Dear Parents,

It is a pleasure to Welcome you to our Summer Child Care and Sports & Specialty Programs for 2014.

This packet includes basic information on our programs, payment and financial aid, required forms and other important

information.

Our summer programs are designed to give your child an exciting and enriching summer experience under the supervision of

trained and experienced leadership.

It is our primary goal to provide your child with a safe and fun summer. However, summer programs can be a lot more.....a

chance to learn from new experiences, to grow, to make new friends, and to develop important social skills that will last a

lifetime.

There will be an Orientation/Pre-Camp Meeting to answer your questions, give you a chance to meet the staff, and to find out

the details of the program schedule on Thursday June 12th at 6:15pm. Previous participants need not attend.

Beginning June 13, 2014 calendars will be available at www.ymcala.org/tsb.

IMPORTANT INFORMATION FOR PARENTS

At the Torrance-South Bay YMCA, we believe all kids deserve the opportunity to discover who they are and what they can

achieve. YMCA Summer programs provide children and teens with supervised activities that cultivate values, develop skills and

nurture relationships. Give your kids the chance to have fun, improve their health, learn new things and reach their potential.

Child Care Programs (Monday-Friday, 6:30am-6:00pm)

We provide safe, fun, licensed, quality care designed for children from ages five to twelve years old. Our programs are

conducted in our YMCA child care modular buildings located in elementary schools throughout Torrance with travel once or

twice a week for bus or walking trips. Weekly activities revolve around themes and include outdoor games, arts and craft

projects, songs, and skits. Your child will participate in character building and recreational activities to enhance social and

leadership skills.

Specialty Camps (Monday-Friday, 6:30am-6:00pm)

In our specialty camps, your child will have the opportunity to learn a new skill or talent. Our camps are a week long program

at a variety of locations. Some of our most popular camps are Star Wars, baking, lego, basketball, musical theatre, science

and math. We have great new camps such as magic, ocean explorers, secret agent lab and zoomie survival. Children must be

dropped off at the site hosting the camp. Camps may be consolidated. Some camps require an additional waiver: Fit Kids

Gymnastics, ice skating, horsemanship, robotics, self defense, rock climbing and cooking for kids. The waivers will be available

when you receive your calendar and also on the first day of camp.

Staff

Our staff are caring people who possess the qualifications necessary to ensure that your child grows and learns in a safe

environment. Staff go through general child development and specialty training, and many have had years of prior camp

experience. They are certified in CPR and First Aid and committed to your child’s physical and emotional safety. Our ratios are

1 staff leader to 14 children.

Calendars

Session calendars will be available at the child care locations the first day of each program week. It details daily activities and

themes. Also, calendars will be made available online beginning June 13th by visiting www.ymcala.org/tsb. Please review the

calendar regularly so you know when the program may be leaving early for a trip. Calendar activities and times are subject to

change.

Field Trips

Walking and bus field trips are a usual part of the program. Please check our calendar for locations and days of trips. Because

trips are scheduled into the week, no other care is provided if you are late. Please be prompt. We recommend that your child

wear his/her Y t-shirt on field trip days.

Buses do not have seatbelts. Don’t worry, according to the National Safety Council in 1996, school buses are 172 times safer

than your family automobile! However, when the children are transported in the YMCA vans, they are required to wear

seatbelts. We can provide a car seat in a Y van for children 8 years or younger.

Enrichment Classes

To help reduce the cost of program, we did not include several enrichment programs in the fee. Some child care sites will

provide additional enrichment programs throughout the summer for an additional cost to you. These programs are optional.

What to Pack for Lunch

Bring a sack lunch daily with your child's name printed on it. Due to lack of space and time, we ask that you do not

send your child with heat-up lunches or refrigerated items.

A filled water bottle is recommended.

Please enjoy sweets and sodas at home.

