Security Updates – IMPORTANT ANNOUNCEMENT

Changes have been made in Version 31 to increase the security of the Zedmed system. Previously, there was one well

known password for the administrator account for the Zedmed database and the ‘MEDIPAK’ account across all our

customers. This has been changed so that each site will have its own password, and the ‘MEDIPAK’ account will no

longer exist.

How these changes affects you

The ‘MEDIPAK’ account If your business currently uses the ‘MEDIPAK’ account to routinely log in to Zedmed, we recommend that, before you

proceed with the update, create a new account with a name of your choosing and give that account administrator

rights. We strongly recommend that you set a strong password for this account, with upper and lower case letters,

numbers and symbols. Instructions on how to create a new user is in “Instructions to create a new user” in the

appendix of this document.

3rd Party Integrations If you have third party integrations for such things as online appointments, sending recalls or SMSs, you may have to

update that software before you update Zedmed to Version 31.

A list of software that and their support for Version 31, and which version of their software is required, has been

upgraded to support the changes is listed below, along with the minimum software version needed. We also included a

list of software where the vendor has informed us that an update will be required to support Version 31, but it is still in

development.

Database backups If your organisation does a backup of the Zedmed database using the Firebird database tools, there may be a need to

update the backup routines to include the new password that has been chosen. Please contact your IT support staff or

company to assist you with this.

Passwords Zedmed now requires passwords of at least 8 characters. Existing passwords will not be affected by these new

requirements.

There are now settings to enforce stronger passwords if your business has such a requirement, and a user’s password

can be set to expire, forcing users to change their password periodically.

3rd Party Software

Applications that support Zedmed Version 31 are listed below along with the minimum version required. There is also a

list that will soon support Version 31.

If you have software that interacts with Zedmed and it is not listed below, please contact the software vendor to

verify that their software supports Zedmed Version 31.

System Requirements

For the upgrade to be successful, the site (clinic or hospital) must be running on Zedmed Version 26.0 or later.

If the clinic is on V28 or prior and uses a Jayex kiosk or HotDoc, additional steps will need to be carried out post-

upgrade, update the CRS_App_Server.ini as shown below to switch on the Rest API:

Release Summary

31.0 Highlights

2-Way SMS When enabled at a Branch level, Patients will now be able to reply to Appointment Reminder messages through 2-way

SMS. Patients will be able to be directly messaged from the new Messages page in Patient Details or from the

Appointment Report.

With the introduction of 2-Way SMS, we have included a Message Manager feature, allowing users to view all

incoming, outgoing messages and messages that have failed to send.

A new permission has been added for non-doctors to see messages sent through Clinical in patient details and the

message manager.

2-Way SMS is supported for SMS Central and SMS Everyone and SMSs are now sent using the more secure HTTPS

connection method.

Notifications Office now includes a notification list on the right-hand side. It currently displays notifications for Intramail and SMSs. In

the future we intend to use the notification list to display certificate and password expiry warnings.

For Intramail notifications, the count of unread messages will be displayed. Clicking on the notification will display the

Intramail window. Intramail will be checked for new messages every minute.

For 2-Way SMS notifications, when a message that needs to be actioned is received, a notification will also be

displayed. Clicking on this notification will display the Message Manager window. SMSs will also be checked every

minute.

If Zedmed is being used on Windows 8 or above, a notification pop-up is also displayed in the bottom right of the

screen for both Intramail and 2-Way SMS notifications.

SafeScript/NDE When prescribing, Clinical now has the ability to check a patient’s prescription against the SafeScript or National Data

Exchange database. A notification bar is displayed to the user showing if the drug is safe to prescribe or if there is a

warning.

To enable the NDE integration, the practitioner first needs to sign up to the NDE, then enable to service in My Options.

Security As part of Zedmed’s ongoing efforts to improve the security of our products, there have been many enhancements to

security in this release.

SYSDBA database user The SYSDBA password is now specific to each site. During the upgrade process the user will be prompted to input a new

SYSDBA password. This password should be kept safe and not communicated outside of your clinic.

NOTE: 3rd Party software that connects to the database must not user this account. We recommend that they use the

INTEGRATOR database user instead.

MEDIPAK user The MEDIPAK user has been disabled and can no longer be used to log into the software. If your practice uses this

account, please create another administrator account with a new password. Zedmed staff will now log into your

software during support calls with the ZEDSUP account, which uses a 2-factor authentication mechanism which is

unavailable to anyone outside of Zedmed.

