Introduction

Exports shipment involves many documents to satisfy government regulations controlling exporting as well as to meet requirements of international commercial payment transactions.

Required documents :

1. Exports declarations

2. Consular invoices or certificates of origin

3. Bills of lading

4. Commercial Invoices &

5. Insurances certificates

There are 125 different documents in regular or special use in more than 1000 different form.

A single shipment may requires over 50 documents and involves as many as 28 different parties & government and government agencies or require as few a five.

Software is available that takes some of the burden out of the risk.

Principal Export Documents1. Exports Documents : Presented of port of exit, includes the name and

addresses of the principles involved, the destination of the goods, a full description of the goods, and their declared value.

2. Consular invoices or Certification of origin : Some countries require consular invoices obtained from the country's consulate and returned with 2 to 8 copies in the language of that country, along with copies of other required documents before certification is granted.

3. Bills of Lading : is the most important document required for establishing legal ownership and facilitating financial transactions.

c) as a certificate of owner or title to the goods.

4. Commercial in Voice: Every international transaction requires a commercial invoice, that is, a bill or statement of goods.

5. Insurance Policy or Certification : The insurance policy or certificate of insurance is considered a key document in export trade.

6. Licenses : Export or import licenses are additional documents frequently required in export trade. Whatever commodity requires an export license, it must be obtained before an export declaration can be properly certified.

In some countries, penalties, fines, or even confiscation of the goods could have resulted from errors in documentation.