The program will provide morning and afternoon snack but your child may bring their own snacks from home. Please

make sure to note all food allergies and sensitivities to staff. The YMCA reserves the right to make adjustments to

the snack menu as needed.

What to Wear

Generally, your child should wear informal and comfortable clothing.

Closed-toe and closed-heel shoes are required.

For sun protection, wearing a hat is recommended. Children are required to bring sunscreen daily.

Please label everything with your child’s name on it.

Lost and Found

The best way to prevent the loss of property is to leave valuables at home. Please leave new jackets/sweatshirts, all video

games, cell phones, personal CD players/stereos/MP3 players and expensive jewelry/watches at home. In general, please don’t

send your child to program with any toys - we want to provide all the fun for your child. In addition, the following items are

not allowed to be brought by children: alcohol, drugs, animals, or weapons. Please label everything with your child’s name on

it. Children are responsible for their belongings.

Articles of clothing or personal equipment not claimed by child or parent upon completion or return from program will be

disposed of in the following manner;

Lost and found articles or equipment will be held at the program for two weeks

At the end of the summer lost items from the last two weeks will be held for two weeks at the YMCA, 2900 W.

Sepulveda Blvd., Torrance.

Articles/equipment not claimed within the two-week period will be donated to a local charity.

Ways To Make Payment

All payments are due by the Thursday two and a half weeks prior to the session your child will be attending.

Payments (or remaining balance) can be made at the YMCA, 2900 West Sepulveda Boulevard, Torrance, CA 90505-

2897 or mailed to the Y at this address. Make checks payable to the Torrance-South Bay YMCA. You can also pay

online at YMCALA.org/tsb or by checking the box on your camp registration to authorize the Y to charge your credit

card.

Payments can not be accepted at the program.

A $25 weekly non-refundable and non-transferable deposit is required at registration.

Payment for speciality camps is due in full at time of registration

Late pick up fees are $10 for every 15 minutes or portion thereof per child.

We believe that a true camp experience is a week-long experience. Additionally, we pay our vendors’, schedule our

staff and order our supplies based on the weekly enrollment. For these reasons, we do not prorate camp.

Parents on the continuous child care payment plan continue to pay their monthly fee as during the school year.

Change To Child’s Summer Schedule

All changes must be made in writing to the YMCA, not at the camp or program site.

There is a $25 fee for each change made, per week per child. First change is complimentary.

Child Care, Summer School Care, Discovery Camp, Explorers Camp, Adventure Camp, Good Times, Leaders in Training

and Specialty Camp changes must be made at least two weeks before the camp.

Cancellations and Refunds

All cancellations must be made in writing to the YMCA, not a camp or program site.

Child Care and Summer School Care cancellations must be made by the payment due date in order to receive a refund.

Any payment made beyond the non-refundable deposit will be refunded minus a $25 processing fee per transaction.

Specialty Camp and Leaders in Training cancellations must be made by the Thursday two weeks prior to the week to

be attended in order to obtain a 50% refund or credit equal to 50% of the fee.

If the YMCA cancels the program we will give you a full refund.

Financial Assistance

The YMCA offers financial assistance so that individuals and families may participate in our programs. To apply, complete an

application form, attach required documents and return it to Suzanne Villa at the YMCA. Required documents are a month’s

worth of current pay stubs, proof of residency and your previous year’s Federal tax return. Funds will be awarded based upon

availabilty. If you wish to make a contribution to the YMCA 2013 Community Support Campaign you may do so by sending

your donation to the YMCA specifically earmarked for Camp.

POLICIES AND PROCEDURES

Sign In And Out By Parent/Guardian

For the safey of your child, you will need to go into the site and sign your child in or out on the roll sheet. This is required by

the laws and regulations governing licensed child care. The staff use these roll sheets to determine which children are at the

site at any given time. We cannot be responsible for your child unless he/she is signed in and out. A full signature is required

for each child (no initials or only last names).

