Priority Status
● How to gain Priority
○ Junior to Senior Standing
○ Based on your GPA
○ Attend the HPMP Orientation
○ Registeredand applied before 6/30/13
○ If you’re a returning mentee, if you have completed
your prior mentorship
Restrictions
● Hospitals and pharmacies are getting more strict
● HIPAA and liability
● TB tests and background checks
● Dress and Appearance Policy
● NAME BADGE: best to become a volunteer
● Don’t ask-Don’t tell: about shadowing
● Take location into account when choosing your mentor
Once You Have Been Enabled...
• Adele will enable you to match based on priority.
• Choose carefully, as you only get the one chance to
match at this time.
Securing Your Mentor● Three important documents:
○ Waiver
○ Confidentiality Agreement
○ Mentor/Student Contract
● Make 3 copies of your goals for the mentorship (one for
yourself, Adele, and your mentor)-must be typed
● Turn in your paperwork to Adele. DO NOT leave the
papers at the reception desk
Adele’s Office Hours
● Check for Adele’s weekly e-mails for her most current
office hours

● Appointments are not necessary, NOR encouraged, but
you may call first to make sure Adele is in :(858) 534-
7579
● Remember, you MUST meet with Adele in person to
confirm your mentorship
Mentorship Approval
● Adele will review your paperwork and approve your
mentorship when you meet with her
● This is when you will gain access to your mentor’s
contact information
When your match has been approved...
• Your mentor will receive an automated email that
includes your name and address
• It is YOUR responsibility to contact your mentor
• You must return your signed mentor agreement to
Adele ASAP after your first visit
• Fill out a journal entry after each visit
Contacting Your Mentor● Email First (and this is the best form of contact)
○ Address him/her in a professional/formal tone:
■ Ex: Dear Dr. __________
○ In the body tell your mentor:
■ Who you are,
■ through which program (HPMP) you have received his/her contact
information from,
■ Set up an appointment to meet in person that will be the most convenient
for him/her
○ End the e-mail formally:
■ Ex: Sincerely, __________
● Call his/her office to set up an appointment
● BE PUNCTUAL
First Meeting = First Impression
● What to bring
○ Mentor/Student Contract for your mentor to sign
○ Present a list of goals that you hope to accomplish with this
mentorship
● Leaving a good impression
○ Dress professionally, be punctual, etc.
● Homework
○ Bring the signed and completed contract to Adele soon after you have
met with your mentor
○ Fill out your online journal after every visit!
Remember, this mentorship is a
PRIVILEGE it is important that you
follow through with your end of the
responsibilities
● This includes:
○ Writing in your online journal after each visit with your mentor
○ This is your proof of attendance
○ After your last visit with your mentor, go online and fill out the
evaluation form. This is your final step of the mentor program
What you can do afterwards...
● Send a thank you note
● Perhaps bring a small gift for their support staff
● Keep in touch with your mentors and update them on
your progress
● Let them know what happens to you - they care!