Improved User Password Management • Zedmed now requires a password of at least 8 characters. This cannot be disabled.

• Each user can now change their own password in Office using the “Change Password” button on the Utilities

tab.

• Passwords can also now be set to expire after a specified time period.

• Minimum password complexity rules can now be set for the password, including mandating uppercase,

lowercase and symbols be included. When the complexity is set above the “Off” setting, commonly used and

simple passwords will not be accepted. This does not affect existing password.

• A handy password complexity indicator has been added to the password change dialog box to allow the user

to see how strong their password is.

• Passwords are no longer limited to a maximum 12 characters.

Updated Vaccinations Nimenrix now displays in schedule for 4vMenCV, and the MenB Vaccination schedule for South Australia has been

corrected.

MBS Items Updates • New MBS Item groups and sub-groups added for March 1 Fees.

• New MBS Item groups and sub-groups added for Category 1 November 1 and Category 8 November 1 Fees for

Eating Disorder Services.

Added Heart Health Check to Observations Doctors will be able to record and track Patient's Heart Risk % via Observations. Historical Graph will be available to

view trends on Risk %. Risk % will be displayed within the Measurements Tab of the Summary View

64bit Firebird Support The Version 31 Uprader will now install the 64bit version of the Firebird database engine. This will provide better

performance on sites with heavy database usage or a large number of users.

Zedmed now requires .Net Framework 4.6.2. Upgrader will now check to ensure that .Net Framework 4.6.2 s installed and prevent the upgrade if it is not installed. This requirement is for the server only.

Usage tracking To get a better understanding of usage, Zedmed will now collect anonymous statistics to allow us to improve the software. Usage tracking will allow us to identify components that are most used and allow us to focus on these areas. No personal information or patient information is sent with these statistics.

HL7 Support • Zedmed now supports HL7 OBX segments with JPEG, PNG and TIFF images in the ED data type.

• When creating HL7 2.4 Referral messages the message content will include a PDF, rather than a RTF, depending on a setting set for the Referral Doctor.

Staff account "MediPak" is now de-activated. A new user, "ZedSup", has been created which is more secure and only able to be used by Zedmed support staff

Upgrader ZED-3206 Zedmed now requires .Net Framework 4.6.2. Upgrader will now check to ensure that .Net Framework 4.6.2 s installed and prevent the upgrade if it is not installed.

Office ZED-544 Doctor Code can no longer be duplicated and must be unique. Users will now be prompted with an error message if they attempt to save a duplicate Doctor Code.

Office ZED-770 Security Enhancement At the login in screen, the username drop-down box has been updated to a standard edit box and will now only list the the last successfully logged in user, by default.

Office ZED-1142 Security Enhancement For the "Integrator" user, a new Database Users tab has been added in security module, allowing those with Administrator security roles to change the password.

Office, Utilities ZED-1707 SMS Module in Zedmed now uses HTTPS When sending or receiving SMSs or checking SMS balances for SMS Central and SMS Everyone, secure HTTPS connections are now used.

Office ZED-2535 User Interface Improvements Fonts, text size, colours and button size and location has been standardised across much of Office

Office ZED-3009 Unavailable Doctors removed from Appointment Report When printing the Appointment Report, the report only includes information for inactive doctors or resources if they have appointments scheduled.

Office ZED-3132 Security Enhancement Changed the sender of IHI batch search messages from MEDIPAK to ZEDSUP.

Office ZED-3162 MBS Items Updates New MBS Item groups and sub-groups added for March 1 Fees.

Office ZED-3449 Usage tracking added to Office Zedmed now collects anonymous usage statistics to allow us to improve the utility of the software. No personal information or patient information is sent with these statistics.

Office ZED-3581 Message Manager As part of 2-Way SMS, a "Message Manager" has been created to to view the list SMS messages.

Office ZED-3582 SMS Notification A notification is displayed when new SMS messages are received that need to be actioned.

Office ZED-3583 Notification List A new notification displays how many Intramail messages are unread in your inbox. If the software is run on Windows 8 or above, a notification will be displayed at the bottom right of the screen when a new Intramail message is received in Office.

