With enhanced collaboration features, Zoho Mail is not just a mailbox—it's more. Zoho Mail provides you with an integrated calendar, contacts, tasks, notes, and bookmarks right within your inbox.

Calendar Use the Calendar module in Zoho Mail to create and keep track of your events.

Add events manually or use the Smart Add feature in the Calendar. Just type the occasion, date, and time, and it will be automatically added to your calendar.

Tasks The Tasks module in Zoho Mail helps you break down your work and create manageable task schedules.

Create tasks and sub-tasks, assign due dates and deadlines, and set up notifications and email reminders.

Add one-time and recurring tasks to your group, and assign group members to tasks by tagging them.

Notes Add virtual sticky notes in the color of your choice with the Notes module in Zoho Mail.

Add a note manually, or select a piece of text from an email to create a new note containing the selected text.

You can insert pictures and attachments in your sticky note, and even share it with others as an email.

Contacts Organize all your contacts in one place.

Use organization address book to look up contacts.

The auto-fill feature will come in handy while sending emails.

Contextually create events, tasks, and notes from any content in an email or from posts.

Collaborate and hang out better with your team. Make announcements, assign tasks, create events, or share notes with your teammates.

Share drafts to get your email reviewed before you send it. Simply share your emails to converse without confusing forwards and replies. Share entire folders to discuss or delegate many emails at once.

Filters Create filters to automate management of incoming emails. You can create a rule to mark an email as read, assign it as a task, highlight emails from a specific sender, move it to a specified folder and so on. The possibilities are wide.

Night Mode Don't let a bright screen in the dark stress your tired eyes. Switch to 'Night Mode'. This dark theme in Zoho Mail lets you view your emails comfortably at night.

Search and Save Search Zoho Mail's advanced search lets you quickly find the email you're looking for, even if it's buried in your inbox.

You can search by as many details as you know; for instance, if you're looking for a message in your Clients folder, between May 1st and May 20th, with attachments, containing the word "proposal," we've got you covered.

If you find yourself searching for emails from a colleague every day, save yourself the trouble of repetition by simply saving the search. Next time you want those emails, all you have to do is click the saved search to see the results. Saved searches are automatically updated with the latest emails.

AGILE FEATURES FOR A CLEAN INBOX Manage your emails better and work with improved efficiency

Scrub Scrub lets you quickly clean up your inbox by deleting or archiving emails in bulk. Select up to 5 senders from any folder, and use the Scrub feature to, archive or delete all emails from those senders.

Schedule Don’t let time zones hold you back from communicating with others. Use the Schedule feature to set a trigger, so your email gets sent at the perfect time to its intended recipient. Use the Recurring option to send emails at a regular interval. Just set the frequency and rest easy, knowing it'll reach its recipient right on time.

List emails from a sender We've created a convenient hack to find emails from a specific person without searching for them. Right-click on an email and select "list emails from sender" to see all the emails you've received from that sender.

Folder-specific notifications

We can't help you reduce the amount of email that comes into your inbox but we can help you reduce the number of notifications you get. Select the folders for which you would like to be notified, and we'll make sure you don't receive notifications for the rest of them.

Global search

If you use multiple Zoho products, global search helps you find stuff across all of your Zoho apps. For example, if you search for "Patricia," you can find emails from her in Zoho Mail, documents created by her in Zoho Docs, Cliq chats with her, and even her profile in Zoho People.

Keyboard shortcuts Zoho Mail has 50+ keyboard shortcuts to help you navigate around your inbox with ease. You can find the full list under Settings.

Out of Office If you'll be away on a vacation or without access to the Internet, you can set up Out of Office responses to automatically notify people that you won't be able to get back to them right away. In your Out of Office response, you can choose the “From” address, name, and signature you want to use.

Templates Zoho Mail allows you to create reusable email templates for emails you will have to send repeatedly. For example, if you send an email to your colleagues at the end of every month asking for a project report, you can just draft the email once, save it as a template, and use it every time you want to send that email.

Outbox The Outbox is where your emails reside for a few minutes (from 1 minute up to 120 minutes, depending on your settings) before they are sent. This allows you to proof read them and do some final edits before they are sent. If you change your mind about an email and decide not to send it, you can delete it from your Outbox.

Organized Attachments All your attachment files organized neatly based on their type. The attachment viewer neatly segregates all the email attachments by type, separating them into, images, documents, media and so on.

Filters to locate files The filters in attachment viewers help you to locate files based on various parameters. Use tags, favorites to mark important files and quickly find and access them.

Attachment actions Quick menu right from the attachments for next set of actions. Open the linked email or send the file as attachment in a new email or upload it to cloud storage or just download it to your system.

DOS and DDOS attacks generate unusual traffic to cause denial of service. Zoho Mail follows DDOS mitigation procedures which help overcome these attacks by tracking the traffic patterns and taking necessary steps to avoid disruption of services.

Data Protection

Keep an eye on your assets with data protection tools that Zoho Mail supports. Using systematic protocols, policies, and mechanisms in the service, you're all set to prevent email spoofing, phishing, spam, and data leakage.

Malware detection

Emails with attachments received in Zoho Mail are scanned for specific extensions and bounced when malware is detected. Our secure attachment policy prevents malware from being transferred.

Spam filtering

Zoho Mail screens your inbox from unwanted emails and authorizes secure and encrypted emails. Using the Spam filtering function, incoming emails are scanned for phishing and spoofing and pushed to the inbox or spam folder accordingly.

Encrypted Email Zoho Mail provides an additional layer of protection against unauthorized access through encrypted emails. Data is encrypted both at rest and in transit, leaving nothing to chance.

Encryption at Rest

Emails are stored on Zoho Mail servers in encrypted format. Your data is split into fragments and each fragment is then further encrypted before being stored on our disks. The keys that are used for encryption are managed with the utmost safety and reliability.

End to End Encryption

Secure Socket Layer (SSL) connection encrypts email traffic between your device and the server. Zoho Mail uses SSL connection for all communications from POP/IMAP/SMTP clients to our servers so that your data cannot be read or tampered with during transit.

You are always kept in the loop about the security level of the emails you send and receive. All emails between Zoho Mail servers are encrypted in transit using TLS and are marked accordingly. Whereas if the other provider involved does not support TLS, the email is marked as Plain to keep you informed.