Late Pick-Up

The program closes at 6:00 PM, after which you will be charged $10 per child for each 15 minutes or portion thereof we

provide care. If your child is not picked up by 6:00 PM we will attempt to contact people on the emergency form. If no one is

reached, the police may be contacted.

Authorization To Pick-Up Child

Only persons that you authorized in writing may pick up your child. For your child’s protection, the staff will question anyone

who is unfamiliar to them and check for authorization to pick up a child. If someone else is picking up your child, please notify

the site director in writing. If custodial restraints are in effect you will need to provide us with a copy of the court order

signed by a judge. Otherwise, children will be released to the natural parent.

Sick or Absent Child If a child becomes ill, he/she will be isolated from the other children and you will be contacted to come and pick up your child.

Please be sure you keep the YMCA office and your program informed of any changes in your work or emergency phone

numbers. If you cannot be reached, we will contact someone on your authorization list.

If your child has a communicable disease, the Torrance-South Bay YMCA should be notified regarding the nature of the illness

and, also, the day the illness first appeared.

Children in all YMCA Child Care Programs will play outdoors daily, weather permitting. Parents are responsible for sending

children in adequate clothing and footwear to maintain good health during outdoor play in all suitable weather conditions,

including normal winter temperatures. A child who is too sick to go outside is too sick to be in a social situation with other

children.

Any time the child will not attend the program, please call the number at the top of your calendar by 8:30 am to notify the

director of your child’s absence. We need to know where your child is every day for his/her safety. It is very important that

we be notified when your child will be absent. If we are not notified, by the third time there will be a charge for each time we

are not notified. We will not hold up a field trip because your child is not at camp at the time of departure.

When Can My Child Return To Program? Fever: If your child has a fever, he/she cannot attend program. If your child develops a fever at program, you will be

called to pick up your child. Please keep your child home until he/she has been fever free for 24 hours.

Communicable Diseases (i.e. chicken pox, measles): Please let us know if your child contracts a communicable

disease so that other parents may be informed. Your child may come back when cleared by a doctor. For chicken pox,

all of the spots must be dry.

Lice: If your child is found to have lice, you will be called to pick up your child since they are highly transmittable.

Before your child comes back his/her hair needs to be free of lice, as well as the eggs. Please thoroughly clean

wherever your child puts his/her head - car seats, sofas, towels, pillows, etc. to stop the infestation. We will also

take steps to treat the program or site (rugs, mats, etc.).

Medicaton Any medication which needs to be administered must:

Be brought directly to the program in its original container;

Have written instructions as per quantity, time to administer, any other directions and written clearance from a

physician giving the YMCA permission to administer medication of any kind;

Be signed in on the medication log with the director.

Injured Child

If the injury is minor, such as a scraped knee, the staff will administer First Aid (i.e., wash injured area and use a Band-Aid),

give TLC (tender loving care) and complete a minor accident report to give to you when you pick up your child. If your child

receives a more serious injury, the director will take whatever steps are necessary to obtain emergency medical care if

warranted. These steps may include, but are not limited to the following:

Contact a parent or guardian, to inform you and to give you the opportunity to take your child to a physician.

Calling those listed on your emergency information form.

If we cannot contact you, and your child needs immediate attention, an ambulance or paramedic may be called.

Our staff is not able to take your child to a hospital in their personal vehicles. Please keep your phone numbers up-to-date.

Sunscreen

YMCA summer participants spend a great deal of time in the outdoors and are thereby exposed to the sun’s harmful rays.

We count on parents to apply sunscreen before children come to program in the morning. Parents (or legal guardian)

will be responsible for providing their children with enough sunscreen (in a sealed container labeled with child’s name)

to take with them for later day applications.

All participants will wear sunscreen with an SPF of at least 15 on all exposed skin, including lips, daily, even on cloudy

days.

Sunscreen will be applied at snack time, lunchtime, and in the early afternoon. All children will apply sunscreen.

