Wilmar Group - Mobile Phone and

Camera Policy

Mobile phones are a very effective communication tool and provide the ability to contact people

anytime and almost anywhere. However, mobile phone use in a hazardous work environment can

be distracting and present a safety risk. Most mobile phones also have built in cameras which means

their use also needs to be controlled to avoid misuse of photographs or videos taken. Most mobile phones are not intrinsically safe and should not be carried where there is an explosion risk.

Objective

The objective of this Policy is to promote safe and appropriate practice for the use of mobile phones and cameras through establishing clear and acceptable user guidelines.

Scope

This policy applies to all individuals who have access to personal or work related mobile phones and

cameras on Wilmar sites worldwide. This includes employees, contractors and visitors.

Guidelines

1. At our sites - usage during working hours (at the workplace)

a. Mobile Phones

Making and receiving phone calls during working hours should always be restricted to crucial work

related calls and important private calls only. Mobile phones can be distracting and intrusive when

in the company of others. The phone user is expected to respect others when deciding when to use the phone. Wilmar Safety and Health Standard states “Do not use a mobile phone in operational or production

areas”.

Consistent with the Safety and Health Standard, areas where reasonable mobile phone use is

permitted

Offices – although it is expected that the mobile is either switched off or in silent mode while

attending a meeting.

Control rooms and lunch rooms

On a designated pedestrian walkway

Designated mobile phone use areas (if the site chooses to have them)

In all cases stand still and be alert to the environment around you while using the phone

Mobile Phone use (calls, media, data and messaging) is not permitted

In any operational or production area

Change rooms and toilets

While walking anywhere around the site including the carpark

The site should review all signage to be consistent with the areas above and ensure it is in place and communicated to all concerned.

Mobile phones and cameras (or any other electronic device) cannot be carried on person

Where there is an explosion risk (In all ex zones)

Entry to explosion risk areas is to be restricted to authorised personnel and the site need to provide signage and secure storage for personnel to deposit their phone and camera etc.

Note 1: Company provided 2 way radios are acceptable in operational and production areas.

Company provided, intrinsically safe phones and 2 way radios are allowed in explosion risk (In all ex

zones) areas if it is approved by Management.

Note 2: Under no circumstances can media listened to on site using a phone or other electronic

device with or without earplugs or earphones. This includes music and podcasts etc.

b. Cameras and Phone Cameras

It is accepted that cameras and mobile phone cameras will be carried on person while on site except

where there is an explosion risk. Therefore the site is required to establish a photography permit

process. Permission must be sought and granted by the site Manager or designates, for all

employees, visitors and contractors requesting permission to take photos or video. Sites can develop

and maintain a permit exemption list.

2. Usage while driving on company business

Never use or hold a mobile phone while driving. It is unsafe and illegal in many Countries. This

includes any of the following:-

(a) Holding the phone to, or near, the ear or mouth, whether or not engaged in a phone call

(b) Writing, sending or reading a text message or email on the phone

(c) Turning the phone on or off

(d) Operating any other function of the phone

If your phone rings in the car, allow the call to divert to Message Bank. To retrieve messages and

make calls, you must be legally parked in a safe place and have the engine turned off. Legally parked

does not include being stopped at road works or traffic lights.

Where the relevant manager has deemed that mobile phone communication is essential for business related communications while driving a company provided vehicle, a hands free kit is to be provided, fitted and used if allowed by local laws. In any case, mobile phone use should be kept to a minimum

3. Visitors and Contractors

It is the responsibility of the Wilmar host to ensure that visitors and contractors comply with this

policy. As per Wilmar policy, visitors must be accompanied at all times on site and as a general rule

they are not allowed to take any photos or videos.

Where construction sites are segregated from operational or production areas, then the Project

Manager must request and approve the site policy from the contractor.

4. Persons not complying with this Policy

The site management are required to enforce this policy. This includes all required signage at the

entry points to operational or production areas. Persons not complying with this policy will be

subject to the Wilmar Safety Disciplinary Policy.