Office ZED-3661 When writing SMSs, the number of messages required and remaining characters are displayed. When SMS contains 160 characters or less, it will be counted as 1 packet of message. When SMS contains more than 160 characters, it will use multiple packets, containing 153 characters each.

Office, SMS ZED-3761 When sending an SMS Fails, messages are set to "Action Required" When an SMS fails to be sent, the message is set to "Action Required", alerting the user that they may need to follow-up with the patient. You can set the message to "Actioned" to clear this status.

Office, Utilities ZED-2718 Update to Clinical History User Group When a Doctor Group has been created and assigned to a User, the Clinical History User Group field is no longer inactive.

Office ZED-2826 Find Account Payer window is no longer incorrectly displayed when editing a manual batch. When users select Include/Exclude button within the Batch Enquiry module, they are no longer prompted to re-search for a payer via Find Account Payer.

Office ZED-2844 View Letters functionality restored Viewing of Patient Letters in Office, preview, double-click and right click functions are now working as they did previously.

Office ZED-2871 Fixed the issue with Find button on Referral Doctor Details window. When the Find button is selected, the Find Referral Doctors window is now displayed, as per previous versions.

Office ZED-2937 Continuous prompt on Print Deposit Sheet form Repeated prompt to save defaults on the Banking Sessions screen has been corrected. Users will now only be prompted if changes have been made.

Office ZED-2943 Task Manager Text Wrapping In Office Task Manager, when writing a new task, the text will wrap within the text box, instead of continuing horizontally, making it easier to read and review.

ZED-2960 Fixed issue in patient merger where a merge failure for one patient prevents merging of other patients.

When running the Bulk Merge, users can deselect an errored Patient, choose the next Patient in the list and the merge without error.

Office ZED-2962 Updated Account Payer Report Account Payer Report now displays the complete phone number and fax number.

Office ZED-3350 Improved the speed of finding an invoice by invoice number.

Office ZED-3365 Tyro/Easyclaim Fixed bug where Tyro batching was relying on the Medicare payment run number to identify Tyro batches. This number recycles after 1000 runs, which meant that invoices where ending up in very old Tyro batches.

Office ZED-3405 Fixed issue when Creating Patient letters in Office Creating Patient Letters in Office will no longer show an error when picture folder is not found.

Installer, Upgrader ZED-685 Database Security Enhancement - SYSDBA Account On installation / upgrade, the user will be prompted change to a new 8 character password. This password should be stored in a safe place and not communicated to anyone outside the practice or practice IT. The new DBUserMgr utility program is available in the ZedmedServer folder will help System Administrators change the SYSDBA password.

Installer, Upgrader ZED-3084 Firebird ODBC driver The Firebird ODBC driver is no longer required to be installed on the application server, nor is it required for briefcase mode.

Installer ZED-3207 Security Enhancement .Net 4.6.2 is now a minimum requirement for Zedmed to be installed.

EasyClaim ZED-2610 New notification when Medicare not enabled When Medicare is not enabled, a new error message will appear, notifying the user that "This workstation is not using Medicare Australia Online Claim functions.", rather than an Access Violation error.

Doctor's App ZED-2750 Doctor's App Patient Search Enhancement Patient names that contains spaces are now included in the search results in the Doctor's App

Doctor's App ZED-2948 Doctor's App Update A more meaningful error message is displayed if the username or password is incorrect.

Doctor's App ZED-2961 Doctor's App Update Appointments returns scheduled appointment slots for active Branches only.

Database ZED-333 Firebird 64bit The Upgrader will now upgrade the server to use Firebird 2.5 64bit if the server is a 64bit version of Windows. This will help to improve performance on heavily loaded database servers.

Clinical, Office ZED-689 Security Enhancement The upgrade to 31.0 will remove unnecessary users from the firebird database. If any 3rd party software is using a Zedmed username and password for database access this will need to be changed to use the INTEGRATOR account instead.

Clinical ZED-1072 Creation of HL7 2.4 as either RTF or PDF When creating HL7 2.4 Referral messages the message content will include a PDF, rather than a RTF, depending on a setting set for the Referral Doctor.

Clinical ZED-1126 Modified automatic detection of HL7 message for Results and Documents If the message header contains 'REF' or 'RRI' for the message type it will now be considered a Document. The existing rules will still apply: If the name is ‘letter’ or ‘discharge summary’ it will be considered a Document, otherwise a Result.

