myWestfield is Westfield State’s web portal. It is a secure site providing students, faculty, and staff with world-class services, featuring a single sign-on website for campus announcements, web for students/faculty/staff, e-mail, course tools, library access, and much more!

Using myWestfield is the only way to find your grades, register online or access your e-mail, and is the best way to stay informed regarding news and upcoming events.

REGISTRATION OPTIONS: ONLINE, FAX, MAILStudents may register online through the myWestfield portal (for returning WSU students), email, fax, or mail. Registrations sent to CGCE will be entered as soon as possible. You will be notified if the course(s) you selected are closed or cancelled. Please review the below Billing Schedule for payment instructions.

BILLING SCHEDULEPayment for CGCE courses is due two (2) weeks prior to the start of the term in which a student is enrolled. Students who register for classes at any point within two (2) weeks prior to the start of the term or during a published add/drop period must remit payment in full by the billing schedule below.

CGCE billing statements are available electronically through a student’s myWestfield online portal account. First-time students must activate their account to view and pay their bill. Bills may be satisfied in one of the following three ways:

1. A student may pay his/her bill in full via credit/debit card (charged a 2.5% service fee), check, e-check, or money order;

2. A student has verified financial aid, scholarships, waivers, etc., which, with or without payment, will cover the bill. Students must submit verification of awards to the CGCE Business Office by due date.

3. A student may apply for the CGCE’s “Installment Payment Plan” to satisfy their bills through monthly installments during a term/session. Please see details under Installment Payment Plan for more information.

Bills not satisfied by their due date will be assessed a late payment fee of $100.00. Students who do not satisfy their account may be subject a financial hold preventing future course registration, withheld official academic transcripts, and conferred degrees. Additionally, students with outstanding accounts risk being placed with an outside agency for collection. Students who are placed with outside agencies are subject to up to an additional 40% collection fee.

FINANCIAL AIDThe Financial Aid Office at Westfield State University is located within the Student Administrative Service Center in the Horace Mann Center, and is committed to insuring that no student is unable to pursue his or her educational goals for lack of financial resources. Westfield State University participates in a wide variety of federal, state, and private programs. Assistance can be in the form of gift aid (scholarships and grants) and self-help programs (loans, work study, and graduate assistantships). The staff of the Financial Aid Office is available for assistance at (413) 572-5218.

TUITION WAIVERStudents may be eligible for a waiver of tuition based upon their status as a veteran, senior citizen, or an employee of the Commonwealth of Massachusetts. Students using military or veteran benefits, must notify Veteran and Military Services immediately upon registering for classes each semester. Students receiving National Guard benefits, senior citizens, or employee of the Commonwealth of Massachusetts must submit waivers at time of registration. Original signed waiver

Employees of Westfield State University are permitted to register during general registration and late registration only. Employees’ registration for non-credit courses begins one week prior to the start of the class, pending availability.

Refunds, if any, are based on the date and time of receipt of a student’s withdrawal, regardless of registration date or attendance. All students who wish to withdraw from a course or courses must do so in writing. It is the student’s responsibility to withdraw from courses or a “Failure to Withdraw” grade of “F” will result. Non-payment or non-attendance is not a withdraw.

Students may drop a course without notation on their academic record during the published add/drop period. A withdrawal after the published add/drop period requires the student to obtain the signature of the faculty member, undergraduates require their advisor signature too. A “Course Withdrawal Form” is available online and must be submitted within the published withdrawal dates as outlined in the academic calendar. Winter and Summer sessions do not have an Add/Drop period due to the accelerated format.

Choosing to withdraw is a serious matter which may adversely affect a student’s status, financial aid, veteran benefits, and degree progress. Students should consult with their course instructor, advisor, and/or respective office prior to dropping or withdrawing from a course.

MEETING & REFUND FOR ONLINE AND HYBRID COURSESOnline and hybrid courses will be considered “meeting” as other in-person courses that begin the first day of the term (i.e., once per week for 14 weeks in fall/spring, twice per week for six weeks in the summer). The withdrawal and refund schedule follows this “meet” schedule and is effective regardless of individual student login. Please note that some online courses may have earlier start dates.

MEAL PLAN REFUNDSMeal plan pricing varies, dependent on the number of meals in the chosen plan. Please see the University Bulletin online or visit the policies section at westfield.ma.edu/cgce for more information on meal plans and refunds.

PARKING PRIVILEGESParking decals are required and only available online at buymypermit.com/wsu. Vehicles without parking decals will be ticketed. For more information, please see the policies section at westfield.ma.edu/cgce.

