Our Taylor Room can accommodate 55 banqueting style and our Warrin Room 50 banqueting style.
Our Woodley Lounge & Bar has a dance floor incorporated and has the capacity to accommodate 100.
Payment terms for Wedding Functions(a) Bookings more than six months in advance of the date of the Wedding Function:• A deposit of £250+VAT is payable on confirmation of the booking;• 25% of the estimated total costs set out above will be payable six months prior to the date of your Wedding Function;• a further 25% of the estimated total cost set out above will be payable three months prior to the date of your Wedding Function;• The final balance of 50% of the estimated total cost set out above less the deposit will be payable one month prior to the date of your Wedding Function.(b) Bookings less than six months in advance of the date of the Wedding Function:• 25% of the estimated total costs set out above will be payable on confirmation of the booking;• a further 25% of the estimated total costs set out above will be payable on three months prior to the date of your Wedding Function;• the final balance of 50% of the estimated total costs above will be payable one month prior to the date of the Wedding Function.Any additional costs incurred at your request but not included in the estimated total costs set out above will be invoiced to you and be immediately due for payment.
CancellationPlease note that all payments are non-refundable. In the event that you cancel all or any part of your Wedding Function, you will forfeit the payments you have made. Costs incurred for any equipment hired by the Club for your Wedding Function will be payable in addition.The Club will make reasonable endeavours to resell the facilities you reserved in which case the cancellation charges may be reduced accordingly, subject to our right to make a reasonable administration charges.
Change of dateIn the event that you need to alter the date of your Wedding Function, an additional non-refundable deposit of £250.00 will be required to secure the new date and all previous payments will be treated in accordance with our cancellation terms.
Amendments and alterationsIf you need to alter numbers or any arrangements for all or part of the Wedding Function then please let us know as soon as possible.Written confirmation is required for all amendments to the arrangements for your Wedding Function and we reserve the right to make a charge equivalent to any loss or additional expense incurred by the Club by reason of the amendments.
Catering requirementsFinal food choice/s and numbers must be advised at least 1 month prior to the Wedding Function.(Any changes after that date may incur catering charges which will be made at the Caterers’ discretion)A receipt will be forwarded with the final account summary after the Wedding Function.
Bar AccountPayment for any additional drinks not forming part of the agreed package or format set out above must be made on the day of the Wedding Function directly at the Bar.We regret we are unable to offer credit facilities to individuals.
Entertainers, PhotographersYou are required to agree with us any arrangements you wish to make for the provision of any musical or other Entertainers in advance of the Wedding Function and we reserve the right to refuse admittance to any Entertainers whose details have not been provided to and agreed by us in advance.You are responsible for ensuring that any Entertainers or Photographers employed by you comply with all statutory safety and other requirements including the management of sound levels. We will advise you of any applicable licence restrictions and our reasonable management requirements in respect of any Entertainers or Photographers. We reserve the right to specify and/or restrict the location in the premises of any entertainment and its duration.All and any equipment belonging to or supplied by, for, or on behalf of the Entertainers or Photographers is brought to, placed and used at the Clubhouse at the sole risk and responsibility of the Client, and the Club cannot accept any liability for loss or damage howsoever occurring.Evidence of public liability insurance for any Entertainers or Photographers must be supplied to the Club no less than seven days prior to the date of the Wedding Function.
Wedding Function RoomsWe will agree with you the rooms and areas in the Clubhouse which will be made available for your use for the Wedding Function. Certain areas of the Clubhouse are reserved for the exclusive use of our members.The patio areas outside the Clubhouse are reserved primarily for the use of the members of the Club. For the Wedding Function, therefore, the Club permits access to the patio areas only for the purpose of access to the Clubhouse and for such reasonable use by you as may be agreed with the Event Manager and permitted by us in advance of or at the time of the Wedding Function.
The Club is generally unable to accommodate external wedding photography and it will not be permitted at any time unless we have specifically agreed with you to waive this restriction, in which case the Event Manager will agree with you the location where it may take place and its timing, and any other relevant restrictions, in advance of the Wedding Function.Access to the golf course (which is to the rear and to the side of the Clubhouse) is strictly prohibited.Children must be properly supervised at all times inside and outside the Clubhouse.
ConductThe Client shall ensure that the Wedding Function is conducted in an orderly fashion and that all persons leave the premises by the agreed time. The Club reserves the right to exclude or eject, as it thinks reasonable, any persons from the premises whom it shall consider objectionable (including any person engaged by the Client to provide entertainment or perform any other duties at the Wedding Function).In the event of any members of staff or members of the Club being injured by the Client or by anyone attending the Wedding Function the Client shall be liable for any claims arising.
Club PropertyThe Client shall take all reasonable precautions to ensure that no damage occurs to the property of the Club or that of its employees or members. In the event of any damage occurring, the Club will hold the Client liable for the replacement or repair of any or all property damaged. The Client shall ensure that nothing is fixed to the floors, walls, ceilings or any other interior or exterior of the premises by means of nails, screws, drawing pins or by any other means unless agreed with the Events Manager prior to the Wedding Function.
Client’s Equipment and propertyThe Club cannot accept responsibility for loss of or damage to any property or equipment belonging to or supplied by the Client or any persons attending the Wedding Function.,By acceptance of these terms and conditions, the Client indemnifies the Club against any loss, claim, damage, costs or expenses suffered by or made against them however and by whomsoever caused (including but not limited to the negligence of the organiser, his servants or agents) arising from the Wedding Function subject only to the extent to which such loss, claim, damage, costs or expenses arise wholly or in part from negligence on the part of the Club.Pinner Hill Golf Club Limited, South View Road, Pinner, Middlesex HA5 3YA (“the Club”)