Clinical, Office ZED-1181 Security Enhancement Added ability to set password expiry interval for users in Zedmed. This will force all users to reset their passwords at the specified interval.

Clinical, Office ZED-1760 Security Enhancement Added the ability to configure password complexity requirements for users.

Clinical ZED-1765 Security Enhancement Prevent login to Zedmed Clinical with expired password, user will be prompted to log onto Zedmed office to reset their password instead.

Clinical ZED-2377 Imported Results not being closed. Automatically close Referral, Pathology and Radiology requests when the response is received with a matching ref number.

Clinical ZED-2445 Update to instructions on Recall Type tidier User instructions have been update to be more user friendly and clearer.

Clinical ZED-2576 UI updates for Patient Selector In Clinical, Patient Selector window’s width has been increased to immediately display all information.

Instructions to create a new user

Overview Before accessing the Zedmed application, a new user needs to be registered into the system. Zedmed software

implements security via role-based access control, which means each user is allocated a role within the system

according to which access permissions are provided as needed for them to do their jobs. Users are referred to as ‘Staff’

within Zedmed application.

In this document, a step-by-step process has been shown with appropriate screen shots from the Zedmed application

version 31.0.0.0, to show how to create a new user in the system and allocate roles to them.

Step-by-step Procedure Step 1: To create a new user go to Utilities > Security and, in the Staff section of Zedmed Security Roles and Users,

select Add

Note: You need to be an Administrator user of Zedmed (Office) application in order to perform this function.

Step 2: In the Edit Staff Member fill in the below details:

• User Name (1) - The User Name should be one word with no spaces or special characters. User Name is unique,

so can't be allocated to more than one user.

• Staff ID (2) - The Staff ID is for internal use, within Zedmed, ideally set as the initials. Staff ID is also unique, so

can't be allocated to more than one user.

• Dr Code (3) - If the user is a doctor, they can be linked to the associated doctor profile by selecting the

appropriate code from a drop-down list of doctors in Zedmed. The Dr Code is unique for each doctor.

• Given Name (4), Family Name (5), Mobile Phone (6) and Title (7) - The user's details, can be added into the

corresponding fields.

• Participate in My Health Record (8) - My Health Record participants can be setup by selecting the checkbox.

• EHealthID (HPI-I) (9) - The user's EHealthID (HPI-I) number can then be searched by using the Search HI

Service button.

• Healthcare Role (10) - The user's Healthcare Role should also be selected from the drop-down list of available

roles. If the user is linked to a doctor, they can't be linked to their EHealthID here and will need to be linked

through their doctor profile.

• Clinical History User Group (11) - This option is available if you utilise the User Groups functionality (setup in

the User Groups section of Zedmed Security Roles and Users)

Step 3: In the lower section of the Edit Staff Member window from the User Roles tab you can allocate your user's

roles.

User roles define which areas of Zedmed user has access to and what functionality they have available. By default a

new user won't have any Included Roles which means they won't have any access to Zedmed outside of being able to

login.

To add a role to a user select one of the Available Roles you wish to utilise and either double-click on it or select it and

then click on the rightwards arrow between the Available Roles and Included Roles sections. Multiple roles can be

added this way to increase a user's access to different applications.

To remove roles you can perform the above actions in reverse; selecting the Included Roles and then double-clicking,

or selecting the role and then clicking on the leftwards arrows.

The double arrows will move all roles rightwards or leftwards accordingly.

Default roles are initially available in Zedmed, and roles can be added or edited in the Roles section of Zedmed Security

Roles and Users.

Note: To give a user administrative permission, you need to select the Administrator role from the Available Roles into

the Included Roles section.

Step 4: At the bottom of the Edit Staff Member window select OK to set password for the user’s login.

When you select OK, the application will save and close the user record. If any requirements haven't been met you will

be notified, otherwise you will be prompted to enter a password for the new user. The password should be of at least 8

characters in length and the system will show you the strength and some suggestions as you keep typing on the New

Password. You will need to enter this password twice, to confirm it, and then select OK.

Your new user will now be in the Staff list of Active Users

2-Way SMS Permissions The new 2-Way SMS Permissions need to be enabled by an Administrator. New Functions have been added to the Role,

under SMS. When expanded, users will see the options listed below. “Send” functions allows users to create and send

SMS from either Clinical or Office. “View” functions only allow users to view SMS sent/received from Office and/or

Clinical.