CAMPUS I.D. CARDAll Westfield State University students should have a bar-coded Student I.D. card as I.D. cards are required to print information on campus. For more information, please see the policies section at westfield.ma.edu/cgce.

EXCESS FINANCIAL AID TRANSFER TO OWL BUCKSStudents may transfer excess financial aid to Owl Bucks on their Campus Card one week before classes begin for the Fall and Spring terms. Excess Financial Aid cannot be transferred to the campus card for Winter and Summer sessions. it can take up to 72 hours for funds to be available. Once funds have been transferred to your card, they cannot be returned until you graduate or withdraw from Westfield State University. *All Owl Bucks balances under $3.00 will be forfeited at the time of graduation.

HEALTH INSURANCE REQUIREMENTMassachusetts General Laws mandate that every full- or ¾ -time student in a public or private institution of higher education during the fall and spring terms shall participate in a qualifying student health insurance program. All students enrolled full or ¾ time must choose to either waive or enroll online through www.universityhealthplans.com. Post-baccalaureate and graduate students are considered ¾ time when enrolled in at least 6.75 credits and full-time when enrolled in at least 9 credits. Undergraduate students are considered ¾ time when enrolled in at least 9 credits and full-time when enrolled in at least 12 or more credits. Failure to submit the proper waiver form will render you liable for the state-mandated coverage provided by the University and you will be billed accordingly.

HEALTH INSURANCE WAIVER INFORMATIONAll students enrolled at least ¾ time or more (6.75 or more credits for post baccalaureate and graduate, 9 or more credits for undergraduate) and who do not wish to purchase a health plan through the university, must provide proof of comparable health insurance coverage. In order to avoid being assessed a state mandated insurance charge you must waive the fee by entering your health insurance information online at www.universityhealthplans.com.From the main screen, please do the following:• Select Westfield State University• On the left side menu, click on the “Waiver Form”• Complete all required information (if information is

missing, your waiver will not be accepted)• Submit the form by clicking “Apply” and if the form is

accepted, you will receive an immediate confirmation of your waiver to the email address provided

INSTALLMENT PAYMENT PLANWestfield State University offers an installment payment plan for matriculated (degree seeking) students over a period of time during the semester. Students must apply (application available online under CGCE Forms) and be approved for each term they are seeking an installment payment plan before they may register into courses. Students must adhere to and meet the following requirements: • Matriculation in a degree or certification program

through CGCE• Students must pay total tuition and fees by published

due dates or will be subject to late fees• Pay the $100 installment payment application fee

(non-refundable) on or before first payment• First payment due at time of registration• Students will be held to all regulations regarding

withdrawals, as stated in the University’s withdraw

and refund policy, and are responsible for total payment even if they withdraw before the end of the semester and regardless of grade

• Students who have not upheld payments in prior installment payment plans, been sent to a collection agency, or placed on Administrative Withdrawal are not eligible for the installment payment plan

SENIOR CITIZEN TUITION WAIVERIn accordance with Chapter 915 of the Acts of 1977, Commonwealth of Massachusetts, the College of Graduate and Continuing Education will waive tuition for persons over 60 for Massachusetts residents only, provided registration, institutional fees and related expenses are borne by the student.

Students must have the waiver form completed in advance of registration. The form is available in the CGCE Office. Proof of date of birth is required.

AUDITING CLASSESCredit Classes: Students may audit any in-person course with instructor approval. Online and hybrid courses are not available to audit. Registration for credit classes begins on the first day of the semester. Students registering for an audited class will not be charged a late registration fee. Art courses for audit have a $25 material fee.

PHYSICIAN ASSISTANT STUDIES ACADEMIC CALENDAR

WITHDRAWAL AND REFUND POLICY A student wishing to withdraw voluntarily from the University must confer first with the PA Program Director. Refunds of tuition and instructional fees, if any, are made on the basis of the date and time of receipt of a student’s withdrawal. Non-payment does not result in withdrawal from the University. Students who officially withdraw from the University after the first day of the semester will receive a designation of ‘W’ on their transcript.

Before semester starts, no refund made on $75 registration fee. After semester starts, no refund on $75 registration fee and $75 educational service fee. In addition, there will be no refunds made on the late payment fee, delayed payment fee, and student identification fee after the semester begins. This policy is in accordance with the 1998 Financial Aid Reauthorization Act. It will be reviewed annually by the Vice President of Finance and the Board of Trustees. This policy also is subject to change without prior written notification.
