Thanks for your interest in the Xavier Stage Crew. We’re very excited about this year’s production of “A Christmas Carol". The stage crew works as a team with the orchestra and the actors to create an exciting, tightly-organized production. This rewarding activity requires a strong commitment of time and energy. Please read all the way through this packet to determine whether participation in the stage crew is right for you. We guarantee a great experience to every student who decides to participate.

All students who want to be involved with the stage crew must complete and return the Crew Member’s Agreement SIGNED by both student and parent.

Parents: please fill out these forms WITH your students, not for them.

Please return all completed forms to Mr. Romenesko no later than September 26th.Crew spots are limited. Top consideration will be given to those who submit their paperwork on time.

Stage Crew Job Opportunities Name: ________________

Stage hand: Most of the people who work on the stage crew will be involved as stage hands. They are responsible for pre-setting the scenery before the show and shifting scenery during the performance and at intermission. Because the scenery shifts often occur in full view of the audience and in time with the music – our stage hands really are performers! This is the reason the stage crew attendance at rehearsals and performances is so important.

Prop crew: Members of the prop crew keep the props organized and in good repair, but their most important job is to ensure that all props are in place at the start of each rehearsal and performance. Attention to detail is important for this job.

Fly person: The fly person works the ropes that move curtains and scenery (and sometimes people) up and down. The fly person must attend more rehearsals than the rest of the crew as their shifts are rehearsed early in the process. Above average upper body strength is required for this job. Fly persons often help with other backstage tasks.

Follow spot operators: Follow spots are the lights that are used in some musical numbers.The follow spot operator must be attentive and able to properly control the spot light instruments, which are positioned above the tech booth at the back of the theatre.

Lighting crew: The lighting crew hangs, focuses, and programs all the lights for the show. Most of this crew works other positions during the show, since the maximum number of light board operators for a performance is two.

Sound crew: The sound crew works as a team to ensure that all the microphones and sound board are set up correctly. Also, they place mics on the performers before the performance and remove them after. During the performance, they work as a team to follow the script and turn the mics on and off as required. The sound crew also manages all the recorded sound effects in the show.

Hair and makeup crew: This crew assists Mrs. Oudenhoven and the cast in applying makeup before the show and assisting with wig and costume changes during the performance. This crew has an earlier report time than most crews on performance days.

Light Board Operator: (High level of experience and availability required) The light board operator is in charge of lighting during the performance. Board operators must attend more rehearsals than most technicians.

Assistant Stage Managers (ASM): (high level of experience and availability required) There is usually one ASM on each side of the stage during performances. In highly technical shows, there may be more. The ASM works with the Stage Manager, director and crew to ensure that set pieces are stored properly offstage, moved to their “ready” positions before a shift and moved onstage to the correct position at the right time. The ASM also takes direction from the director and Stage Manager to resolve technical problems that arise during run-throughs and performances.

Administrative Assistants: (strong computer skills required) Administrative assistants help to keep all aspects of the production coordinated by assisting the director with notes, schedules, lists and other paperwork. It may be possible to complete some tasks at home. This job is good for someone who has more time after school than in the evenings or for seniors who have an “off” hour during the day.

Deck Managers: (experience required) Deck managers are assistants to the Assistant Stage Managers. They help make sure all scenery (onstage and off) is in the right place at the right time.

Stage Manager: (high level of experience and availability required) The Stage Manager is in charge of the technical aspects of the show during dress rehearsals and performances. He or she must attend many rehearsals and all run-through and dress rehearsals, as well as all performances.

Work Requirement:Students who wish to work on the running crew (the people who work backstage and on lights and sound during the performances) should contribute at least three hours of service during the fall work sessions to help build, paint and organize the scenery for the show. This helps to ensure that the pieces will be completed in time for solid tech run-throughs. If you put in summer hours, please see Mr. Romenesko to determine if those hours may be applied to your fall service requirement.

Please discuss service requirement options with Mr. Romenesko if you are involved in other Xavier activities during the regular work sessions. You may be able to complete your service hours at another time but the must be completed by November 5th. These service hours count toward your graduation requirement.

Please advise Mr. Romenesko a few days in advance of the days you’ll work and use the sign up genius to secure a spot. This is important for planning the work session so that your time is used productively.

Please wear clothing suitable for painting. You may keep your paint clothes at the theatre until the end of the play. Always clean up after yourself (i.e. wash out paint brushes).

A Parent permission form (included in this packet) must be signed in order for any student to use power tools. Students are required to wear safety goggles and follow all other safety guidelines when working on the crew.

It is a violation of school policy for students to carry weapons, including any type of knife on school property. Cutting tools to be used by the crew are provided by the school and stored in the scene shop.

Student work hours are recorded in a binder called the “Theatre Service Hours Record Book.” All theatre service hours may be counted toward the student’s Christian Service Graduation Requirement in the “School / Other” category. It is the student’s responsibility to accurately record and total their work hours, and complete the paperwork to receive credit from the Theatre and Campus Ministry Departments. Instructions are included in the service hour book.

You are not required to come to every work session. Come on the days you are available for as long as you can. You may also ask Mr. Romenesko if there are jobs you can do on days other than designated work days. There is always a lot to do!

Important rehearsal and performance dates:

Dry Tech on Saturday, October 22 from 2:00-4:30pm and Friday, October 28th from 1:00- 4:00pm

Stage Managers, Assistant Stage Managers, and Crew Leaders must attend Sound board and follow spot operators do not need to attend this session.

Run-through, dress rehearsals and performances indicated on the production calendar.

After the last performance, we all help to take the set apart. This is called the “strike.” Crew members are not required to stay for the entire strike but are expected to help for the first hour or so.

