WEDDING COORDINATION

YOUR HILTON LA JOLLA TORREY PINES CATERING MANAGER WILL: - Provide you and your fiancé with a personalized tour of The Hilton La Jolla Torrey Pines - Execute all contractual agreements between you and the hotel - Act as your primary hotel contact, available to answer any questions and communicate with all departments within the hotel to ensure a seamless event - Act as a menu consultant for all food and beverage selections - Detail your banquet event orders, outlining all of your event specifics, and ensure that it is communicated flawlessly to the hotel’s operational team - Create a floor plan of your function space - Arrange and attend your menu tasting - Oversee the set-up of ceremony and reception room(s), food preparation and other hotel operations - Act as the on-site liaison between your wedding planner and hotel staff - Ensure a seamless transition from the Catering Manager to the hotel’s Banquet Captain once the grand entrance has occurred - Review your Food and Beverage Minimum per contract prior to the event - Coordinate sleeping room blocks at The Hilton La Jolla Torrey Pines

YOUR WEDDING COORDINATOR’S RESPONSIBILITIES MAY INCLUDE: - Recommend event professionals to provide wedding music, flowers, photography, invitations and more - Assist with etiquette and protocol for invitations, family matters, cultural customs, ceremony and toasts - Review your catering contract to ensure all of your requests are communicated to the catering manager - Create a vendor payment schedule - Create a comprehensive timeline for your entire wedding day, including the ceremony and reception - Confirm “call times” and details with all vendors prior to wedding day - Act as the liaison between your family, wedding party and other vendors to create a seamless event - Remind the wedding party of all pertinent “call times” and “don’t forgets” on the wedding day - Deliver and arrange ceremony programs, escort cards, place cards, favors and any other personal items - Organize and coordinate your ceremony rehearsal - Coordinate your actual ceremony (line up the wedding party, assist you with dressing) - Coordinate your actual reception (grand entrance, first dance, toasts, cake cutting, etc.) - Collect any personal items you may have brought at the conclusion of the reception - Stay to the end of event to wrap up belongings

INFORMATION DAY OF EVENT PARKING Parking is offered at a discounted rate for the day of your event: Self-Parking $10 per vehicle, Valet $20 per vehicle. There are no in and out privileges. FOOD AND BEVERAGE MINIMUMS Food and beverage minimums vary based on the day of the week and selected ballroom. Please discuss these with your assigned Catering Manager. SERVICE CHARGE All Catering and Banquet Charges are subject to applicable 25% service charge and 8% state sales tax. DEPOSIT AND PAYMENT A deposit of 25% of your Total Anticipated Revenue will be required at the time of the contract. SLEEPING ROOM BLOCKS Room Block options and discounted rates may be available for your guests to enjoy the hotel during your celebration. Please discuss with your assigned Catering Manager. MENU TASTING We will schedule one complimentary menu tasting prior to your event for up to four people. You may choose two soups or salads, three entrees and three cake flavors to sample. We also encourage you to taste wines from our wine list. You will personally meet with our Executive Chef to discuss your selections. CHILDREN AND VENDOR MEALS Children meals are available for $32 per child. Vendor meals are available for $55 per vendor.

GUARANTEES A guaranteed attendance is required for all meal functions three business days prior to the function date and is not subject to reduction. If the catering office is not advised by this time, the estimated figure will automatically become the guarantee.

SECURITY The hotel does not assume responsibility for damage or loss of any merchandise or articles left on premise to, during or following any event. Arrangements for security to monitor equipment or merchandise may be made through your catering contact prior to the event (applicable fees may apply).
