July 10, 2015 Training Hour Submission Guidelines As we transition into the new fiscal year, we will be asking all counties to submit their training hours for non-CWTS trainings (i.e. outside conferences/trainings) through our website at coloradocwts.com. Please find attached these helpful tips to getting your hours approved by the Certification Specialists with the Child Welfare Training Unit. Easy tips for Training Hour Approval! Tip 1) Be sure to attach documentation for the training you are requesting training hours. Please be sure the date and training hours match your submission. All certificates are required to have: your name, name of the training, name of the trainer, date(s) attended, training hours awarded. Documentation can be agenda, sign-in sheet, certificate, print-out/handouts. However, if this is the documentation provided, it must have the information included in the above bullet point. We do not give training hours for breaks/lunch, so please adjust your training hour request accordingly. Certificates must be issued by the agency/individual who conducted the training. Verifications of training attendance signed by your supervisor or issued by your county (unless they conducted the training) are not sufficient. CEC’s are often different than what is allowable under Volume VII for training hour credit. Please submit documentation that includes the above information rather than verification of CEC hours. Tip 2) If you attend modular trainings (such as Partnering for Safety) with non-sequential dates under the same training title, please be sure to distinguish the training title by using unique titles such as adding date attended, Module number, part 1, etc. to the title. Attach documentation for each submission. If you do not do this, the system is set to award hours for only one submission under a training name and you will not receive credit for subsequent submissions. Tip 3) If you attend a multiple day training, put the training dates together under one submission. You may do this by clicking below the date field on the green “Add” button. Be sure your documentation reflects accurately the training hours you are requesting. Tip 4) Training hours for conference attendance are awarded by breakout session/plenary attended, and are evaluated on a case by case basis to determine if they meet the requirements for in-service training hours set forth by Volume VII. When submitting conference attendance, you must have proof of attendance at each breakout session you are requesting credit (agenda, handouts, notes, etc…). We do not give training credit for breaks/lunch/networking sessions. At no time will we award training credit for full day conference attendance unless proof can be provided that this is accurate. Tip 5) Please remember our training fiscal year runs from July 1 to June 30. The trainings that you attend for re-certification purposes must fall within that time frame to be considered for re-certification the following year. Training hour submissions are due to our office no later than June 30 of every year for every worker and supervisor for re-certification. Training Hour Submission Guidelines