Program staff will help younger children apply sunscreen. Children 4th grade and up will have to apply their own

sunscreen. Please note, this means your child may have sunscreen applied for them by the program staff. Please

explain this to your child before program.

If your child tends to burn easy, we recommend an extra t-shirt or rash guard be brought to wear in the water for

extra protection. You may also wish to send a hat for your child.

If you do not want sunscreen applied to your child you must send a note stating that you understand the dangers of

being in the sun without sunscreen but that you do not want sunscreen applied to your child. Also, if you would like a

special type of sunscreen applied, please send a note to your child’s camp staff on Monday.

The YMCA reserves the right to disallow anyone to participate in the summer program at any time for failure to

comply with this policy.

Swim Tests

To ensure that children are safe, all children are to be swim tested before they attend a water trip such as a water park or the

beach. Children who are not swim tested will be considered non-swimmers and their water access will be limited. Time during

a program day will be set aside to test the children but the YMCA has also made time available on Sunday afternoons from

12:00 pm to 4:00 pm for swim tests. Swim tests are available beginning Sunday, June 15, 2014. An appointment is not

required. We would like to encourage parents to take advantage of this time to minimize the amount of camp time taken away

due to swim tests. A swim test is required one time for the summer if the form is signed by a parent and our lifeguard.

Special Needs

YMCA leaders are encouraging and patient and can help facilitate successful camp experiences for children with mild and

moderate disabilities. Our program is not designed for campers who need significant assistance or personal care, require

constant one-on-one support, or have great difficulty managing their behavior in group settings. For those camp needs, the

YMCA recommends locating a special needs camp via the American Camp Association.

YMCA Philosophy of Discipline

We feel that positive discipline is a form of love and builds self-esteem. Discipline ensures that each participant's experience

will be positive. The aim of discipline is to provide the child with an atmosphere of warmth and support which includes clearly

set guidelines.

We use the following forms of discipline, depending on the circumstances, severity of the behavior and frequency of

occurrence: redirection, time-out, offering limited choices, positive reinforcement, one-on-one conferences, parent

conferences, behavior charts and parent pick-up.

Minor discipline problems will be handled at the program site. If behavioral problems persist, we will contact the parent to

discuss the situation. If a child's behavior is unsafe or harmful to themselves or another, the parent will be notified and need

to pick up his/her child (or have someone else pick up the child) within half an hour of the call. If, a camper is sent home

(including overnights and field trips), it will be at the parents’ expense. Recurrent behavioral problems may result in temporary or permanent removal from the program.

No refunds are given in the event of removal from the program.

Your help in keeping us informed on significant changes or events in your child's life that might impact his/her behavior would

be appreciated. However, unsafe behaviors cannot be tolerated. Please keep your emergency phone numbers and information

up to date.

Feel free to ask for a conference with the director. We welcome this time for joint learning that can benefit your child, you,

and our program.

Parents may not discipline a child in the program that is not theirs.

Expectations For Parents Please read calendars, newsletters and other important information that is given to you.

Keep us informed about changes going on in your child's life that might affect his/her behavior.

Let us keep you informed of your child's progress, on both good and bad days.

Feel free to make an appointment with your child's program director to discuss any issues.

Give us suggestions on effective means of controlling your child's negative behavior.

Help us praise your child for a job well done.

Make your payments on time so your child can continue in the program.

Approach staff respectfully with any concerns. We want to help resolve them.

Please be on time on field trip days, as we cannot hold up a field trip for late arrivals. Improper Behavior By Parent To YMCA Staff Any abrasive behavior or harassment by a parent displayed toward any YMCA staff member may result in suspension or

cancellation of care. If you are dissatisfied, please speak with the site director or program director.

In Concern For The Children

Please be aware that state law mandates that we report any suspected child abuse or neglect to the proper authorities. As

stated in the Los Angeles YMCA Association Policy and Procedures for Prevention of Child Abuse in YMCA Programs: Every

staff member has an absolute duty to report any suspicion; the child protective agency will determine the accuracy of the

report.

