School Census Feedback
• A few schools have uploaded their census with errors.
Please ensure you contact us before uploading if you
have an error you cannot clear.
• No major issues this time!

Autumn School Census• Census day: 05/10/2017
• Attendance data collected from 17/04/2017 to 31/07/2017
• Exclusions data collected from 01/01/2017 to 16/04/2017
• FSM (Free School Meal) data collected from 19/05/2017 to 05/10/2017
Changes in Early Years panel
Disability Access Fund
• This new option provides the ability to record whether three- and four-year-old pupils are in receipt
of the Disability Access Fund.
30 Hour Code
• This new option provides the ability to record the 11 character alpha-numeric 30 Hour Code for
three and four-year-old pupils.
Extended Funded Hours
• This new option provides the ability to record the number of Extended Funded hours that are in
addition to the initial funded hours that the child receives.
Hours and Minutes Format
• Values for Funded Hours, Hours at Setting and Extended Funded Hours can now be entered in
hours and minutes
Disability Access Fund, 30 Hour Code and Extended Funded Hours for pupils
aged two at 31/08/2017 are not collected in the School Census return.

• The Key Stage instruction documents are
available for schools to download from HGfL at

• Emails were sent out to schools on 6th June
advising of this.
• There is also a separate FAQ document
included in your handouts, which you may find
useful if you have any queries.

Key Stage 2017
• The Head teacher is responsible for ensuring that any
statutory data submitted is complete and accurate, so
will need to check and authorise the data before
submission.
• It is especially important to check that pupils with an
assessment of BLW in any area of learning also have
the appropriate P level recorded in the P scales
marksheet.
• Full instructions are included in the documentation,
however, there are no warnings in the software if
required P scales are missing.

Key Stage 2017
• KS2 Test results will be released on 4th July and must be
imported into SIMS, so that both Teacher Assessments
and Test Results can be reported to parents.
• Please note that Capita have not provided any
comparative reports within SIMS for KS1 and KS2 this
year.
• Individual Reports are available. In previous years there
have been problems with these reports hanging. If you
experience this problem, try running from another SIMS
machine, or if this is not possible, reboot your machine
and try again.

Key Stage 2017
• We are providing detailed Key Stage Analysis Reports.
These are available to schools that subscribe to our
Primary Assessment Resources, as they will include the
HfL steps recorded in the termly marksheets.
• The EYFS and Key Stage 1 Reports will be available in
mid June, an email will be sent to all subscribers.
• A further email will be sent to subscribing schools when
the Key Stage 2 report is available.

• EYFSP can only be submitted once.
• If a child has repeated Reception and data was
submitted last year, please be aware that the
profile cannot be returned again this year so do
not submit.
• If a child will be repeating Reception next year,
do not return the profile this year. This should
be submitted at the end of their final year in
Reception.

Phonics Screening
• Only a phonics mark should be entered initially.
• The grade cannot be calculated until the pass mark is
released by the DfE.
• Once the pass mark is available it will be possible to
flood fill the column, to calculate the grade, and produce
individual reports for parents.
• If Phonics Year 1 information is missing for any Year 2
pupils, please follow the steps detailed in the instruction
booklet to import the missing data into SIMS.

EYFS Progress Toolkit Update
• The update has taken considerably longer than expected
due to the complicated nature of the reports.
• It will be completed in time for schools to complete data
entry for the summer term.
• Schools will be notified by email when the update is
ready.
• An explanation and instruction document detailing how
to create the marksheets and download the reports will
be sent out in the email.

Updates and Reminders• Pupil Premium DfE file available end of June/early July
to be imported into SIMS - Based on January Census.
• Pupil Premium checking service available from us.
• We would suggest obtaining a National Insurance
number from new parents and applying for Free School
Meals on their behalf. Form available from Solero you
can download.
• Server Maintenance Doc been put together to inform it
staff how to maintain DB and sims server, based on
capita recommendations and our experience. Will be
made available on grid, pass on to your IT/Network
support provider.
• End of Year are documents available on the grid.

Updates and RemindersFree School Meal Reminder
• If a parent does not reapply at the end of Year 2 then they will NOT
automatically be eligible for Free School Meals in Year 3.
• A child moving from Year 2 to Year 3 does not automatically transfer from
one register to another (i.e. UIFSM list to FSM list on Solero). Therefore,
end dates for FSM should be entered for the end of Year 2.
• Pupils have been appearing on both reports as parents have applied for
both. As long as they show as eligible on at least one report then FSM
dates can be entered.
• Before the Universal Infant Free School Meals government scheme was
introduced, a child could be eligible throughout their primary education and
beyond as long as the parent remained on a qualifying benefit.
• A child must be registered by the parent, or school, or by calling 0300 123
4048 to be put on either register. Applications for FSM for the new
academic year can be made from 1st June onwards.

SEN N codes• SEN – Database Diagnostic Check 96 will be activated
in the Summer release. Once run, will identify and
remove ‘N’ codes entered incorrectly for pupils with no
previous Special Educational Need recorded.
Recommended to run following import of CTFs for new
intake.

SIMS Summer 17 ReleaseCTF Updates
• Addition of Partial CTFs for Children Missing in
Education. Two partial files have been added to help
maintain an accurate record of Children Missing in
Education (CME). More detailed information will follow
prior to the upgrade.
• Service Child in Education tag now included in CTF
Export/Import.
• SEN Need Start Date, End Date tags now included in
CTF Export/Import.

Hints & Tips
• Some of you may have experienced errors and queries
relating to missing registration or ethnic history.
• When adding a new pupil and entering an admission
date prior to current day, Registration and Ethnic history
in the pupils record will be inaccurate. It will begin from
the day the record was entered on to SIMS.
• This can be changed in pupil details by going to the
History in the Registration tab, and then in the
Ethnic/Cultural tab.
