rotary5280.org. CLUBS MUST PREPARE THEIR REPORTS AND TURN IN ELECTRONICALLY TO THE DISTRICT OFFICE, no later than Thursday, February 7, 2013 by NOON.

To become a Club of Excellence, a club needs to receive the Presidential Citation… see page 31. The Presidential Citation official form is to be submitted to the District Office no later than Friday, February 1, 2013 by NOON.

Recognitions Awards will be presented at the District Conference on May 3-5, 2012.

Evaluation Criteria

The Recognition Awards Committee will evaluate the following areas: Club Service, Communications and Public Relations, Community Service, International Service, Membership, New Generations, The Rotary International Foundation, and Vocational Service.

All evaluations from the eight areas of recognition will be tabulated together for an aggregate score to determine an Overall Club of Excellence to be presented in each classification of clubs, i.e. Small, Medium, and Large, at the District Conference. The Clubs of Excellence will be awarded through a fair and objective process, based upon the highest overall sum total of points accumulated from the eight evaluation areas.

Each Senior Assistant Governor, along with their respective committee, will evaluate the entries in the specific area of their responsibility. For example, the Senior Assistant Governor of International Service will evaluate projects and activities pertaining to International Service.

Each Senior Assistant Governor, along with their respective committee, will compare each entry with entries of clubs of similar size (Small, Medium, and Large… see page 6) within the specific area of evaluation. Projects that are well planned, implemented and achieve their goals will be recognized.

The following considerations are important:

1. Did the project provide a needed service?

2. Was it a Rotarian involved, hands-on, project?

3. Were specific goals identified and achieved?

4. What percentage of the club membership was involved?

5. Were there non-Rotarians involved?

6. Was the project completed within budget and on time?

7. Can another Rotary Club duplicate this project? Is the information available?

Report Procedures

A project or activity must be reported in the APPROPRIATE area, and in ONLY ONE of the eight areas. The reporting Club will determine the appropriate area.

Please prepare only one page per project or activity.

Only one project or activity should be reported in a report.

Concise reports are preferred. A report longer than ONE PAGE will not be considered.

Reports are to be type written. Handwritten reports will not be reviewed. (Forms will be interactive online.)

An additional page for photos and or visuals may be attached to each report.

The written narrative takes priority over attached photos or visuals.

You may report on as many projects or activities as you have planned to be completed in the 2012-2013 Rotary year.

Special Report For Overall Volunteer Hours

There is a special form that should be completed, estimating total volunteer hours from your club membership, in the aggregate, for the 2012-2013 Rotary year. See page 30.

This report will not be considered, in any way, for the recognition evaluation process. It will be used only to determine our total district-wide volunteer hours.

Presidential Citation Criteria 2012-2013This questionnaire is to be completed by each club and then sent to the district office included with the District Recognition Awards packet — not to Rotary International. The completed questionnaire must be received by the district office no later than Thursday, February 7, 2013 for the club to be eligible for the Presidential Citation. The answers to all questions on the questionnaire are subject to The Four-Way Test!

Rotary Foundation requirements and membership requirements must both be attained for recognition. All clubs and districts that have been certified as reaching these goals will receive a certificate signed by 2012-13 RI President

Club RecognitionClub recognition has an array of Rotary Foundation contribution components and membership components. Clubs that meet all requirements and are certified by the district governor will receive a certificate. Clubs must submit their results to the district governor no later than 6 April 2013.