All YMCA staff working directly with children are required to take training above their current education in child abuse

prevention and positive discipline within 30 days of employment.

As part of our policies on the protection of children, staff is not allowed to relate to members outside of YMCA programs.

Please do not put staff in a difficult position by asking them to babysit.

Photographs/Video

Photos (and rarely video) are taken on a regular basis and are used only as promotional material for the YMCA programs. At

no time will a child’s name be used in the promotional material. By signing this parent handbook the parent/guardian is giving

the YMCA permission for the child to be photographed/videotaped.

Earthquake Preparedness

As part of our safety and risk management plan, each child in YMCA Child Care is required to have an earthquake kit. As much

as we hope an earthquake doesn’t happen, we want to be prepared if it does. YMCA Child Care will store your child’s

individual kit and return it to you at the end of the program. If you leave before the end of a camp program, please remember

to ask for your kit to be returned to you.

Earthquake kits are required to have an emergency information form as well as the articles on the following list. These items

should be put into a large Ziploc bag with your child’s name on it. Every child in our program must have a kit the first day of

camp/child care. We would appreciate your cooperation in turning in a kit as soon as possible.

The YMCA can supply your child with a kit at an additional cost of $30 if you prefer. Please let your site director know. All kits

left behind after August 29th will be properly disposed of.

Earthquake Kit Must Contain:

FINANCIAL POLICY

REGISTRATION

FEE & DEPOSITS:

A non-refundable and non-transferable registration fee of $25 is required at the time of registration.

Child Care: A $25 non-refundable and non-transferable deposit per week. Specialty Camps: Require

is due the Thursday, 2 and a half weeks before the start of the affected week. If payment is not

made by 4:00 PM on the due date your credit card will be charged. If you do not receive a billing

statement you need to contact the camp office to have one mailed to you. Whether or not you

receive a statement you are responsible for the payments.

If your child will not be attending a week where a deposit has been paid, the YMCA Child Care/Camp

Office MUST be notified in writing before 4:00 PM on the due date. All registration handled by Walk-

in or Mail registration will receive a camp packet and receipt in the mail within three weeks. All forms

in back of handbook must be completed and returned to the Site on the first day of your program.

CHANGES: All changes must be made in writing to the YMCA, not a camp or program site by the payment due

date. There is a $25 fee for each change made, per week per child. Child care, Summer School Care,

and Specialty Camps changes must be made at least two weeks before the camp.

CANCELLATIONS: All cancellations must be made in writing to the YMCA, not a camp or program site. Child care and

Summer School Care cancellations must be made by the payment due date in order to receive a partial

refund. Any payment made beyond the non-refundable deposit will be refunded minus a $25

processing fee. Specialty Camp cancellations must be made by the Thursday two weeks prior to the

week to be attended in order to obtain a credit/refund equal to 50% of the fee.

HOLIDAYS: The YMCA Camps will be closed on Friday July 4th in observance of Independence Day and Friday,

August 29th for Fall preparation.

PENALTIES: DELINQUENT PAYMENTS: There is a late charge of $25 for rejected credit cards or late payments by

cash, check or credit card. RETURNED CHECKS: All returned checks will be charged a handling fee of

$25.

LATE

CHARGES:

There is a charge of $10 per child for each 15-minute increment or portion thereof that you are late

in picking up your child after 6:00 PM. Emergencies called in by telephone will be taken into account.

When late, you will be required to sign and date the late log. The late charge will need to be paid

when you pick up your child.

Failure to abide by all policies and procedures can result in termination from the program.

THESE POLICIES WILL BE STRICTLY ENFORCED.

REGISTRATION

FEE & DEPOSITS:

A non-refundable and non-transferable registration fee of $25 is required at the time of registration.

Child Care: A $25 non-refundable and non-transferable deposit per week. Specialty Camps: Require