Lighting Crew will hang and program lights during the two weeks prior to the show.

Dear Xavier Parent,

Your son or daughter has expressed an interest in working on the tech crew for Xavier’s fall musical, “Fiddler on the Roof”. We’re very happy to have your son or daughter interested in this rewarding activity but want to ensure that you, as parents, are aware of the commitment involved in this type of project.

Grade/Attendance Policy:School policy states that students must maintain acceptable grades while involved in the play. They may not attend rehearsals or performances if they have been absent from any classes during the day due to illness. This does not mean that a student who has a doctor’s appointment during the day cannot participate at night. It means that a student who stays home for all or part of the day due to illness is ineligible to participate that same day.

Please call or email Mr. Romenesko or one of the Stage Managers if a crew member is unable to attend a rehearsal or performance for any reason. It is critical that we know as soon as possible if adjustments must be made. The attendance office does not report absences to activity moderators. Please call me directly (882-6916) or email me at school ([email protected]) on the morning of the absence.

Rehearsal and performance dates are listed on the calendar in this packet. Crew members should arrive at the noted time for rehearsals and are usually required to arrive about one hour before show time on performance days.

Note: On days when we perform during school hours for our elementary school audiences, crew members are excused from class and are responsible for making up any missed class time or work.

Clothing Requirements:If a crew member is interested in helping work backstage during the performances, they will be asked to dress in black or dark blue clothing for every performance. This includes shirt, pants (black jeans are okay as long as they are not faded), socks and shoes. Shoes must be worn at all times. Black tennis shoes are best. For safety reasons, please do not wear clogs, sandals or flip fops. Black “Xavier Stage Crew” t-shirts will be available this year and may be worn during performances. Cost is $5 each. We have enough in stock for you to purchase two if you want to alternate so they can be laundered.

A note about the forms in this packet:Since some of the forms in this packet must be completed and returned to Mr. Romenesko by the student, you may want to print a second copy for your records. We suggest that you retain copies of:

Attendance:It’s important to have the crew at required rehearsals for every show. Missed rehearsals are a safety concern as well as an artistic one. Students who are not able to attend the required rehearsals and all performances may not be able to participate in the running crew.

Participation in Fall Sports & other co-curricular activities:Students are encouraged to participate in a variety of activities. However, some schedules may conflict to a point where a student cannot make an adequate commitment to both activities. It is the student’s responsibility to discuss scheduling with other advisors/coaches. Mr. Romenesko will be happy to work out a reasonable compromise in scheduling in instances where the other advisor is also willing to do so. Some activities require a time commitment that will not allow for participation in the fall musical.

Conflicts with rehearsal /performance schedule:The student’s availability for rehearsals and performances is extremely important. Please ensure that the information you provide in the calendar is complete and accurate. Discuss the time commitment and any possible scheduling conflicts with your parents to ensure that the information you supply is complete. Failure to meet time commitments may result in your being dismissed from the crew.

Conflicts that come up during the rehearsal period should be discussed with Mr. R. In most cases, you will be expected to attend the rehearsal in question.

Except in extreme cases such as a death in the family or illness, unexcused absence from a scheduled rehearsal is grounds for dismissal from the crew.

Using the crew calendar included with this email, indicate conflicts by placing a red “X” in any date on which you have a conflict. If you have no conflicts, check the spot below the calendar to indicate that. If you are available for part of the rehearsal, place an “X” on the date and write an explanation in the box. For example: if you are taking your driver’s test at 6:00 pm on November 9th, but could be at rehearsal by 7:00 pm, you should note it as follows:

Scheduling Terms:

Run through – a rehearsal where the show or a portion of the show is run including transitions.Dry Tech – a rehearsal held only for stage crew.Run through with tech – a rehearsal at which some or all technical aspects are included.Dress rehearsal – a rehearsal with sound, sets, costumes and lights which is run just like a performance.Strike – Held after the last performance. Everyone helps take apart the set and return props and costumes to storage areas. Crew members do not need to stay until the end of the strike but are expected to help.

Note, that on performance days, we always meet in the choir room before being dismissed. This is so that we can review general notes and information for the next show. Actors must change out of costume and be de-mic’d before meeting. All costumes must be hung up and accessories properly stowed before reporting for wrap up after the performance.

Crew members must shut down the theatre before the wrap up meeting. (sound and light boards powered down and covered, safety lights out, prop tables onstage from band room, etc.).

Actors and crew do not greet visitors in the lobby until after being dismissed from the wrap up meeting.

Poster Day Permission Form

Dear Parent/Guardian of "Fiddler on the Roof" Crew Members,

On Wednesday, October 5th, the cast, crew, and orchestra of “Fiddler on the Roof" will be participating in our annual poster day. This is one of the most fun and effective publicity projects we have and we need your help!!

We are asking that parents help by driving groups of students during this event. Students working on school activities must be driven by an adult.

The students will meet in the choir room after school, meet with their parent driver and blanket an assigned area with posters for our show.

Everyone then returns to Xavier around 4:45 – 5:00 pm for a light meal and socializing, followed by a rehearsal which will wrap up around 8:00pm.

Please let us know if you can drive and how many students (including your son or daughter) you can accommodate in your vehicle. (I know it’s early but we are committed to improving planning for these special events).

Parents: I know this is a huge amount of information but we want you be well-informed about the commitment of time and energy required of crew members. None of the potential conflicts problems mentioned in this packet are based on conjecture – all have occurred at one time or another. Our goal is to avoid any pitfalls and provide a smooth, safe, fun and rewarding experience for all involved!
